My name is Victoria Rock and I will be presenting tow issues in Contemporary Planning by comparing and contrasting Project Management and Scenario Management. You will be able to see the differences between both with a strong emphasis on the implications of both, not only for the manager but the Organization as well(AIUOnline,2011) You will also be able to review and compare which technique is better for the workplace and why, and steps the Manager might be taken in order to plan their decision making. My points will be defended by using valid business articles collections as well(AIUOnline,2011) I look forward to any questions or comments you may have for me at the end of this presentation(Rock,V.,2011)
  2. Introduction In this presentation I will attempt to guide you in two forms of planning techniques; Project Management and Scenario Management. While both techniques have one thing in common, flexibility, both will not work for every organization.(Robbins,S.,& Coulter,M.,2009) Scenario Management is not about the future, but about the possibility of what could happen.(Strategic Management,2010) Some benefits of Scenario Management is that managers are forced to look at other views, exposing blind spots that might have been overlooked in the generally accepted forecast and understand disagreements that may occur when envisioning different scenarios. Also High Executives are better able to recognize a scenario in its early stages as it unfolds.(Strategic Management,2010) Decisions that are made with Scenario Management can be expensive and bring long term decisions for uncertain situations.(Strategic Management,2010) Project Management on the other hand is a one time only set of activities that involver getting projects done within budget, on time, and according to specifications. With Project Management you get rapid responses because they have specific deadlines that are temporary so that the next project can move forward(Robbins,S., & Coulter, M., 2009)
  3. Planning With both techniques, the Manager is responsible for coordinating activities with other department heads within the organization. Since Scenario Planning involves a verity of steps that describes a plausible future business environment, a focus question needs to be developed that can be used as the main focus for each scenario.(Strategic Management,2010) In order to determine key driving forces, we will need to review and rank any high level of influence and uncertainties as well as inductive and deductive scenarios.(Strategic Management,2010) By creating a Scenario Matrix, we can then analyze the interactions between variables and possible values to come up with scenarios where implications can be understood. By providing various other driving forces, system thinking, narrative development and characters, a good plan can be developed.(Strategic Management,2010) Project Planning can be used once the goals have been set, activities and resources are available, as well as the sequence, time to get it done, and additional resource requirements are determined to get the objectives going and finished to meet the goals of the organization.(Haughey,D.,2011)
  4. Implications of Managers and Organization Planning requires activities prior to creating the plan itself. First thing would be defining success which requires a determination that constitutes successful performances that are assigned to the task. Each task needs to be assigned separately and individually according to a high probability for each individual who can perform and be successful with the task. Desired outcomes may come in the form of decreased complaints, or increased sales. Types of processes could be greater empathy or better client education. Another activity would be to asses the qualifications needed per each individual. A good prediction of success will lead to better job performance.(Lannon,R.,2011)
  5. Both Techniques It is evident that both of these Planning Techniques are different yet flexible and both should be used among this Organization. Since this is a large retail company with stores all over the world, both techniques should be used.. Scenario Planning should be used by the High Executives in the Corporation to plan what they want to accomplish World Wide with this Organization. Once this is done and all High Executives are on board with the plan, then their ideas and goals need to be sent down to all Managers of each store where the Managers can put together a Project Plan to get the results desired.(Rock,V.,2011)
  6. Putting the pieces together In putting the pieces together for this to work, I would first include incorporating the Twelve rules of Delegation into the plan: 1.)Decide why you are delegating. 2.) Trust people and let go. 3.) Use a delegation matrix. 4.) Define tasks. 5.) Assign tasks. 6.) Consider ability and training needs. 7.) Give explanation of individual jobs. 8.) Verbally announce results. 9.) Prepare challenges. 10.) Give deadlines. 11.) Give support. 12.) Ask for feedback.(Lannon,R.,2011) Another thing to do would be to balance out responsibility and authority as well as delegate consistently. Assignments should be balanced and focus on the results as will as reviewing the group vs individual planning. One other recommendation would be to consider upward delegation at any given time.(Lannon,R.2011)
  7. Conclusion There are several ways to plan effectively. There needs to be a formalized agreement about goals and how delegation can be enjoyable once it begins. Strengths and weaknesses need to be considered within an individuals talents, schedule, and specialization. Some key things to look for is making sure you delegate someone who can successfully complete a task and has the skills, resources, experience, time and willingness to do the job. You must use delegation as a tool which is both interesting and adds drudgery in a balanced manner. Keeping a log on what was assigned, to who, and when it is due will be a helpful tool for management because no human is error free. Successful planning, organization, leading and control will develop an excellent outcome and by entrusting authority, power, and responsibility to others will ensure the keys to success.(Creel,R.,2009)
