Designation: Service Renewals Coordinator - This is an individual contributor role closely work with the
Renewals Manager (Onsite)to maintain accuracy of maintenance contract renewal opportunities within
Salesforce (SFDC) and to help ensure those opportunitiesare closed promptly to meet services booking
targets.
Job Overview: Responsible for RENEWAL- Support for APJ/US region to facilitate Sales/Distributors/VARs to
optimal pricing decisions on Renewal sales opportunities
RENEWAL ORDER:
Responsible for generating all quotations,sales orders and overseeing the invoice processed by billing admin.
Work closely with regional finance/commercial team ensure all POs received accurately and on timely manner,
ensure the billing carried out smoothly once service live/delivered.
Review and process renewal order packs from Sales to ensure accuracy, timeliness and compliance with Aspect
policies. Make recommendations to sales on corrective action required for non-conformity.
Responsible for maintaining and editing entitlement records, generating entitlement reports and renewal quotes.
Analyze contract pricing changes,renewal risks and opportunities.
Understand and communicate the company's service offerings to customers to showvalue and potentially
increase contract price. Identify new opportunities and assign to sales team as appropriate
Analyze contract and purchase orders for adherence to policy. SKU mapping and Part Number review
Generate support renewal quotations or convert existing product quotations developed by sales for shipment.
Renewals Quotes are executed for both in-house and through a 3rd party vendor.
Processing of Renewal orders within Oracle ERP systemand updating of all relevant fields to ensure accurate
hands-offto supporting organizations ensuring accurate customer entitlement.
CONTRACT MANAGEMENT - Renewal Process:
Full reconciliation on current contract base and ensure the integrity of contracts database, and
performregular reconciliation moving forward.
Review of contracts- Standard Contract - Non Standard Contract, Schedule A, Affiliate contracts,
Amendments and Addendumand LLR and Etc.
Closely work with Contract Legal Teamto get Contractual Information’s when required (If any of the
above is non std or need approval fromlegal team)
Renewals Quotesare executed both in-house and through a 3rd party vendors.
Processing of orderswithin SFDC & Quoting systems and updating of all relevant fieldsto ensure
accurate hand-offsto supporting organizations ensuring accurate customer entitlement.
Ensure reminders sent to assigned regions 90 days prior to expire and handle cancellation requests;
notify finance any other 3rd party service needs to be noticed.
Establish and maintain long-termtrust relationship with assigned accounts and insure 100% customer
satisfaction and retention.
REVENUE ANALYSIS:
Provide executive management with complete visibility to renewals and solicit executive involvement.
Analyze and communicate risk clearly and take the lead in developing resolution strategies.
2. Assist Sales personnel with the renewal of existing customer contracts by managing the end-to-end order
renewal workflow & forecasting and reporting
Identifies and coordinates efforts between sales and operations to resolve customer issues
Coordinate with technical team to prioritize tasks ensure all issues are acted upon as per the impact to respective
technical issues.
Own, drive and manage the renewals process in collaboration with the account team and where applicable,
channels and our resellers.
Maintain customer information in SFDC and Track the status ofin-process sales orders and provide updates to
Sales Renewal Managers.
Participated in testing,project related activities and provided recommendations on possible solutions or requ ired
new feature functionality (SFDC go live and DMS automation)
Follow-up calls to Sales, Vendors, Distributor and End-users to resolve quote and Renewal entitlement issues.
Manage a high volume of transactions that are in different stages to completion. Review final order documents to
ensure completeness, accuracy and compliance with Ruckus internal policies.
