INTRODUCTION
Digital transformation in the healthcare industry has pushed healthcare providers and care facilities to a
customer-centric model. Now more than ever, consumers are in control of their healthcare choices. With an
abundance of information online—including the ability to rate and read reviews of physicians and providers—
patients have more avenues to find providers that can consistently provide a good experience.
At the same time, healthcare providers face several intersecting demands. They are constantly facing new
regulations, market entrants, and reimbursement models while also needing to keep overhead costs low
and constantly search for new talent or ensure existing employees keep up with certifications. These barriers
coupled with departmental silos impact the ability to deliver quality experiences.
As a result, healthcare providers are turning to technology that enables them to deliver excellent patient care.
When you peel customer experience down to its most basic level, providing a quality patient experience comes
down to just one thing: Efficiency. In the quest for efficiency, healthcare providers are replacing legacy systems,
removing silos between departments, and moving to cloud-based services like Financial Management and
Human Capital Management (HCM) platforms. This allows the easy and efficient handling and management of
daily business processes and workflows. However, these software deployments are not without challenges. In
many cases, they are not company-wide deployments, but instead siloed within individual departments inside
the organization. As you might imagine, this siloed approach often creates more problems than it solves, and
also inhibits efficiency across the organization as a whole.
There is a solution, however. When these platforms are integrated into an all-encompassing cloud-based
Enterprise Resource Planning (ERP) system, it changes everything. A cloud-based ERP enables companies
to eliminate silos throughout the organization and move digital transformation forward. Using the right ERP
system will give healthcare providers the tools to grow, adapt to reform-driven changes, improve operational
efficiencies, cultivate the right talent, and implement new business models and service lines. In doing so, patients
will not only have improved experiences with their healthcare providers, healthcare providers will also be able to
deliver better patient outcomes.

EXECUTIVE SUMMARY
An Enterprise Resource Planning (ERP) system is an
integrated management of all core business prac-
tices—including Finance, HR, Supply Chain, and
Business Planning. A true all-encompassing cloud-
based system effectively runs the entire operation. All
departments are able to collaborate freely using the
same data, without silos, and make better decisions
for the business as a whole. This means that finance,
project management, HR, payroll, and more can use
technology to improve and drive efficiency. Cobbling
together a system with HCM platforms and financial
management platforms that are loosely connected
(if connected at all) won’t cut it anymore if an orga-
nization expects to be successful in digital transfor-
mation.
In our Futurum Digital Transformation Index 2018,
filtered for healthcare companies, we found that
79.8 percent of companies described their relation-
ship with technology and digital transformation as
generally average or above average, but just over 30
percent of companies reported having a dedicated
digital transformation team in place. Unfortunately,
IT, Customer Service, and Marketing are much fast-
er to adopt technology than their counterparts in
HR, Finance, and Legal—which are the areas where
healthcare providers need to see change in order to
thrive. Successful digital transformation isn’t a piece-
meal process, it’s a company-wide undertaking.
As but one example of how a cloud-based ERP can
deliver improved efficiencies within a healthcare
provider organization, we explored Nurse Managers
and Chief Nursing Officers (CNOs) as a use case.
Nurse managers and CNOs are charged with patient
care, staff training, management, retention, perfor-
mance benchmarking and reporting, budget devel-
opment and cost containment. They also manage
supplies and other administrative tasks associated
with day-to-day operations. Many of these processes
are routine, repeatable tasks that also involve other
departments within the organization, which makes
a prime low-hanging fruit use case for ERP. A cloud-
based ERP allows healthcare providers to automate
many routine, largely administrative tasks, connect-
ing the departments within an organization that need
to be connected with real-time data accessible as
needed, and also freeing up staff to do what it is they
are most needed to do. In this case, delivering better,
more focused patient care.
The benefits of automation for healthcare provid-
ers are many, and it’s exciting to see best-in-class,
forward-thinking providers embrace technology
solutions, like cloud-based ERPs. This will allow them
to evolve more rapidly, save millions of dollars, equip
their employees with the tools they need to collabo-
rate with HR, Finance, and the supply chain, realizing
the many benefits of increased efficiencies on every
level in the organization. This is the key to successful
digital transformation. Even better, it’s a safe bet that
as a result, healthcare providers will also be able to
provide better care and better patient outcomes as a
result.

STATE OF HEALTHCARE DIGITAL
TRANSFORMATION
Digital transformation in the healthcare industry is at an
exciting point. Consumers are paying a large portion
of healthcare costs out-of-pocket and have higher
expectations than ever before of good experiences at
the hands of their healthcare providers. Consumers
have also experienced improved efficiencies and con-
venience in other industries like banking, insurance,
and retail, which are impacting what they expect of
their healthcare providers. Consumers are becoming
more educated and more savvy about how they select
healthcare providers, what they expect of interactions
with providers, and more knowledgeable about priva-
cy and their rights as it relates to their patient records
and personal information. Their tolerance for red tape,
inefficiencies, and administrative headaches as they
try to get the care they want is rapidly diminishing. The
spread of digital and mobile technologies is leading
the industry in a new direction, one fueled largely by
consumer demand. Healthcare providers who want to
keep their patients and grow their practices must be
evolving right along with their patients.
Driven by the need for a better customer experience,
healthcare is making a huge shift toward adopting
new technologies like AI-enabled medical devices,
blockchain electronic health records, and telemedi-
cine. The rise of on-demand healthcare, necessitated
by patients’ busy lives, has pushed major tech compa-
nies to develop products and services that will deliver
rapidly and efficiently.
Technology companies are offering consumers a new
array of programs, monitors, and devices that are dis-
rupting the industry. We are moving to an era when
patients will no longer have to schedule appoint-
ments only to wait hours to be seen by doctors and/
or wait days for test results. Innovation and efficiency
are not only the new names of the game—they are
the new normal for patients. As a society, technology
is helping us stay healthier, be more connected to our
personal health data, live longer, and lead safer, more
productive lives—and it’s also changing everything
about the patient experience.

In a recent U.S. News article on the state of technol-
ogy healthcare disruption, it touched on the fact that
healthcare providers need to understand what peo-
ple’s ambitions are for their health. They also need to
understand the importance of separating a patient’s
decision to make an investment in their health from
the financing of that decision. Once you do that, and
get both the financial investment needed as low as
possible, and the convenience factor of accessing
whatever treatment it is that they require, healthcare
providers can, in essence, future-proof their practices.
Make no mistake, that doesn’t mean that it’s important
to be the low-cost provider. It means that disruption is
happening in the healthcare industry, and consumers
are leading that disruption. Technology, and data and
analytics, are the driving forces behind that disruption,
right along with changing patient expectations.
But customer-facing technologies are not the only
ones that are changing the healthcare game. Health-
care providers are integrating AI-powered systems
into operations, which allow for streamlined work-
flows, system optimization, the reduction of human
error, and lower costs overall.
As we mentioned, the main thing all of these tech-
nologies have in common is data and analytics. We
are seeing data being created and collected at an
unprecedented rate. Medical records can be ana-
lyzed, simplified, and contextualized in a matter of
moments, making it easier for doctors to digest and
then use that medical records data. Patient records
can be monitored for errors and inconsistencies with
prescriptions, medical devices equipped with sensors
can be monitored for maintenance to avoid poten-
tial issues. Supply chains that use technology can be
monitored to eliminate unnecessary purchases, avoid
low stock, and to determine if supplies are being
overused.
Healthcare digital transformation is at an exciting
point. But while almost 80 percent of companies we
surveyed say they have an average or above average
relationship with digital transformation and technol-
ogy, only 19 percent have a strategy with clear goals
and initiatives in place. Our research shows that 38
percent of companies in other industries have a
decisive strategy in place. It’s clear that healthcare has
some catching up to do, but the good news is that it
is starting to happen.
In our Futurum Digital Transformation Index 2018
research, we identified the biggest obstacles that are
keeping healthcare organizations from embracing
and adopting the technology that can be a driver in
achieving successful Digital Transformation. The top
five obstacles identified by survey respondents were:
- Inadequate budgets
- Lack of company culture
- Resistance from managers
- Inadequate training or skills among employees
- Lack of key technology partners
What does a digitally transformed healthcare provider
operation look like? We know that integrating tech-
nology into the healthcare provider landscape that
will allow for improved data collection, analysis, shar-
ing, efficiencies, increased productivity, more effective
supply chains, and decreased operating costs is part
of the answer to that question. Culture, and more
specifically, a culture that embraces change and dis-
ruption, and which can see that a customer-focused
(patient-focused) operation is the one that not only
survives, but also thrives, is also key.
There are choices when it comes to ERP systems:
The traditional on-premise system, which until
recently has been the norm in the ERP space, or a
true cloud-based ERP system, which is becoming
more common. While there are use cases and argu-
ments for each, cloud-based ERP systems generally
offer greater stability and continuous updates from
vendor partners, feature enhanced mobile accessi-
bility, and also generally take less time to implement.
There is also significant upfront investment in tradi-
tional on-premise ERP systems and increased costs
related to both hardware and IT. For these reasons,
many organizations are going the route of cloud-
based ERP systems.
We believe a cloud-based ERP system is the answer—
from a technology standpoint for the digitally trans-
formed healthcare provider as well as from a culture
standpoint. Factor in cost, functionality, speed to de-
ployment, mobile accessibility, and it’s a no-brainer.

If your healthcare organization is going to
remain competitive in today’s world, empowering
employees to do their very best work, unencum-
bered by routine tasks that can easily be automat-
ed, and thriving in a collaborative, data-driven
environment is critically important. As is inte-
grating technology into business operations that
allows providers to break down those old-school,
legacy silos and afford easy and efficient collab-
oration between Finance, HR, Supply Chain, and
Business Planning, along with other departments
in the organization like Legal, IT, Marketing, etc. A
cloud-based ERP isn’t just a must-have for today’s
healthcare providers, it’s table stakes.
With that in mind, let’s take a deeper look at the
benefits healthcare providers can experience with
a cloud-based ERP.

BENEFITS OF A
CLOUD-BASED ERP SYSTEM
Cloud-based ERPs have already proven their value
in different industries and the healthcare industry
is starting to take notice. Innovative healthcare
organizations have seen benefits like automation
to improve processes; data visualization to help
decision-makers better understand the data
they’re being presented; advanced analytics which
empower decision-makers with in-the-moment
insights; and machine learning, which shows
“hidden” growth opportunities users may not have
uncovered on their own. These are all benefits
that deliver considerable value to healthcare
organizations and result in cost-savings and
increased productivity that helps deliver the ROI
they’re looking for in an ERP investment.
A true cloud-based ERP system effectively runs the
entire operation, streamlining processes across
the enterprise. Perhaps even more importantly, it
can enable digital transformation by ensuring that
all information is digitized, accurate, secure, and
scalable across departments. An ERP system gives
employees in every department what they need
to seamlessly and effectively collaborate with HR,
Finance, and Supply Chain management.
Here are eight key benefits healthcare providers
can expect to experience with the adoption of a
cloud-based ERP system:
1. Make better decisions with a single source
of real-time data. By combining Financial
Management, HR, and Supply Chain Management
in a single system, healthcare providers become
data-driven organizations. They have access to
consistent, secure, real-time data from one source.
With everything in one place, providers can easily
and effectively manage finance, supply chain,
business planning, HR talent needs, cost turnover,
benchmarks, and beyond. Every critical piece of
business operations data is available in real-time,
in one centralized place, and accessible by those
who need it, when they need it.
2. Recruit and retain a high-performing team
with an easy view of the entire workforce.
Managers and executives have access to
dashboards that can track retention, certification
status, and open positions. This data can enable
better talent acquisition, smarter and easier
onboarding, and ultimately, improved retention.
Combined with the real-time data about
benchmarks and other service records, healthcare
providers can cultivate a culture of career
development and opportunity by empowering
and inspiring team members to grow within the
organization and deliver superior care.

An example of success with this comes from Bronson
Health, a leading nonprofit healthcare system with
regional hospitals, clinics, home care and rehab
centers. Hampered by disjointed HR systems,
managers were frustrated by their inability to access
real-time information. After moving to a cloud-based
ERP, the organization now has better visibility as a
whole into its end-to-end recruiting process. This
allowed the company to reduce the time to fill open
positions, decrease its overtime spend, and experience
higher engagement from clinical staff.
Another interesting use case in high performance
team management comes from Bon Secours Mercy
Health, a Catholic healthcare organization that
merged with Bon Secours in the fall of 2018, creating
an entity with a combined revenue of $8 Billion.
Together, the company has 43 hospitals, over 1,000
patient care sites, and over 57,000 employees. The
company was experiencing performance issues
with their legacy systems and needed to improve
operational efficiencies all the way around, especially
in Payroll and HR—a cloud-based ERP system was the
answer.
As a use-case example, Bon Secours Mercy Health
had historically relied on HR as an in-person
contact for employees and managers, which is
not uncommon in the enterprise, and certainly not
uncommon in the healthcare provider realm. After
moving to a cloud-based ERP system, the organization
is now using technology and driving to real-time
service delivery. This allows the Bon Secours Mercy
Health employees to do what they need to do, and
get the information and access they need, when they
need it, rather than waiting for a point of contact in
HR.
Like many healthcare companies today, Bronson
Health, a leading nonprofit healthcare system,
was suffering from disjointed legacy systems
that made efficient operations difficult. Open
positions were going vacant for extended
periods. The company was overspending due
to issues like missed time-card punches, PTO
accruals, extended shifts, and unnecessary
overtime. In short, Bronson knew it needed
to undergo a cultural and lean management
transformation to stay competitive—and scale—
in today’s healthcare marketplace.
Bronson chose a cloud-based ERP system
focused on Human Capital Management,
Payroll, Absence, Recruiting, and Compensation
to manage the process of sorting through its
challenges. In just 11 months, the organization
was able to save millions of dollars by
streamlining processes, consolidating systems,
and enhancing reporting and analytics.
For instance, by making the employee application
process simpler and shortening applicant
completion time from 60 minutes to five
minutes, Bronson increased applicant volume by
28 percent. The company also decreased time to
fill an open position by a whopping 50 percent:
From 60 to 30 days. As hiring improved, the
company was also able to reduce overtime and
make other pay process improvements, totaling
more than $3.1 million in savings annually.
But the changes Bronson experienced weren’t
just process-specific. Because the cloud-based
ERP system was intuitive and user-friendly,
the organization was able to gain buy-in
from 90 percent of managers the very first
week. Adoption is everything when it comes
to deployment of new technology, and with
such a high percentage of the employees on
board, the organization was able to ensure
that the improvements would be consistently
experienced across the organization—not just
here and there via a few engaged departments.
These changes ultimately led to improved
employee engagement overall. Bronson’s 9,000
employees were no longer understaffed and
overloaded. Managers were receiving real-
time insights to drive improvements across the
organization. This also built a strong foundation
to make future growth and acquisitions a real
possibility.

3. Drive greater cost control through more informed
purchasing decisions. A cloud-based ERP system
can help reduce costs while improving inventory
control with automated, seamless processes for
purchase orders, tracking, and replenishing items and
services needed to support patient care. Managers
can gain insight into the cost, quantity, and utilization
of supplies, and identify trends and standardization
opportunities.
An interesting use case on this front is Ernest Health.
By moving to a cloud-based ERP system, the
organization transformed its paper-based PO process
that provided limited visibility and control over field
spend. The improved visibility provided by the ERP
system resulted in a $200,000 annual reduction in
procurement spend.
4. Gain efficiency by understanding where budgets
are being spent with real-time reporting. With a
360-degree view of Finance, Supply Chain, and HR,
managers and executives can make sound business
decisions. Managers can see how they are doing
against their budget in real-time and understand
where their budget dollars are going, broken down
by category, supplier, staff, or product. With real-time
information at their fingertips, managers can pivot and
fine-tune strategies as needed throughout the course
of the year, rather than waiting until year-end numbers
are in. Today’s digitally transformed, successful
healthcare providers need that kind of agility and
efficiencies at their fingertips.
5. Consolidate systems for improved operational
efficiency. By combining accounting, reporting
and governance into a single cloud-based system,
managers can spend less time managing transactions
and more time supporting strategic decision-making
and innovation. Real-time financial data can provide
timely insights and enable healthcare providers to
proactively make changes to improve the bottom line.
6. Improve compliance with an always-on audit trail
of transactions. Healthcare providers must constantly
be compliant with regulations from state and federal
agencies. By capturing all required information during
every transaction, providers can be assured that
each transaction can be auditable upon approval.
Healthcare providers can also rely on their ERP system
to help track and comply with local regulations and
requirements across all states and regions where they
do business, mitigating risk overall.
7. Improve planning accuracy for whatever
comes next. A true cloud-based ERP system gives
healthcare providers the opportunity to respond
to organizational, business process, and reporting
changes as they occur. Organizations have the
flexibility and agility needed to adapt to a constantly
changing future, especially as healthcare continues
to evolve from a fee-for-service to value-based care
model. Whether you’re experiencing changes due
to mergers, acquisitions, regulations, new affiliations,
natural disasters or other outside forces, with the right
technology solutions, leaders can have the peace of
mind they need knowing they are fully prepared for
whatever comes next.
8. Give security the priority it deserves. A security-
first mindset is imperative for all businesses today,
and healthcare providers are no strangers to security
and compliance requirements. When it comes to true
cloud-based ERP systems, healthcare providers can
easily accommodate HIPAA compliance regulations
as they collect and store patient data using a simple
management platform that grants access only to
qualified staffers. Equally as important on the security
front is working with trusted vendor partners to
eliminate the fear that accompanies many technology
deployments. This is where best-in-class vendor
partners are incredibly important. Leading cloud-based
ERP systems are the ones that are developed with a
data-security first mindset and who have a long track
record of excellence in deployment and integration.
Due diligence in the vendor vetting process will
quickly prove there is truly only a handful of vendor
partners from whom to choose on this front.
Beyond the benefits articulated above, and as we’ve
mentioned earlier, it’s critical to understand that
having one true cloud-based ERP system eliminates
siloed departmental programs and solutions. This
substantially reduces the cost of subscriptions,
maintenance, and on-premise software. Bronson,
mentioned as a use case earlier, realized $200,000 in
annual savings from decommissioned systems and
$80,000 in savings for reallocated technical resources.
Once you do the analysis within your organization,
we are confident you’ll agree—this is one cost-benefit
analysis the cloud-based ERP system wins, hands
down.

CONCLUSIONS
Healthcare providers vary greatly by size, region, and
type of service, but they all have the same goal of
providing the best care to patients. There are many
reasons a cloud-based ERP system makes sense
today, but the fact that it can enable the very best
in quality care should be the primary reason for any
healthcare provider to consider. If we haven’t already
convinced you, consider the following as part of the
cloud-based ERP investment plan:
Successful digital transformation is reliant on
becoming a data-driven organization. Providing
employees across the organization real-time data to
make decisions is critical to staying competitive and
surviving in today’s healthcare market. Data needs to
be available in real-time and quickly and easily acces-
sible by those who need it.
Cloud-based ERPs offer peace of mind. For health-
care providers, there is substantial risk when manag-
ing sensitive data such as patient records. It’s not just
risky in terms of cybersecurity, but in overall access
control. Cloud-based ERPs keep data safe and both
allow and manage access to only the people who
need it.
A single flexible system allows focus on what
matters most. Healthcare providers should be
focused on what matters most—providing the very
best patient care possible. By removing silos, con-
solidating systems, and encouraging and facilitating
collaboration across the organization they can reduce
costs, increase efficiencies, enhance productivity,
allow employees the ability to adapt quickly, and
ultimately, spend more time with patients and deliver
better results.
Benefits of the true cloud-based ERP model are
unmatched. There are a myriad of ERP systems avail-
able, but there is a reason that best-in-class, highly
successful healthcare providers opt for a true cloud-
based ERP system. A true cloud-based ERP system
can enable the entire organization with actionable
real-time data and analytics so they can make and
execute data-driven decisions. A true cloud model
prioritizes security, enables scalability, reduces over-
head costs, and can keep up with the rapid pace of
innovation that is required. A trusted vendor partner
brings technology expertise, a finger on the pulse of
industry trends, experiences with use cases of others

in the market, and more to the relationship, allowing
the organization to continually operate on the cutting
edge as it relates to both technology in general and
cloud-based ERP systems in particular.
Once you realize that using multiple platforms,
multiple cloud solutions and/or relying on outdated
legacy systems hampers efficiency, impacts clinical
staff engagement, and negatively affects patient
experience and patient care, it’s time to explore a
true, cloud-based ERP.
Healthcare providers face more knowledgeable and
more demanding consumers than ever before.
Combine those consumer expectations with ever-
evolving reimbursement models, constantly shifting
regulatory requirements, and a regular stream of new
market entrants, and they have very full plates. Add
to that the need to continually search for new talent,
manage and retain existing talent, and the importance
of creating a culture with a digital first mindset, and
it’s clear that healthcare providers face significant
challenges.
A cloud-based ERP system provider that can deliver a
powerful solution to help drive the automation their
organizations require to be agile and ready for any-
thing, in an efficient, expeditious, and reliable manner,
is a vendor partner worth its weight in gold. So how
do you get started finding that trusted cloud-based
ERP system provider? The best first step is to have
managers and executives working together to define
the technical requirements of an ERP system. Here
are some things to think about as you go down that
path.

RECOMMENDATIONS
As a healthcare executive, you’ve got a lot on your
plate: A changing industry, widespread reform, and
the shift to value-based reimbursement, to name just
a few. You’re under pressure to optimize workflows,
manage costs, reduce overhead, and uncover in-
sights, all while delivering quality care. A cloud-based
ERP system can be the catalyst for change in your
organization, pushing the organization forward and
driving a successful digital transformation.
Once you decide to seek a cloud-based ERP system
provider, keep the following recommendations in
mind:
• Work with a cloud-based ERP provider who un-
derstands that rapid deployment and faster time to
value is key to business success.
• Don’t fall for a flashy sales pitch. Work with a tech-
nology vendor partner who cares more about you
and your organization and goals and delivering a
solution that meets your needs than a vendor who
is primarily interested in making a sale.
• On time, and on budget need to be vendor prom-
ises you can rely on. Work with vendors who have
a tremendous reputation for excellence in process
improvement.
• The right cloud-based ERP systems are generally
both more cost-effective long term and faster to
deploy than legacy applications. Do not prioritize
bargain software over quality, easy-to-use cloud-
based ERP systems.
HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 14
COPYRIGHT © 2018 FUTURUM RESEARCH
• Healthcare providers need an ERP system that al-
lows them to focus more time on patient care and
clinical initiatives. Work with a technology partner
that understands and prioritizes this, too.
• Healthcare providers need to work to attract, de-
velop, and retain the best and brightest talent to
deliver optimal patient care. The right technolo-
gy partner will work with you to make sure your
needs as it relates to HR and talent attraction, man-
agement, and retention are met.
• Security and compliance, especially in the health-
care industry, should be top-of-mind for all provid-
ers. If your technology partner can’t say the same,
get out now.
• If your prospective technology vendor partner
doesn’t have a long list of clients who are willing to
speak to their expertise as it relates to security and
compliance, the advice above also applies: Run,
don’t walk, away.
• Work with technology partners who are prepared
for tomorrow, partners who are thinking about
what your businesses will need in the future, and
how your systems can evolve and deliver to meet
those needs.
Patients and care providers should take precedence
over system maintenance and process management.
With Finance, HR, and Supply Chain all in a single true
cloud-based ERP system, you and your team can
spend less time maintaining and more time delivering
quality care solutions. The technology partner that can
deliver an ERP system that gives healthcare providers
valuable tools to scale to growth, adapt to reform-driv-
en changes, improve operational efficiencies, cultivate
the right talent, and implement new business models
and service lines is the one worth finding.
Not sure where to start? You’re not alone. Analysis of
data from the HIMSS Analytics Logic Platform, which
tracks over 200 health IT tools, revealed that hospital
adoption of ERP systems has climbed to 38 percent,
up from only 19 percent a decade ago. While adoption
of ERP by the healthcare industry is slow, it is neverthe-
less steady. That same survey showed that 46 percent
of hospitals are likely to purchase an ERP system in the
near future. Are you part of that statistic?
Hesitation about pulling the trigger on an imple-
mentation is understandable. Studies show that 50
percent of ERP implementations fail the first time
around. Some 30 percent take longer than estimat-
ed and some cost 3 to 4 times more than what was
originally budgeted. Those facts alone would scare
anyone. But working with a trusted partner like
Workday can quell those fears.

  • 2. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 2 COPYRIGHT © 2018 FUTURUM RESEARCH INTRODUCTION Digital transformation in the healthcare industry has pushed healthcare providers and care facilities to a customer-centric model. Now more than ever, consumers are in control of their healthcare choices. With an abundance of information online—including the ability to rate and read reviews of physicians and providers— patients have more avenues to find providers that can consistently provide a good experience. At the same time, healthcare providers face several intersecting demands. They are constantly facing new regulations, market entrants, and reimbursement models while also needing to keep overhead costs low and constantly search for new talent or ensure existing employees keep up with certifications. These barriers coupled with departmental silos impact the ability to deliver quality experiences. As a result, healthcare providers are turning to technology that enables them to deliver excellent patient care. When you peel customer experience down to its most basic level, providing a quality patient experience comes down to just one thing: Efficiency. In the quest for efficiency, healthcare providers are replacing legacy systems, removing silos between departments, and moving to cloud-based services like Financial Management and Human Capital Management (HCM) platforms. This allows the easy and efficient handling and management of daily business processes and workflows. However, these software deployments are not without challenges. In many cases, they are not company-wide deployments, but instead siloed within individual departments inside the organization. As you might imagine, this siloed approach often creates more problems than it solves, and also inhibits efficiency across the organization as a whole. There is a solution, however. When these platforms are integrated into an all-encompassing cloud-based Enterprise Resource Planning (ERP) system, it changes everything. A cloud-based ERP enables companies to eliminate silos throughout the organization and move digital transformation forward. Using the right ERP system will give healthcare providers the tools to grow, adapt to reform-driven changes, improve operational efficiencies, cultivate the right talent, and implement new business models and service lines. In doing so, patients will not only have improved experiences with their healthcare providers, healthcare providers will also be able to deliver better patient outcomes.

  • 4. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 4 COPYRIGHT © 2018 FUTURUM RESEARCH EXECUTIVE SUMMARY An Enterprise Resource Planning (ERP) system is an integrated management of all core business prac- tices—including Finance, HR, Supply Chain, and Business Planning. A true all-encompassing cloud- based system effectively runs the entire operation. All departments are able to collaborate freely using the same data, without silos, and make better decisions for the business as a whole. This means that finance, project management, HR, payroll, and more can use technology to improve and drive efficiency. Cobbling together a system with HCM platforms and financial management platforms that are loosely connected (if connected at all) won’t cut it anymore if an orga- nization expects to be successful in digital transfor- mation. In our Futurum Digital Transformation Index 2018, filtered for healthcare companies, we found that 79.8 percent of companies described their relation- ship with technology and digital transformation as generally average or above average, but just over 30 percent of companies reported having a dedicated digital transformation team in place. Unfortunately, IT, Customer Service, and Marketing are much fast- er to adopt technology than their counterparts in HR, Finance, and Legal—which are the areas where healthcare providers need to see change in order to thrive. Successful digital transformation isn’t a piece- meal process, it’s a company-wide undertaking. As but one example of how a cloud-based ERP can deliver improved efficiencies within a healthcare provider organization, we explored Nurse Managers and Chief Nursing Officers (CNOs) as a use case. Nurse managers and CNOs are charged with patient care, staff training, management, retention, perfor- mance benchmarking and reporting, budget devel- opment and cost containment. They also manage supplies and other administrative tasks associated with day-to-day operations. Many of these processes are routine, repeatable tasks that also involve other departments within the organization, which makes a prime low-hanging fruit use case for ERP. A cloud- based ERP allows healthcare providers to automate many routine, largely administrative tasks, connect- ing the departments within an organization that need to be connected with real-time data accessible as needed, and also freeing up staff to do what it is they are most needed to do. In this case, delivering better, more focused patient care. The benefits of automation for healthcare provid- ers are many, and it’s exciting to see best-in-class, forward-thinking providers embrace technology solutions, like cloud-based ERPs. This will allow them to evolve more rapidly, save millions of dollars, equip their employees with the tools they need to collabo- rate with HR, Finance, and the supply chain, realizing the many benefits of increased efficiencies on every level in the organization. This is the key to successful digital transformation. Even better, it’s a safe bet that as a result, healthcare providers will also be able to provide better care and better patient outcomes as a result.
  • 5. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 5 COPYRIGHT © 2018 FUTURUM RESEARCH STATE OF HEALTHCARE DIGITAL TRANSFORMATION Digital transformation in the healthcare industry is at an exciting point. Consumers are paying a large portion of healthcare costs out-of-pocket and have higher expectations than ever before of good experiences at the hands of their healthcare providers. Consumers have also experienced improved efficiencies and con- venience in other industries like banking, insurance, and retail, which are impacting what they expect of their healthcare providers. Consumers are becoming more educated and more savvy about how they select healthcare providers, what they expect of interactions with providers, and more knowledgeable about priva- cy and their rights as it relates to their patient records and personal information. Their tolerance for red tape, inefficiencies, and administrative headaches as they try to get the care they want is rapidly diminishing. The spread of digital and mobile technologies is leading the industry in a new direction, one fueled largely by consumer demand. Healthcare providers who want to keep their patients and grow their practices must be evolving right along with their patients. Driven by the need for a better customer experience, healthcare is making a huge shift toward adopting new technologies like AI-enabled medical devices, blockchain electronic health records, and telemedi- cine. The rise of on-demand healthcare, necessitated by patients’ busy lives, has pushed major tech compa- nies to develop products and services that will deliver rapidly and efficiently. Technology companies are offering consumers a new array of programs, monitors, and devices that are dis- rupting the industry. We are moving to an era when patients will no longer have to schedule appoint- ments only to wait hours to be seen by doctors and/ or wait days for test results. Innovation and efficiency are not only the new names of the game—they are the new normal for patients. As a society, technology is helping us stay healthier, be more connected to our personal health data, live longer, and lead safer, more productive lives—and it’s also changing everything about the patient experience.
  • 6. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 6 COPYRIGHT © 2018 FUTURUM RESEARCH In a recent U.S. News article on the state of technol- ogy healthcare disruption, it touched on the fact that healthcare providers need to understand what peo- ple’s ambitions are for their health. They also need to understand the importance of separating a patient’s decision to make an investment in their health from the financing of that decision. Once you do that, and get both the financial investment needed as low as possible, and the convenience factor of accessing whatever treatment it is that they require, healthcare providers can, in essence, future-proof their practices. Make no mistake, that doesn’t mean that it’s important to be the low-cost provider. It means that disruption is happening in the healthcare industry, and consumers are leading that disruption. Technology, and data and analytics, are the driving forces behind that disruption, right along with changing patient expectations. But customer-facing technologies are not the only ones that are changing the healthcare game. Health- care providers are integrating AI-powered systems into operations, which allow for streamlined work- flows, system optimization, the reduction of human error, and lower costs overall. As we mentioned, the main thing all of these tech- nologies have in common is data and analytics. We are seeing data being created and collected at an unprecedented rate. Medical records can be ana- lyzed, simplified, and contextualized in a matter of moments, making it easier for doctors to digest and then use that medical records data. Patient records can be monitored for errors and inconsistencies with prescriptions, medical devices equipped with sensors can be monitored for maintenance to avoid poten- tial issues. Supply chains that use technology can be monitored to eliminate unnecessary purchases, avoid low stock, and to determine if supplies are being overused. Healthcare digital transformation is at an exciting point. But while almost 80 percent of companies we surveyed say they have an average or above average relationship with digital transformation and technol- ogy, only 19 percent have a strategy with clear goals and initiatives in place. Our research shows that 38 percent of companies in other industries have a decisive strategy in place. It’s clear that healthcare has some catching up to do, but the good news is that it is starting to happen. In our Futurum Digital Transformation Index 2018 research, we identified the biggest obstacles that are keeping healthcare organizations from embracing and adopting the technology that can be a driver in achieving successful Digital Transformation. The top five obstacles identified by survey respondents were: - Inadequate budgets - Lack of company culture - Resistance from managers - Inadequate training or skills among employees - Lack of key technology partners What does a digitally transformed healthcare provider operation look like? We know that integrating tech- nology into the healthcare provider landscape that will allow for improved data collection, analysis, shar- ing, efficiencies, increased productivity, more effective supply chains, and decreased operating costs is part of the answer to that question. Culture, and more specifically, a culture that embraces change and dis- ruption, and which can see that a customer-focused (patient-focused) operation is the one that not only survives, but also thrives, is also key. There are choices when it comes to ERP systems: The traditional on-premise system, which until recently has been the norm in the ERP space, or a true cloud-based ERP system, which is becoming more common. While there are use cases and argu- ments for each, cloud-based ERP systems generally offer greater stability and continuous updates from vendor partners, feature enhanced mobile accessi- bility, and also generally take less time to implement. There is also significant upfront investment in tradi- tional on-premise ERP systems and increased costs related to both hardware and IT. For these reasons, many organizations are going the route of cloud- based ERP systems. We believe a cloud-based ERP system is the answer— from a technology standpoint for the digitally trans- formed healthcare provider as well as from a culture standpoint. Factor in cost, functionality, speed to de- ployment, mobile accessibility, and it’s a no-brainer.

As is inte- grating technology into business operations that allows providers to break down those old-school, legacy silos and afford easy and efficient collab- oration between Finance, HR, Supply Chain, and Business Planning, along with other departments in the organization like Legal, IT, Marketing, etc. A cloud-based ERP isn’t just a must-have for today’s healthcare providers, it’s table stakes. With that in mind, let’s take a deeper look at the benefits healthcare providers can experience with a cloud-based ERP.
  • 8. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 8 COPYRIGHT © 2018 FUTURUM RESEARCH BENEFITS OF A CLOUD-BASED ERP SYSTEM Cloud-based ERPs have already proven their value in different industries and the healthcare industry is starting to take notice. Innovative healthcare organizations have seen benefits like automation to improve processes; data visualization to help decision-makers better understand the data they’re being presented; advanced analytics which empower decision-makers with in-the-moment insights; and machine learning, which shows “hidden” growth opportunities users may not have uncovered on their own. These are all benefits that deliver considerable value to healthcare organizations and result in cost-savings and increased productivity that helps deliver the ROI they’re looking for in an ERP investment. A true cloud-based ERP system effectively runs the entire operation, streamlining processes across the enterprise. Perhaps even more importantly, it can enable digital transformation by ensuring that all information is digitized, accurate, secure, and scalable across departments. An ERP system gives employees in every department what they need to seamlessly and effectively collaborate with HR, Finance, and Supply Chain management. Here are eight key benefits healthcare providers can expect to experience with the adoption of a cloud-based ERP system: 1. Make better decisions with a single source of real-time data. By combining Financial Management, HR, and Supply Chain Management in a single system, healthcare providers become data-driven organizations. They have access to consistent, secure, real-time data from one source. With everything in one place, providers can easily and effectively manage finance, supply chain, business planning, HR talent needs, cost turnover, benchmarks, and beyond. Every critical piece of business operations data is available in real-time, in one centralized place, and accessible by those who need it, when they need it. 2. Recruit and retain a high-performing team with an easy view of the entire workforce. Managers and executives have access to dashboards that can track retention, certification status, and open positions. This data can enable better talent acquisition, smarter and easier onboarding, and ultimately, improved retention. Combined with the real-time data about benchmarks and other service records, healthcare providers can cultivate a culture of career development and opportunity by empowering and inspiring team members to grow within the organization and deliver superior care.
  • 9. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 9 COPYRIGHT © 2018 FUTURUM RESEARCH An example of success with this comes from Bronson Health, a leading nonprofit healthcare system with regional hospitals, clinics, home care and rehab centers. Hampered by disjointed HR systems, managers were frustrated by their inability to access real-time information. After moving to a cloud-based ERP, the organization now has better visibility as a whole into its end-to-end recruiting process. This allowed the company to reduce the time to fill open positions, decrease its overtime spend, and experience higher engagement from clinical staff. Another interesting use case in high performance team management comes from Bon Secours Mercy Health, a Catholic healthcare organization that merged with Bon Secours in the fall of 2018, creating an entity with a combined revenue of $8 Billion. Together, the company has 43 hospitals, over 1,000 patient care sites, and over 57,000 employees. The company was experiencing performance issues with their legacy systems and needed to improve operational efficiencies all the way around, especially in Payroll and HR—a cloud-based ERP system was the answer. As a use-case example, Bon Secours Mercy Health had historically relied on HR as an in-person contact for employees and managers, which is not uncommon in the enterprise, and certainly not uncommon in the healthcare provider realm. After moving to a cloud-based ERP system, the organization is now using technology and driving to real-time service delivery. This allows the Bon Secours Mercy Health employees to do what they need to do, and get the information and access they need, when they need it, rather than waiting for a point of contact in HR. Like many healthcare companies today, Bronson Health, a leading nonprofit healthcare system, was suffering from disjointed legacy systems that made efficient operations difficult. Open positions were going vacant for extended periods. The company was overspending due to issues like missed time-card punches, PTO accruals, extended shifts, and unnecessary overtime. In short, Bronson knew it needed to undergo a cultural and lean management transformation to stay competitive—and scale— in today’s healthcare marketplace. Bronson chose a cloud-based ERP system focused on Human Capital Management, Payroll, Absence, Recruiting, and Compensation to manage the process of sorting through its challenges. In just 11 months, the organization was able to save millions of dollars by streamlining processes, consolidating systems, and enhancing reporting and analytics. For instance, by making the employee application process simpler and shortening applicant completion time from 60 minutes to five minutes, Bronson increased applicant volume by 28 percent. The company also decreased time to fill an open position by a whopping 50 percent: From 60 to 30 days. As hiring improved, the company was also able to reduce overtime and make other pay process improvements, totaling more than $3.1 million in savings annually. But the changes Bronson experienced weren’t just process-specific. Because the cloud-based ERP system was intuitive and user-friendly, the organization was able to gain buy-in from 90 percent of managers the very first week. Adoption is everything when it comes to deployment of new technology, and with such a high percentage of the employees on board, the organization was able to ensure that the improvements would be consistently experienced across the organization—not just here and there via a few engaged departments. These changes ultimately led to improved employee engagement overall. Bronson’s 9,000 employees were no longer understaffed and overloaded. Managers were receiving real- time insights to drive improvements across the organization. This also built a strong foundation to make future growth and acquisitions a real possibility. A cloud-based ERP system can help reduce costs while improving inventory control with automated, seamless processes for purchase orders, tracking, and replenishing items and services needed to support patient care. Managers can gain insight into the cost, quantity, and utilization of supplies, and identify trends and standardization opportunities. An interesting use case on this front is Ernest Health. By moving to a cloud-based ERP system, the organization transformed its paper-based PO process that provided limited visibility and control over field spend. The improved visibility provided by the ERP system resulted in a $200,000 annual reduction in procurement spend. 4. Gain efficiency by understanding where budgets are being spent with real-time reporting. With a 360-degree view of Finance, Supply Chain, and HR, managers and executives can make sound business decisions. Managers can see how they are doing against their budget in real-time and understand where their budget dollars are going, broken down by category, supplier, staff, or product. With real-time information at their fingertips, managers can pivot and fine-tune strategies as needed throughout the course of the year, rather than waiting until year-end numbers are in. Today’s digitally transformed, successful healthcare providers need that kind of agility and efficiencies at their fingertips. 5. Consolidate systems for improved operational efficiency. By combining accounting, reporting and governance into a single cloud-based system, managers can spend less time managing transactions and more time supporting strategic decision-making and innovation. Real-time financial data can provide timely insights and enable healthcare providers to proactively make changes to improve the bottom line. 6. Improve compliance with an always-on audit trail of transactions. Healthcare providers must constantly be compliant with regulations from state and federal agencies. By capturing all required information during every transaction, providers can be assured that each transaction can be auditable upon approval. Healthcare providers can also rely on their ERP system to help track and comply with local regulations and requirements across all states and regions where they do business, mitigating risk overall. 7. Improve planning accuracy for whatever comes next. A true cloud-based ERP system gives healthcare providers the opportunity to respond to organizational, business process, and reporting changes as they occur. Organizations have the flexibility and agility needed to adapt to a constantly changing future, especially as healthcare continues to evolve from a fee-for-service to value-based care model. Whether you’re experiencing changes due to mergers, acquisitions, regulations, new affiliations, natural disasters or other outside forces, with the right technology solutions, leaders can have the peace of mind they need knowing they are fully prepared for whatever comes next. 8. Give security the priority it deserves. A security- first mindset is imperative for all businesses today, and healthcare providers are no strangers to security and compliance requirements. When it comes to true cloud-based ERP systems, healthcare providers can easily accommodate HIPAA compliance regulations as they collect and store patient data using a simple management platform that grants access only to qualified staffers. Equally as important on the security front is working with trusted vendor partners to eliminate the fear that accompanies many technology deployments. This is where best-in-class vendor partners are incredibly important. Leading cloud-based ERP systems are the ones that are developed with a data-security first mindset and who have a long track record of excellence in deployment and integration. Due diligence in the vendor vetting process will quickly prove there is truly only a handful of vendor partners from whom to choose on this front. Beyond the benefits articulated above, and as we’ve mentioned earlier, it’s critical to understand that having one true cloud-based ERP system eliminates siloed departmental programs and solutions. This substantially reduces the cost of subscriptions, maintenance, and on-premise software. Bronson, mentioned as a use case earlier, realized $200,000 in annual savings from decommissioned systems and $80,000 in savings for reallocated technical resources. Once you do the analysis within your organization, we are confident you’ll agree—this is one cost-benefit analysis the cloud-based ERP system wins, hands down.

There are many reasons a cloud-based ERP system makes sense today, but the fact that it can enable the very best in quality care should be the primary reason for any healthcare provider to consider. If we haven’t already convinced you, consider the following as part of the cloud-based ERP investment plan: Successful digital transformation is reliant on becoming a data-driven organization. Providing employees across the organization real-time data to make decisions is critical to staying competitive and surviving in today’s healthcare market. Data needs to be available in real-time and quickly and easily acces- sible by those who need it. Cloud-based ERPs offer peace of mind. For health- care providers, there is substantial risk when manag- ing sensitive data such as patient records. It’s not just risky in terms of cybersecurity, but in overall access control. Cloud-based ERPs keep data safe and both allow and manage access to only the people who need it. A single flexible system allows focus on what matters most. Healthcare providers should be focused on what matters most—providing the very best patient care possible. By removing silos, con- solidating systems, and encouraging and facilitating collaboration across the organization they can reduce costs, increase efficiencies, enhance productivity, allow employees the ability to adapt quickly, and ultimately, spend more time with patients and deliver better results. Benefits of the true cloud-based ERP model are unmatched. There are a myriad of ERP systems avail- able, but there is a reason that best-in-class, highly successful healthcare providers opt for a true cloud- based ERP system. Once you realize that using multiple platforms, multiple cloud solutions and/or relying on outdated legacy systems hampers efficiency, impacts clinical staff engagement, and negatively affects patient experience and patient care, it’s time to explore a true, cloud-based ERP. Healthcare providers face more knowledgeable and more demanding consumers than ever before. Combine those consumer expectations with ever- evolving reimbursement models, constantly shifting regulatory requirements, and a regular stream of new market entrants, and they have very full plates. Add to that the need to continually search for new talent, manage and retain existing talent, and the importance of creating a culture with a digital first mindset, and it’s clear that healthcare providers face significant challenges. A cloud-based ERP system provider that can deliver a powerful solution to help drive the automation their organizations require to be agile and ready for any- thing, in an efficient, expeditious, and reliable manner, is a vendor partner worth its weight in gold. So how do you get started finding that trusted cloud-based ERP system provider? The best first step is to have managers and executives working together to define the technical requirements of an ERP system. Here are some things to think about as you go down that path.
  • 13. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 13 COPYRIGHT © 2018 FUTURUM RESEARCH RECOMMENDATIONS As a healthcare executive, you’ve got a lot on your plate: A changing industry, widespread reform, and the shift to value-based reimbursement, to name just a few. You’re under pressure to optimize workflows, manage costs, reduce overhead, and uncover in- sights, all while delivering quality care. A cloud-based ERP system can be the catalyst for change in your organization, pushing the organization forward and driving a successful digital transformation. Once you decide to seek a cloud-based ERP system provider, keep the following recommendations in mind: • Work with a cloud-based ERP provider who un- derstands that rapid deployment and faster time to value is key to business success. • Don’t fall for a flashy sales pitch. Work with a tech- nology vendor partner who cares more about you and your organization and goals and delivering a solution that meets your needs than a vendor who is primarily interested in making a sale. • On time, and on budget need to be vendor prom- ises you can rely on. Work with vendors who have a tremendous reputation for excellence in process improvement. • The right cloud-based ERP systems are generally both more cost-effective long term and faster to deploy than legacy applications. Do not prioritize bargain software over quality, easy-to-use cloud- based ERP systems.
  • 14. HEALTHCARE PROVIDER SUCCESS RELIES ON MOVING TO A TRUE, CLOUD-BASED ERP SYSTEM 14 COPYRIGHT © 2018 FUTURUM RESEARCH • Healthcare providers need an ERP system that al- lows them to focus more time on patient care and clinical initiatives. Work with a technology partner that understands and prioritizes this, too. • Healthcare providers need to work to attract, de- velop, and retain the best and brightest talent to deliver optimal patient care. The right technolo- gy partner will work with you to make sure your needs as it relates to HR and talent attraction, man- agement, and retention are met. • Security and compliance, especially in the health- care industry, should be top-of-mind for all provid- ers. If your technology partner can’t say the same, get out now. • If your prospective technology vendor partner doesn’t have a long list of clients who are willing to speak to their expertise as it relates to security and compliance, the advice above also applies: Run, don’t walk, away. • Work with technology partners who are prepared for tomorrow, partners who are thinking about what your businesses will need in the future, and how your systems can evolve and deliver to meet those needs. Patients and care providers should take precedence over system maintenance and process management. With Finance, HR, and Supply Chain all in a single true cloud-based ERP system, you and your team can spend less time maintaining and more time delivering quality care solutions. The technology partner that can deliver an ERP system that gives healthcare providers valuable tools to scale to growth, adapt to reform-driv- en changes, improve operational efficiencies, cultivate the right talent, and implement new business models and service lines is the one worth finding. Not sure where to start? You’re not alone. Analysis of data from the HIMSS Analytics Logic Platform, which tracks over 200 health IT tools, revealed that hospital adoption of ERP systems has climbed to 38 percent, up from only 19 percent a decade ago. While adoption of ERP by the healthcare industry is slow, it is neverthe- less steady. That same survey showed that 46 percent of hospitals are likely to purchase an ERP system in the near future. Are you part of that statistic? Hesitation about pulling the trigger on an imple- mentation is understandable. Studies show that 50 percent of ERP implementations fail the first time around. Some 30 percent take longer than estimat- ed and some cost 3 to 4 times more than what was originally budgeted. Those facts alone would scare anyone. But working with a trusted partner like Workday can quell those fears.
