How the ASLP was able to rise amidst its difficulties by
enhancing the conduct of managing the association in order to be
future ready and to be able to continuously sustain the operation of
the association in the years to come.

How the ASLP evolved through these years and how the
ASLP slowly managed to go beyond its boundaries in order to build
good connections & relationships, and be able to extend
cooperation and partnership with individuals and institutions,
locally and internationally.

 Openness in all transactions entered into by the association.
 All issues and transactions that concern the association shall be
reported and discussed during the meeting.
 Opinions of all the officers shall be considered before coming up
with a decision.
 Collectively, everyone is accountable to the decision made by the
Board.
 Should maintain its legal entity -- paying annual dues and
registration fees in order to maintain a good standing status to
operate.

Managing the Association
 Overlapping of task must be avoided so that responsibility can be
easily pin-pointed. In that way, the officer assigned to do the task
will act according to what is expected of him/her.
 It must be a collective effort and not just a case of only a few
among the officers are doing their share of work or almost doing all
tasks or only few were informed. Each officer is important and
expected to act according to what is assigned and expected of
him/her.
 Maintain a spirit of volunteerism and good relations. Whatever
problems and differences must be ironed out during Board’s
meeting

the Board or officers of the association

Managing the Association
As they say, “no one is above the law”. Every decision should be
guided by established protocol and by-laws.
Customarily, the President is the head of the association and should
be on top of every activity of the association. However, this does not
give him/her the absolute power to govern over the association. Thou,
majority rules in decision making, however, the President and every
member of the Board should respect each other’s opinion in order to
avoid division of the house.

Managing the Association
These synonymous terms simply refer to the working together of two
or more individuals/groups/entities/ in order to attain common goals
or for purposes of so called “mutual benefits.” The key element for
ASLP to be global is to go beyond its boundaries and take the risk. The
key is through collaboration/partnership/cooperation. The association
should think about potential partnership and be ready to connect.
Collaboration or cooperation is now the “in thing.” This is not a new
concept but increasingly becoming popular among groups and
associations. As Charles Darwin observed, “In the long history of
humankind … those who learned to collaborate and improvise most
effectively have prevailed.” (Anderson, 2012).
Collaboration & Partnership
 Tie-up with well funded agencies and other institutions willing to
provide certain degree of leverages such as, free food and venue to
conduct activities.
 Partnership with other organization/association for certain
activities. In this instance, there may be a sharing of profit among
the parties involved.
 Inviting speakers / specialist free of charge or at a discounted
rate.
 Encouraging sharing of information through open access and free
information linkages among members of the association.
 Establishing relationship with colleagues locally and
internationally thru collaboration of works and ideas. Example,
inviting them to participate in the activity of the association either
through speakership, sponsorship, or even partnership.

 The ASLP take advantage of visiting colleagues and specialist visiting
the country to be one of the resource persons in one of the activities of
the ASLP.
 The ASLP try to prospect great speakers during conferences and
social gatherings where the officers and members have attended.
 The Board tries to socialize or establish certain personal relationship
with the resource speakers where they could link the institutions they
are connected with to encourage sharing of resources not just among
the officers but to ASLP members as well.
 The ASLP Board tries to invite foreign colleagues as many as possible
to speak before ASLP’s events and negotiate what can be offered to
him/her in exchange for the favor granted. This is a good chance for
the participants to get to know them and eventually communicate and
build connection.

What to consider:
 identifying needs
– seek suggestions and opinions of members and colleagues
 identifying potential speakers
– get experts and specialists as resource speakers
– someone who can inspire
 venue
– consider the slogan “ learn, relax, have fun”
 consider surveys conducted in the past events
 topics
– consider current trends and technology
– should convey strong content that is practical, actionable and engaging

and working out for it
Filipino librarians now a day have diversified interests outside
the corners of their libraries. Some of these are in travel &
leisure, fun runs, charitable works, photography, etc. These
should be considered to help strategize the conduct of future
events.
The association should try to take an active role in the
evolution of the profession – going beyond the box as they
say.

The two (2) weeks tour grant by the Goethe Institut and
Bibliothek u Information International to the ASLP
Executive Board in 2012.

 solicit support
 show clear list of activities to make your association’s
activities attractive to funders/sponsors/vendors
 always thank vendors/sponsors for the support extended to
the event
 Completion of activities from planning to final report. Partnering
association should create good impression even after the event is finished.
 MOU – It seals the agreement of collaboration or partnership and
serves as a contract. It outlines demarcation of responsibilities for
contracting partners including funding and sharing of profits and losses.
So, one must be careful with the content of the MOU
 Budget
 Available resources
 Cost/expenses to consider
 Invoices & receipts process
 Understanding budget in advance
 Possible sources of revenues
(E.g. registration, sponsorship, donation, etc.)
Other consideration for collaboration & partnership
 Be prepared for the worst and be on top or updated of the activities
essential to the event. There should always be plan B. So that, if one of the
members of the team cannot deliver problems that may arise shall be
easily resolved.
 Show gratitude & appreciation
– Thank everyone that has been part and has contributed to
realizing the event.
 Support of the national association, local tourism and other entities
 Continuous connection/communication
 Don’t cut the line of communication
 Don’t burn bridges with your partner or collaborating institution
 Don’t create grudges
 Send greetings for special occasions

  • 2.  Managing the Association How the ASLP was able to rise amidst its difficulties by enhancing the conduct of managing the association in order to be future ready and to be able to continuously sustain the operation of the association in the years to come. About the presentation:  Collaboration & Partnership How the ASLP evolved through these years and how the ASLP slowly managed to go beyond its boundaries in order to build good connections & relationships, and be able to extend cooperation and partnership with individuals and institutions, locally and internationally.

  • 5.  Openness in all transactions entered into by the association.  All issues and transactions that concern the association shall be reported and discussed during the meeting.  Opinions of all the officers shall be considered before coming up with a decision.  Collectively, everyone is accountable to the decision made by the Board.  Should maintain its legal entity -- paying annual dues and registration fees in order to maintain a good standing status to operate.   • 7.  Overlapping of task must be avoided so that responsibility can be easily pin-pointed. In that way, the officer assigned to do the task will act according to what is expected of him/her.  It must be a collective effort and not just a case of only a few among the officers are doing their share of work or almost doing all tasks or only few were informed. Each officer is important and expected to act according to what is assigned and expected of him/her.  Maintain a spirit of volunteerism and good relations. Whatever problems and differences must be ironed out during Board’s meeting There should be balance in skills and abilities among members of the Board or officers of the association Teamwork

  • 14. As they say, “no one is above the law”. Every decision should be guided by established protocol and by-laws. Customarily, the President is the head of the association and should be on top of every activity of the association. However, this does not give him/her the absolute power to govern over the association. Thou, majority rules in decision making, however, the President and every member of the Board should respect each other’s opinion in order to avoid division of the house. Observe protocol and by-laws

These synonymous terms simply refer to the working together of two or more individuals/groups/entities/ in order to attain common goals or for purposes of so called “mutual benefits.” The key element for ASLP to be global is to go beyond its boundaries and take the risk. The key is through collaboration/partnership/cooperation. The association should think about potential partnership and be ready to connect. Collaboration or cooperation is now the “in thing.” This is not a new concept but increasingly becoming popular among groups and associations. As Charles Darwin observed, “In the long history of humankind … those who learned to collaborate and improvise most effectively have prevailed.” (Anderson, 2012). Collaboration & Partnership
  • 17.  Tie-up with well funded agencies and other institutions willing to provide certain degree of leverages such as, free food and venue to conduct activities.  Partnership with other organization/association for certain activities. In this instance, there may be a sharing of profit among the parties involved.  Inviting speakers / specialist free of charge or at a discounted rate.  Encouraging sharing of information through open access and free information linkages among members of the association.  Establishing relationship with colleagues locally and internationally thru collaboration of works and ideas. Example, inviting them to participate in the activity of the association either through speakership, sponsorship, or even partnership. Collaboration & Partnership

  • 20.  The ASLP take advantage of visiting colleagues and specialist visiting the country to be one of the resource persons in one of the activities of the ASLP.  The ASLP try to prospect great speakers during conferences and social gatherings where the officers and members have attended.  The Board tries to socialize or establish certain personal relationship with the resource speakers where they could link the institutions they are connected with to encourage sharing of resources not just among the officers but to ASLP members as well.  The ASLP Board tries to invite foreign colleagues as many as possible to speak before ASLP’s events and negotiate what can be offered to him/her in exchange for the favor granted. This is a good chance for the participants to get to know them and eventually communicate and build connection. Expanding relationship with colleagues and institutions abroad

Offering best education What to consider:  identifying needs – seek suggestions and opinions of members and colleagues  identifying potential speakers – get experts and specialists as resource speakers – someone who can inspire  venue – consider the slogan “ learn, relax, have fun”  consider surveys conducted in the past events  topics – consider current trends and technology – should convey strong content that is practical, actionable and engaging

  • 26. Understanding members interest and skills, and working out for it Filipino librarians now a day have diversified interests outside the corners of their libraries. Some of these are in travel & leisure, fun runs, charitable works, photography, etc. These should be considered to help strategize the conduct of future events. The association should try to take an active role in the evolution of the profession – going beyond the box as they say.

  • 31.  Completion of activities from planning to final report. Partnering association should create good impression even after the event is finished.  MOU – It seals the agreement of collaboration or partnership and serves as a contract. It outlines demarcation of responsibilities for contracting partners including funding and sharing of profits and losses. So, one must be careful with the content of the MOU  Budget  Available resources  Cost/expenses to consider  Invoices & receipts process  Understanding budget in advance  Possible sources of revenues (E.g. registration, sponsorship, donation, etc.) Other consideration for collaboration & partnership
  • 32.  Be prepared for the worst and be on top or updated of the activities essential to the event. There should always be plan B. So that, if one of the members of the team cannot deliver problems that may arise shall be easily resolved.  Show gratitude & appreciation – Thank everyone that has been part and has contributed to realizing the event.  Support of the national association, local tourism and other entities  Continuous connection/communication  Don’t cut the line of communication  Don’t burn bridges with your partner or collaborating institution  Don’t create grudges  Send greetings for special occasions Other consideration for collaboration & partnership
