Considering the nature of your resources
Carry out an audit of the resources required for the setting up and running of your
festival.
(You may wish to break into groups to complete this task; each group considering one of
the areas identified below and reporting back to the class.)
Your audit should consider:
1 Facilities, spaces and venues:
a) Consider the size and shape of each space you intend to use.
The spaces that we will use are classrooms and the
playground. The classrooms are rectangular and quite small
so we can’t use them for physical workshops or activities.
The playground is big in width and there is a lot of room for
quite a few events.
b) Is it specialist space e.g. a theatre space or simply a ‘room’?
The spaces we are using are just simply classrooms and
spaces we already have available and provided for us by the
school.
c) How might the space be adapted for your use?
The classrooms will be used for non-physical activities such
as watching films and food stall. Also the nail bar and face
painting will be in the classrooms because there isn’t enough
space to hold a performance in a classroom. The playground
will be used for the bouncy castles and archery because they
are more outdoor activities and require a lot of space. The
jump photography will be in the studio and the performances
will be in the hall because they need a lot of space and the
hall is fairly big and suitable for the performances.
d) What health and safety issues need to be considered? (E.g. fire exits, maximum
room capacity.)
Health and safety issues that need to be considered are if the
fire exits are easily recognisable and for that we will need to
select the rooms where the fire exits are clear to see and if
required, put up signs for that day specially. Maximum room

capacity is also an issue because there will be a lot of people
attending the festival and there might be a lot of people who
want to do the same activity at the same time so we would
need staff or supervisors to manage the number of people in
one room.
Diploma Level 2 Information Technology
2 Equipment:
a) Is all the equipment needed available or will you need to borrow or hire some
items?
Most of the equipment is already available at the school such
as sound and lighting equipment for which we would need to
ask permission to borrow. However bouncy castles and
archery equipment will need to be hired.
b) Who will set up and/or operate the equipment?
The sound and lighting equipment will need to be set up and
operated by the technicians. Also for the archery, we’ll need
professional people to operate it and demonstrate how to use
it. The bouncy castles will need supervision and to be set up
carefully by someone who has experience and knows what
they are doing.
c) What health and safety issues need to be considered? (E.g. operation of
machinery, lifting or moving heavy equipment.)
Health and safety issues that need to be considered are to
handle equipment that has been borrowed or hired carefully.
Also the machinery should only be operated by people who
are able to do so and have experience. When moving or
lifting heavy equipment, there should be the right number of
people helping otherwise they could injure themselves.
3 Materials:
a) What is your budget for materials?
We have a budget of £1100 from the school community
organisation called Central+. First of all we had to make a list
of all the resources we would need and what equipment we
would need to hire and what we already have available by the
school. One of our main considerations here was to
compromise things to fit around the budget rather than

exceeding it.
b) How will you use your budget to best effect?
To ensure that our budget is used to best effect we had to
collaborate with others in our team to reach a common goal
and consider more realistic things that we could include in the
festival which would also fit around the budget.
4 Human resources:
a) What are the strengths of the people on your team?
Our team is made up of people who have good organisation,
leadership, time management skills. Also members of my
team are good at meeting deadlines.
b) How can you ensure that everybody understands their role and responsibilities in
the setting up and running of the festival?
Before the festival begins, we will hold a meeting where will
go through everyone’s individual responsibilities and make
sure they understand it clearly. We will also have a day where
we will tour around the venue where our festival will be
staged and ensure that everyone is familiar with everything
there.
c) What specialist help from outside your team might you need to use?
We had the ambulance in case of emergencies and we also
had the women’s institute who sold cakes and food and they
made money for themselves. We also needed security guards
at the front entrance gates and others around the building to
monitor the activities and for health and safety issues.
