Today we are mainly focusing on Tableau Prep Builder which is a self service client based ETL (extraction Transformation load) tool used to prepare data for Tableau. With Tableau prep you create flows of repeatable and documented steps. These flows can be be scheduled to run on intervals if you have Tableau Server or Tableau Online and Tableau Prep Conductor.
Think of Tableau Prep as being analogous to a chef preparing ingredients for a nice meal. The nice meal doesn’t just happen. Somebody slices and dices, seasons and assembles the ingredients. The result is a beautiful meal that people can enjoy. A tableau dashboard is like that beautiful meal, it doesn't just happen. 90% of the work has to do with preparing the underlying data.
Data is everywhere and you can create a quick Tableau Dashboard using just about anything. But is the data show in your dashboards accurate, informational and up to date? That is what you need it isn’t enough I think we are really seeing the impact of good data vs bad data today. Good data is an absolute requirement to make accurate projections which in turn drives supply chains and helps people make informed decisions.

Data is everywhere and you can create a quick Tableau Dashboard using just about anything. But the old garbage in garbage out principal often applies…. And end of the day the data behind your dashboards needs to be accurate, informational and up to date. ???
Good data is an absolute requirement to make accurate projections which in turn drives supply chains and helps people make informed decisions. Today we are really seeing how important good data is.
What is “Good data” and what is “bad data” ?
Often you don’t even know you have “bad data” until you use a tool like Tableau to expose the data.
Some common issues uncovered when displaying data in Tableau:
Wrong format – You may have you data going across like Jan Feb March sales numbers. Data in this format cant be easily aggregated .
Multiple sources – you might have some HR data in one system and expense report data in another it can be harder than you think to join sources
Granularity – you might have actual sales down to the day but you budget is by quarter this is different granularity and can give you the wrong results in your visualizations if you don’t deal with it properly.
Analysis Friendly - Sometimes field names are not intuitive and dates are not in the correct format to let Tableau do its job in creating automatic date hierarchies. This is especially true if you are dealing with transactional systems.
Outliers and data “mistakes” – Often, it isn’t until you display your data in something like Tableau that you noticed the problems, someone leaves off a few zeros, a date is in the wrong format, abbreviations are not consistent i.e. CA vs Calif vs California.
Of course Tableau Prep is not required to get your data ready for Tableau, there are plenty of ways to prepare data for Tableau
1. There are things you can do in Tableau desktop to prepare data. You can change data types , pivot , join multiple sources and create calculated fields to enrich your data. But there can be a cost to this. Calculations that are done “on the fly” can degrade performance with you are dealing with a lot of data.
And your calculated fields may not be the same as someone else’s and you get to a meeting and your numbers don’t match someone else’s.
2. You can also use 3rd party tools there are some great ones that have more features than Tableau Prep but they can be very expensive and pretty complicated to learn
3. You can also enlist your DBAs and have them create things like materialized views that have the data in the exact format you need. But what happens when you get a new requirement? It can be hard to rely on outside forces to make any required modifications
4. And Last but not least you can use Tableau Prep !
Because of limitations we mentioned, and cost Tableau prep is often a good choice.
Why is that?
It comes for free with the Tableau Creator license,
It is a graphical flexible easy to use tool geared towards end users
It is (obviously) fully integrated with Tableau Desktop and Server
It is a really good way to document and build repeatable flows that often do a ton of complicated steps
It provides Data previews which are a great way to see the distribution of your data and to see what data is excluded when you do things like joins
On the right you can see just some of the steps you can build in Tableau Prep. You can remove nulls fix data types, group and rename fields pivot fields fix dates etc.
Senturus has been a beta tester for Tableau Prep since the very beginning when Prep was referred to as “Project Maestro”. We do a lot of ETL work for our clients and are aware of the challenges. Being a beta tester allows us to see and try out features on the road map before they become available to the public.
In the very next release projected for this Summer there are a couple of new exciting features.
The first is an incremental data refresh. If you have data that grows every month or week or day you don’t want to run the flow for all of the data just for the “new” data. In 2020.2 beta you can specify a field like a data and only run the flow for the new data.
The second new feature we are excited about is the Salesforce data connector. Tons of people use Salesforce and since Tableau is now part of the Salesforce family it is no surprise that Tableau Prep now provides a direct connection to data in the Salesforce cloud. I tested this and it is great but you still need to know how the data in the salesforce tables like opportunity and account connect to each other. The relationships can be confusing and if you are not careful you can get the wrong data.
At The Tableau conference last November they announced that there will be a web-based version of Tableau Prep. As is expected Tableaus web-based software is getting better and better and often has most if not all of the features of client software. They did not give a release on this, but we expect it to be the next major release in 2021
The other feature that was announced but not given a date of availability is write to database. It is great to build a Tableau extract or csv file but one of the major limitations of Tableau prep is it can’t write to other sources. Most tools like Alteryx can take data from multiple tables in a database and build new tables . Databases are good at managing data and this is something that keeps Tableau Prep from being a full-fledged ETL tool
We talked about the software and products within Tableau Prep but what about the licensing? The two are not always the same…
Since 2018, Tableau licensing follows the types of tasks people perform using the tools. Creating, Exploring and Viewing. Tableau Creator is the person that can create data sources. The Tableau Creator license comes with Tableau Desktop and Tableau Prep . You can use either of these tools to create data for Tableau.
The screenshot at the bottom is Tableau conductor which comes with the data management add on (currently priced at $5.50 per user/month)
Without the addon the Prep flows I will be showing you will need to be manually ran.
