2. to customer service
• Dear Mr. Brown
• Dear Ms. White
I am contacting you for the following
reason...
• I recently read/heard
• Thank you for contacting us.
• In reply to your request, ... about ..... and
would like to know ....
3. The poor, neglected subject :
When writing a subject for your email,
remember how they are used. They are in a
long list, with dozens if not hundreds of other
messages. If you use the subject “Question”
you are not giving any clue about the
contents. “Please send latest pricing for
widgets” is vastly better. The subject has
but one job – to get people to open your
message.
4. Be careful with promotional text.
If you find that your messages aren’t being
delivered this could be the reason. Even
short promotional messages like “Ask
about free shipping” can flag Microsoft
Outlook to mark the message as junk.
5. how to write business email
Keep in mind that email is less formal
than a written letter would be and treat it
accordingly.
Decide how to phrase the greeting. If you
don't know the person, a simple 'Hello' will
do. If you know the person, talk to them as
if you were in a conversation together.
6. Do not use abbreviated verb forms. Say He is,
We are, He would, not He's, We're and He'd.
Give the person another way of contacting you. A
work or cell phone number will usually work.
Practice good email etiquette when responding to
anyone. Quote the part you are responding to
and delete the rest.
7. Don't feel that just because it is easy, you
should shoot off a reply without giving any
thought to it. For your emails to stand out
from the tons of email that people receive,
do something that will distinguish it.
8. conclusion
• Email is an electronic, computer-assisted online
communication tool. In the business world it is used to
transmit virtually every type of correspondence the daily
conduct of business requires. Simple messages, memos
and letters, complex reports, tables of data, graphs and
charts, blueprints, pictures, you name it. If it can be
generated by, scanned into, or downloaded onto a
computer, it can be electronically sent through
cyberspace to another computer.
9. Whether delivered to the inbox of a computer located on
the other side of the building, or on the other side of the
world, the correspondence an email contains arrives at its
destination faster than a speeding bullet. Well, that might
be a slight exaggeration but the point is, email is
communication at the click of a button and a speedy
delivery system all in one.
