3. Layout
Each team will have a 10x30 foot site along the
straightaways on both home and visiting sides of the
track
Each site will be marked and strictly adhered to
Sites will be determined at the last captain’s meeting
You must attend to have a choice
There will be a registration/luminaria tent
Survivor/hospitality tent

Earn “Relay Bucks” for being the best themed walkers during theme
laps. Redeem for prizes at the end of relay.

7. Luminaria and Torches
Turn in Luminaria/Torch forms ASAP, so they can be
printed PRETTY on the printer.
For all donations, offer to write a luminaria for each $10
increment donated
They can be purchased on site but will be hand
written.
Luminarias are $10; Torches are $50
8. On Site-Fundraisers
Silent Auction
Each team should plan to donate a basket of goods to the
silent auction (include a list of what’s included and the value)

9. Fundraising Rules
ALL EVENT FUNDRAISER MUST BE PRE-
APPROVED BY THE EVENT CHAIR!
We will not allow duplicate fundraisers and the list is
first come first serve
Fundraisers should be focused toward the public, not
other participants
No electricity, No generators, No open flame, No
alcohol
Pre-fundraising is STRONGLY encouraged

12. Event Rules and Expectations
No open flames and gasoline
No one on/under/behind the bleachers (either side)
Nothing can pierce the ground (stakes and pin)
Save gallon milk jugs and lids and fill with water/sand to
anchor tents and canopies
RESPECT, no cussing, screaming or disrupting the
community throughout the night, inappropriate
behavior.
Adhere to all crew instructions
13. Volunteers
Volunteers needed to drive and collect food, for
concessions, night before/day of relay
Any one participating or volunteering at relay must
come with SSL forms filled out ready to sign.
Can only get 8 hours for Sat and 8 Hours for Sunday.
14. Chaperone Information
A chaperone is REQUIRED for each group of 10
minors.
1 chaperone/10 minors.
It is YOUR responsibility to secure a chaperone
A chaperone MUST be present at all times and actively
supervising your group
Youth forms and Chaperone forms are in the captains
packet and are due at the LAST CAPTAIN MEETING
15. Money Deposit at the Event
All money should be deposited in envelops with
accounting sheets at any team meeting, on bank
night and at registration the day of.
During relay, hand in money at registration then
periodically throughout the night.
Accounting forms will be available at the registration
desk. All deposits MUST include an accounting form.
Coins can not be brought at registration. All amounts
should be in bill or check form.
Coins throughout the event are okay.
