Thoughts from an Industry Expert “ Utilizing rent-able applications and other low cost or free web applications allows the small nonprofit to leverage labor and financial resources. Thus they are able to serve more of their constituency, as well as better communicate with (and broaden) their donor base, and improve services. In other words, leveraging through technology provides the small nonprofit an opportunity to "level the playing field." Carolyn S. Sechler, CPA Phoenix, AZ

Thoughts from the Field “ We use our free database to track volunteers and their work with youth programs, trail locations and other volunteers. This allows us to connect our trip leaders who have hiked together with the trails they were on and the teens they mentored. By connecting with our web site we reach our volunteers and supporters all over the country easily and at little or no cost!” Marcus Moran Big City Mountaineers

This allows us to connect our trip leaders who have hiked together with the trails they were on and the teens they mentored. By connecting with our web site we reach our volunteers and supporters all over the country easily and at little or no cost!” Marcus Moran Big City Mountaineers

Notas do Editor

  1. See what the audience says Strive to see what operating as a world class charity means and place the ideas on a flip chart What comes to mind when you think of a world class charity? (relationships, being more efficient, stewarding your time and resources as best as possible, using all resources) All of this can become easier with technology and connecting everyone with the information that they need.
  2. Majority have a small budget. How many of you fall into the 500,000-1 Million? Next, Next So as you can see by these slides, only about 6% of the NPO out there have budgets over 1 million dollars. In fact, a large # of the clients that we work with at eTapestry have budgets close to this or under.
  3. No matter what you think you are currently using technology to one degree or another. However, the more efficient use of technology the more you can get closer to those organizations with the 5, 10 million dollar budgets
  4. Large budget…you can buy whatever technology you want….less money…need to leverage Your success can be increased bc of technology simply because you will be able to spend more time asking for money as opposed to doing the office work that you would normally do.
  5. Here is a simple excerpt to reiterate the idea of this whole presentation
  6. Too daunting of a task? It doesn't have to be. There are numerous books, seminars, presentations and webinars on the subject that you can attend for free. Know your strategy and the goals that you wish to achieve. Know your audience and who you would like to target. This will help you develop a plan for the types of appeals you are going to do as well as the types of media you are going to use on your website, etc. Tools—blogs, message boards, videos, podcasts, etc.
  7. So before we talk about any sort of databases or managing data, the most important area that really affects the bottom line is accounting. This has to be done accurately, but to do so doesn’t have to cost you a fortune. What do you use for accounting? Here are some examples where you can leverage technology for cheap.
  8. Key features and benefits. Here are the prices offered from Quickbooks.
  9. If nothing else…remember tech soup. Partners with organization to provide free or discounted products from certain vendors. How many of you have used Techsoup? Chicago eTour Jay was on, he spoke to a lady who didn’t know about techsoup and was very upset because she had just spent a lot of much money upgrading their software license for a particular program. It pays to check Techsoup every now and again to see if you can buy re-sold software.
  10. Take this for example….Intuit (Quickbooks) is actually a partner of tech soup
  11. Just saved $450.00. Here is the price offered from Techsoup.
  12. HOWEVER There are stipulations… Can’t have a budget over 10 million…can’t support a political party, or specific candidates etc… Only US 501c3’s Etc…
  13. Go through key features and benefits Online provides remote access. The quickbooks online boasts some of the same features as online donor management
  14. Point out bullet point objectives. In addition to quickbooks there is nonprofit books specified for quickbooks. Do any of you currently use this? If so how does it help?
  15. Specific features…encouraged to compare the Intuit’s version itself. Neither one will do as much as a FULL fund accounting system – inter-fund balancing automatically, more flexible account structure, many more reports, and report writer. I know everyone is intelligent in the audience and wants to work towards their mission.
  16. Using resources such as these helps you have the same outreach as those large non-profits that have the millions to spend on technology. Use the free resources as well.
  17. How did you get your word processing? How much? Properly licensed?
  18. Going back to some of the offerings of Tech Soup here is an example of ways to save large amounts of money to have the same technology.
  19. Would this have been helpful for any of you?
  20. You can even gain access to Open Source software such as open office @ no charge. Because it is “open” that really means that anyone can report bugs, request new features, or enhance the software. So you can basically do everything with your office software that you would like to from things like spreadsheets, to presentations, to graphics, databases, and more.
  21. Presentations
  22. Graphs/Flow Charts
  23. Tables
  24. You can even get Norton Anti-Virus on Techsoup for $35 dollars, and I believe that you can get that for 10 computers in the office.
  25. Website creation I liken to home-built databases. They need the individual who constructs them their to service and maintain the product or site.
  26. Website creation I liken to home-built databases. It would be best for the individual who constructs them to also provide their hosting service and maintain the product or site.
  27. Here is an example of a vendor you can use to register and host websites. Another example is GoDaddy—probably one of the more popular buzz words for website domains. The importance of registering your domain is crucial. These must be relevant to appear on the popular search engines. What are some of your URLs.
  28. Here is a simple breakdown of some of the costs associated with hosting a website through infoteam.
  29. Here’s another vendor that focuses on church websites, but also offer domain subscriptions for as low as 19.95/month.
  30. Tying this all of your website activities to integrate with your database is something that is very important. It will save you time as you are building relationships and not slaving over maintaining a website. That is the point of technology. Not to tie you to your computer and office, but to automate and streamline your activities so you can spend time with your prospective and current donors.
  31. Make sure that you choose someone to create and maintain your website that is familiar with the NP industry. We happen to have a department devoted just to websites.
  32. Here are some more examples of pages created by eTapestry.
  33. Having these items tie directly into your database will save you a great amount of time. Who in this rooom doesn’t think that time is money? How many have spent hours trying to pull information from an excel spreadsheet only to be completely frustrated and still without the information you need?
  34. Not as customizable for online giving pages, but cheap if you would like to get started with something simple.
  35. Non customizable but cheap
  36. Used to be totally free, was a good way of doing a first step…now you can get your own custom design to have the look and feel of your won website… The non-profit industry is growing increasingly more competitive for donors dollars. With this increase in competitiveness there has been a rise in competition for vendors as well.
  37. There is no set up fee with Acteva which is an online event registration tool…but sometimes a higher transaction fee, but again another great way to get your events online so that you can drive traffic to your website. How many people track website traffic??
  38. Pay as you go—per transaction fee can be as low as $1.50
  39. Once again going back to the importance of online giving. It is extremely important.
  40. Here is another example of one of our online giving pages. Total USD processed in 2007 for eTapestry clients  $ 31,164,293 Total number of transactions in 2007  243,022 Average transaction size  $ 128.24
  41. How many of you have special events. What are the steps to registering for these events? Do you have an early bird registration fee that you would like to capture…
  42. Unique features of wishlist
  43. Built on Filemaker pro. If you don’t have fliemaker pro, you can download eBase @ No cost through an online download. Works on Both Windows and Mac’s…if you download and use the stand-alone version w/ out Filemaker you will somewhat limit your customization, but it is still completely free.
  44. Wow some of these screenshots show to me how many upgrades eTapestry has had and changed how easy the software is to use.
  45. Your fundraising database needs to have a place to display all information from contacts, appontments, pledges, emails, phone calls, events attended etc.
  46. Do any of you have any donors who routinely vacation or might need to have mailings sent to the office?
  47. It’s important that any database that you choose have templates that anyone can access and use so that you aren’t limiting who can send out communication if necessary.
  48. If you Prepay w/ Constant Contact you can also receive a NP discount.
  49. Subscirbe to some other non-profits newsletters. How many of you are involved or stay up to date with other non-profits. If possible maybe volunteer some time at another non-profit to see the flipside.
  50. ePhilanthropy foundation has ePMT certified presenters and helps organize informational sessions such as this across the nation.
  51. Do any of you currently use guidestar? This is a service that is integrated into eTapestry as well.
  52. NCCS is a program of the Center on Nonprofits and Philanthropy. They can help provide you with important info recarding 990’s, classifying your organization, obtaining your 501c3 status and other useful info….for free.
  53. Checking sources such as these can keep you up to date on some mainstream organizations, and also inform you of certain legislation that may affect how you file your 990 form. How many of you subscribe to this??
