As part of my job role I have been asked to research and choose travel arrangements and
accommodation for my manager’s business meeting. My manager has to attend a two day
conference in London on the last Thursday and Friday of March (26th and 27th March)
I have researched bus, train times, amount of petrol used when travelling to London and back in a
car, hotel’s near the location the conference is being held etc.
I researched by using comparison websites such as Trivago, bookings.com and the National
Express website. I compared the best deals and picked the cheapest, closest and nicest hotels near
the ExCeL Centre in London.

are my results.

I calculated how much petrol it would take for me to go to London and back from Swansea and
this is what I calculated.

Petrol required for Journey (One Way)
187.3 miles rounded up = 200
1 Gallon = 50 miles
4.54 litres in a gallon; rounded up to 5 litres
20 litres x £1.32 = £52.80

4. Train
This is the cheapest travel price that I found leaving Swansea and arriving in London; this is also
the quickest train as the others take about 6-7 hours. This means he will have plenty of time to
prepare for the conference for the morning after.
Coach
I then looked at coaches to see what was the most suitable time available for my manager to get
from Swansea to London. Here’s my research.
I found that it would take 4 hours and 20 minutes to get to London from Swansea on a coach. I
then took into account the time of departure and looked for something earlier but I couldn’t find
anything earlier for that day. I calculated that it would take the manager until 4:40am to get there
and the conference starts at 9am so I have decided a train wouldn’t be suitable.

5. Undergroundticket
Lastly I checked the prices for the London Underground to see if there was cheaper/more efficient
way of getting to around London other than a train. Here’s my research.
You would need 2 daily tickets, one for the 25th March and one for the 27th March. You wouldn’t
need one for the 26th because it’s a 5 minute walk from where the manager is staying and where
the ExCeL centre is.
Hotels
After that I looked at the most convenient/nicest hotels for my manager to stay at. I took into
account that it has to be close to the ExCeL centre and the hotel has to be suitable for the
manager to stay in for 2 nights.
I looked at 3 hotels and these are more suitable.

6. The ibis Styles London Excel hotel is nice but it’s not as close as I would like it to be for my
Manager, the hotel has a bar and a restaurant on-site and offers a free breakfast. I have
considered this and want to find something which is closer to the ExCeL Centre.
Crowne Plaza London – Docklands is my second choice because it is within walking distance to the
ExCeL Centre and offers a restaurant, bar and a spa.
My final choice was the Sunborn hotel as it is the closest hotel to the ExCeL Centre, it offers an on-
site bar, a spa and a restaurant. I think my manager would really like it here.
My final choice is the Sunborn hotel. I think that this is a really good hotel for my manager to stay
at.
I researched 3 hotels that looked suitable and were close. I chose the Sunborn because I think it
was the better one out of all 3 , it’s a 5 minute walk away from the ExCeL Centre and the hotel
offers everything room an on-site bar, touch controlled rooms plus a spa and restaurant. The hotel
was only built in March 2014 so it is only less than a year old. I think this will be more than suitable
for my manager to stay at.

7. Expenses
The company policy has given an allowance of £100 per day, this can cover food/drink and any
other expenses the Manager might need. As the manager is there for a total of 3 days the
allowance available will be £300.
Summary
Overall, here are my final choices –
I researched 3 hotels that looked suitable and were close to the ExCeL Centre. I chose the Sunborn
because I think it was the better one out of all 3 , it’s a 5 minute walk away from the ExCeL Centre
and the hotel offers everything, room, an on-site bar, touch controlled facilities plus a spa and
restaurant. The hotel was only built in March 2014 so it is only less than a year old. I think this will
be more than suitable for my manager to stay at. Here is a table of my overall findings/costs of
everything I looked at with my final choices in bold.
Coach £20.00 (Return) This is the cheapest/most
efficient transport I could find
for my manager.
Sunborn Hotel £374 for 2 nights. I picked this because its 0.5
miles from the ExCeL centre,
meaning a 5 minute walk
to/from there.
Train £39.00 (return) I didn’t pick this because it
would be costly.
Underground £25.60 (daily return)
£51.20 (for full return)
I considered picking the
Underground for my manager
to get around London in but
then decided not to because it
doesn’t go directly to London
Paddington which is where the
ExCeL centre is based.
Ibis Styles London ExCeL hotel £360 for 2 nights I didn’t pick this because of the
distance away from the ExCeL
centre, and the Sunborn is
much closer and offers more.
Crowne Plaza London £639 for 2 nights I didn’t pick this because of the
cost; it offers the same as the
Sunborn but is over double the
price. It also isn’t the closet
hotel to the ExCeL centre.
