1. Project background
Always a proper project management plays a crucial role in deciding the overall success of any
project execution. Prior planning of all the project activities is required across developing a
project plan and in general various assumptions, attributes and constraints are considered.
Assumptions made over the project management plan will be based on the available resources
and infrastructure at the time of project management plan development and in future. Resource
requirements are also estimated against the duration to complete a specific task across
developing a typical project management plan. A case with CQ Video Company is considered
over developing the project plan, where a typical Gantt chart, Tasks and their descriptions,
resource requirements, time duration and budget planning is done based on the inputs provided.
MS Project management Professional 2010 tool is used to plan the desired project and the
corresponding questions raised over the case study are answered in detail and given below

Subject: Detailed Project Schedule
To: Mr. Product (Product development director)
From: Project Management Team
Based on the previous discussion the first milestone of the project is due on 5th September 2014,l
and from the core analysis of the proposed product development plan, respective project plan
which includes the resources, time constrains, budget and Gantt chart is prepared and is as
attached. It is expected that the entire project will be completed by 1st April 2014 based on the
total milestones set, resources and budget available. Project manager is responsible in this
context, to ensue, all the human capital and budget is completely available through the project
execution plan. A total of 148 to 155 days will be taken to complete the entire proposed project
including all the risks and possible assumptions consideration. Each and every milestone is
divided into number of sub tasks and the critical paths tasks are also identified as a part of the
core project risk analysis and as attached. Based on the time and resources available, it is
estimated that the total budget would be around $293920 in the best possible case. There are few
alternatives to reduce the budget without effecting the resource allocation and would be provided
in the next memo. A brief snapshot of the of the possible labor cost is as provided

4. Risk Management
In general every project includes both pros and cons and thus estimating the possible risks in
prior to milestone or project schedule is equally important in associating with the corresponding
resource allocation strategies. When the current case of CQ Video Company is considered, there
are number of tasks and milestones involved and thus the chances of risks will be also high. In
general these risks can be in the form of resource allocation, deadlines, lack of infrastructure
related components like electronics, software or mechanics and improper allocation of time
against the targets and milestones set. Following are few of the possible risk assumed and they
are discussed as below
 Concept review is the first milestone as per the current case and the main risk associated
in this context, is that previous or existing product development plans and documents
should be in a proper format, such that the respective milestone can be delivered on time
i.e., 5th September 2014. If there is any delay in gathering the required information,
milestone M1 will be effected, which will have potential impact over rest of the
deliverables and milestones of the developed product development project plan
 Another complex risk associated with the current product development project plan is
that, a sequential project management plan is followed against delivery of each milestone

and if there is delay with any of the tasks, entire project delivery will be affected. The
best example that can be considered over is that, delay in resource allocation will
complete effect the production of number of units required and this can be handled with a
proper critical path analysis against the respective tasks
 There are some risks associated with the external suppliers in terms of delivering the
required components related to electronics, software and mechanics. Thus the respective
risks can be reduced with proper supply chain management strategies.
5. Approach of project budget reduction
From the analysis of the project plan and Gantt chart prepared against resource allocation, time
constraints and budget allocation against each and every milestone and deliverable, it is noted
that the total estimate of the project is around $293920. The overall estimated budget can be
further reduced or optimized in few interesting ways against applying the sophisticated budget
and project scheduling and few assumptions are considered in this context and they are as listed
below
 Production Engineers and Mechanical Engineers can be increased to two each, so that
even the payout increases, the products can be developed quickly and lot of infrastructure
budget can be optimized in this context and this can be around $1298.
 As per the current project and budget schedule, the total estimate allocated for testing and
documentation is around $42000 and this can be reduced by involving the trainees over
the project deliverables and ensure they document a milestone in parallel to the actual
development.

 Testing cost can be reduced by adopting few automation testing techniques, which can be
embedded against the project tasks deliverables and thus total time and cost for
verification, testing and documentation can be reduced up to 28%
 If the mechanical part modification process can be optimized, the overall cost incurred
against the corresponding task can be reduced to 20%. This can be achieved by buying
the respective parts from Quality of Service based supplier or vendor.
 Cost incurred for Software development can also be reduced by outsourcing few of the
modules or purchasing the existing popular web services in the respective fields. This
approach will reduce the budget allocated against Software development to 15-25%.
 Agile and Scrum based project management can be adopted over the current proposal of
product development and thus the overall project budget can be reduced further to 30%
by avoiding rework on the respective deliverables or testing or documentation.
6. Approach for better project management strategies
Based on the project management plan, Gantt chart, resource allocation, budgeting and time
schedules prepared against the proposed project development, it is clear that each and every
project activity is given ample priority and was allocated with required number of resources and
budget. Apart from the current project management strategies applied and stimulated, there is
scope to improve the respective strategies and few of them are as listed below
 The project management plan prepared in the current case is purely based on prototype,
Rapid application development and waterfall methods. With these approaches the risk of
maintenance issues and design mismatch are high irrespective to the quality measures
considered. Thus the respective process can be improved by adopting the Agile project
management framework

 From the current project management plan associated with the product development, it is
observed that, lot of attention is given towards the milestone activities and production
activities. In future 4 to 5 Prototype builds can be released using regular scrum patterns of
Agile Project management strategies and thus the quality of the product development and
project management can be further enhanced.
7. Better quality in product development
Utter most care is taken in the current context to deliver the milestones and project activities.
Still there is scope to deliver better quality in terms of project management and product
development and few of the important points are given below after a detailed review of the
current project plan developed

 Design, Development and Implementation of the Software modules or activities can be
outsourced or purchased in the form of web services, such that over time will be saved
and better Software quality is ensued
 Production of few electronic and mechanical components can also be improved in terms
of quality by engaging Quality and Test engineers, where the traditional approaches of
testing and bug fixing can be replaced with latest automated testing tools like Selenium.
 Entire project management strategies adopted currently can be replaced by sophisticated
techniques of Agile and SCRUM framework, such that better quality is possible in
product development and milestone deliverables as well.

Prior planning of all the project activities is required across developing a project plan and in general various assumptions, attributes and constraints are considered. Assumptions made over the project management plan will be based on the available resources and infrastructure at the time of project management plan development and in future. Resource requirements are also estimated against the duration to complete a specific task across developing a typical project management plan. A case with CQ Video Company is considered over developing the project plan, where a typical Gantt chart, Tasks and their descriptions, resource requirements, time duration and budget planning is done based on the inputs provided. MS Project management Professional 2010 tool is used to plan the desired project and the corresponding questions raised over the case study are answered in detail and given below

  • 7. 7 | P a g e Memorandum CQ Video Company Subject: Detailed Project Schedule To: Mr. Product (Product development director) From: Project Management Team Based on the previous discussion the first milestone of the project is due on 5th September 2014,l and from the core analysis of the proposed product development plan, respective project plan which includes the resources, time constrains, budget and Gantt chart is prepared and is as attached. It is expected that the entire project will be completed by 1st April 2014 based on the total milestones set, resources and budget available. Project manager is responsible in this context, to ensue, all the human capital and budget is completely available through the project execution plan. A total of 148 to 155 days will be taken to complete the entire proposed project including all the risks and possible assumptions consideration. Each and every milestone is divided into number of sub tasks and the critical paths tasks are also identified as a part of the core project risk analysis and as attached. Based on the time and resources available, it is estimated that the total budget would be around $293920 in the best possible case. There are few alternatives to reduce the budget without effecting the resource allocation and would be provided in the next memo. Regards Project Management Team 4. Risk Management In general every project includes both pros and cons and thus estimating the possible risks in prior to milestone or project schedule is equally important in associating with the corresponding resource allocation strategies. When the current case of CQ Video Company is considered, there are number of tasks and milestones involved and thus the chances of risks will be also high. In general these risks can be in the form of resource allocation, deadlines, lack of infrastructure related components like electronics, software or mechanics and improper allocation of time against the targets and milestones set. Following are few of the possible risk assumed and they are discussed as below  Concept review is the first milestone as per the current case and the main risk associated in this context, is that previous or existing product development plans and documents should be in a proper format, such that the respective milestone can be delivered on time i.e., 5th September 2014. If there is any delay in gathering the required information, milestone M1 will be effected, which will have potential impact over rest of the deliverables and milestones of the developed product development project plan  Another complex risk associated with the current product development project plan is that, a sequential project management plan is followed against delivery of each milestone
  • 10. 10 | P a g e and if there is delay with any of the tasks, entire project delivery will be affected. The best example that can be considered over is that, delay in resource allocation will complete effect the production of number of units required and this can be handled with a proper critical path analysis against the respective tasks  There are some risks associated with the external suppliers in terms of delivering the required components related to electronics, software and mechanics. Thus the respective risks can be reduced with proper supply chain management strategies. 5. Approach of project budget reduction From the analysis of the project plan and Gantt chart prepared against resource allocation, time constraints and budget allocation against each and every milestone and deliverable, it is noted that the total estimate of the project is around $293920. The overall estimated budget can be further reduced or optimized in few interesting ways against applying the sophisticated budget and project scheduling and few assumptions are considered in this context and they are as listed below  Production Engineers and Mechanical Engineers can be increased to two each, so that even the payout increases, the products can be developed quickly and lot of infrastructure budget can be optimized in this context and this can be around $1298.  As per the current project and budget schedule, the total estimate allocated for testing and documentation is around $42000 and this can be reduced by involving the trainees over the project deliverables and ensure they document a milestone in parallel to the actual development.
  • 11. 11 | P a g e  Testing cost can be reduced by adopting few automation testing techniques, which can be embedded against the project tasks deliverables and thus total time and cost for verification, testing and documentation can be reduced up to 28%  If the mechanical part modification process can be optimized, the overall cost incurred against the corresponding task can be reduced to 20%. This can be achieved by buying the respective parts from Quality of Service based supplier or vendor.  Cost incurred for Software development can also be reduced by outsourcing few of the modules or purchasing the existing popular web services in the respective fields. This approach will reduce the budget allocated against Software development to 15-25%.  Agile and Scrum based project management can be adopted over the current proposal of product development and thus the overall project budget can be reduced further to 30% by avoiding rework on the respective deliverables or testing or documentation. 6. Approach for better project management strategies Based on the project management plan, Gantt chart, resource allocation, budgeting and time schedules prepared against the proposed project development, it is clear that each and every project activity is given ample priority and was allocated with required number of resources and budget. Apart from the current project management strategies applied and stimulated, there is scope to improve the respective strategies and few of them are as listed below  The project management plan prepared in the current case is purely based on prototype, Rapid application development and waterfall methods. With these approaches the risk of maintenance issues and design mismatch are high irrespective to the quality measures considered. Thus the respective process can be improved by adopting the Agile project management framework
  • 12. 12 | P a g e  From the current project management plan associated with the product development, it is observed that, lot of attention is given towards the milestone activities and production activities. In future 4 to 5 Prototype builds can be released using regular scrum patterns of Agile Project management strategies and thus the quality of the product development and project management can be further enhanced. 7. Better quality in product development Utter most care is taken in the current context to deliver the milestones and project activities. Still there is scope to deliver better quality in terms of project management and product development and few of the important points are given below after a detailed review of the current project plan developed
