Fundraising
Event
Event planned by Erin Ferris
Overview of event
   This event will be held on Super Bowl Sunday
    and will become an annual event.
       This year it will take place on February 5th
   Proceeds raised will be donated to Thurston
    High School to be used for the student
    programs and technology
   The event will take place at Thurston High
    School and will include food, non alcoholic
    drinks and viewing of the game.
   This will be in partnership with the United Way
Sponsor
 Thisevent will feature the United Way as
  the sponsor for this event.
 We believe that this organization offers a
  chance to help those in the community
  and is a great partner for this event.
 We hope this will attract people to
  support this event.
Location
 This event will be help at Thurston High
  School
 Rental of the Auditorium, Auditorium
  entrance, concession stand and parking
  will allow for the party.
 The Auditorium can hold around 700
  people but ticket sales will be limited to
  500 so that people came move around
  and enjoy the space
Catering
 Food  will be included in the cost of the
  ticket in order to streamline the costs and
  money management.
 Catering will be done by Pot Belly
  Sandwich works.
     Each person will get a sandwich, salad,
      chips, cookie and unlimited drinks
     Tickets will be given out to make sure
      everyone gets their food
Logistics
 The game will be shown live in the
  Auditorium on the big screen over the
  stage
 Additional viewing will take place in the
  entrance area on the TV out there
 No food or drink can be taken inside so
  tables and chairs will be set up in this
  area.
Costs
   Facility Rental
       Rental costs will be planned at $2500 for the
        event. At 500 people that means the cost per
        person is $5.
   Food costs
       $8.50 per person for the food and $0.50 per
        drink (assuming 4 per person)
       Total cost for food/drink will be $10.50 per
        person
   Overhead costs (such as unexpected things)
    will be $2.00 per person

 Door  Price of 1 iPod Touch (value $199--
  $0.40 per person)
 Noise Makers and things to wave for each
  person ($1.10 per person)
    Pom Pons
    Pennant flags
    Blowing noise makers

Background for Project
 When going into Marketing there are
 many different areas that one can
 specialize in.
    There is the creative standpoint which deals
     with making and creating the ads
    There is the account management side
     which involves decisions and planning on
     where/how to advertise.
      Thisarea also is involved in Marketing Events-
       often referred to as Event Planning
The Assignment
   You are doing to plan a fundraising event surrounding Super Bowl.
   The decisions you make are yours.
   You need
       A plan (overview)
           Including who are you raising money for and why
           How many people will attend? How did you come up with this number?
       A partner/Sponsor
       A location
       Food
       Giveaways
           You must give REAL examples (this example does NOT give the details for
            this)
       Costs
       Projections on what will be raised from this event.
   You need to use real costs when possible. If you cannot find the
    real cost of something (like the cost to rent your location), see Mrs.
    Ferris for the price to use
   You need a resource page
   You need to remember this is a FAMILY event and cannot have
    alcohol.

Overview of event  This event will be held on Super Bowl Sunday and will become an annual event.  This year it will take place on February 5th  Proceeds raised will be donated to Thurston High School to be used for the student programs and technology  The event will take place at Thurston High School and will include food, non alcoholic drinks and viewing of the game.  This will be in partnership with the United Way
  • 3. Sponsor  Thisevent will feature the United Way as the sponsor for this event.  We believe that this organization offers a chance to help those in the community and is a great partner for this event.  We hope this will attract people to support this event.

Location  This event will be help at Thurston High School  Rental of the Auditorium, Auditorium entrance, concession stand and parking will allow for the party.  The Auditorium can hold around 700 people but ticket sales will be limited to 500 so that people came move around and enjoy the space

Catering  Food will be included in the cost of the ticket in order to streamline the costs and money management.  Catering will be done by Pot Belly Sandwich works.  Each person will get a sandwich, salad, chips, cookie and unlimited drinks  Tickets will be given out to make sure everyone gets their food
  • 6. Logistics  The game will be shown live in the Auditorium on the big screen over the stage  Additional viewing will take place in the entrance area on the TV out there  No food or drink can be taken inside so tables and chairs will be set up in this area.
  • 7. Costs  Facility Rental  Rental costs will be planned at $2500 for the event. At 500 people that means the cost per person is $5.  Food costs  $8.50 per person for the food and $0.50 per drink (assuming 4 per person)  Total cost for food/drink will be $10.50 per person  Overhead costs (such as unexpected things) will be $2.00 per person

Background for Project  When going into Marketing there are many different areas that one can specialize in.  There is the creative standpoint which deals with making and creating the ads  There is the account management side which involves decisions and planning on where/how to advertise.  Thisarea also is involved in Marketing Events- often referred to as Event Planning
