SPONSOR RULES & REGULATIONS
DEFAULT OCCUPANCY Any exhibitor failing to occupy space contracted for in a timely manner is not relieved of the obligation of
paying the full rental price for such space, and ERA Franchise Systems LLC management has the right to use such space as it sees
fit to eliminate blank space in the exhibit, if such sponsor space is not occupied by the exhibitor four hours prior to the start of the
exhibit.
RELOCATION OF EXHIBITS ERA Franchise Systems LLC reserves the right to alter location of exhibits as shown on the official
floor plan, if deemed advisable, in the best interest of the Exposition.
FLOOR PLAN All exhibit space is marked on the floor plan, which is available to all exhibitors. The dimensions of the exhibit spaces
are believed to be accurate but are not warranted.
NO EXHIBITS OUTSIDE OF EXPOSITION No exhibitor participating in this Exposition will be permitted to exhibit in a hotel room at
or near the Exposition, or outside of the exhibit hall, while in attendance at the Exposition.
STANDARD IN-LINE EXHIBITS No construction may extend more than five feet out from the back wall, which is eight feet (8') high.
NOTE: This applies to construction that is part of the sponsor space and not to products to be exhibited. In no case may a space:
extend more than five feet (5') out from the back wall eight feet (8') high, exceed the dimensions of the space rented (e.g. 8' x 10',
10' x 10', etc.).
PERIMETER IN-LINE EXHIBITS must abide by all rules pertaining to in-line exhibits with the exception of the height of the back
wall, which may exceed up to twelve feet (12'). All rented floor space must be covered, i.e., carpet/tile.
FREE-FORM OR ISLAND EXHIBIT GUIDELINES “Free-form” or island exhibits consisting of four or more sponsor spaces are
intended to offer unusual flexibility within a given area; therefore, such spaces may be sixteen feet (16') in height, whether a tower,
pylon, or second story, regardless of whether people will occupy the upper area or not. Drawings must be signed or stamped by a
reviewing structural engineer indicating that the structure design is properly engineered for its proposed use. The second story of a
two-story display equipped with one staircase will be limited to an occupant load of nine persons. An occupant load sign will be
required.
Drawings are to be available for inspection by GES, installation/ dismantling contractor, and exhibitor authority during the time the
exhibit is being erected, exhibited and dismantled at the site. The foregoing depicts almost any situation. If your exhibit plans are not
defined by these examples, contact GES for clarification. GES will not approve unsafe exhibit construction, or any which encroach
upon the aisles or other exhibit area, or obstruct the visibility of other exhibitors. All space dividers must be finished on both sides
unless the neighboring exhibitor agrees to decorate the area exposed to this space. All rented floor space must be covered, i.e.,
carpet/tile.
SPACE RESTRICTIONS Exhibits must be con-fined to the exact space allocated. Circulars, pub-lications, advertising matter and all
promotional giveaways may be distributed within sponsor space only. Signs, rails, etc., will not be permitted to intrude into or over
aisles.
POSITIONING OF EQUIPMENT WITH RELA-TION TO AISLE Machines or equipment operated or demonstrated at any time
during show hours shall be placed so that no portion is closer than twelve inches (12") to an aisle unless prior permission is
obtained. Exhibi-tors must agree to display their exhibits so as not to obstruct the general view or to hide other exhibits.
QUALITY STANDARD OF EXHIBIT MERCHAN-DISE ERA Franchise Systems LLC reserves the right to remove any exhibitor
where its products or merchandise does not meet with the stan-dards of ERA events.
NOISE Public address, sound producing or amplifying devices which project sound beyond the exhibitor’s space, or excessive
operating noise that distracts neighboring exhibits, are expressly prohibited. ERA Franchise Systems LLC reserves the right to
restrict exhibits which, because of noise or for any other reason, become objectionable or which may detract from the general
character of the Exposition.
HELIUM BALLOONS Helium balloons are not permitted in the Exhibition Hall.
VEHICLES May not be displayed without the prior written approval of the Public Safety Department. All cars, trucks, or other type of
fuel powered engines on display must have the smallest possible amount of fuel (not more than one-eighth tank; enough to drive
into the building and drive out safely). The gas cap must be a locking type or sealed by tape; batteries must be disconnected while
on display. One key to the vehicle on display must remain in the sponsor space at all times, so that the vehicle may be moved in the
event of fire. Vehicles may not be started, ran or moved during event hours. Privately owned vehicles are NOT allowed to drive on
to the exhibit floor to unload or load. Access to the exhibit floor for tractor trailer trucks, cranes, etc., must be arranged in advance
through the show’s Official Drayage Contractor.
SIGNS Only signs which are a part of and supported by a freestanding structure may be utilized for exhibitor identification or
promotion for inline and peninsula spaces. Island spaces may hang signs from the ceiling, not to exceed 16 feet in height.
EXHIBIT SPACESET UP ERA Franchise Systems LLC will furnish to all exhibitors who do not have specially built displays, a
sponsor space background consisting of flame-proof drapery fabric to a height of eight feet (8') above the floor, draped side rails

which will be three feet (3') high, and a sign with exhibitor’s name and space number.
SAFETY GUARDS AND PROTECTION Confer-ence guests must be properly protected from injury. Any piece of machinery on
display that has movable parts must have adequate safeguards to protect the public from injury, throughout the exhibit period.
INSTALLATION AND DISMANTLING The exhibit space will be available for installation by the exhibitors at a date and time to be
made known in advance. Exhibits cannot be dismantled before the conclusion of the show. It is the duty and responsibility of each
exhibitor to have his exhibit completely installed in the sponsor space area before the opening of the Exposition and to dismantle
and remove his exhibit after the close of the Exposition by the deadline set by ERA Franchise Systems LLC.
GUARD SERVICE/RISK OF LOSS ERA Fran-chise Systems LLC will provide unarmed, independent guard service when the
Exposi-tion is closed. Beyond this, ERA Franchise Systems LLC, its subsidiaries, and its respec-tive officers, employees, agents,
affiliates and the exposition site, separately or collectively, cannot accept responsibility for any damage to or for the loss or
destruction of an exhibit, or for the property of an exhibitor, his agents, contractors or employees either from fire, theft or accidents
or other causes, or injury, to any person resulting from any cause, all claims for any such loss, damage or injury, being waived by
the exhibitor.
LIABILITY AND INSURANCE Neither ERA Franchise Systems LLC, its subsidiaries, nor any of the officers, employees, agents,
contractors and affiliates of such entities, nor GES, nor the owners, management company, employees or representatives of the
J.W. Marriott will be responsible for any injury, loss or damage that may occur to the exhibitor or to the exhibitor’s employees or
property, prior, during, or subsequent to the period covered by the exhibit. The exhibitor expressly releases the foregoing persons
and entities from, and agrees to indemnify the same against any and all claims for such loss, damage, or injury, arising from the
negligent or willful acts or omissions of the exhibitor and its employees, agents, contractors, and invitees. At the request of ERA
Franchise Systems LLC or GES, the exhibitor will promptly provide to ERA Franchise Systems LLC a certificate of insurance
showing that exhibitor has obtained for the duration of the exposition comprehensive general liability insurance covering exhibitor’s
liability arising in connection with the exposition, naming ERA Franchise Systems LLC, GES and the J.W. Marriott as additional
insureds, having a single limit per occurrence of not less than $1,000,000, and providing for at least 10 days prior notice to ERA
Franchise Systems LLC of cancellation, termination or non-renewal. Such coverage shall be in force and effect at all times during
the exposition and exhibitor shall deliver such certificate, if requested, at least 82 hours prior to the beginning of the set-up period.
ERA Franchise Systems LLC may cancel this contract with exhibitor and retain all fees paid if exhibitor fails to deliver such
certificate in a timely manner, or if such insurance coverage is not maintained during the entire exposition, including the set-up and
removal periods.
PROTECTION OF BUILDING Nothing should be posted on, tacked, nailed or screwed, or otherwise attached to columns, walls,
floors or other parts of the building or furniture. Whatever is necessary to protect the building, equipment, or furniture properly will be
at the expense of the exhibitor. Exhibitors are liable for the costs of repairing any damage they cause to the exhibit hall property,
and any consequential damages arising from such damage. Machinery in operation: Drip pans and scrape buckets should be
provided to keep lubricants, excess material, etc., from staining the floor.
FIRE, SAFETY AND HEALTH The exhibitor assumes all responsibility for compliance with local, city and state ordinances and
regulations covering fire safety and health. All exhibit equipment and materials will be reasonably located within the space and
protected by safety guards and devices where necessary. Only fireproof materials should be used in displays and the exhibitor will
take the necessary fire precautions.
REGISTRATION OF VISITORS ERA Franchise Systems LLC shall have sole control over admission policies at all times. All
persons visiting the conference session rooms and the exhibit area as well as exhibitor personnel shall be required to register and
wear an appropriate badge while in attendance. ERA Franchise Systems LLC may exclude any person not wearing the appropriate
badge.
OFFICIAL SERVICE CONTRACTOR To assure orderly and efficient installation, operation and removal of the displays, and to
minimize confusion by the presence or solicitation of unknown or unqualified firms, GES has designated an official service
contractor. As such, GES holds this firm responsible for quality service, fair prices, and is prepared to intercede on behalf of an
exhibitor in the event of faulty work or unfair charges. However, an exhibitor is free to use its own display house. An outside
contractor to set-up and dismantle the exhibit must submit its requests, in writing, to GES and list the names of all display company
representatives working in the exhibit area along with the proof of liability insurance satisfactory to GES.
PERSONS CONNECTED WITH NON-EXHIBITING CONCERNS Are prohibited from any dealing, exhibiting or soliciting within the
exhibit area. Exhibitors are urged to immediately report violations of this latter rule to the Exhibit Manager.
AMENDMENT TO RULES Any and all matters or questions not specifically covered by the preceding Rules and Regulations shall
be subject solely to the decision of ERA Franchise Systems LLC and GES. These Rules and Regulations may be amended without
prior notice, at any time by ERA Franchise Systems LLC or GES. All amendments so made shall be binding on the exhibitors
equally with the foregoing Rules and Regulations.
FAILURE TO HOLD EXPOSITION Should any contingency prevent holding of the Exposition, ERA Franchise Systems LLC may
retain such part of exhibitor’s rental as shall be required to pay for expenses incurred up to the time such contingency shall have
occurred. The exhibitor waives all claims for damage or recovery of payments made except the return of the prorated amount paid
for exhibit space less expenses so incurred by ERA Franchise Systems LLC and GES.

SPONSOR RULES & REGULATIONS DEFAULT OCCUPANCY Any exhibitor failing to occupy space contracted for in a timely manner is not relieved of the obligation of paying the full rental price for such space, and ERA Franchise Systems LLC management has the right to use such space as it sees fit to eliminate blank space in the exhibit, if such sponsor space is not occupied by the exhibitor four hours prior to the start of the exhibit. RELOCATION OF EXHIBITS ERA Franchise Systems LLC reserves the right to alter location of exhibits as shown on the official floor plan, if deemed advisable, in the best interest of the Exposition. FLOOR PLAN All exhibit space is marked on the floor plan, which is available to all exhibitors. The dimensions of the exhibit spaces are believed to be accurate but are not warranted. NO EXHIBITS OUTSIDE OF EXPOSITION No exhibitor participating in this Exposition will be permitted to exhibit in a hotel room at or near the Exposition, or outside of the exhibit hall, while in attendance at the Exposition. STANDARD IN-LINE EXHIBITS No construction may extend more than five feet out from the back wall, which is eight feet (8') high. NOTE: This applies to construction that is part of the sponsor space and not to products to be exhibited. In no case may a space: extend more than five feet (5') out from the back wall eight feet (8') high, exceed the dimensions of the space rented (e.g. 8' x 10', 10' x 10', etc.). PERIMETER IN-LINE EXHIBITS must abide by all rules pertaining to in-line exhibits with the exception of the height of the back wall, which may exceed up to twelve feet (12'). All rented floor space must be covered, i.e., carpet/tile. FREE-FORM OR ISLAND EXHIBIT GUIDELINES “Free-form” or island exhibits consisting of four or more sponsor spaces are intended to offer unusual flexibility within a given area; therefore, such spaces may be sixteen feet (16') in height, whether a tower, pylon, or second story, regardless of whether people will occupy the upper area or not. Drawings must be signed or stamped by a reviewing structural engineer indicating that the structure design is properly engineered for its proposed use. The second story of a two-story display equipped with one staircase will be limited to an occupant load of nine persons. An occupant load sign will be required. Drawings are to be available for inspection by GES, installation/ dismantling contractor, and exhibitor authority during the time the exhibit is being erected, exhibited and dismantled at the site. The foregoing depicts almost any situation. If your exhibit plans are not defined by these examples, contact GES for clarification. GES will not approve unsafe exhibit construction, or any which encroach upon the aisles or other exhibit area, or obstruct the visibility of other exhibitors. All space dividers must be finished on both sides unless the neighboring exhibitor agrees to decorate the area exposed to this space. All rented floor space must be covered, i.e., carpet/tile. SPACE RESTRICTIONS Exhibits must be con-fined to the exact space allocated. Circulars, pub-lications, advertising matter and all promotional giveaways may be distributed within sponsor space only. Signs, rails, etc., will not be permitted to intrude into or over aisles. POSITIONING OF EQUIPMENT WITH RELA-TION TO AISLE Machines or equipment operated or demonstrated at any time during show hours shall be placed so that no portion is closer than twelve inches (12") to an aisle unless prior permission is obtained. Exhibi-tors must agree to display their exhibits so as not to obstruct the general view or to hide other exhibits. QUALITY STANDARD OF EXHIBIT MERCHAN-DISE ERA Franchise Systems LLC reserves the right to remove any exhibitor where its products or merchandise does not meet with the stan-dards of ERA events. NOISE Public address, sound producing or amplifying devices which project sound beyond the exhibitor’s space, or excessive operating noise that distracts neighboring exhibits, are expressly prohibited. ERA Franchise Systems LLC reserves the right to restrict exhibits which, because of noise or for any other reason, become objectionable or which may detract from the general character of the Exposition. HELIUM BALLOONS Helium balloons are not permitted in the Exhibition Hall. VEHICLES May not be displayed without the prior written approval of the Public Safety Department. All cars, trucks, or other type of fuel powered engines on display must have the smallest possible amount of fuel (not more than one-eighth tank; enough to drive into the building and drive out safely). The gas cap must be a locking type or sealed by tape; batteries must be disconnected while on display. One key to the vehicle on display must remain in the sponsor space at all times, so that the vehicle may be moved in the event of fire. Vehicles may not be started, ran or moved during event hours. Privately owned vehicles are NOT allowed to drive on to the exhibit floor to unload or load. Access to the exhibit floor for tractor trailer trucks, cranes, etc., must be arranged in advance through the show’s Official Drayage Contractor. SIGNS Only signs which are a part of and supported by a freestanding structure may be utilized for exhibitor identification or promotion for inline and peninsula spaces. Island spaces may hang signs from the ceiling, not to exceed 16 feet in height. EXHIBIT SPACESET UP ERA Franchise Systems LLC will furnish to all exhibitors who do not have specially built displays, a sponsor space background consisting of flame-proof drapery fabric to a height of eight feet (8') above the floor, draped side rails 18 which will be three feet (3') high, and a sign with exhibitor’s name and space number.
  • 20. SAFETY GUARDS AND PROTECTION Confer-ence guests must be properly protected from injury. Any piece of machinery on display that has movable parts must have adequate safeguards to protect the public from injury, throughout the exhibit period. INSTALLATION AND DISMANTLING The exhibit space will be available for installation by the exhibitors at a date and time to be made known in advance. Exhibits cannot be dismantled before the conclusion of the show. It is the duty and responsibility of each exhibitor to have his exhibit completely installed in the sponsor space area before the opening of the Exposition and to dismantle and remove his exhibit after the close of the Exposition by the deadline set by ERA Franchise Systems LLC. GUARD SERVICE/RISK OF LOSS ERA Fran-chise Systems LLC will provide unarmed, independent guard service when the Exposi-tion is closed. Beyond this, ERA Franchise Systems LLC, its subsidiaries, and its respec-tive officers, employees, agents, affiliates and the exposition site, separately or collectively, cannot accept responsibility for any damage to or for the loss or destruction of an exhibit, or for the property of an exhibitor, his agents, contractors or employees either from fire, theft or accidents or other causes, or injury, to any person resulting from any cause, all claims for any such loss, damage or injury, being waived by the exhibitor. LIABILITY AND INSURANCE Neither ERA Franchise Systems LLC, its subsidiaries, nor any of the officers, employees, agents, contractors and affiliates of such entities, nor GES, nor the owners, management company, employees or representatives of the J.W. Marriott will be responsible for any injury, loss or damage that may occur to the exhibitor or to the exhibitor’s employees or property, prior, during, or subsequent to the period covered by the exhibit. The exhibitor expressly releases the foregoing persons and entities from, and agrees to indemnify the same against any and all claims for such loss, damage, or injury, arising from the negligent or willful acts or omissions of the exhibitor and its employees, agents, contractors, and invitees. At the request of ERA Franchise Systems LLC or GES, the exhibitor will promptly provide to ERA Franchise Systems LLC a certificate of insurance showing that exhibitor has obtained for the duration of the exposition comprehensive general liability insurance covering exhibitor’s liability arising in connection with the exposition, naming ERA Franchise Systems LLC, GES and the J.W. Marriott as additional insureds, having a single limit per occurrence of not less than $1,000,000, and providing for at least 10 days prior notice to ERA Franchise Systems LLC of cancellation, termination or non-renewal. Such coverage shall be in force and effect at all times during the exposition and exhibitor shall deliver such certificate, if requested, at least 82 hours prior to the beginning of the set-up period. ERA Franchise Systems LLC may cancel this contract with exhibitor and retain all fees paid if exhibitor fails to deliver such certificate in a timely manner, or if such insurance coverage is not maintained during the entire exposition, including the set-up and removal periods. PROTECTION OF BUILDING Nothing should be posted on, tacked, nailed or screwed, or otherwise attached to columns, walls, floors or other parts of the building or furniture. Whatever is necessary to protect the building, equipment, or furniture properly will be at the expense of the exhibitor. Exhibitors are liable for the costs of repairing any damage they cause to the exhibit hall property, and any consequential damages arising from such damage. Machinery in operation: Drip pans and scrape buckets should be provided to keep lubricants, excess material, etc., from staining the floor. FIRE, SAFETY AND HEALTH The exhibitor assumes all responsibility for compliance with local, city and state ordinances and regulations covering fire safety and health. All exhibit equipment and materials will be reasonably located within the space and protected by safety guards and devices where necessary. Only fireproof materials should be used in displays and the exhibitor will take the necessary fire precautions. REGISTRATION OF VISITORS ERA Franchise Systems LLC shall have sole control over admission policies at all times. All persons visiting the conference session rooms and the exhibit area as well as exhibitor personnel shall be required to register and wear an appropriate badge while in attendance. ERA Franchise Systems LLC may exclude any person not wearing the appropriate badge. OFFICIAL SERVICE CONTRACTOR To assure orderly and efficient installation, operation and removal of the displays, and to minimize confusion by the presence or solicitation of unknown or unqualified firms, GES has designated an official service contractor. As such, GES holds this firm responsible for quality service, fair prices, and is prepared to intercede on behalf of an exhibitor in the event of faulty work or unfair charges. However, an exhibitor is free to use its own display house. An outside contractor to set-up and dismantle the exhibit must submit its requests, in writing, to GES and list the names of all display company representatives working in the exhibit area along with the proof of liability insurance satisfactory to GES. PERSONS CONNECTED WITH NON-EXHIBITING CONCERNS Are prohibited from any dealing, exhibiting or soliciting within the exhibit area. Exhibitors are urged to immediately report violations of this latter rule to the Exhibit Manager. AMENDMENT TO RULES Any and all matters or questions not specifically covered by the preceding Rules and Regulations shall be subject solely to the decision of ERA Franchise Systems LLC and GES. These Rules and Regulations may be amended without prior notice, at any time by ERA Franchise Systems LLC or GES. All amendments so made shall be binding on the exhibitors equally with the foregoing Rules and Regulations. FAILURE TO HOLD EXPOSITION Should any contingency prevent holding of the Exposition, ERA Franchise Systems LLC may retain such part of exhibitor’s rental as shall be required to pay for expenses incurred up to the time such contingency shall have occurred. The exhibitor waives all claims for damage or recovery of payments made except the return of the prorated amount paid for exhibit space less expenses so incurred by ERA Franchise Systems LLC and GES. 19
