You donât have to centralising all points of payment in order to go cashless. Each system can have itâs own cashless balance. However, itâs an opportunity to do this and itâs crucial in order to deliver the rest of the benefits.
Understanding spending on campus is a major benefit: what, where, when and who by. It all helps when making informed decisions in regards to future investment, justifying spend and increasing the chance that it is going to improve the student experience.
The single system means that you get control centrally and that the data is accurate and things like reconciliation are easy.
Itâs simple and convenient for users, they can add and access value quickly, they know what they have spent and what they have remaining.
You may be surprised to know that spending actually increases. Being more convenient it encourages students to spend on campus.
Security wise then having less cash on campus helps reduce theft. A central accounting system also reduces fraud and errors â itâs a system the FD will likely prefer.
There is a very good speaker in the area of âSmart Cardsâ and âPayment Acceptanceâ in the further and higher education sector. Richard runs Smartex / HESCA â and runs regular events that weâve attended and listed to guest speakers from the organisations that have lead these kind of projects, have all the battle scars and advise on what went well and what didnât. Here weâve borrowed one of his slides as it shows the potential for a single card â itâs potential scope is usually a lot wider than we perhaps expect.
In this definition weâre talking about an open loop system as one where the card owner is the âbankâ â users manage their funds outside of the organisation and all points of payment require an EMV reader. This is common and may make sense when it comes to catering where you do expect chip and pin or contactless now at each till. It makes less sense if you were to think of every multi-function printer as a point of payment i.e. printing/copying as youâd need an EMV reader at each which isnât justifiable. It should therefore be quick to rule out âopen loopâ.
So closed loop then. That means that the balances are held by the organisation â they are the float owner. Once the account is used for everything the total float isnât inconsiderable which is a nice advantage for the organisation.
Itâs worth saying that when we refer to balance being held by the organisation itâs not stored on the card â itâs in the database. Much better in that if a user loses their card they donât lose their balance â they simply go on line to an admin point and lock the account until they are issued a new card.
Itâs also possible to host the balances in-house or use an external host. The Monitor solution we promote is in-house from a balance store perspective â obviously that can be in your own data server environment. There are external host solutions where you get the benefits of the cloud BUT with the in-house youâre only reliant operationally on the internal network and itâs a lot faster â where users can still add cash to kiosks, buy goods and services and as long as your Internet is working add value to their account still. [Usually with balances in the cloud you need to replicate them locally in case the Internet goes down in order that users can still spend on campus!]
The next bullet is one we know can cause a lot of frustration amongst students â itâs whether students have one account or multiple accounts â we recommend one account for adding funds to but that if it would be better to have separate accounts for different goods and services students can then transfer between them â weâll show this shortly.
The final consideration here is how much involvement you want parents to have â we donât have a strong view, interested in feedback after the break and weâll be showing some parental controls in the demonstration.

Integration is key for customers and this system. There are some sample logos on to give a flavour of whatâs potentially needed.
As an example, many organisations already use WPM for taking electronic payments and this could continue to be the case with Monitor. You may have an established print accounting software solution and not want to change.
