A HRMS (Human Resource Management System) or HRIS (Human Resource Information
System) is a form of HR software that combines a number of systems and processes to ensure
the easy management of a business’s employees and data. These systems could deal with
everything from payroll to performance evaluation, covering the whole business. It merges
human resources as a discipline and, in particular, its basic HR activities and processes with the
information technology field.

Execution Strategy

be developed, a proposed timeline of events, and reasons for why we suggest developing the project as described.

The following graph describes our software development process:
1. The Provider will assign a lead consultant to oversee the engagement and serve as a single point for engagement
communication. The Provider may also assign software developers, system/hardware engineers, and other IT
specials as the requirements and needs dictate.
2. Resolve IT issues and make recommendations regarding the IT network, IT security, software/application, hardware,
data, and integration as the scope and the goals of the engagement requires to achieve engagement goals.
3. Provider will grant to the Client an unlimited, unrestricted, royalty-free, fully paid nonexclusive license to any software,
documentation and information not produced or created by Provider as a result of the performance of work or
services under this proposed engagement, however the Provider retains the copyright to above mentioned software,
documentation, or information.
4. The Provider may utilize publicly distributed (open source) software for the solutions provided to Client, provided that
it is either in the public domain or licensed for public distribution under terms that do not conflict with Client licensing.

timesheet, payroll reports (based on the tax information and timesheet), and medical insurance and emergency

Years ago if HR departments wanted to keep electronic records on their employees their only option was an
HR system, hosted on-site and accessible to a select few HR administrators. Luckily, nowadays HR systems
are available in the cloud and can be accessed securely by employees via the internet. This has drastically
reduced the barriers to adoption, however many companies still manage their workforce with a haphazard
system of spreadsheets, documents and post-it notes. So what exactly are the benefits of using an HR
software to help manage your employees?
1. Efficiency of Administration
If you’ve got more than a few dozen people working for you it can become an administrative nightmare keeping
track of basic employee information if you rely solely on a paper-based system. Simple questions such as ‘How
much holiday have I taken?’ and ‘Can I have a copy of my last 3 payslips?’ become extremely time consuming.

2. Reduced Cost
Aside from the less tangible costs such as efficiency or productivity, a good HR system will save you real
money. A typical benchmark for the number of full time HR staff working for a company is 1 HR professional
per 100 employees. With some software solutions this ratio is approximately 1 HR professional per 140
employees, meaning a company of 280 employees requires one less full time member of staff simply to
manage their workforce data, resulting in reduced costs of tens of thousands of pounds annually.

3. Access to Information
If you rely on spreadsheets and documents to keep track of employee data you end up creating silos of
information. Obviously you need to take into account the sensitivity and security of the data you hold, but by
making it accessible to the right people through a central HR system you are allowing more people to make
good use of the data you hold.
4. Data Analysis and Informed Decisions
Collecting data opens up analytical opportunities that will assist you in making informed decisions. For
example, you might discover that a department has a particularly high employee turnover rate. Why is that? Did
the leavers all work for the same line manager? Who is that manager? Do they need training? Who are your
top sales performers? What are their characteristics? Were they all recruited from the same place? Do they
work for the same line manager? Have they all attended a particular training course? If you collect the data you
can interrogate it and use that analysis to inform your decisions. The effort required in getting the same insight
using a paper-based system simply makes this type of analysis unfeasible.
5. Improved Communication
Most HR systems will include an employee directory. While employees tend to work with the same people and,
therefore, have their contact information, often times their job requires reaching out to colleagues outside of
their immediate department. If all this contact information is stored in a filing cabinet it slows down
communication massively.
HR systems that provide access through mobile browsers or dedicated apps are particularly useful for
employees who spend a lot of time on the road.
6. Risk Mitigation
In the event of a legal dispute how can you prove that an employee was made aware of a particular policy or
trained on how to use a particular piece of equipment? Email communication is fine but it is not unheard of
someone denying seeing an email. Many of today’s HR systems offer a read and accept facility that provides a
paper trail not only showing that an employee was sent a particular message but that they also have accepted
the contents of the communication.
7. Security and Disaster Recovery
If you keep all your employee information in a filing cabinet how secure is that? Who has access to it? How
would you know if someone has tried to access it?

o One-stop shopping. One of the most frequently mentioned advantages of an HRIS is that you enter
information only once for many HR-related employee tasks. And, similarly, you need to update only
one place when employee information changes.
o Integration of data. Furthermore, different parts of the system can “talk to each other” allowing more
meaningful reporting and analysis capabilities, including internal evaluations and audits and
preparation of data for outsiders.
o Accuracy. Improved accuracy is likely assuming data are entered and manipulated correctly.
o Self service. This feature can be a great timesaver for HR. Employees may enter the system to
change data (for example, change their own addresses) and managers and supervisors may enter the
system to enter data (for example, performance reviews) or to retrieve data without bothering HR.
o Automated reminders. Systems can schedule events, such as performance appraisals and benefit
deadlines, automatically notifying and nudging if actions have not been performed.
o Hosting of company-related documents. The system can host such materials as employee
handbooks, procedures, and safety guidelines. The materials are easily updated in one place.
o Benefits administration. This could include enrollment, notices, changes, and reporting.
o Recruiting management. This may include applicant tracking, management, and reporting.

The documentation and communications in SRRK IT Ltd are organized through intelligent software systems

In the kitchen, the office does not use plastic containers.
We also have a collection point for used batteries and appliances for recycling, which is available to both
employees and clients.
Marketing and Communications
Marketing communications are also socially and environmentally oriented. Advertising materials are printed in
optimal formats and circulation, and whenever possible, recycled paper.

Luckily, nowadays HR systems are available in the cloud and can be accessed securely by employees via the internet. This has drastically reduced the barriers to adoption, however many companies still manage their workforce with a haphazard system of spreadsheets, documents and post-it notes. So what exactly are the benefits of using an HR software to help manage your employees? 1. Efficiency of Administration If you’ve got more than a few dozen people working for you it can become an administrative nightmare keeping track of basic employee information if you rely solely on a paper-based system. Simple questions such as ‘How much holiday have I taken?’ and ‘Can I have a copy of my last 3 payslips?’ become extremely time consuming. This leads to reduced cost… 2. Reduced Cost Aside from the less tangible costs such as efficiency or productivity, a good HR system will save you real money. A typical benchmark for the number of full time HR staff working for a company is 1 HR professional per 100 employees. With some software solutions this ratio is approximately 1 HR professional per 140 employees, meaning a company of 280 employees requires one less full time member of staff simply to manage their workforce data, resulting in reduced costs of tens of thousands of pounds annually.

Obviously you need to take into account the sensitivity and security of the data you hold, but by making it accessible to the right people through a central HR system you are allowing more people to make good use of the data you hold. 4. Data Analysis and Informed Decisions Collecting data opens up analytical opportunities that will assist you in making informed decisions. For example, you might discover that a department has a particularly high employee turnover rate. Why is that? Did the leavers all work for the same line manager? Who is that manager? Do they need training? Who are your top sales performers? What are their characteristics? Were they all recruited from the same place? Do they work for the same line manager? Have they all attended a particular training course? If you collect the data you can interrogate it and use that analysis to inform your decisions. The effort required in getting the same insight using a paper-based system simply makes this type of analysis unfeasible. 5. Improved Communication Most HR systems will include an employee directory. While employees tend to work with the same people and, therefore, have their contact information, often times their job requires reaching out to colleagues outside of their immediate department. If all this contact information is stored in a filing cabinet it slows down communication massively. HR systems that provide access through mobile browsers or dedicated apps are particularly useful for employees who spend a lot of time on the road. 6. Risk Mitigation In the event of a legal dispute how can you prove that an employee was made aware of a particular policy or trained on how to use a particular piece of equipment? Email communication is fine but it is not unheard of someone denying seeing an email. Many of today’s HR systems offer a read and accept facility that provides a paper trail not only showing that an employee was sent a particular message but that they also have accepted the contents of the communication. 7. Security and Disaster Recovery If you keep all your employee information in a filing cabinet how secure is that? Who has access to it? How would you know if someone has tried to access it?

And, similarly, you need to update only one place when employee information changes. o Integration of data. Furthermore, different parts of the system can “talk to each other” allowing more meaningful reporting and analysis capabilities, including internal evaluations and audits and preparation of data for outsiders. o Accuracy. Improved accuracy is likely assuming data are entered and manipulated correctly. o Self service. This feature can be a great timesaver for HR. Employees may enter the system to change data (for example, change their own addresses) and managers and supervisors may enter the system to enter data (for example, performance reviews) or to retrieve data without bothering HR. o Automated reminders. Systems can schedule events, such as performance appraisals and benefit deadlines, automatically notifying and nudging if actions have not been performed. o Hosting of company-related documents. The system can host such materials as employee handbooks, procedures, and safety guidelines. The materials are easily updated in one place. o Benefits administration. This could include enrollment, notices, changes, and reporting. o Recruiting management. This may include applicant tracking, management, and reporting.
