Friday Reports- As the organization grows we want to make sure that there is efficient but thorough communication between team members. Since the organization is built on trust we rely increasingly on reports to know where we are headed, what resources are needed and where our opportunities and threats exist. The Friday Reports are part of the many processes to help make us a top performing team of professionals.
Every team member will prepare a weekly report to their team leader. The Friday Reports are to be written each week and due by Saturday noon. It should be about .5 to 1.5 pages in length and should cover the following:
1- Highlights and lowlights from the projects. It should not cover all projects, just the issues that are exceptional whether good or bad.
2- Summarize exceptional accomplishments of team members firm wide. Give credit when someone does something truly exceptional.
3- If you receive reports from other team members (ie, a superintendent’s report to a project manager) feel free to take excerpts from their report and use quotes. Maybe the superintendent’s quote will make it into the weekly snapshot for all to read!
4- Cover customer issues as well as new business development issues.
5- Introduce new team members or personnel issues. State in the report if something is confidential or sensitive so that it doesn’t get forwarded or included in the Weekly Snapshot.
6- This is an opportunity to develop, over time, written communication skills. Take pride in your writing. Proof-read the document and make sure there are no errors before sending it.
7- Include photos from projects, if applicable.
8- Please use email without attachments when possible, and use Calibri 11 point font.
Just as all the team members prepare a Friday Report, the CEO and COO prepare a Weekly Snapshot. The Weekly Snapshot is prepared each week and published Sunday night and sent to all Fortis team members. They are typically 1-2 pages in length and readable within 15 minutes. They include comments from various Friday Reports as well as original content. It is an opportunity for the leaders to convey cultural issues, priority reminders (safety, waste, etc.). Look for them to include praise of excellent accomplishments or performance for individuals.
