Editorial
A 10th edition full of novelties!
For its tenth edition, the RMIS Panorama capitalize on its fundamentals (a survey among RMIS
vendors to identify and describe existing solutions, supplemented by a Risk Managers survey to
capture their vision of the RMIS market), while renewing itself in depth.
Indeed, the 2018 RMIS Panorama still offers a market analysis, alternative views, description of
Risk Managers needs and RMIS Vendors offer as well as detailed datasheets by RMIS vendors, but
is this year enriched by:
- The internationalization of the Risk Managers survey, this year with 325 respondents
from over 30 countries. This progress was made possible thanks to partnerships with
AGRAQ, Club FrancoRisk, IRM Qatar, FERMA and PARIMA who relayed the survey to
their members,
- RMIS users testimonials,
- An expert opinion.
These evolutions empowers the analysis, clarify the perspective of the Risk Managers' vision in
relation to the RMIS market offer and make it possible to capture and understand its evolutions.
The RMIS Panorama, a reference base common to all, is therefore evolving while remaining a tool
facilitating exchanges between Risk Managers and vendors offering a Risk and/or Insurance offer.
By offering Risk Managers up-to-date keys to understanding this market, the Panorama aims to
assist or reinsure them in their choices for acquiring or developing a RMIS. That is its primary
vocation. By providing vendors with additional insights into user needs and feedback, the RMIS
Panorama also contributes to the evolution of the market and offers.
This year again, we would like to thank the growing number of vendors and Risk Managers who
participated in these surveys as well as the partner associations who relayed our requests to their
members for the first year. On this basis, regional analyses will be carried out to provide more
specific insights.
AMRAE would also like to thank its partner EY, more particularly Bertrand Rubio, for his continuous
involvement, necessary to enrich and perpetuate this publication.
This technical notebook is, as every year, available for free download for all on the AMRAE website

Executive Summary
As in previous editions, the Panorama consists of a market analysis based on responses from Risk Managers
& RMIS vendors, and 44 vendor identity cards (datasheets).
New in this 2018 RMIS Panorama:
 Risk Managers survey is international(*) (325 respondents from more than 30 countries), thanks
to our partners AGRAQ, Club FrancoRisk, IRM Qatar, FERMA and PARIMA who circulated the survey to
their members across the world.
 RMIS users testimonials,
 An expert opinion on how to structure an approach to select a RMIS,
 A new axis “Mobility” in detailed vendor datasheets.

2018 trends and observations:
 RMIS market is still growing and is targeting international groups from all sizes.
 RMIS projects are more transversal (Risk Management, Audit, Internal Control,
Insurances…) and clients budgets increased accordingly.
 Main benefits identified by Risk Managers are related to efficiency gains (data consolidation) and
analysis capabilities. RMIS also foster information sharing and better alignment across departments.
 Despite the acceleration of SAAS offers by vendors, the majority of Risk Managers opts for traditional
models (licenses acquisition, on premise hosting)
 Average satisfaction level by Risk Managers on RMIS is rising (technical & functional axis), which
underlines the product improvements by the vendors
 According to Risk Managers, criteria to monitor while selecting a tool are the ability to interface the
tool with other information systems, the user friendliness and the reporting capabilities.
(*) 2017 Risk Managers survey was mainly focused on French Risk Managers with limited number of
out-of-France respondents.
2018 respondents to Risk Managers survey are mainly located out-of-France.
Despite this change in panel constitution, we noticed that 2017 trends are similar to 2018 trends for French
Risk managers. This is also the case for out-of-France Risk Managers: 2017 and 2018 trends are mostly
aligned. For these reasons, and in order to present clearly our results and analysis, we decided to not
differentiate France and out-of-France population in our restitutions.

Reasons for developing a RMIS Panorama
The RMIS, a fundamental tool dedicated to Risk Management
The Risk Management function is first and
foremost a function that is strongly linked to
collecting, analyzing, summarizing and reporting
data that could be sometimes heterogeneous.
Identifying risks and collecting incidents as early
as possible after their occurrence, both
geographically and in time, and their evaluation
to ensure effective decision making requires the
management of data flows in the most relevant
possible way.
This is precisely the purpose of a Risk
Management Information System (RMIS), which
aims at sorting through often plentiful data
before reporting it to the Risk Manager in a
suitable format. This type of tool is therefore not
only an analysis and operational tool, but also a
tool for communicating and sharing results.
RMIS are designed to provide a management
tool for every Risk Management actor:
Top Management can have a consolidated
view of entailed risks and actions in progress.
Managers (Risk Owners) in charge of
handling a set of risks have this same view and
can use it to manage actions within their area of
coverage.
The Risk Manager can coordinate all risk
management related actions, from identification
to treatment, and implement more specific
measures (e.g. related to managing loss claims
and insurance policies).
Internal partners (audit, internal control,
QHSE, …).
Potential external partners (brokers,
consulting firms …).
Main objectives of a RMIS Panorama
Since 2008, AMRAE has been carrying out a
survey on a yearly basis, listing vendors of Risk
Management Information Systems (RMIS) and
solutions available on the market.
This international panorama is conducted with 2
populations:
 RMIS vendors, to qualify their
functional and technical scope.
 Risk Managers to qualify their stakes,
needs and feedbacks using RMIS.
The Panorama combine those 2 analysis to
provide insights to Risk Management actors who
seek information on RMIS. Ii answers in
particular:
 What are my needs?
 Will the existing solutions meet my
needs? To what extend?
 Should I use a single specialized module
or an end-to-end solution?
 Which are the selection criteria to
consider during my call for tender?
With a view to avoiding potential conflict of
interest and meeting the most stringent ethical
standards, this work was carried out, from the
beginning, based on three core tenets:
– Neutrality: the Panorama does not
make any value judgments on vendors
and their solutions, nor does it
recommend their purchase. It is intended
simply to provide a framework to present
the tools and main functionalities
available on the market.
– Objectivity: questions cover the
features offered by each solution, and are
therefore mainly technical and factual.
– Job orientation: questions and analysis
are directly related to the specific
functions and needs of Risk Managers.

A survey conducted among Risk Managers
According to the last « Risk Manager
Barometer » published in 2017 on the
website of AMRAE1
, only 40% of Risk
Managers report using a RMIS.
To analyze this proportion and better perceive
the trends and market expectations, we have
enriched our analysis with a survey dedicated
to Risk Managers across all sectors.
Thanks to the support of our partners
(AGRAQ, Club FrancoRisk, IRM Qatar, FERMA
and PARIMA) we gathered and analyzed 325
Risk Managers responses (compared to 60
respondent in 2017).
We captured:
 Expectations of respondents on a RMIS,
 Key elements of decision during a tool
selection process,
 Satisfaction levels seen following the
RMIS implementation.
Mid-cap companies represent 33% of respondents, and large companies represent 67%.
All sectors are represented with a good balance (Industry, Banking, Insurance, Retail, Public sector,
Telecom …).
In addition to the traditional responsibilities
of a Risk Manager (Global Risk
Management, Insurance), we note a
significant proportion of the following:
Internal Control (18%), Compliance
(17%) and Internal Audit (10%).

A survey conducted among software vendors (RMIS)
As every year, we have updated our RMIS
questionnaire (150 questions) to take into
account RMIS and risk management trends.
We also added this year a new technical axis
which is key for a RMIS deployment: Mobility.
It reflects the tool capability to be adapted to
mobiles, tablets,
This year, after a review of market actors, a
list of 92 vendors was set up, including
vendors consulted last years as well as new
market players. These vendors were then
directly contacted by AMRAE and invited to
participate in an online survey questionnaire
(available in English and French) published by
the end of 2017 for over a month.
This questionnaire allowed vendors to present
their company and describe the complete
technical and business features of RMIS
solutions.
Questionnaires mainly completed were
considered.

For the 2018 edition, this panorama is composed of a panel of
44 respondents among consulted vendors.
6 new respondents have participated in this edition.
We note that in 2017 Ventiv bought WebRisk previously held by Effisoft.
This merger have been effective after the beginning of our survey.
So we kept 2 detailed datasheets (Ventiv WebRisk and Ventiv Technology).

An increasingly transversal RMIS approach within companies
For most of the respondents, RMIS RFP
(Requests For Proposals) concern more
frequently several departments of the
company in a coordinated approach (+22
points compared to last year).
This confirms the trend already observed in
previous editions, consisting of converging
risk management systems to make them
more effective and cross-functional.
A great majority (95%) of
responding Risk Managers
confirms this trend and
estimates that one RMIS
should cover several
functional domains.
Expected RMIS budget
The great majority of
responding Risk Managers
(89%) wishes to invest less
than 300k€ in the acquisition
and implementation of a RMIS.

Head of Risk Management, Internal Audit and Internal Control are still at the origin of RMIS RFP.
RMIS projects are more and more cross-functional. Head of IT, Managing Director, CFO and
General Secretary are more often considered as decision makers to implement a RMIS.

2018 Feedbacks
corroborate the main
following criteria:
Which satisfaction feedbacks on those selection criteria?
Satisfaction level of Risk Managers with their RMIS significantly increased
from 64% in 2017 to 73% in 2018.
However a significant proportion of Risk Managers demonstrated their dissatisfaction
on the following criteria: Interfaces with other IS (46%), Easy to use (40%) and
Reporting capabilities (39%) which represent substantial criteria to select a RMIS.
We also note 85% of satisfaction on criteria related to functional coverage of RMIS (+5%
compared to 2017).

Which forecasted trends for the RMIS?
More than 10% of respondents said they wish to integrate their RMIS with continuous
monitoring solutions or reporting tools.
Like in 2017, a strong majority of responding vendors said that they already integrate
their solutions with:
 Business Intelligence platforms
 Analytics
 Continuous business control monitoring
Tools or applications are (or will eventually be) integrated preferably within the RMIS,
in particular:
 Internal control - Compliance
 Analytics
 Audit
 Reporting including Business intelligence
 Business process modeling
The trend of business applications more favorably be integrated within the solution is
new compared to last year which were much considered via interfaces.

There is no clear trend about hosting solution for RMIS but it appeared Risk Managers prefer client’s
infrastructure as an hosting solution (+4 points compared to 2017).

external actors

The overall message is a
reluctance to open access
to the system, for reasons of
confidentiality or relevance.
Nevertheless, for 1/3 of them it

Survey approach for vendors
Concerning the vendor’s questionnaire, multiple-choice questions were often proposed in order to
provide simple options to the vendors and improve the analysis on a standardized basis.
Each of the standardized responses was assigned a certain scoring as per the following scale,
identical to that used in previous editions:

This scoring scale allowed an objective analysis of responses in order to obtain individual and global
conclusions. These results were then analyzed in the light of the comments and feedback provided
by vendors, to reflect the characteristics of their products as accurately as possible.
Finally, we would like to point out that, as in previous editions, the analysis carried out was
based on vendor statements only.
In line with our core tenets mentioned above, no tests or interviews were conducted in order to
avoid any judgment whatsoever from the team who elaborates the panorama.
Two levels of synthesis has been held from the beginning of the Panorama:
 Global synthesis, pursue restoring the main respondent characteristics.

2018 global results by functional and technical areas
The following chart shows aggregated vendor responses on the functional and technical areas and
provides a comparison with the results achieved in the previous edition.
Functional areas (base on editors’ self-assessment)
Note that:
 The calculation approach only consider (for each module/functional area) vendors which have
the module. So vendors who do not have the module do not impact the average rating.
 The general shape of the 2018 curve remains substantially the same as last year, despite
the evolution of the respondents’ panel.
 The other functional areas are covered on average at 82% by all of the respondents. On a
like-for-like basis, this coverage has increased by 2 points compared to the previous edition.
 A room for improvement remains on the areas related to cybersecurity and analytics.
 Area Insurance increased by 18 points.
 Moreover, area Cybersecurity are down by 14 points compared to the previous edition.

The average satisfaction level has increased compared to 2017. The vast majority of modules
(except Competitive intelligence and Analytics) meet expectations of ¾ of responding Risk
Managers.

Technical areas (Editors’ self-assessment)
Note that:
 The general shape of the 2018 curve remains substantially the same as last year
 Most functional areas are covered on average at 83% by all of the respondents, which
represents an improvement compared to previous editions of the Panorama (+5%).
 The area « Currencies » is still the least well covered but increased by 11 points from 2017
to 2018 and reach 71% this year.
 The area « Mobility » has been integrated for the first time in this 2018 edition: It covers
RMIS capacities to adapt itself to mobile devices (smartphones, touch pads …)

Solvency 2 regulation was clearly one of the major factors
[in our governance and risk management approach]. Apart
from the quantitative solvency requirements, Pillar 2
requires consistency in terms of risk and data governance.
This qualitative aspect is reflected in the formalization of our
business processes, the mapping and evaluation of risks,
and the implementation of our internal audit as well as our internal control. Another important
factor is the strong growth MFA has experienced necessitating a bold strategy built from analysis
and dashboards that indicate how the business operations are functioning. Indeed, we are both
totally convinced that efficient decision-making cannot be based on financial analysis alone.
Operational governance is essential for optimizing the organization’s operational efficiency and
for increasing its performance. We chose our solution provider because their software solutions
sit on the same repository be it for organization modeling, governance or risk and compliance
(GRC). They are built on an integrated platform that uses a unique repository. In addition, it
can cater for the progressive implementation of solutions; risk, internal audit, and internal
control, which was also an important factor when deciding on which company to choose. Lastly,
we have really appreciated the level and quality of the human interaction we experience with
their professionals and their ready availability. Indeed, our working relationship with our solution
provider goes back 20 years when our IT department first worked with them on data modeling
In 2006, the LDZ group wanted to set up a Risk Management
unit in charge of claims management, prevention, insurance
and reinsurance captive. The need for a common platform for
reporting and claims management was immediately
identified. The criteria of independence regarding brokers and
/ or insurers, flexibility, scalability, cost, have been set. In
2008, a RMIS is selected to meet these needs. The basic
modules retained were; Property, Loss, Police and Incident
Reporting online (internet, interactive questionnaire with
attachments).
A recovery of the claims history has been loaded (since 2000).
190 Users with different profiles: store, head of office and group, brokers and insurers. This first
step made it possible in 2009 to have a perfect understanding of the Group's claims experience
and to immediately take corrective actions and reposition our expectations towards insurers and
reinsurers in terms of deductibles, intervention ceilings and hedging.
The online update module of our 1,600 sites by the stores or at the headquarters has reduced by
3 months the time required to know the exact insurance values. In 2010, an extension of the
Police module (Prime) allowed the assignment of insurance costs to each site.
Thanks to this application, the cost transparency has been improved internally and the calculation
of the S/P possible at all levels of the company for each policy. This gives us a real strong
argument in the renewal negotiations. In 2013, a risk mapping module completed the system as
well as access to a detailed database for broader reporting.
Finally in 2016 the site's design has move towards more modernity and conviviality. This tool
gives the RM the keys to the efficient exercise of its mission both internally and externally.

In 2015, Gemalto decided to switch from a silo approach to
risk mapping and control to an integrated approach
supported by a unique risk management tool including the
follow up of action plans on risk, control and audit with 600
active users.
Beyond the classic benefits from an integrated risk management solution (consolidating data,
historical data management, reports), the tool may foster synergies between functions (e.g within
Gemalto : IC, ERM and IA) if they share their respective approaches and identify the key concepts
on which they have to align themselves (organizational structure, key risks, analysis axis, ...)
Implementing synergies requires a true collaborative approach, which has to take into account
the expectations and the constraints of all stakeholders (project team, ERM and IC experts, users,
IT department, and software vendor).
3 key success factors :
 A project team (1 administrator + ERM, IC and IT experts) which monitors the definition
of the specifications based on the change in the ERM and IC methodologies and the
needs for ergonomics collected from the users;
 A partnership with the vendor to integrate these demands into his standard roadmap;
 A prioritization of the specific requests to align them in the budgetary constraints.
Our main expectations to our software vendor? Flexibility, professionalism, reporting capabilities,
continuous improvement based on experience feedback of the customers collected through an
active User Club.
The purpose is to help the risk manager to have “his/her risk management tool” embedded
in the whole company and not hold in a few experts' hands.
« First of all, implementing a RMIS means harmonize
business processes and group entities’ controls. RMIS
enables the consolidation of assessments.
RMIS promotes the coordination and the mutualization of a
common risk universe between Internal control, Risk management and Audit.
Furthermore, the use of RMIS strengthen the traceability and the preservation of evidence. Both
subjects at the heart of current compliance procedures. »

How to manage a selection of tools: Expert’s advices
The preparation and animation of the RMIS selection
process is a key phase to choose the right partner and
give the right impetus to the project. It is generally
structured around the following steps and activities:
1) Business case / opportunity study :
Framework of objectives and global scope
(organizational and functional), identification of
expected benefits (qualitative and quantitative), team
to be mobilized and project’s governance, external
assistance requirements, budget estimate.
2) Market qualification:
Identification of the key market players, attend standard demonstrations, refined budget.
3) Call for tenders:
Preparation of tender’s documentation (including in particular the functional and technical
specifications, expected services, response grids, demonstration scenarios ...), call for tender
animation, roadshows, analysis of offers, negotiation, contractualization.
We can highlight the following key success factors :
 Think Big...
Identify short-term needs, but consider your long-term target. Do not let your project be
restricted by a silo approach, consider the opportunity to integrate several domains (risks,
insurance, audit, process modelling, etc.). You will work with the tool for several years, it
could be an important vector of strengthening a coherent and shared vision of risk
management.
 ... Start Small
Avoid the "Big Bang" approach, start the deployment of the tool by a functional scope
limited and controlled, then extend it year after year. The market's RMIS are flexible and
allow progressive settings.
 The sponsor plays a key role in promoting the initiative and ambition of the project.
 The project team frequently includes a "group [of future] users" who can participate in
certain key stages of the selection process (review of the specifications, participation in
vendors demonstrations) and implementation. Secure the team's availability over the
entire period!
 During selection process, provide demonstration scenarios to candidates to frame the
sessions. A "Proof Of Concept" (POC) can also be arranged to test the solutions over
several days.
 Adapting the RMIS to your methodology is important, deviating too much from its
standard brings a risk of stability and durability.

For its tenth edition, the RMIS Panorama capitalize on its fundamentals (a survey among RMIS vendors to identify and describe existing solutions, supplemented by a Risk Managers survey to capture their vision of the RMIS market), while renewing itself in depth. Indeed, the 2018 RMIS Panorama still offers a market analysis, alternative views, description of Risk Managers needs and RMIS Vendors offer as well as detailed datasheets by RMIS vendors, but is this year enriched by: - The internationalization of the Risk Managers survey, this year with 325 respondents from over 30 countries. This progress was made possible thanks to partnerships with AGRAQ, Club FrancoRisk, IRM Qatar, FERMA and PARIMA who relayed the survey to their members, - RMIS users testimonials, - An expert opinion. These evolutions empowers the analysis, clarify the perspective of the Risk Managers' vision in relation to the RMIS market offer and make it possible to capture and understand its evolutions. The RMIS Panorama, a reference base common to all, is therefore evolving while remaining a tool facilitating exchanges between Risk Managers and vendors offering a Risk and/or Insurance offer. By offering Risk Managers up-to-date keys to understanding this market, the Panorama aims to assist or reinsure them in their choices for acquiring or developing a RMIS. That is its primary vocation. By providing vendors with additional insights into user needs and feedback, the RMIS Panorama also contributes to the evolution of the market and offers. This year again, we would like to thank the growing number of vendors and Risk Managers who participated in these surveys as well as the partner associations who relayed our requests to their members for the first year. On this basis, regional analyses will be carried out to provide more specific insights. Panorama SIGR 2018 6 / 85 Panorama SIGR 2017 – Copyright © 2017 AMRAE, in partnership with EY Executive Summary As in previous editions, the Panorama consists of a market analysis based on responses from Risk Managers & RMIS vendors, and 44 vendor identity cards (datasheets). New in this 2018 RMIS Panorama:  Risk Managers survey is international(*) (325 respondents from more than 30 countries), thanks to our partners AGRAQ, Club FrancoRisk, IRM Qatar, FERMA and PARIMA who circulated the survey to their members across the world.  RMIS users testimonials,  An expert opinion on how to structure an approach to select a RMIS,  A new axis “Mobility” in detailed vendor datasheets. Chinese portrait of RMIS “typical” buyer: 2018 trends and observations:  RMIS market is still growing and is targeting international groups from all sizes.  RMIS projects are more transversal (Risk Management, Audit, Internal Control, Insurances…) and clients budgets increased accordingly.  Main benefits identified by Risk Managers are related to efficiency gains (data consolidation) and analysis capabilities. RMIS also foster information sharing and better alignment across departments.  Despite the acceleration of SAAS offers by vendors, the majority of Risk Managers opts for traditional models (licenses acquisition, on premise hosting)  Average satisfaction level by Risk Managers on RMIS is rising (technical & functional axis), which underlines the product improvements by the vendors  According to Risk Managers, criteria to monitor while selecting a tool are the ability to interface the tool with other information systems, the user friendliness and the reporting capabilities. (*) 2017 Risk Managers survey was mainly focused on French Risk Managers with limited number of out-of-France respondents. 2018 respondents to Risk Managers survey are mainly located out-of-France. Despite this change in panel constitution, we noticed that 2017 trends are similar to 2018 trends for French Risk managers. This is also the case for out-of-France Risk Managers: 2017 and 2018 trends are mostly aligned. For these reasons, and in order to present clearly our results and analysis, we decided to not differentiate France and out-of-France population in our restitutions.

RMIS Panorama 2018 Panorama SIGR 2018 – Copyright © 2018 AMRAE, in partnership with EY 7 / 85 Reasons for developing a RMIS Panorama The RMIS, a fundamental tool dedicated to Risk Management The Risk Management function is first and foremost a function that is strongly linked to collecting, analyzing, summarizing and reporting data that could be sometimes heterogeneous. Identifying risks and collecting incidents as early as possible after their occurrence, both geographically and in time, and their evaluation to ensure effective decision making requires the management of data flows in the most relevant possible way. This is precisely the purpose of a Risk Management Information System (RMIS), which aims at sorting through often plentiful data before reporting it to the Risk Manager in a suitable format. This type of tool is therefore not only an analysis and operational tool, but also a tool for communicating and sharing results. RMIS are designed to provide a management tool for every Risk Management actor: Top Management can have a consolidated view of entailed risks and actions in progress. Managers (Risk Owners) in charge of handling a set of risks have this same view and can use it to manage actions within their area of coverage. The Risk Manager can coordinate all risk management related actions, from identification to treatment, and implement more specific measures (e.g. related to managing loss claims and insurance policies). Internal partners (audit, internal control, QHSE, …). Potential external partners (brokers, consulting firms …). Main objectives of a RMIS Panorama Since 2008, AMRAE has been carrying out a survey on a yearly basis, listing vendors of Risk Management Information Systems (RMIS) and solutions available on the market. This international panorama is conducted with 2 populations:  RMIS vendors, to qualify their functional and technical scope.  Risk Managers to qualify their stakes, needs and feedbacks using RMIS. The Panorama combine those 2 analysis to provide insights to Risk Management actors who seek information on RMIS. Ii answers in particular:  What are my needs?  Will the existing solutions meet my needs? To what extend?  Should I use a single specialized module or an end-to-end solution?  Which are the selection criteria to consider during my call for tender? With a view to avoiding potential conflict of interest and meeting the most stringent ethical standards, this work was carried out, from the beginning, based on three core tenets: – Neutrality: the Panorama does not make any value judgments on vendors and their solutions, nor does it recommend their purchase. It is intended simply to provide a framework to present the tools and main functionalities available on the market. – Objectivity: questions cover the features offered by each solution, and are therefore mainly technical and factual. – Job orientation: questions and analysis are directly related to the specific functions and needs of Risk Managers.

RMIS Panorama 2018 8 / 85 RMIS Panorama 2018 – Copyright © 2018 AMRAE, in partnership with EY A survey conducted among Risk Managers According to the last « Risk Manager Barometer » published in 2017 on the website of AMRAE1 , only 40% of Risk Managers report using a RMIS. To analyze this proportion and better perceive the trends and market expectations, we have enriched our analysis with a survey dedicated to Risk Managers across all sectors. Thanks to the support of our partners (AGRAQ, Club FrancoRisk, IRM Qatar, FERMA and PARIMA) we gathered and analyzed 325 Risk Managers responses (compared to 60 respondent in 2017). We captured:  Expectations of respondents on a RMIS,  Key elements of decision during a tool selection process,  Satisfaction levels seen following the RMIS implementation. Mid-cap companies represent 33% of respondents, and large companies represent 67%. All sectors are represented with a good balance (Industry, Banking, Insurance, Retail, Public sector, Telecom …). In addition to the traditional responsibilities of a Risk Manager (Global Risk Management, Insurance), we note a significant proportion of the following: Internal Control (18%), Compliance (17%) and Internal Audit (10%). RMIS Panorama 2018 RMIS Panorama 2018 – Copyright © 2018 AMRAE, in partnership with EY 9 / 85 A survey conducted among software vendors (RMIS) As every year, we have updated our RMIS questionnaire (150 questions) to take into account RMIS and risk management trends. We also added this year a new technical axis which is key for a RMIS deployment: Mobility. It reflects the tool capability to be adapted to mobiles, tablets, This year, after a review of market actors, a list of 92 vendors was set up, including vendors consulted last years as well as new market players. These vendors were then directly contacted by AMRAE and invited to participate in an online survey questionnaire (available in English and French) published by the end of 2017 for over a month. This questionnaire allowed vendors to present their company and describe the complete technical and business features of RMIS solutions. Questionnaires mainly completed were considered. Panel of respondents For the 2018 edition, this panorama is composed of a panel of 44 respondents among consulted vendors. 6 new respondents have participated in this edition. We note that in 2017 Ventiv bought WebRisk previously held by Effisoft. This merger have been effective after the beginning of our survey. So we kept 2 detailed datasheets (Ventiv WebRisk and Ventiv Technology).

An increasingly transversal RMIS approach within companies For most of the respondents, RMIS RFP (Requests For Proposals) concern more frequently several departments of the company in a coordinated approach (+22 points compared to last year). This confirms the trend already observed in previous editions, consisting of converging risk management systems to make them more effective and cross-functional. A great majority (95%) of responding Risk Managers confirms this trend and estimates that one RMIS should cover several functional domains. Expected RMIS budget The great majority of responding Risk Managers (89%) wishes to invest less than 300k€ in the acquisition and implementation of a RMIS.

The average budget to implement a RMIS has increased compared to 2017. We found for the very first time budgets above 1 million euros (year 1).

Satisfaction level of Risk Managers with their RMIS significantly increased from 64% in 2017 to 73% in 2018. However a significant proportion of Risk Managers demonstrated their dissatisfaction on the following criteria: Interfaces with other IS (46%), Easy to use (40%) and Reporting capabilities (39%) which represent substantial criteria to select a RMIS. We also note 85% of satisfaction on criteria related to functional coverage of RMIS (+5% compared to 2017).

RMIS access for external actors A majority of responding Risk Managers do not consider opening their RMIS to external actors as relevant. The overall message is a reluctance to open access to the system, for reasons of confidentiality or relevance. Nevertheless, for 1/3 of them it could be relevant to open their RMIS to Experts and External Auditors.

Each of the standardized responses was assigned a certain scoring as per the following scale, identical to that used in previous editions: COVERAGE SCORE DESCRIPTION Feature not covered 0 Feature not implemented in the solution Feature can be covered with ad hoc development 1 No existing standard, but can be developed with ad hoc development by a specialist (depending on aspects: vendor, integrator or client IT Department) Feature covered, but limited to a standard behavior 2 Using the existing standard, but not editable/configurable, either by the vendor, the integrator, the business user or the client IT Department Feature covered by technical customization 3 Customization of the standard solution, that can only be performed by a technical expert of the solution (for instance: people from vendor, integrator, or from client IT Department, previously trained to technical solution administration) Feature covered by business user customization 4 Customization of the standard solution, that can be performed by a business user, independently from the client IT Department and from vendor or integrator (possibly after a nontechnical functional administration training) This scoring scale allowed an objective analysis of responses in order to obtain individual and global conclusions. These results were then analyzed in the light of the comments and feedback provided by vendors, to reflect the characteristics of their products as accurately as possible. Finally, we would like to point out that, as in previous editions, the analysis carried out was based on vendor statements only. In line with our core tenets mentioned above, no tests or interviews were conducted in order to avoid any judgment whatsoever from the team who elaborates the panorama. Functional areas (base on editors’ self-assessment) Note that:  The calculation approach only consider (for each module/functional area) vendors which have the module. So vendors who do not have the module do not impact the average rating.  The general shape of the 2018 curve remains substantially the same as last year, despite the evolution of the respondents’ panel.  The other functional areas are covered on average at 82% by all of the respondents. On a like-for-like basis, this coverage has increased by 2 points compared to the previous edition.  A room for improvement remains on the areas related to cybersecurity and analytics.  Area Insurance increased by 18 points.  Moreover, area Cybersecurity are down by 14 points compared to the previous edition. Apart from the quantitative solvency requirements, Pillar 2 requires consistency in terms of risk and data governance. This qualitative aspect is reflected in the formalization of our business processes, the mapping and evaluation of risks, and the implementation of our internal audit as well as our internal control. Another important factor is the strong growth MFA has experienced necessitating a bold strategy built from analysis and dashboards that indicate how the business operations are functioning. Indeed, we are both totally convinced that efficient decision-making cannot be based on financial analysis alone. Operational governance is essential for optimizing the organization’s operational efficiency and for increasing its performance. We chose our solution provider because their software solutions sit on the same repository be it for organization modeling, governance or risk and compliance (GRC). They are built on an integrated platform that uses a unique repository. In addition, it can cater for the progressive implementation of solutions; risk, internal audit, and internal control, which was also an important factor when deciding on which company to choose. Lastly, we have really appreciated the level and quality of the human interaction we experience with their professionals and their ready availability. Indeed, our working relationship with our solution provider goes back 20 years when our IT department first worked with them on data modeling In 2006, the LDZ group wanted to set up a Risk Management unit in charge of claims management, prevention, insurance and reinsurance captive. The need for a common platform for reporting and claims management was immediately identified. The criteria of independence regarding brokers and / or insurers, flexibility, scalability, cost, have been set. In 2008, a RMIS is selected to meet these needs. The basic modules retained were; Property, Loss, Police and Incident Reporting online (internet, interactive questionnaire with attachments). A recovery of the claims history has been loaded (since 2000). 190 Users with different profiles: store, head of office and group, brokers and insurers. This first step made it possible in 2009 to have a perfect understanding of the Group's claims experience and to immediately take corrective actions and reposition our expectations towards insurers and reinsurers in terms of deductibles, intervention ceilings and hedging. The online update module of our 1,600 sites by the stores or at the headquarters has reduced by 3 months the time required to know the exact insurance values. In 2010, an extension of the Police module (Prime) allowed the assignment of insurance costs to each site. Thanks to this application, the cost transparency has been improved internally and the calculation of the S/P possible at all levels of the company for each policy. This gives us a real strong argument in the renewal negotiations. In 2013, a risk mapping module completed the system as well as access to a detailed database for broader reporting. Finally in 2016 the site's design has move towards more modernity and conviviality. This tool gives the RM the keys to the efficient exercise of its mission both internally and externally. Beyond the classic benefits from an integrated risk management solution (consolidating data, historical data management, reports), the tool may foster synergies between functions (e.g within Gemalto : IC, ERM and IA) if they share their respective approaches and identify the key concepts on which they have to align themselves (organizational structure, key risks, analysis axis, ...) Implementing synergies requires a true collaborative approach, which has to take into account the expectations and the constraints of all stakeholders (project team, ERM and IC experts, users, IT department, and software vendor). 3 key success factors :  A project team (1 administrator + ERM, IC and IT experts) which monitors the definition of the specifications based on the change in the ERM and IC methodologies and the needs for ergonomics collected from the users;  A partnership with the vendor to integrate these demands into his standard roadmap;  A prioritization of the specific requests to align them in the budgetary constraints. Our main expectations to our software vendor? Flexibility, professionalism, reporting capabilities, continuous improvement based on experience feedback of the customers collected through an active User Club. It is generally structured around the following steps and activities: 1) Business case / opportunity study : Framework of objectives and global scope (organizational and functional), identification of expected benefits (qualitative and quantitative), team to be mobilized and project’s governance, external assistance requirements, budget estimate. 2) Market qualification: Identification of the key market players, attend standard demonstrations, refined budget. 3) Call for tenders: Preparation of tender’s documentation (including in particular the functional and technical specifications, expected services, response grids, demonstration scenarios ...), call for tender animation, roadshows, analysis of offers, negotiation, contractualization. We can highlight the following key success factors :  Think Big... Identify short-term needs, but consider your long-term target. Do not let your project be restricted by a silo approach, consider the opportunity to integrate several domains (risks, insurance, audit, process modelling, etc.). You will work with the tool for several years, it could be an important vector of strengthening a coherent and shared vision of risk management.  ... Start Small Avoid the "Big Bang" approach, start the deployment of the tool by a functional scope limited and controlled, then extend it year after year. The market's RMIS are flexible and allow progressive settings.  The sponsor plays a key role in promoting the initiative and ambition of the project.  The project team frequently includes a "group [of future] users" who can participate in certain key stages of the selection process (review of the specifications, participation in vendors demonstrations) and implementation.
