Introduction
HRIS is the technology driven Human resource management process that manages all the HRM
practices, and even talent management through database software and other integrated systems. In
the booming era of technology, there are many applications that can assist HRIS to operate
effectively. But only MS Office software is widely available to most business organizations. As
MS Office software is affordable and requires easy training, any business can adopt MS Office
applications (especially MS Word, PowerPoint, Excel, and Access) to create a sustainable Human
resource management system that can solve organizational problems in HRM. This report covered
the use and effectiveness of the MS Office applications (MS Word, PowerPoint, Excel, and
Access) in HRIS.
Application of MS Word in HRIS
MS Word is a document processing program developed by Microsoft (Wikipedia Contributors,
2019). It is helpful in making essential documents that can be HRIS policies and reporting. MS
Word is easy to use when it come for report writing effectively. In HRIS, managers need to
generate reports based on regular performance of the system, so MS Word works as an effective
tool for the reporting, including:
• Collaboration with other co-workers.
• Organised documentation.
• Recording many HR practices and meetings.
• Online availability from anywhere and anytime.
• Editing, reviewing and publishing HRIS reports easily.
• Preparing professional email and organisational notice.
Application of MS PowerPoint in HRIS
MS PowerPoint is a presentation tool from MS Office suite which can produce dynamic slides for
almost anything. It can present in an organised and attractive manner for data visualisation derived
from HRIS. HRIS needs to visualise its effectiveness, errors, and workflows, so PowerPoint can
be the best tool for presenting any model and process. It can:

• Visualise the critical points in the HRIS work flow.
• Provide presentation of periodic growth and improvement in HRIS.
• Present HR practices in a nutshell.
Application of MS Excel in HRIS
MS Excel is a spreadsheet program that is used for data analysis and visualisation. Usage of MS
Excel in HRIS is most versatile than any other MS Office applications. MS Excel can be used as
a cheap software that can perform several features. It can also export the necessary data for further
analysis from the system to make effective reports (Papa, 2016).
• AUTOMISE The Data: MS Excel can make different automation by using its Macro and
power query feature, to generate collective data and reports.
• Automates Payroll Information and Benefits: Payroll management is essential for
organizations to keep financial records of employees that are incurred by salary, deductions,
tax cut, and net pay (www.adp.com, 2021). Excel can record the payroll data and manipulate
based on the formulas applied to the software.
• Pivot Tables: Pivot table feature can make a summary of data using available database,
worksheet.
• Mail Merge: Mail merge can be created through Excel to automate sending each recipient for
HR practices. When a lot of mail or document is to be used or sent, Excel can work out the
entire process automatically.
• VBA: VBA is a programming language which works to automate the repetitive tasks. It assists
business organisation to make complex HR tool for HRIS.
• Talent acquisition metrics: Recruitment cost is critical for any business success, so it will be
beneficial for the organisation to understand the time and cost consumption by the process.
The result can also be compared to other metrics for better decision making.
• Recruitment Scheduling: All the schedule relating to interview scheduling, written routine,
ongoing vacancies, emailing, priority candidate analysis.
• Tenure and turnover: The time an employee is employed is crucial along with the turnover
rate to determine the current position of the company.

• Attendance evaluation: Regular attendance can be evaluated by using effective formulas in
Excel. The attendance will assist in determining the regularity, compensation and future
performance evaluation.
• Leave Management: Excel sheet can record the available data for the leave management of
workforce. Managers can understand employees’ used and available leaves, causes of leave
and take important initiative.
Application of MS Access in HRIS
MS Access is a database management system which provides relational data system with software
development tool. MS Access serves as a relational database facility which solves many problems
and errors occurred in MS Excel for managing HRIS. It includes:
• Tables and forms: MS Access can produce different tables and forms for HR activities as
per demand.
• Reports and Queries: From a large data set, Access can logically find out the results
according to the queries and make reports based on the queries.
• Handling complex relational data: MS Access is effective in managing complex
relational data, as it is a relational database system. This process can be done by
collaborating within small workgroups (www.citehr.com, n.d.).
• Templates for recoding: HR department can record the employee master data by different
templates in MS Access.
Conclusion
Rapid change in the tech world drove Microsoft to adopt new features in MS Office that may assist
in efficient maintenance of HRIS. Nowadays, MS Office software is used to create Human
resource information system, in the near future the MS Office suite will be able to make the system
more sustainable and affordable. This report covered the applications of MS Office programs that
can be used by the HR unit to create and maintain any Human resource management system. MS
Office suit has the capability to maintain a collaborative platform for any HR unit to handle any
HRIS across the globe.
