INTRODUCTION
Over the last decade, ENCORE South Bay has had the opportunity to
positively impact its community by providing an environment focused on
creating leaders, building community, and instilling a continued commitment
to the arts in the South Bay community.
As ENCORE enters it tenth season, the time has come to create a program to
address certain concerns that need attention. Primarily, the issues of helping
new participants through the process and continued engagement with
returning participants.

AMBASSADOR PROGRAM
Overview
The ambassador program exists to welcome new families to the ENCORE
Community and create a sense of ownership amongst the Ambassador Team.
Ambassadors
The Ambassadors consist of parents who have participated in at least one (1)
complete production. Additionally, they should be a family interested in
“modeling the way” to new participants and taking an active role in the
process.
Ambassadors should be available for the following:
 Ambassador Kick Off Training
 At least one (1) meeting with each assigned family before Ambassador
Round Table
 Two (2) Ambassador round table meetings
 Regular phone or email availability to answer questions
 Graduation Ceremony1
Additionally, there will be a Rewards and Recognition event for the
Ambassadors to celebrate their accomplishments
New Participants
New Participants should be available for the following:
 New Community Kick Off

 At least one (1) meeting per month with assigned Ambassador
 Graduation Ceremony
There will also be a “Surprise and Delight” reception. While not required, it is
highly recommended.
Timeline
The ENCORE Ambassador Program will begin tentatively during the fall 2016
season. Ideally, the Ambassador Kick Off will occur approximately 2 weeks
before auditions. This will allow the mentors time to prepare and acclimate
to the role. At the end of the audition process, the Ambassadors will know the
ratio and distribution of New Participants and an estimate of the time
required.

AMBASSADOR KICK OFF
Objectives
 Build a lily pad argument for “why?”
 Address the question, “Why don’t I get a discount for being an
ambassador?”
 Set expectations for program outcomes
 Create framework for the ambassador community
The Ambassador Kick Off is focused on creating buy off with the Ambassador
Team. The process needs to be marketed as an exclusive privilege that is
awarded to community members of the interested investing in the ENCORE
Community.
One of the many issues with returning families is justifying the programs
high cost. While everyone wishes that staging the ENCORE Experience was a
free, it requires a significant outlay of capital and productivity to create our
exceptional experience. ENCORE Does offer limited needs-based
scholarships, but resources are limited and offered on a case by case basis.
An advantage of the Ambassador program is that it helps address this
problem by creating a significant amount of additional value to the regular
ENCORE Experience.
The Ambassador Kick Off consists of 2 parts:
1. Welcome/Why? Facilitation
2. Round Table
The “Welcome/Why?”

METTING FORMAT/EXPECTATIONS
Once the Ambassadors have been paired, a time commitment schedule will
be created outlining an estimate of the time required.
An “Ambassador 1+1” meeting does not have a time requirement; however,
they should last approximately 15-45 minutes. The first meeting should be
focused on getting to know one another.
It is during the first meeting that the Ambassador gives their mentee a gift.
ENCORE will provide a “survival kit” that contains a number of fun and useful
things to for the mentee. Additionally, it is encouraged that the Ambassador
provide the mentee with a small personal gift.
While only one meeting is required before the Ambassador Round Table,
different families may require a more “hands on” approach. Additionally, the
Ambassador is not required to give unlimited availability, but they should
give their assigned family advice on how to successfully interact with them.

AMBASSADOR ROUND TABLE
The Ambassador Round Table serves a number of functions. First of all, it
continues to build the community of the Ambassadors and gives them a
structured time to interact. It also gives them an opportunity to brainstorm
about improving the ENCORE Experience. These meetings are projected to
last approximately 1 to 2 hours and will be scheduled to accommodate
everyone’s schedule.
Additionally, these meetings will allow the Ambassadors to plan the “surprise
and delight” for their families, as well as graduation.

“SURPRISE AND DELIGHT”
Midway through the selected ENCORE Experience, the Ambassadors will help
customize a “surprise and delight” evening for their mentee families. This
will be an evening reception at the studios that again focuses on building the
ENCORE Community. The Ambassador team will be responsible to select
specific details that will be implemented by the office team. Ideally, this is a
party they get to plan, attend, and do minimal clean-up for as it should be a
fun and non-stressful experience.

GRADUATION/CELEBRATION
The graduation is the final part of the new participants journey in the
Ambassador Program. This is a “cake and picture” style event to
commemorate the new family’s official joining of the ENCORE community. It
will also serve as a recruitment to other families interested in joining the
Ambassador Program as it will take place with all the families, ideally during
tech week or the week before.

DEBRIEF
The debrief allows the Ambassador Team to break down the ENCORE
Experience and do a number of task, including “stop, start, repeat.” This is a
time to look at what worked and what didn’t, but more importantly, evaluate
how their mentees did throughout the program. Additionally, the current
ambassador team has the opportunity to continue on the team and or select
new members from the pool of applicants.

REWARDS AND RECOGNITION
The R & R event for the Ambassadors is similar to the “surprise and delight,”
but should be at an offsite location and will resemble more of an awards
dinner. It will be a time to recognize each member of the team with a special
“thank you” from ENCORE. Hopefully this element will be a surprise and will
be a “heartfelt thank you” moment.
For those not returning to the team next year, this will be the final
ambassador event, but they will always be invited and encouraged to
participate in the “surprise and delight” as well as attend round tables if they
choose.

CONCLUSION/OUTCOMES/FUTURE
The end goal of this program is to create a self-sustaining community of
people who are invested in the continuation of high quality ENCORE
Experiences. Ideally, these individuals will aspire to continue with the
program, join the advisory task force, or even join the ENCORE board.
Additionally, it is hoped that this program will expand to each program
within the ENCORE Experience beyond just ENCORE MainStage.
