templates may be used in several ways to create
copies of themselves for repetitive work.
58. 58
How Can Work Orders Benefit My Company?
Work order templates may be linked to meters
then automatically create work orders based upon
equipment runtime schedules. This saves time and
insures work is created when needed.
Meter example: might be a ‘hour meter’ or a PLC counter instruction.
59. 59
How Can Work Orders Benefit My Company?
Meters are simply values with a unit you may
define. A meter may have up to six value/units.
Meters may be manually updated or automatically
updated by OPC Compliant data sources. Imagine
having your equipment tell you when it needs
service.
Here’s a common meter example: “Change motor oil every 6 months
or 6000 miles”. The meter may be named: ‘Oil Change’; the
value/units could be 6 months and 6000 miles.
60. 60
How Can Work Orders Benefit My Company?
Link needed parts to work order templates. When
work order is created part(s) are automatically used
from inventory.

On the Output side:
Reports contain info such as needed parts and their prospective locations.
Average time to complete task based upon historical data helps to budget time properly
Use historical data to improve
MaintSmart’s equipment tree displays the user-defined equipment hierarchy. This is a functional tree view used for quickly creating work orders and exploring past fixes for various situations.
MaintSmart may be installed as a client server application. MaintSmart Enterprise 3 also has a web-enabled work request/order interface.
Create your own user groups and assign user names and passwords to limit accessibility for various users.
With a software based system your entire maintenance program may be backed up and placed in safe storage. MaintSmart has built in backup and import capability. Any data set may be exported to excel too.
Countless filterable reports are available. MaintSmart uses Crystal Reports 8.5 but also reports to Excel. Any data set may be saved as Excel, HTML or text. Data ranges may be dragged and dropped from analysis grids.
Send any report by email, print or fax directly from MaintSmart.. Save these reports as Excel, MS Word, Adobe, text and many other formats.
Work orders are typically one or more sheets of paper per job. You may define Priority, Type and Status fields. There are 8 different work order formats to choose from.
Manually create work orders or set MaintSmart to automatically create work orders based upon equipment requirements.
Manually create work orders or set MaintSmart to automatically create work orders based upon equipment requirements.
Work orders may be assigned and performed in-house or use work order to describe and contractor work.
Unlimited space for detailed instructions or safety instructions.
Use the ‘Set Defaults’ feature and MaintSmart populates the fields you designate automatically.
Composite work orders contain one or more existing work orders. This is particularly useful for projects.
Work order templates are simply copies of existing work orders that may be used to create new duplicate work orders. These are useful for repetitive tasks.
This is a more advanced feature that may be used if needed and provides a way for MaintSmart to trigger work off of calendar or non-calendar based units such as equipment demand.
This is an optional section that may be useful if you decide to automate some or all of your work orders.
Meters are simply units of something.
Examples of meters: odometer in your car, days, counts, units produced, hour meter on a machine.
Meters may obtain their updated readings from manual input, from an Excel spreadsheet or through a OPC compliant network.
Parts linked to work order templates are automatically used when a work order is created from the template. Of course you may deactivate this automatic usage at any time without breaking these links.
PMs are similar to work order per se but are typically in a list format, are calendar-based and are repetitive. PMs automatically recycle and archive themselves automatically.
This is an example of a PM list. There are 6 different PM list formats to choose from.
Grid filters may be created to aid inexperienced user in obtaining the grid view they need. For example Bob can come in Monday morning click his menu item and print his PMs for the week.
Add detail data to PMs just like work orders. Multi-select PMs and apply details to all of them at once.
Determine average time between failures by failure cause on a particular equipment item. With this data in hand you can assign preventive tasks to avoid this problem in the future.
Use reliability analysis to determine if maintenance program is performing as expected. Adjust easily form this screen as needed.
Move tasks and/or entire equipment assignments with simple drag and drop.
Permissions for purchasing are extensive and flexible. This makes it possible for all MaintSmart users to have a roll in the purchasing process where applicable. Six levels of purchase approval are available as well as signature count requirements for these levels.
Create unlimited user groups that (for example) : can create requisitions but cannot change an existing requisition, can approve a purchase requisition but cannot obtain a PO number. Separate those users that can create a PO from those that receive items into inventory.
Create quotes (with proper permissions) then convert part or all of quote into a purchase requisition..
Create purchase requisitions then create an RFQ from requisition and email directly from MaintSmart to vendor. You can even attach Excel and or web page file to email with item list for quotation - automatically.
Approver(s) approves requisition items.
Approver(s) approves requisition items.
All inventory is managed from the purchasing, receiving and parts usage screen. No need to ever adjust raw inventory table except when using MaintSmart “Physical Inventory Audit” feature. Notice notification of below minimum stock level on selected part.
Create a P.O. add parts to P.O. receive or partial receive parts, use the parts. MaintSmart adjusts inventory accordingly. You can even un-use parts with one button-click then send them back to vendor if needed.
There are many inventory reports available to help you maintain proper stock levels and identify, why, where and by who parts are being used.
All costs are linked back to equipment item. These include maintenance labor, opportunity cost and parts.
