As an Executive Secretary:
 Directly reported to the General Manager (GM).
 Providing administrative and secretarial support to GM and senior management executives.
 Deals with the top management incoming mail, including assessing its priority, collating it with relevant
background information and presenting it in logical and orderly manner, then allocate, where necessary.
 Drafts responses straightforward correspondences, and deal with it to minimize the volume of direct
responses required from the top management.
 Prepares correspondence, memorandums and reports.
 Deals with GM and other superiors outgoing correspondences, ensuring its accuracy and timely production
and dispatch.
 Manages the GM’s and other top management diaries, to ensure that they are able to fulfill their
commitments in accordance with their agreed priorities.
 Ensures the accurate and timely production of all reports and papers generated by the GM and other top
management. This will of course involve drafting papers.
 Organizes meetings, receiving visitors to the GM and other top management.
 Produces noted of the GM meetings and ensuring follow-up action is carried out.
 Organizes travel arrangement such as applying visa’s and hotel reservations as necessary for the GM inside
and outside UAE.
 Responsibility for checking and reporting when office supplies are needed.

 In-charge of Document Control Procedure including projects Technical and Commercial documents such as

 Control project documentation as per company’s procedures.
 Compiling various reports for management, conducting projects and assignments.
 Maintaining files and issuing EXCELLENT in correspondence/business letter.
 Compiles and maintains control records and related files. Ensure updated and correct logging on the system
for easy retrieval (Manual or Electronic).
 Posts all the correspondences, submittals and important documents to computerize or manual records,
releases documents and notifies affected departments.

 Develop and maintain systematic register and accessible filing for easy access and reference.
 Ensuring accuracy of documentation.
 Tracking all the outstanding documents such as LPO. Material Requisition Order, Submittals, Correspondence
(open issues), Job Site Memos, rejected submittals, NCR’s, Progress Payments and etc. Maintaining the files
for outgoing and incoming documents.
 Ensuring confidentiality of all important documents such as locking cabinets or shredding certain documents
after creating electronic copies.
 Making sure that controlled copies of latest approved documents are given to the appropriate staff.
 Maintaining the documents and drawings in the DC Office is under safe custody without any damage or
deterioration with easy traceability.
 Maintaining the files and control logs as required by the project.
 Coordinate with the entire concern department for project status, project deadlines and some other
important matter for the projects.
 Assisting tender department in tendering stage. Such as preparation of inquiry to the suppliers, preparation of
attachments such as BOQ, Drawings, Specifications, etc., follow-up their quotation, finalizing the BOQ
computation, preparation of the Technical Submittals requirements.
As Procurement/Purchasing Officer:
 Prepare purchase orders and send copies to suppliers and to departments originating requests.
 Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
 Respond customer and supplier inquiries about order status, changes or cancellations.
 Perform buying duties when necessary.
 Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries,
and other problems.
 Review requisition orders in order to verify accuracy, terminology and specifications.
 Prepare, maintain and review purchasing files, reports and price lists.
 Compare prices, specifications, and delivery dates in order to determine the best bid among potential
suppliers.
