Content Registration - Crossref LIVE Turkey

  1. Thank you so much for joining us today, for this special seminar in collaboration with the Turkish Libraries Association.  My name is Vanessa Fairhurst and I am International Community Outreach Manager, I work alongside Rachael Lammey, Head of Community Outreach at Crossref.  Together we work on Crossref’s international outreach activities including coordinating our educational LIVE events, such as this one, both online and in person, the Crossref sponsor programme, ambassador programme, webinars and more. We talk more about our outreach activities and how you get more involved with Crossref towards the end of today’s session.

  3. Registering content to let the world know it exists.
  4. Your prefix is used to create a unique digit object identifier , or DOI, for each content item. A DOI is composed of 3 sections. The red part is the resolver address. Each DOI is an identifier but also an actionable link, which means it is resolvable in a browser. The blue is the prefix, which is assigned to each member when they join, in the format 10.xxxxx. In some journals you may see DOIs with prefixes that only have 4 digits. Original prefixes started with 4 digits, but have been 5 digits since 2012. Some members have one publication, some have multiple. One prefix may be used to register all of your content, even you publish different types of content (books and journals for example) The yellow is the suffix which is the part of the DOI assigned by the publisher and is unique to each content item. Each member has a unique publishing schedule, which could be weekly, monthly, or even yearly. DOIs can be registered at any time.
  5. We receive many questions from new members about creating a suffix for their DOIs.  A DOI is an opaque identifier, meaning the DOI itself doesn’t necessarily have any meaning, so there isn’t a prescribed formula you need to follow. Our best advice is that your DOI suffixes should be consistent, simple, and short.  Consistent and simple for easy management- you should establish a suffix pattern that’s easy to maintain. Short so that they don't take up too much space when used in citations. A DOI suffix doesn’t need to state anything about the item it is identifying, that’s all done within the metadata you register with us. When creating your suffix you may use the letters a-z; the numbers 0-9, and certain characters, such as hyphens or parentheses. Some members use use the ISSN or the volume and issue numbers, others use the title abbreviation.
  6. New display guidelines went into effect in 2017. It’s very important that all members follow these guidelines for consistency and usability. Crossref DOIs should be displayed in the full URL wherever the bibliographic information about the content is displayed. https is the secure protocol, but you may see older DOIs with the older format dx.doi.org. Members are not obligated to change the format of existing DOIs but new DOIs should have the updated version.
  7. Once your content is registered with Crossref, users will be able to retrieve identifiers and create links using them. Crossref DOIs must resolve to either the full text, if you provide open access, or to a landing page that you maintain. The landing page must contain the full bibliographic citation of the article, the DOI displayed as URL, and instructions on how to access the full text. This may be through a login or subscription, for example. Access to the full text is controlled by the publisher but the landing page must be available to all readers.
  8. We currently support deposits for the following types of content: Journals and journal articles Books and book chapters Conference proceedings and papers Reports / working papers Dissertations Standards Posted content (preprints) Datasets Components (supplemental materials) Peer reviews You may register other types of content that don’t fit into these categories. We’ll collect some basic metadata (usually as a dataset) We’re hoping to provide support for additional content types in the future.
  9. When you register your content, you send us the basic citation metadata for every item you register. This includes titles, authors, publication dates, issue numbers, ISSN, ISBN - anything that describes the content you’re registering. We have minimal requirements because we need to support a variety of publication practices. We ask that you send us as much metadata as possible, and that it be accurate and clean – the more comprehensive your metadata is, the more likely your content will be discovered and disseminated.
  10. We also collect non-bibliographic data about the items being registered. This can include reference lists, funding data, ORCIDs, license data, clinical trial information, abstracts, and data about relationships between items. Information on errata, retractions, updates and more can be registered through our Crossmark service. We’re always adding more metadata options.
  11. There are several different tools available to register your content. Upload XML file (https://doi.crossref.org) The manual web deposit form (https://apps.crossref.org/webdeposit) OJS Crossref plugin The new Metadata Manager 
  12. All the metadata that comes to our system is ultimately in XML format. Crossref has its own metadata schema for deposits. A schema is a set of rules defining what can be included and in what format. Our schema is fairly rigid but comprehensive. Some members register their content by creating their own XML using our schema and upload the file to our system.
  13. Not all members are able to generate their own XML, so we have alternative options. we have a manual- entry form, the web deposit form. the form is very basic: you enter your data field by field, and it writes and submits XML for processing. You may use this form for journal and book content, conference proceedings, and reports. You don’t need to know XML to use the form.
  14. Many of our members publish their journal using the OJS platform. OJS also has a plug-in that has been built in collaboration with Crossref to help members register their content with us. This is the page in OJS that contains the plug-in settings. When setting up your OJS plug-in it’s very important that you put in the name and email of someone at your organization who is responsible for looking after Crossref deposits, as information on whether the DOIs were deposited successfully (or not) will be sent to this person and they can follow up if needed. The User Name and Password field are from Crossref; these are the same ones provided in your welcome email from our member team. If you don’t know your login and want to set up your OJS system to deposit to Crossref then let us know and we can send you that information.
  15. Once your metadata is submitted you’ll receive an email that states it has been received and a message that states if the deposit was successful or if it failed. If your deposit is processed successfully, you’re done, your metadata record is in our massive database and you can start displaying your DOI and linking you content. If your deposit fails, you will need to review your logs and correct the errors that are listed on the email - we will talk more about how to do this shortly.
  16. We have developed a new tool for content registration - Metadata manager is now available to use, simply go to https://www.crossref.org/metadatamanager/ and log in using the same username and password that you’ve previously used to login to our web deposit form or admin system. This is your workspace is where you’ll hold your list of publications. The first time you login, it’ll be blank (until you add your publications). As you add the publications you want to manage into Metadata Manager, they’ll start collecting on this screen. You can add new publications and edit existing publications you have previously submitted to our system from your workspace. You can also click into each publication and add or edit articles against them. 1 The home button You can always get back to the full view of all your journals by clicking the “Home” button. 2 Deposit history You’ll be able to see your previous deposits made via Metadata Manager in this section (excludes deposits via other routes such as HTTPS Post, web deposit form, etc.). 3 To deposit Here you’ll see the items you’ve filled in but not yet deposited with us. The number next to “To deposit” shows how many records are awaiting deposit. 4 Your username This area shows the username you’ve logged in with. You can access account functions, log out and view a tutorial of Metadata Manager, by clicking on the downward arrow. 5 Search publication This search bar allows you to find and add journals to your workspace. You can search based on title name or DOI. 6 New publication This section allows you to create a new journal and add it to your workspace. There is a step-by-step guide available at https://www.crossref.org/help/metadata-manager/ and we’re also doing regular webinar walk throughs.
  17. After you log in, you’ll immediately see a view of all the journals in your workspace. If a journal belonging to your organization is not displayed, you can add it if you have previously registered metadata about the publication with us before. You do this by inputting the title or DOI into the search bar and then clicking Add. Once you have added titles to your workspace, you can always update the title record by hovering your mouse over the journal title and selecting Edit, which will take you to the Edit journal record screen.
  18. If the article is part of a new volume and/or issue, click on the Add record button and select New volume/issue. Complete the fields in the volume/issue form. The volume/issue now appears in your journal Record List. Click the Add article button that appears on the right-hand side of that row.
  19. In the article form, provide Contributor, Funding, License, References, and additional metadata by clicking on the respective sections down the page to unfold them. (Fields are optional, unless marked with a blue flag and asterisk, but we recommend you register as much metadata as possible. Add to your deposit, save or review the record at any time by selecting those options from the Continue button at the top-right of the screen (click Continue and select Add to deposit, Save or Review). Currently this can be used to deposit only journal articles. Additional content types will be added in future versions. This tool supports our Content Registration service by offering a simpler, more flexible way to register and update metadata, much easier than prev. web form. You’ll see the kind of fields you’d probably expect to find in Crossref metadata.
  20. It also saves journal-level information so you don’t have to re-enter it. You can also enter metadata in all of these fields, including references in one go!
  21. Once you click Deposit, we immediately process the deposit and display the results for accepted and rejected deposits. All deposit records accepted by the system have a live DOI. All deposit results are archived and available for reference on the Deposit History tab, located on the top menu bar.
  22. You can register articles from multiple issues in one go, or just a single article the article editing form validates the metadata you enter to prevent problems when you submit the article for registration To re-cap - takes all your metadata in one go, including references, funding, and Crossmark data - processes your deposits immediately—in real time. no more queue. - See a history of previous deposits
  23. it’s important that our metadata be accurate - accurate: the information needs to be the right information, misspelled author names or bad license URLs or bad DOI URLs do horrible things to our ecosystem. ‘complete and ‘current’ metadata are things we need to focus on at Crossref as well, we want to make it easy for you to update your metadata, keep track of updates, and we need to collect or refine new metadata as we evolve. Next Rachael is going to talk to you about how to update your metadata to make corrections or to add information.
