Project – 1: Internal Job Posting and Recruitment Module :
Overview :
- Started from scratch the whole process and did achieve it completing in 30 days.
- Did explore the configurations that can be achieved in the system to make the process simpler
and better.
- Was able to achieve all the requirements that were requested by the stakeholders for IJP.
- Did handle all the below 6 processes :
1) Data Configuration in the system.
2) Permission roles for recruiters and Hiring Manager.
3) Demo to all the recruiters throughout the org.
4) Email configuration in the system.
5) Workflow configuration.
6) Testing the whole process.
- Offer roll out and acceptance of offer letter through system was achievable.
- The data connectivity between GFDT data and Job Information were achieved and there was
dependency on 1 to 1 data.
- Worked with Reporting team to prepare the reports to capture :
1) Requisition Overview and
2) Applicant status report.
- After Live there was complete org data change which was achievable with minimal configuration
changes without affecting the ongoing process or existing data.
Impact :
- 200+ Requisitions were created by Hiring Managers.
- 75+ positions were closed.
- The offer letter with acceptance and rejection for to and fro communication between employee
and recruiter was achievable in the system which led to use one single source of tool for offer
rollout rather than emails.
- Automate the process on permission for recruiter. Any new recruiter recruited in system would
get permission of recruiter by default.
- 2 Step process with Hiring Manager raising the requisition and Recruiter approving the
requisition led to easy and simpler process with very minimal inputs to be provided by Hiring
Manager when creating the requisition.
- The data accuracy for the requisitions were 100% accurate as there was dependency between
each GFDT data and Job Information data.
- Configuration checkup and inputs for SF recruitment vs Greenhouse.
- Did receive 2 awards :
1) Bravo award from Peeyush Ranjan.
2) Bravo award from Paresh for providing dedicated support to ensure project success.
Project – 2 : Learning Management System :
Overview :
- Learning management system was transitioned to me in the month of march and the project
went live in the month of april.
- Completed the project in 45 days with all the requirements achievable in the system.
- Employee enroll online courses on SF and the managers approve employee’s enrolment for a
course on SF wherever applicable.
- The attendance tracker for all the courses the employee register and completes the course
happens in the tool.
- The survey based on the different templates was achieved in the system and is in 2nd
iteration of
go-live process.
- Deep linking for all the courses were achieved so that it can be tagged and used
- Configuration of the functionality end to end.
- Roles based permission for entire org.
- User guides were created for admin controls to stakeholders.
- Training to all the instructors on how the tool works and their role in the tool.
- Testing end to end of the LMS tool.
- Maintenance of the project after live.
- Data connectivity between different modules.
- Reports configuration to capture all the registration information and course information.
Impact :
- The Success Factors (SF) LMS module is live and is used by L&D team to publish monthly learning
calendar for all full time employees at Flipkart.
- ~ 80 Instructor led courses have been live in the system.
- 2000+ registrations for the courses were done in the system.
- Less time to register for the course and there in no manual input provided by employee such as
filling up of information in google spreadsheet to register.
- After go live there was less than 10 tickets till now.
- 3 months learning calendar has been published in SF.
- First point of contact for any high level issues and did resolve within 1 day SLA time.
- If no direct solution was able to achieve did explore and provided alternate solutions.
- Did Receive Bravo Award for completing and going live on time.
- The number of registrations were increased substantially when the registration process was
moved from Google spreadsheet to SF LMS.
- The registration increased from 550 registrations to approximately 900 registration per month
which is close to 10% of the FTE headcount.
- The Managers can recommend and register on behalf of their subordinates in the LMS system.
Project - 3 : Holiday Calendar in SF :
Overview :
- The state wise holidays published was configured in the leave management system of SF for
each state with guaranteed holidays and optional holidays.
- Automation to synch both Optional Holiday and Guaranteed Holiday with google calendar in a
single click.
- This request from Paresh Redkar was achieved in the system and all the employees were able to
see holidays for year 2016 in respective google calendar.
Impact :
- This was published to all the employee and got good responses for creating and tracking
holidays in google calendars.
- The calendar showed alert messages to employees incase if they are sending any meeting
invites on non working day.
Project – 4 : ESOP data in SF :
Overview :
- New MDF portlet was created to capture Stock History.
- Managers can view Stock history data of their sub-ordinates in SF.
- HRBP were able to track and view the stock history for the employees to whom they were
tagged.
- New revised employee Stock data upload every month received from Rewards team.
- Created permission controls such that it was visible only for managers and HRBP.
- With one iteration all the data were uploaded and live in the system.
Impact :
- Earlier their was no median to view subordinates history data for Managers and HRBP. Creation
of this made impact to have informed decisions on employee rewards matter.
- One Place holder to view all rewards related information in SF and this was one of the projects
which was done successfully and live in the system to all FTE in SF.
Project – 5 : Compensation Module and Variable Pay (In Progress) :
Overview :
- Automate the process to capture employee central data in comp sheet.
- Single worksheet to capture both compensation and stock calculation.
- Created different MDF to view employee compensation history at one place.
- The Performance cycle rating Jan-June 2016 to be populated in compensation sheet directly
from PMS module.
- Variable Pay is the new module in SF going to be live for the first time.
- All the grid values configured in the system so that the bonus payout gets calculated as per the
philosophy.
Impact :
- Playing the role of project management, testing and configuration setup in the system.
- Remove of all the lookup tables to make the system run faster and reliable.
Project – 6 : Bank Details in SF :
Overview :
- Created portlet in personal information to view bank details with other personal information at
one place.
- All the on roll employees enter bank details information at their induction program.
- All the employee bank details upload and changes to the rules or iterations are maintained by
me in the system
Impact :
- The bank details portlet acts as input for the payroll team to process the payment.
- Connected with analytics team to capture the bank details information and there is scheduled
reports sent to payroll team to capture the correct bank details after employee make changes to
bank details.
- It is employee self service and there is no dependency for employee to raise a ticket or connect
with payroll team to make the changes.
- Rules are written based on the bank to minimize the error the employee faces while filling the
details.
- Auto capture of Branch name based on the IFSC code has been automated in the system.
Project 7 : PMS January – June 2015
Overview :
- Launch the PMS module for the entire organization with the enhanced feature like :
1) Calibration Module and
2) Promotion section
- HRBP plays a great role and visibility in one tool to perform end to end action on PMS in the SF
tool.
- The changes at bulk and decision making based on the team level , Hierarchy level for HRBP
were made simpler.
- Did prepare the training tool kit and did demo to all the HRBP across org to know the system
functionality
Impact :
- The Performance management system was successfully launched for more than 6000
employees.
- Complete PMS process end to end process happened in the system which removed the efforts
of maintaining other tools like excel to maintain records for calibration and promotion re-
designation cases.
- Thorough testing of the system resulted in minimum issues post go-live. Critical calls in terms of
prioritising issues in terms of the impact during testing resulted in timely go-live of the system
- The PMS launch was much smoother and without glitches compared to other cycles.
Project 8 : PMS July – December 2015 and Support after launch
Overview :
- The philosophy was same with the previous cycle with addition to development feedback form.
- Developmental feedback was incorporated for the first time. We were able to go live on the tool
in the short duration
- Lot of effort went in data cleanup resulting in a smooth launch and positive employee
experience.
- Trained new HRBP with the calibration process setup.
Impact :
- Complete thorough testing was done for all the forms with zero technical issues in the tool post
PMS Live.
- Resolved all the queries within 1 working day of the issues.
- Made sure HRBP do not face challenges during the whole process of PMS July – December 2015
and was available on working and non- working hours and days.
- Did received appreciation for making the whole PMS process complete smoothly.
- Did receive Hi5 award for closing tickets on PMS queries within SLA time.
Project 9 : OKR in SF
Overview :
- The Goals module was used for OKR’s Module.
- The Module allowed to enable to set qualitative objectives and quantitative key results.
- The configuration was made to enter the target and actual for the key results.
- The product had a feature to set priority for OKRs (low, medium and high).
- Both cascading and linking of OKRs were possible across organisation. This showed
dependencies clearly
- Scoring the OKRs was possible: The scale provided was between 0.0 and 1.0, with 0.0 meaning
no progress, and 1.0 means key results fully achieved
- The product allowed linking of OKRs to performance management module for evaluation
- Configured the system tested.
Impact :
- There were additional feature requirements like project allocation and resource utilisation
which were not placed before OKR implementation on SF
- There was one critical issue which we found out which was blocker bug and did connect with
SAP engineers to do workaround on the issue but then later it was decided not to go live
without that feature as it is standard functionality.
Project 10 : Leave configuration in SF
Overview :
- As per the policy the configurations were done for the following :
1) Paternity Leave
2) Compensation Off
3) Marriage Leave
4) Maternity Leave
5) Adoption Leave and
6) Career break (in progress 2 iteration completed)
- All the rules were set for the above leave types and made restriction as per the policy
- For contractors the leaves were configured and uploaded for :
1) Annual and
2) Optional holidays
Impact :
- Went live to complete org and approximately number of people have utilized are as follows :
1) Paternity Leave – 5 Employees
2) Maternity Leave – 35+ Employees
- For contractors and FTE’s the automatic process of accrual run has been configured in the
system and as per policy the number of leaves credited without any manual intervention.
Project 11 : Single Sign On (In Progress)
Overview :
- The configuration to integrate SF with OneLogin.
- Connect with Arun from PWC , Sham from OneLogin and Thulasi(Flipkart) to setup the
configuration enabled in Testing instance.
- Test the configuration in development instance.
- Test the deeplinking option in SF and configuration connect with Jam (SF) to make the system
work hassle free.
Impact :
- The configuration has been moved to production instance and waiting for PMS to complete to
go live with SSO.
Miscellaneous :
Overview :
- Portlet in the homepage of SF for all employees to view Policies.
- Have been handling tickets for all the modules in SF and incase if the issue is not known went
back to check on the community portal to explore the options and get it fixed.
- Trained Subas , Raghav and Srinigam on SF tool on all the modules that are currently live in the
system.
- Any Lvl 2 escalations i.e if all 3 cannot handle those tickets then they were re-directed to me to
find and provide solution that have less impact on employee experience.
- Production Support ticket handling with SAP team to fix the issues.
- Whenever there is a backup needed in Sateesh Absence for the challenges that come our way.
- Handling 3 roles at a time - Configurations on SF , End to End Testing and high level Production
Support
- Throughout my career in Flipkart have been handling more than one project at a time and good
at multi tasking at same time.
