2. Special Events
Multiple major events, outside of sport
competitions, are often planned each year by an
athletic program.
These events are often delegated to members
of the athletic department, and can require
assistance from coaches and student-athletes.
Planning for these events typically begins
months before the actual event.
Everyone including athletic administrators,
coaches, and student-athletes are expected to
fulfill certain leadership roles.
To better understand what is required to host
special events, the following slides break down
the preparation behind National Girls and
Women in Sports Day (NGWSD), an annual event
hosted by Rider Athletics.
3. NGWSD
NATIONAL GIRLS AND WOMEN IN SPORTS DAY -
SUNDAY, FEBRUARY 20, 2020
This event is based around a national observance held annually
each February to celebrate the extraordinary achievements of
women and girls in sports.
Who is involved?
Event Coordinators: athletic administrators such as the senior
associate AD and assistant AD for marketing & fan engagement.
Volunteers: about 200 female student-athletes and coaches
from a variety of Rider's Women's teams.
Support staff: school photographer, sports media interns,
Student Recreation Center staff, etc.
Participants: about 250 girls ages 5-17, as well as their
parents/guardians
4. Checklist
Tasks to be completed:
Reserve Student Recreation Center for clinic date/time
“Save the date” graphic created to send out to all past participants, season ticket holders, those who’ve bought
tickets to women’s basketball games online, local youth group contacts, schools, alumni, etc.
January meeting with women’s coaches to ensure they are up to speed with all the information for the day and
know what is expected of their team for the all-sports clinic and the women’s basketball game
Post story on the athletics website along with a series of social media graphics starting in January
Buy candy for student-athletes to hand out during the women’s basketball game
Create graphics & game scripts for the women’s basketball game and make signage for each sport
Create script/directions for emcee
Meeting with internal staff to:
Order/plan breakfast and pick up any items/discuss with catering
Discuss day-of responsibilities such as who will work clinic check for participants, who will hand out ticket flyers to
parents upon check-in, who will work the ticket booth window where vouchers are redeemed, and determine
who will be the emcee

Medical release & emergency contact forms signed by parents/guardians for all participants
Hand out autograph posters & markers
Hand out ticket flyers to parents
Set up breakfast for student-athletes
Put up signage & organize SRC for specific sport stations
Student-athletes and coaches will be responsible for conducting their clinic station & ensuring participants
transition from one station to the next
Review event with staff and consider changes/improvements for the following year

10:00 a.m.
Check-in and registrations for participants begins in SRC lobby.
10:30 a.m. - 12:30 a.m.
All-Sports Clinic with all other Rider sports teams and
coaches (SRC courts & lobby)
All-Sports Clinic will consist of stations planned and run by
the student-athletes of every women’s sports team,
except basketball
12:30 p.m. - 12:45 p.m.
Autograph Session with All-Sports Clinic student-athletes
1:00 p.m.
Women’s Basketball Game vs. Iona
Free admission for all participants
