directional signages. Necessary defined access should be provided leading to performance area. Internal 3ft barricading restricting the VVIP area, VIP area, Tourist and Kitist area shall be provided.
Movement plan has to be indicated. Reshuffling of the arrangement with respect to schedule and contents of event/program shall be arranged without any extra cost. Mode of Measurement:‐ Total
quantity of sofa and chairs placed shall be recorded. Raised wooden platform shall not be measured separately.2a. Sofa set (1seater/2 seater/3 seater) for VVIP & VIPs (On Wooden Platform) ‐(For
Entire event day)

International Kite Festival 2020 - P01 (07/01/2020 to 14/01/2020)
STRUCTURE:‐ Inaugural and Performance Stage: Main stage to be made for suitable participants to perform for Inauguration function and others programmer , with varying height (7' to 9' lev el) so as to
give optimum visibility to viewers designed by designer in consultation with Art Director and Choreographer. The agency shall construct a designed backdrop cum screen as per the requirements of Art
Director with required framing in steel/wooden section with structurally sound framework at the back for entire event. The stage should be certified by competent Structural Engineer and Approved from
R&B Dept. There should be double level of plywood as per R&B and TCGL/PMC instruction. Creation of necessary ambience and black masking is a part of scope of work. The wooden stage/deck to carry
500 kg per Sq.Mt. load with Steel H frames, Adjustable props or cup lock scaffolding only with suitable steel supports and stepped floor with 19 mm thick Fire Retardant Plywood sheets, sides shall also
be covered with 8 mm thick fire retardant plywood including two coats of Fire Retardant paint. The supporting steel scaffolding to be provided with base‐plates and diagonal bracings in both directions.
Ensure minimum size of 40NB dia pipe B class for any steel supports and 150*150mm the base plate 8/10mm thick for all supports. Ensure proper strengthening & stability of lightning trusses and
other element kept for ambience as directed by Art Director & Choreographer. Lightning trusses are to be erected from existing ground with sufficient anchorage. Preparing Steps/Stairs/Ramps with
proper dimension for all different levels is part of scope of work. The final dance floor has to be covered with evenly laid smooth ply‐board over battens. Aesthetic railing and a ramp for Governor shall be
provided. Provision for seating arrangements on stage will be required for VVIPs as directed by TCGL is part of scope of work. Provision of console arrangement on stage as per the requirement of TCGL is
also the part of scope of work. All joints between sheets to be filled by self‐adhesive cloth tape. The colour synthetic carpet to be laid on plywood with necessary flower arrangements as approved by
TCGL/Youth and Cultural Dept, TCGL and Art Director. Suitable seating arrangements & CCTV Cameras having control in TCGL admin/police lounge. Office/near TCGL office to be provided for inauguration
and other day as per requirements laid down by TCGL. It is part of scope. Erection of Media stage (covering main stage, kite festival ground and whereever required in venue)/Platfrom is a part of
scope of work. Providing Presentation Stage/Dias arrangements as per the requirements of committee members with executive chairs, sofa, presentation desk, podium, plasma TV and Back drop
arrangements. Provision of Tower A.C for VVIP's if require on Inauguration day. Providing necessary floral and theme decoration, banners, carpets on floors. Ensure structural soundness of entire
structure. If any modification alteration/addition on site is required same shall be made immediately without any extra charges to complete the job as directed by the Visualizer, Art Director and TCGL.
The structure of stage should be ready by before 3 days for practice and shall be ready for Grand Rehearsal by as direction of TCGL. Ensure structural soundness of entire structure. The stage should be
certified by competent Structural Engineer. Creation of necessary ambience is a part of scope of work. Seating arrangement on stage should be done as per requirement of TCGL. Reshuffling of sitting
arrangement with schedule and crowd of the event/program shall be arranged without any extra cost. Movement plan shall be provided. Seating arrangements, Ambience with Elevated platforms for
photography and other related activities shall be constructed using steel support system and should have proper leveling and steps for access. Necessary works are part of scope of works. The scope also
includes developments and Provision of VVIP seating stages for sehnai near gates with carpet, steps and necessary ambience or any such similar arrangement is part of scope of works. All wiring should
be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing. Mode of measurement: Built up area (Out to Out dimension of Main stage) in plan shall be
measured of structure. Internal or External Ramps and Steps/stairs shall not be measured seperately. Total sofa, chairs and stage for VVIP seating shall not be paid separately. Backdrop screen on stage
shall not be measured separately. Electrical applicance like lights, 5/15Amp pulg points, fans, AC, etc will not be measured seperately and it part of scope of work. The stage shall be maintained for entire
event days.

3 V.V.I.P Lounge (AC) with pantry and facade Theme ‐ as per theme approved by TCGL (to be planned with two sections/ Partition in between) & One attached Toilet :P/E braced and tied Aluminium
Structure Hanger (German Hanger) Water Proof Dome/M.S. Steel structure with outer face covered with white / coloured cloth/approved facade, Roof covered with coloured waterproof and fire
retardant fabric / good quality PVC Fabric cover (SRF), ceiling with white fabrics. The structure shall be made with box type wall (Min.230mm thick) of 8 mm thick Fire Retardant Plywood in framing of
wooden batten/steel sections including two coats of fire retardant paint on False ceiling, internal and external walls. Water proof Roofing shall be of SRF, G.I. sheets, Meta Colour or CRIL sheets or
equivalent with suitably braced and tied steel structure supported on truss and purlins, with upto 300 mm raised platform using 19mm thick Fire retardant plywood covered with woolen carpet as
approved. Providing ante‐room, pantry, false ceiling made up of Gypsum Board/POP/ aluminum , necessary furniture, wall pictures, counter in pantry, planters etc. complete. Agency need to provide
front facade as a pert of scope of work. False ceiling made of cloth or flex will not be allowed. Providing Porch with carpet and wooden platfrom, Stairs, ramps, railing and other related is part of scope of
work. Appropriate approved paint shall be applied on false ceiling and internal and external walls as per concept. Lounge to be provided with porch. Decorative theme has to be generated on outer
facades as approved by Consultant/Committee/TCGL. Necessary partitions should be carried out for making suitable arrangements for Dinning space with necessary furniture as per direction of TCGL.
Necessary minimum 20 nos. electrical points (5/15A plug points), wall fan/ ceiling fan/ padestral fan/ exhaust fan as per requirement, General lighting (using Tubelights/PAR
lights/Metal/Halogen/CFL/LED lights, etc.) for inside dome and for fascade should be provided is a part of scope of work. The lights should be enough upto the satisfaction of TCGL/PMC and if required
extra lighting shall be done without any extra cost. Providing general lighting, fans, A.C. with required wiring, fitting and fixtures is part of scope. Providing general lighting, fans, A.C. with required wiring,

fixtures. VVIP Lounge & Construction of toilet blocks shall be commissioned by before one day of event opening. All materials to be fire‐retardant material. Necessary documentation
evidence/certificates are to be provided by agency. The scope shall cover decorative lighting, plug points, telephone lines, CCTV, decoratives items. Cameras having control in TCGL admin.
Office/near TCGL office & computers and air conditioning. Front facade with 8 mm thick ply fixed on wooden/steel frame work and painting etc. complete. The entire area shall be air‐conditioned and
temperature shall be maintained between 23 to 26 degree Celsius with equally distributed in entire area. Agency need to provide Kitchen area with proper water proof materail setup strucuture is a part
of scope of work. Mode of measurement: Built up area (Out to Out dimension of walls) in plan shall be measured of structure. Outside porch and external passage shall not be measured.‐ Other
electrical equipments and material like general lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.)(5/15 A plug points) etc), fans, AC, ELCB, MCB, wiring etc and related electrical
items shall not be measured seperately. (Note: Agency need to provide only Aluminium Hanger. The agency will not use structure of other material like M.S.Steel without written permission from
TCGL. Even after approval, the Hanger prepared using M.S. Steel structure rates shall be considered 70% of quoted rate).
200 Sq.Mt.
4 Food stalls(Traditional Design) with separate washing & Sitting facilities: P/E Group of food stalls as per requirement at two‐three different locations as per approved layout of about approx. 1080
Sq.Mt. with necessary infrastructure. Approx size of each food stall shall be 9 Mt. x 6 Mt including 3 mtr. x 3 mtr. cooking area which is covered by inside and top cover with Tin sheet & outside cloth
barricading as per requried height, as per direction of TCGL/Consultant. All wiring should be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing is part
of scope of work and not measured separately. P/F covered braced and tied steel structure with varying height, Roof covering with waterproof fire retardant material, Ceiling with white/ coloured
fabric/cloth, 100 to 200 mm raised wooden platform using wooden logs and 19 mm fire retardant plywood/ block board including two coats of fire retardant paint. Provision of drinking water, dustbins
and covered washing facilities, proper drainage, and garbage disposal provision. P/F synthetic carpet, Tables as per stall owner requirement, chairs, rack in stall as per stall owner requirement, and
related furnitures internal lighting and fans, Plants, decorative Jhul/material is a prt of scope of work and shall not be measure seperately.. The scope shall also cover separate space for cooking area,
washing area and service entry at 2‐3 different locations.Washing area shall be of minimum 75 Sq.Mt. area at each location with proper water supply and drainage facility. The scope shall also cover to
provide mandatory proper general lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), 2 nos. of fans, minimum 4 nos. of plug (5/15 A) points and 20 A MCB points in each food
stall.Creating sitting arrangement and creating Ambience in open space is part of scope of work. Covered seating arrangements for 1000 Nos. at each Segment/ Location are to be provided with
approved fabric considering seasonal factors. Provision of CCTV Cameras having control in TCGL admin. Internal pathways and barricading(Tin sheet & Cloth barricading) for managing people is part of
scope of work. Fixity of partitions/octonorm panels to be ensured. Ensure fire safety as per applicable norms. Food courts/Service area/wash area shall be commissioned before two day or as per
instruction of TCGL. No separate payment shall be made for creating any supporting services. Provision of semi ‐permanent structure with waterproof covered roof, provision of minimum 20 stainless
steel taps with sufficiently designed water supply and drainage system for wash area at each location. Mode of measurement: measured based on unit No.Tin & cloth barricading of food stalls/Service
area/wash area/sitting area/ for General public shall be part of scope of works and not to be considered separately. Pathways shall be measured and counted in their respective items. If general lighting
(using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), fans, and plug (5/15 A) points More than given numbers in each food stall shall be part of scope of work and shall not be measured
seperately. Note:‐ Food stalls with Traditional facade, separate washing & Sitting facilities should be presented before committee and if any modification sugessed by committee then it should be
incorporated by agency and no any extra payment made for modification.

5 Non A.C. Green Rooms cum Practice hall: P/E braced and tied Aluminium Structure Hanger (German Hanger) Water Proof Dome/M.S. Steel structure with outer face covered with white / coloured
cloth/approved facade, Roof covered with coloured waterproof and fire retardant fabric / good quality PVC Fabric cover (SRF), ceiling with white fabrics with 150 to 300 mm raised wooden platform
using 19mm thick Fire retardant plywood/ block board, necessary braced and tied octonorm cubicles covered from top, synthetic carpet, door curtains, storage racks, chairs, mirrors, etc as per
requirements of choreographer in all rooms/stalls. Provision of rooms/space planning has to be accommodated by the selected Agency.The scope shall cover various lights (using Tubelights/PAR
lights/Metal/Halogen/CFL/LED lights, etc.) for proper internal lighting,Minimum 20 nos. of fans, Minimum 20 nos. of plug points (5/15 A). Providing Porch with carpet and wooden platfrom, Stairs, ramps
railing and other related is part of scope of work. The green room will be utilize as practice room for artists from before ten days of event day. The green rooms shall be provided and converted from
practice room to green room(For Entire Events Days)in a covered /tin barricading space with drinking water facility and adequate, good quality temporary toilet blocks with adequate drainage
arrangement shall be provided for rehearsal and it should be made functional before three days. Agency need to external sides cover with using theme decorative flex with frame of ht. 6ft to 8ft as per
requirment is a part of scope of work. The construction shall ensure proper privacy. All wiring should be in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing. Mode of
measurement: Built up area (Out to Out dimensions of walls) in plan shall be measured of structure. Outside porch and external passage shall not be measured. If fans, plug points (5/15 A), Tube lights/
par lights/ metal/ halogen light installed more than specified numbers will not be meausre seperately. All electrical equipments and material like general lighting (Tube lights, par lights, metal,
halogen,fans, etc), AC, ELCB, MCB, wiring, etc and related electrical items shall not be measure seperately. (Note: Practice hall should be made functional from before 10 days of event and converted to
Non A.C. Green room on before 2‐3 days of event). (Note: Agency need to provide only Aluminium Hanger. The agency will not use structure of other material like M.S.Steel without written
permission from TCGL. Even after approval, the Hanger prepared using M.S. Steel structure rates shall be considered 70% of quoted rate).
100 Sq.Mt.
6s Temporary Toilet blocks (Excluding those attached with VVIP)P/C Toilet blocks (Gents & Ladies) for artists near Green rooms and General public as indicated in conceptual layout. All toilets shall have
a full time attendant/ cleaner for operation & maintenance works. Providing and constructing toilet block in 230mm thick solid masonry wall upto full height with appropriate foundation including good
quality of plaster, painted with good quality paint on external face including approved ceramic tiles for flooring and dado(up to full height), plumbing works with providing P.V.C. tank/firm water supply
with necessary adequate water pressure. Providing roof covered with waterproof and fire retardant fabric / good quality SRF PVC material /Meta colour/CRIL/ or equivalent sheet. Providing
doors to be made of MS/Aluminum section pipe framing with laminated ply panels duly painted or FRP doors with suitable framing. A. Gents (facilities per one block) Urinals ‐ 20 nos. W.C. with Anglo

functional by before one day of event opening. Toilet block near Green Rooms should be operational by before 3 days. All necessary arrangements/maintenance for water supply, drainage and
housekeeping of all Toilets for entire day is part of scope of works. Ensure minimum 4 attendants in each toilet block. Mode of measurement: Mode of measurement shall be unit no. based. If existing
toilets of venue used than payments shall be made accordingly on prorata basis based on works executed for functioning of Toilet blocks. (Note: 1.) It toilet is prepared using Container attach with Air‐
conditioned that toilet block rate shall be considered upto 90% of complete brick masonary block, 2.) If wall of toilet block is made from plywood and flex that toilet block rate shall be considered upto
70% of complete brick masonary toilet block, 3.) As such the PVC modular based toilets will not be preferred and same shall be avaoided but can be install if quality is good and only upon permission from
TCGL/PMC. If toilet is prepared using PVC modular Toilet fixtures that toilet block rate shall be considered upto 60% of complete brick masonary block. The TCGL decision to accept the quality of work
and if required changing type of Toilet shall be final and bonding. ) Other electrical equipments and material like proper lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), 4 Nos of
(5/15 A) plug points, Water pump, exhaust fan, etc. in each toilet block and related electrical items shall not be measured seperately.

b (b)Temporary Chemical Toilets : P & Installing Mobile chemical toilets of size 2.4mx1.2mx1.1m with water tank capacity of 200 litres with wash basins and facility of liquid soaps for Invitees for entire
event. Ensure proper functioning of the toilets during entire event. Mode of measurement: Mode of measurement shall be Unit No. based.(For entire event period)

7 First Aid counter (6 mtr. x 3 mtr. each):‐ P/E braced and tied steel Structural near Green Rooms, Sports and Adventure Pavilion or as per requirements of site. Each structure having area of 6m X 3m with
upto 150mm raised wooden flooring using 19mm thick Fire Retardant Plywood, synthetic carpet, roof covered from top with waterproof material, Partitions shall be made in prefabricated aluminum
sections (ht. up to 2.50 Mts.) with laminated panels with arrangements for doors. Agency need to provide proper manpower with first aid kit during event period is a part of scope of work. Providing
necessary furniture like 2 nos Tables and 4 nos P.V.C. Chairs. 1 no. of rack, Proper internal general lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), 1 no of fans, 2 no of (5/15
Amp) plug points are to be provided in each cabin. All wiring should be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing.Mode of measurement shall

8 Security Cabins (3Mtr. X 3Mtr.): P/E structure near all entries with top covered waterproof SRF materials. Each structure having area of 3m X 3m with 150 mmto300mm raised wooden flooring using
19mm thick Fire Retardant Plywood, synthetic carpet, Partitions shall be made in prefabricated aluminum sections (ht. up to 2.50 Mts.) with laminated panels. Providing necessary furniture like 2 nos
Tables and 4 nos P.V.C. Chairs. Proper internal general lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), 1 no of fans, 2 no of (5/15 Amp) plug points are to be provided in each
cabin. The structures are to be provided after getting the approvals from appropriate departments. All wiring should be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer &
dedicated earthing. The structure should be ready before one day. Mode of measurement shall be Unit No. based. All electrical equipments and material like chairs,tables, general lighting (tube lights, pa
lights, metal, haleogen, electrical points (5/15 A plug points) etc), ELCB, MCB, wiring etc and related electrical items shall not be measure seperately. (For entire event period)

9 General Entries:‐ The General Entry for public to the venue from approved locations with suitable Theme /design/creativity. The locations shall have to be finalized as per the Police Department/ Security
requirements/ TCGL as indicated in conceptual layout. P/F Steel or wooden braced and tied structure with outer face covered with plywood. Structural stability of the structure has to be ensured. The
entry should be decorative depicting Kite Festival Theme and having proper decorative lighting. Providing layouts and display.General PA System, Speakers, Spot lights, series light covering boundary wall
and other lighting as per requirement as well as area lighting should be provided. Suitable provisional arrangements should be considered to place metal detector doors at all gates. Necessary partitions
are to be made for Male and Female section separately as per requirement of Police department. All Gates shall be supported on R.C.C. foundations with required size bolts embedded to be designed by
a competent structural designer or as approved by the Professional advisor. Final elevation shall be approved by TCGL/Committee. Structural stability shall be certified by qualified Structural Engineer.
Ensure proper anchoring of entry gate with ground by suitable method as approved by Professional Advisor/Structural Engineer. Considering all design/seasonal factors. Ensure minimum width of 4.5/5
Mts. and height of 6‐8 Mts. The structure should be ready before three days. Mode of measurement: Mode of measurement shall be unit no. based. Other electrical equipments and material like
general lighting (tube lights, par lights, metal, haleogen, spot light, Series light etc), ELCB, MCB, wiring etc and related electrical items which are part of ambience shall be measure seperately in their
respective item. Series light shall not be considered seperately. (For entire event period)

10 VIP & VVIP Entry: The VIP & VVIP entry to the venue from approved locations with suitable Theme/design/creativity. The locations shall have to be finalized as per the Police Department/TCGL as
indicated in conceptual layout requirements. There will be separate entry for VIP and VVIPs. Steel or Wooden braced and tied structure with outer face covered with plywood. The entry should be
decorative depicting Kite Festival and Tourism Theme and having proper decorative lighting. Suitable provisional arrangements should be made to place metal detector doors at all gates. Necessary

11a Welcome Pillars(Pair) : Welcome pillars of approved decorative theme are to be placed at approved locations i.e. Kalupur Station, Income Tax, Shahibaug, Ushmanpura, Ellise Bridge, Tagor Hall, Nataraj
Circle, Gandhi Ashram, Naheru Birdge, Paladi‐Shefali Cinema, RTO‐ Circle, SG Higaway‐Pakwan, Shivranjani Chaar Rasta, Vijay Chaar Rasta, Law Garder, ISKON Chaar Rasta, Visat Circle, Infocity, CH‐0
Circle & Other Prominent Location in the city covering both the lanes of the road i.e. on both sides and as approved by TCGL/Committee. The box type strucutre of the height of welcome pillars
shall be minimum 4 to 4.5 Mt. & width shall be minimum 1 mtr. x 1 mtr. Provide display banners on star flex and write up on main length in Retro radium vinyl with base on star flex. Providing MS steel

17 Parking area for VVIP/VIP/General and related approaches: For min.500 four wheeler & 2000 two wheeler parking as per requirement of TCGL is to be considered with complete M.S. pipe
barricading/Wooden bamboo barricading for VVIP/VIP/General Public at more one locations in and around the venue. The proper chowk marking on daily basis in concern with TCGL/PMC/Police and
need arrange proper team to prepare parking before two hours to complete marking in entire parking area daily is a part of scope of work. The work will involve site clearance/removal of debris/plants‐
grass cutting, grading, leveling and compacting, sprinkling water, Earth filling, Marking of approved parking plan (lineout) on ground with lime, developing entry and exits for two wheelers and four
wheelers with service staff. Toilets and urinal facilities shall be created for drivers at all locations are part of scope work. Proper parking plan is to be made to ensure total no. of vehicles to be parked as

distribution of water supply carried out to covering all areas. Necessary 6‐8 suitable water supply outlets /hand wash counters shall be installed in the venue especially near Food courts/Handicraft stalls/
Kitist area etc. with complete water supply/drainage system. Agency need to provide proper no. of Water tanks as per requirement and also can create sump with water pump. Mechanical Suction
vehicles for various soak pits/septic tanks (by mechanical means only) manufactured by standard ‐ Nationalised manufacturers and disposal at any lead and lift during the event. The sludge tank capacity
has to be min 4000‐5000 liters and machine to have standard capacity vaccuum pump. The suction machines will be used daily in 2‐3 shifts for cleaning of Drains/Soakpits/Septic tanks at all toilets block,
food court areas, etc. Scope includes suction and its disposal as per directions of TCGL. 2 nos. of suction machine is to be kept in working condition at venue during entire event. All Suction machine use
for cleaning the Drains/Soakpits/Septic tanks at all toilets block, food court areas, etc. with required nacessary manpower, Diesel and operator etc, completed as per instruction of TCGL/counsulant.
Mode of measurement: Mode of measurement shall be lump sum basic. If require the necessary open sump with plastic laying shall be prepared to same the water, for use in rush hours.If two nos. of

there is no delay in sanction of temparory power. If the deposit amount is not received from Govt./TCGL in time, contractor have to manage deposit the amount (Torrent Power Limited for Sanction of
electric load) by his own and by all means,(The same amount shall be reimbursed later on from Govt/TCGL without any service charge or interest.) Contractor must get drawings & load approval within

and same shall be finalized in consultation with Art Director and concerned Committee member of TCGL. Other elements of venue seating, creating suitable festival ambience are part of scope. It is to be
erected as approved by TCGL/Committee and as per presentation conducted. Preparation and erection of creative display panels is part of scope. Necessary changes suggested by
TCGL/Committee/Consultant shall be incorporated without any extra development cost. Detailed specifications and quantification of Ambiance elements shall be submitted as a separate Annexure to
Price Bid. Necessary 3D models, Backdrops/Decorative railing, symbolic gates/Entry gate lighting/Archies inside venue & works/Services/Theme lighting/Landscaping/Panel works/Sound
arrangements/Making of film or as applicable shall be part of scope of works. General lighting (Tube lights, par lights, LED, metal, haleogen, etc.), covering series light entire boundary, ambience item is
part of scope of work. Showcasing various electronic scrollers depicting Kite Festival is part of scope of work. Detail specifications and quantification of each items shall be submitted as separate

31 SERVICES:‐ Housekeeping (with tools, equipment, consumables etc.): Event Contractor shall have to consider all the service staff from mobilization to demobilization from site, consumables,
equipment, tools etc. Providing suitable persons for serving water. Providing Sweepers for General cleaning of the entire venue, Garbage disposal, cleaning of food stall area and toilet cleaning with two
teams operating in each block in uniform. Providing drinking water tankers and water dispensers and water tankers. Providing Min. 100 No’s of dustbins to maintain venue proper hygiene is a part of
scope. Providing skilled manpower like electrician, mason, plumber, carpenter, technician etc as required. Manpower deployment plan is to be submitted to the TCGL/Consultant. Providing drinking
water, mineral water bottles and water dispensers at all outlets and within structures is also part of scope of work. Entire housekeeping works for Green rooms shall commence from practice in hanger
starts and from day strucutre is ready or from five days before and for other structures within Venue by three day before. Detail specifications and quantification of each items shall be submitted as
separate annexure to Price Bid. Mode of Measurement: Based on actual work executed on site.

32 Fire‐fighting, extinguishers: P/F Fire extinguishers, sand buckets, water barrels etc. is to be provided as per standard requirement and getting approval from concern Dept. / Fire department.
Payment shall be released after submission of written approval from Fire Department by concern agency. If fire extinguishers of expiry date is found an appropriate a penalty shall be levied, over
and above the immediate replacement. Arrangement of Fire brigade van need to be done on site if required. The local fire bridgade should be intouch through out the event.
The agency shall arrange to prepare plan for fire disaster management plan and orient the team in consultation with TCGL/PMC.

33 Miscellaneous work at Pre‐event stage: Providing temporary shamiana minimum 50 sq.mt. security, with wooden platform Providing necessary security and arrangement like Mineral water, Tea,
Coffee, snacks, etc. at site during meetings/rehearsal/practice, Providing necessary chairs, counters, temporary flooring etc. as and when required at pre‐event stages without hindering the construction
activity for main work. Event contractor has to make provision for additional manpower and material and manage housekeeping and primary requirement of the people at this stage. Adequate
Mobile/Temporary Toilets shall be provided. Event Contractor is also supposed to provide temporary toilet for drivers in parking area. Break up of each item with specifications shall be attached as
Annexure to Price Bid. Mode of Measurement: Based on Lumpsum basis. Adequate good quality working condition Mobile chemical Toilets‐ Minimum 10 shall be provided with proper water supply and
drainage. Event contractor shall arange the toilets from the day of reheasal starts of artisits. Event Contractor is also supposed to provide temporary toilet for drivers in parking area. Break up of each
item with specifications shall be attached as Annexure to Price Bid. Mode of Measurement: Based on actual work executed on site.

34 Insecticides :‐ ( During entire event) Providing and spraying ( Fogging) Insecticides to all area for making Venue non‐allergic, odorless, nontoxic, VOC free, non‐carcinogenic, and earth friendly clear on
regular basis for every day and whenever required right from beginning of mobilization to last day of event. Agency need to do fogging minimum three to four time daily during evening period. Agency
need to keep mininmum two fogging machine in working condition on site is a part of scope of work.

of other TCGL agency for sports, adventure activities. The site development area is required as per concept developed by bidders & all structure with surrounding area & parking area. This item is

cloth framing, 2 nos. chairs, 2 nos. tube light,1 nos. fan, 3 nos. big size of dustbin and suitable drainge system for west water etc complated at 10 different locations near the invitees/general seating area
during the entire event day as per the requirements of the TCGL. Agency need to provide gully trench ahead of water counter setup with proper Water dispatch jali on it so that waste water flow through
it to nearest drainage collection with proper cementing and brick masonry if required is a part of scope of work. All furniture and electrical equipments and material like Tube lights, fans, halogen,AC,
ELCB, MCB, wiring, etc and related electrical items shall not be measured seperately. Mode of measurement: unit no. basis. Agency has to quote for erection and maintence of the structure through out
event period. Water will be provided by P03 agency. The agency shall ensure proper drainage system to avoid water logging/dirt. the agency shall ensure frequent collection of used glasses for proper
disposal.

38 Plastic disposal machine needs to provide to recycle and proper disposal of water glasses and bottle on site. Agency need to follow all govt. norms and rules as per guidelines related to it. Agency
dispatch the wastage of plastic at it proper location and see to it should not get mix with local waste. It agency responsible to dispatch that wastage to it proper recycle location of dumping yard in
concern with AMC/TCGL/PMC is a part of scope of work. All plastic glasses from water counter need to be collected and recycled or disposed throguh this machine and its wastage should be properly
disposed is apart of scope of work. Agency need to create Small awarness of Swachh Bharat Abhiyan, Clean india, Say no to plastic and all by developing different signages, by carrying out different
small acitivites/Small gift articlelike pen, pencil with Swachh bharat abhiyan write up, etc. is a part of scope of work. (For entire event period) Mode of Measurement: Based on actual work executed
on site.

agency is required to come out and showcase the creative/innovation ideas for enriching the kite festival venue design, improvement in venue ambience, event activities, additional structures and event
activities which shall be finalized in consultation and approval with TCGL. The agency may quote for such creative/innovative additional supply and services. however payment shall be made as per
assessment of the work, supply and services provided and value additions of such creative and innovations.

The area of structures as stipulated in tender/or TCGL if approved shall be liable for final payments recommendation.
The Event Contractor shall provide detail layout and broad functional drawings as an attachment as Annexure.
The payment will be made on actual basis for the units maintained and for the period of event days only.
Where there is discrepancy between the rates in figures and in words, whichever is less shall govern.
Where there is discrepancy between the unit rate and the line item total resulting from multiplying the unit rate by the quantity, the unit rate as quoted will govern.
If the total amount of bid quoted is less than actual summation of cost of all the components/parts as the case may be, then the total quoted amount shall govern and difference between the actual summation and amount quoted shall be considered as a
discount.
If total amount of bid is more than actual summation of cost of all components/parts as the case may be, then the individual cost of the components/parts shall govern and total amount shall be reduced to actual summation and it shall be considered as
mistake in totaling.
Above quantities may vary depending upon site condition and shall be certified as actual subject to verification at site
Brands Specified in the BOQ is for reference. Any equivalent product shall be allowed subject to prior approval of TCGL/ Consultant.
The Event Contractor shall provide detail s of all Ambience elements with quantification as an attachment as Annexure.

NO GST as applicable shall be paid extra. The rates quoted above shall be inclusive of GST, VAT, octrio, and all other taxes and shall not be separately reimbursed.
Stipulated quantity shall not be permitted to correction.
Placement of structures is likely to vary and has to be executed as finalized by the committee members at no extra cost.
The event contractor considering his own layout and proposal shall consider all the quantities in accordance with the presentation made before the committee. If modifications suggested, same shall be incorporated without any extra cost.
Event contractor shall make provision of Client office & Consultant office separately along with his site office with necessary furniture and furnishing with accessories. He shall also provide skilled, Unskilled persons for immediate attending the defects.
All item rates shall be filled separately. In case of non‐fulfillment, the bid will be considered as non‐responsive.
Event contractor shall have carefully carried out the work without damaging existing structure. If any damaged claimed by the authority same shall be recovered
from final bill.
Event Contractor shall have to submit Electrical load calculation for both temporary and permanent structures separately.
Event Contractor shall have to submit Electrical inspector's approved drawing and test reports.
Event Contractor shall have to submit fire department approval certificate.
Wherever the words suitable or necessary or adequate are used means the Event contractor shall provide or fulfill the requirement in consultation with Consultant /TCGL/or other related department.
Mode of measurement shall be in accordance with item description mentioned herewith.
In case of cancellation of event/change of venue for the event before erection of works at venue, no payment will be paid to any of the agencies involved in preparation of such works related to event.
All flooring material like green net / wooven carpet etc. shall be fresh and of good quality and color.
TCGL / Consultant interpretation of language / description for any items shall be final and binding.
Event Contractor shall have to submit Electrical Contractor License Documents.
Event Contractor shall have to depute qualified electrical supervisor at site.
Executive Engineer-TCGL
Any ambiguity found in Technical or Price bid shall be brought to the notice in writing during pre‐bid meeting.
All materials have to be fire retardant and necessary documentation evidence/certificates are to be provided.
If the deposit amount not received from Govt./TCGL in time, contractor have to manage share of 100% of deposit amount (Torrent Power Limited for Sanction of
electric load) by his own and by all means, (The same amount shall be reimbursed later on from Govt/TCGL without any service charge or interest.)
Above enlisted Annexures shall be submitted in seperate cover (Hard Copy) along with bid submission. Agencies who have submitted Hard copies of Annexure will be eligible for Presentation/price bid opening.Failure of non compliance will result in non
acceptance of Bids.

Event Contractor shall have to submit local pollution control board approval certificate for DG set.
Silent (Sound proof) DG sets are to be provided as 100% standby power source.
All cabling work shall be underground; no cable shall be exposed outside at any location.
Event Contractor shall make provision of for barricading all the electrical panels and distribution boards.
All the panels and distribution boards shall be properly earthed (Dedicated Earthing).

Necessary carpet, plants etc. shall be provided. The barricading and entry points shall be done considering requirement of SPG/Security/Police Department/TCGL. Define proper internal directional signages. Necessary defined access should be provided leading to performance area. Internal 3ft barricading restricting the VVIP area, VIP area, Tourist and Kitist area shall be provided. Movement plan has to be indicated. Reshuffling of the arrangement with respect to schedule and contents of event/program shall be arranged without any extra cost. Mode of Measurement:‐ Total quantity of sofa and chairs placed shall be recorded. Raised wooden platform shall not be measured separately.2a. Sofa set (1seater/2 seater/3 seater) for VVIP & VIPs (On Wooden Platform) ‐(For Entire event day) 1000 seating 2b Cushioned chairs for Guests & Press/Media people ( for entire event days) 500 No. 2c PVC moulded chairs for invitees (For entire event days) 1000 No. International Kite Festival 2020 - P01 (07/01/2020 to 14/01/2020) STRUCTURE:‐ Inaugural and Performance Stage: Main stage to be made for suitable participants to perform for Inauguration function and others programmer , with varying height (7' to 9' lev el) so as to give optimum visibility to viewers designed by designer in consultation with Art Director and Choreographer. The agency shall construct a designed backdrop cum screen as per the requirements of Art Director with required framing in steel/wooden section with structurally sound framework at the back for entire event. The stage should be certified by competent Structural Engineer and Approved from R&B Dept. There should be double level of plywood as per R&B and TCGL/PMC instruction. Creation of necessary ambience and black masking is a part of scope of work. The wooden stage/deck to carry 500 kg per Sq.Mt. load with Steel H frames, Adjustable props or cup lock scaffolding only with suitable steel supports and stepped floor with 19 mm thick Fire Retardant Plywood sheets, sides shall also be covered with 8 mm thick fire retardant plywood including two coats of Fire Retardant paint. The supporting steel scaffolding to be provided with base‐plates and diagonal bracings in both directions. Ensure minimum size of 40NB dia pipe B class for any steel supports and 150*150mm the base plate 8/10mm thick for all supports. Ensure proper strengthening & stability of lightning trusses and other element kept for ambience as directed by Art Director & Choreographer. Lightning trusses are to be erected from existing ground with sufficient anchorage. Preparing Steps/Stairs/Ramps with proper dimension for all different levels is part of scope of work. The final dance floor has to be covered with evenly laid smooth ply‐board over battens. Aesthetic railing and a ramp for Governor shall be provided. Provision for seating arrangements on stage will be required for VVIPs as directed by TCGL is part of scope of work. Provision of console arrangement on stage as per the requirement of TCGL is also the part of scope of work. All joints between sheets to be filled by self‐adhesive cloth tape. The colour synthetic carpet to be laid on plywood with necessary flower arrangements as approved by TCGL/Youth and Cultural Dept, TCGL and Art Director. Suitable seating arrangements & CCTV Cameras having control in TCGL admin/police lounge. Office/near TCGL office to be provided for inauguration and other day as per requirements laid down by TCGL. It is part of scope. Erection of Media stage (covering main stage, kite festival ground and whereever required in venue)/Platfrom is a part of scope of work. Providing Presentation Stage/Dias arrangements as per the requirements of committee members with executive chairs, sofa, presentation desk, podium, plasma TV and Back drop arrangements. Provision of Tower A.C for VVIP's if require on Inauguration day. Providing necessary floral and theme decoration, banners, carpets on floors. Ensure structural soundness of entire structure. If any modification alteration/addition on site is required same shall be made immediately without any extra charges to complete the job as directed by the Visualizer, Art Director and TCGL. The structure of stage should be ready by before 3 days for practice and shall be ready for Grand Rehearsal by as direction of TCGL. Ensure structural soundness of entire structure. The stage should be certified by competent Structural Engineer. Creation of necessary ambience is a part of scope of work. Seating arrangement on stage should be done as per requirement of TCGL. Reshuffling of sitting arrangement with schedule and crowd of the event/program shall be arranged without any extra cost. Movement plan shall be provided. Seating arrangements, Ambience with Elevated platforms for photography and other related activities shall be constructed using steel support system and should have proper leveling and steps for access. Necessary works are part of scope of works. The scope also includes developments and Provision of VVIP seating stages for sehnai near gates with carpet, steps and necessary ambience or any such similar arrangement is part of scope of works. All wiring should be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing. Mode of measurement: Built up area (Out to Out dimension of Main stage) in plan shall be measured of structure. Internal or External Ramps and Steps/stairs shall not be measured seperately. Total sofa, chairs and stage for VVIP seating shall not be paid separately. Backdrop screen on stage shall not be measured separately. IKF 2020 P01 River Front, Ahmedabad 3 V.V.I.P Lounge (AC) with pantry and facade Theme ‐ as per theme approved by TCGL (to be planned with two sections/ Partition in between) & One attached Toilet :P/E braced and tied Aluminium Structure Hanger (German Hanger) Water Proof Dome/M.S. Steel structure with outer face covered with white / coloured cloth/approved facade, Roof covered with coloured waterproof and fire retardant fabric / good quality PVC Fabric cover (SRF), ceiling with white fabrics. The structure shall be made with box type wall (Min.230mm thick) of 8 mm thick Fire Retardant Plywood in framing of wooden batten/steel sections including two coats of fire retardant paint on False ceiling, internal and external walls. Water proof Roofing shall be of SRF, G.I. sheets, Meta Colour or CRIL sheets or equivalent with suitably braced and tied steel structure supported on truss and purlins, with upto 300 mm raised platform using 19mm thick Fire retardant plywood covered with woolen carpet as approved. Providing ante‐room, pantry, false ceiling made up of Gypsum Board/POP/ aluminum , necessary furniture, wall pictures, counter in pantry, planters etc. complete. Agency need to provide front facade as a pert of scope of work. False ceiling made of cloth or flex will not be allowed. Providing Porch with carpet and wooden platfrom, Stairs, ramps, railing and other related is part of scope of work. Appropriate approved paint shall be applied on false ceiling and internal and external walls as per concept. Lounge to be provided with porch. Decorative theme has to be generated on outer facades as approved by Consultant/Committee/TCGL. Necessary partitions should be carried out for making suitable arrangements for Dinning space with necessary furniture as per direction of TCGL. Necessary minimum 20 nos. electrical points (5/15A plug points), wall fan/ ceiling fan/ padestral fan/ exhaust fan as per requirement, General lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.) for inside dome and for fascade should be provided is a part of scope of work. The lights should be enough upto the satisfaction of TCGL/PMC and if required extra lighting shall be done without any extra cost. Providing general lighting, fans, A.C. with required wiring, fitting and fixtures is part of scope. Providing general lighting, fans, A.C. with required wiring, fitting and fixtures is part of scope. Providing roof covering with Meta colour or CRIL sheets or equivalent. Providing soak pit of adequate capacity including top cover or to be connected to nearest available drainage lines. P/F suitable doors with approved fixtures. VVIP Lounge & Construction of toilet blocks shall be commissioned by before one day of event opening. All materials to be fire‐retardant material. Necessary documentation evidence/certificates are to be provided by agency. The scope shall cover decorative lighting, plug points, telephone lines, CCTV, decoratives items. Cameras having control in TCGL admin. Office/near TCGL office & computers and air conditioning. Front facade with 8 mm thick ply fixed on wooden/steel frame work and painting etc. complete. The entire area shall be air‐conditioned and temperature shall be maintained between 23 to 26 degree Celsius with equally distributed in entire area. Agency need to provide Kitchen area with proper water proof materail setup strucuture is a part of scope of work. Mode of measurement: Built up area (Out to Out dimension of walls) in plan shall be measured of structure. Outside porch and external passage shall not be measured.‐ Other electrical equipments and material like general lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.)(5/15 A plug points) etc), fans, AC, ELCB, MCB, wiring etc and related electrical items shall not be measured seperately. (Note: Agency need to provide only Aluminium Hanger. The agency will not use structure of other material like M.S.Steel without written permission from TCGL. Even after approval, the Hanger prepared using M.S. Steel structure rates shall be considered 70% of quoted rate). 200 Sq.Mt. 4 Food stalls(Traditional Design) with separate washing & Sitting facilities: P/E Group of food stalls as per requirement at two‐three different locations as per approved layout of about approx. 1080 Sq.Mt. with necessary infrastructure. Approx size of each food stall shall be 9 Mt. x 6 Mt including 3 mtr. x 3 mtr. cooking area which is covered by inside and top cover with Tin sheet & outside cloth barricading as per requried height, as per direction of TCGL/Consultant. All wiring should be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing is part of scope of work and not measured separately. P/F covered braced and tied steel structure with varying height, Roof covering with waterproof fire retardant material, Ceiling with white/ coloured fabric/cloth, 100 to 200 mm raised wooden platform using wooden logs and 19 mm fire retardant plywood/ block board including two coats of fire retardant paint. Provision of drinking water, dustbins and covered washing facilities, proper drainage, and garbage disposal provision. P/F synthetic carpet, Tables as per stall owner requirement, chairs, rack in stall as per stall owner requirement, and related furnitures internal lighting and fans, Plants, decorative Jhul/material is a prt of scope of work and shall not be measure seperately.. The scope shall also cover separate space for cooking area, washing area and service entry at 2‐3 different locations.Washing area shall be of minimum 75 Sq.Mt. area at each location with proper water supply and drainage facility. The scope shall also cover to provide mandatory proper general lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), 2 nos. of fans, minimum 4 nos. of plug (5/15 A) points and 20 A MCB points in each food stall.Creating sitting arrangement and creating Ambience in open space is part of scope of work. Covered seating arrangements for 1000 Nos. at each Segment/ Location are to be provided with approved fabric considering seasonal factors. Provision of CCTV Cameras having control in TCGL admin. Internal pathways and barricading(Tin sheet & Cloth barricading) for managing people is part of scope of work. Fixity of partitions/octonorm panels to be ensured. Ensure fire safety as per applicable norms. Food courts/Service area/wash area shall be commissioned before two day or as per instruction of TCGL. No separate payment shall be made for creating any supporting services. Provision of semi ‐permanent structure with waterproof covered roof, provision of minimum 20 stainless steel taps with sufficiently designed water supply and drainage system for wash area at each location. Mode of measurement: measured based on unit No.Tin & cloth barricading of food stalls/Service area/wash area/sitting area/ for General public shall be part of scope of works and not to be considered separately. Pathways shall be measured and counted in their respective items. If general lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), fans, and plug (5/15 A) points More than given numbers in each food stall shall be part of scope of work and shall not be measured seperately. Steel structure with outer face covered with white / coloured cloth/approved facade, Roof covered with coloured waterproof and fire retardant fabric / good quality PVC Fabric cover (SRF), ceiling with white fabrics with 150 to 300 mm raised wooden platform using 19mm thick Fire retardant plywood/ block board, necessary braced and tied octonorm cubicles covered from top, synthetic carpet, door curtains, storage racks, chairs, mirrors, etc as per requirements of choreographer in all rooms/stalls. Provision of rooms/space planning has to be accommodated by the selected Agency.The scope shall cover various lights (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.) for proper internal lighting,Minimum 20 nos. of fans, Minimum 20 nos. of plug points (5/15 A). Providing Porch with carpet and wooden platfrom, Stairs, ramps railing and other related is part of scope of work. The green room will be utilize as practice room for artists from before ten days of event day. The green rooms shall be provided and converted from practice room to green room(For Entire Events Days)in a covered /tin barricading space with drinking water facility and adequate, good quality temporary toilet blocks with adequate drainage arrangement shall be provided for rehearsal and it should be made functional before three days. Agency need to external sides cover with using theme decorative flex with frame of ht. 6ft to 8ft as per requirment is a part of scope of work. The construction shall ensure proper privacy. All wiring should be in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing. Mode of measurement: Built up area (Out to Out dimensions of walls) in plan shall be measured of structure. Outside porch and external passage shall not be measured. If fans, plug points (5/15 A), Tube lights/ par lights/ metal/ halogen light installed more than specified numbers will not be meausre seperately. All electrical equipments and material like general lighting (Tube lights, par lights, metal, halogen,fans, etc), AC, ELCB, MCB, wiring, etc and related electrical items shall not be measure seperately. (Note: Practice hall should be made functional from before 10 days of event and converted to Non A.C. Green room on before 2‐3 days of event). (Note: Agency need to provide only Aluminium Hanger. The agency will not use structure of other material like M.S.Steel without written permission from TCGL. Even after approval, the Hanger prepared using M.S. Steel structure rates shall be considered 70% of quoted rate). 100 Sq.Mt. 6s Temporary Toilet blocks (Excluding those attached with VVIP)P/C Toilet blocks (Gents & Ladies) for artists near Green rooms and General public as indicated in conceptual layout. All toilets shall have a full time attendant/ cleaner for operation & maintenance works. Providing and constructing toilet block in 230mm thick solid masonry wall upto full height with appropriate foundation including good quality of plaster, painted with good quality paint on external face including approved ceramic tiles for flooring and dado(up to full height), plumbing works with providing P.V.C. tank/firm water supply with necessary adequate water pressure. Providing roof covered with waterproof and fire retardant fabric / good quality SRF PVC material /Meta colour/CRIL/ or equivalent sheet. Providing doors to be made of MS/Aluminum section pipe framing with laminated ply panels duly painted or FRP doors with suitable framing. A. Gents (facilities per one block) Urinals ‐ 20 nos. W.C. with Anglo Indian pan ‐ 5 nos. EWC ‐ 5 nos. Washbasin ‐ 3 nos. Linen ‐1, Mirror – 5. B. Ladies (facilities per one block) W.C. with Anglo Indian pan ‐ 10 nos. EWC ‐ 5 nos. Washbasin ‐ 3 nos. Linen ‐ 1, Mirror –5 etc. complete. Ensure suitable hardware. The scope shall cover to provide proper lighting and ventilation system and proper barricading/partition wall to maintain the privacy between Gent's & Ladies. Providing sock pit with adequate capacity including proper top cover. Ensure proper housekeeping and continuous cleaning at every 3 hours of all toilet facilities is mandatory. All toilets shall be functional by before one day of event opening. Toilet block near Green Rooms should be operational by before 3 days. All necessary arrangements/maintenance for water supply, drainage and housekeeping of all Toilets for entire day is part of scope of works. Ensure minimum 4 attendants in each toilet block. Mode of measurement: Mode of measurement shall be unit no. based. If existing toilets of venue used than payments shall be made accordingly on prorata basis based on works executed for functioning of Toilet blocks. (Note: 1.) It toilet is prepared using Container attach with Air‐ conditioned that toilet block rate shall be considered upto 90% of complete brick masonary block, 2.) If wall of toilet block is made from plywood and flex that toilet block rate shall be considered upto 70% of complete brick masonary toilet block, 3.) As such the PVC modular based toilets will not be preferred and same shall be avaoided but can be install if quality is good and only upon permission from TCGL/PMC. If toilet is prepared using PVC modular Toilet fixtures that toilet block rate shall be considered upto 60% of complete brick masonary block. The TCGL decision to accept the quality of work and if required changing type of Toilet shall be final and bonding. ) Other electrical equipments and material like proper lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.), 4 Nos of (5/15 A) plug points, Water pump, exhaust fan, etc. in each toilet block and related electrical items shall not be measured seperately. 4 No. b (b)Temporary Chemical Toilets : P & Installing Mobile chemical toilets of size 2.4mx1.2mx1.1m with water tank capacity of 200 litres with wash basins and facility of liquid soaps for Invitees for entire event. The box type strucutre of the height of welcome pillars shall be minimum 4 to 4.5 Mt. & width shall be minimum 1 mtr. x 1 mtr. Provide display banners on star flex and write up on main length in Retro radium vinyl with base on star flex. Providing MS steel structure with 10 to 12 mm plywood wherever required with necessary framings and bracing. (For entir event period) 1 Nos. 16 INFRASTRUCTURE: ‐ Pathway & Ramps: Internal Pathway in Paver block with kerbing between structures, stages and from various entries to the seating arrangement of 4m to 6m width as per approved layout by TCGL.Total quantity and type‐specifications to be reviewed by the bidder considering approved layout. Necessary sand bedding and filling of joints should be accurate with kerbing. At Junctionor turing point of pathways, the width of pathways to be provided in round shape for easy movement of vehicles alongwith kerbing. The proper chowk marking on daily basis in concern with TCGL/PMC/Police and need arrange proper team to prepare parking before two hours to complete marking in entire parking area daily is a part of scope of work. The work will involve site clearance/removal of debris/plants‐ grass cutting, grading, leveling and compacting, sprinkling water, Earth filling, Marking of approved parking plan (lineout) on ground with lime, developing entry and exits for two wheelers and four wheelers with service staff. Adequate drainage facilities either by providing sock pit or by providing intermediate chambers and S.W. /PVC pipe lines to connect the existing nearest manhole as and where required. Ensure proper pressure system in supply. Necessary water supply outlets are to be provided at approved locations at various outlets in the venue for the entire event as per TCGL requirements. Necessary connections from nearest AMC/TCGL connection provided shall be taken or in absence of any connections agency has to manage with alternative supply/source of water supply. No additional payment shall be made. Agency need to do proper storage of water using creating sump at two location with atleast Minimum capacity of tanks shall be of 12,000 liters at each locations . from which distribution of water supply carried out to covering all areas. Necessary 6‐8 suitable water supply outlets /hand wash counters shall be installed in the venue especially near Food courts/Handicraft stalls/ Kitist area etc. with complete water supply/drainage system. Agency need to provide proper no. of Water tanks as per requirement and also can create sump with water pump. Mechanical Suction vehicles for various soak pits/septic tanks (by mechanical means only) manufactured by standard ‐ Nationalised manufacturers and disposal at any lead and lift during the event. The sludge tank capacity has to be min 4000‐5000 liters and machine to have standard capacity vaccuum pump. The suction machines will be used daily in 2‐3 shifts for cleaning of Drains/Soakpits/Septic tanks at all toilets block, food court areas, etc. Scope includes suction and its disposal as per directions of TCGL. 2 nos. of suction machine is to be kept in working condition at venue during entire event. All Suction machine use for cleaning the Drains/Soakpits/Septic tanks at all toilets block, food court areas, etc. with required nacessary manpower, Diesel and operator etc, completed as per instruction of TCGL/counsulant. Mode of measurement: Mode of measurement shall be lump sum basic. If require the necessary open sump with plastic laying shall be prepared to same the water, for use in rush hours.If two nos. of suction units are not kept for entire period, the payment shall be considered proportionately. The agency shall have to provide operation details on daily basis. 1 LS 22 ELECTRIFICATION: ‐ Power Supply: Getting approval from Electrical inspector & Torrent Power Ltd. for main power source as a temporary base. All required payments to be deposited in time, so that there is no delay in sanction of temparory power. If the deposit amount is not received from Govt./TCGL in time, contractor have to manage deposit the amount (Torrent Power Limited for Sanction of electric load) by his own and by all means,(The same amount shall be reimbursed later on from Govt/TCGL without any service charge or interest.) Contractor must get drawings & load approval within TEN DAYS from date of final approval of event design & drawing by authority. Making arrangement to obtain power supply from TPL as per the event electric load. The power, electrification, cabling, installation and testing of various panels, transformer etc., for general site illumination, decorative lighting within venue. The pole should be coloured and separated from Electrical poles. 200 No. 31 SERVICES:‐ Housekeeping (with tools, equipment, consumables etc.): Event Contractor shall have to consider all the service staff from mobilization to demobilization from site, consumables, equipment, tools etc. Providing suitable persons for serving water. Providing Sweepers for General cleaning of the entire venue, Garbage disposal, cleaning of food stall area and toilet cleaning with two teams operating in each block in uniform. Providing drinking water tankers and water dispensers and water tankers. Providing Min. 100 No’s of dustbins to maintain venue proper hygiene is a part of scope. Providing skilled manpower like electrician, mason, plumber, carpenter, technician etc as required. Manpower deployment plan is to be submitted to the TCGL/Consultant. Providing drinking water, mineral water bottles and water dispensers at all outlets and within structures is also part of scope of work. Entire housekeeping works for Green rooms shall commence from practice in hanger starts and from day strucutre is ready or from five days before and for other structures within Venue by three day before. Payment shall be released after submission of written approval from Fire Department by concern agency. If fire extinguishers of expiry date is found an appropriate a penalty shall be levied, over and above the immediate replacement. Arrangement of Fire brigade van need to be done on site if required. The local fire bridgade should be intouch through out the event. The agency shall arrange to prepare plan for fire disaster management plan and orient the team in consultation with TCGL/PMC. 1 LS 33 Miscellaneous work at Pre‐event stage: Providing temporary shamiana minimum 50 sq.mt. security, with wooden platform Providing necessary security and arrangement like Mineral water, Tea, Coffee, snacks, etc. at site during meetings/rehearsal/practice, Providing necessary chairs, counters, temporary flooring etc. as and when required at pre‐event stages without hindering the construction activity for main work. Agency need to do fogging minimum three to four time daily during evening period. Agency need to keep mininmum two fogging machine in working condition on site is a part of scope of work. 1 LS 35 Site development, clearance, and other miscellaneous worksdeemed necessary for successful organization of the Event shall have to be carried out by the Event Contractor. If the total amount of bid quoted is less than actual summation of cost of all the components/parts as the case may be, then the total quoted amount shall govern and difference between the actual summation and amount quoted shall be considered as a discount. If total amount of bid is more than actual summation of cost of all components/parts as the case may be, then the individual cost of the components/parts shall govern and total amount shall be reduced to actual summation and it shall be considered as mistake in totaling. Placement of structures is likely to vary and has to be executed as finalized by the committee members at no extra cost. The event contractor considering his own layout and proposal shall consider all the quantities in accordance with the presentation made before the committee. If modifications suggested, same shall be incorporated without any extra cost. Event contractor shall make provision of Client office & Consultant office separately along with his site office with necessary furniture and furnishing with accessories. He shall also provide skilled, Unskilled persons for immediate attending the defects. All item rates shall be filled separately. In case of non‐fulfillment, the bid will be considered as non‐responsive. Event contractor shall have carefully carried out the work without damaging existing structure. If any damaged claimed by the authority same shall be recovered from final bill. Event Contractor shall have to submit Electrical load calculation for both temporary and permanent structures separately. Event Contractor shall have to submit Electrical inspector's approved drawing and test reports. Event Contractor shall have to submit fire department approval certificate. Wherever the words suitable or necessary or adequate are used means the Event contractor shall provide or fulfill the requirement in consultation with Consultant /TCGL/or other related department. Mode of measurement shall be in accordance with item description mentioned herewith. In case of cancellation of event/change of venue for the event before erection of works at venue, no payment will be paid to any of the agencies involved in preparation of such works related to event. All flooring material like green net / wooven carpet etc. shall be fresh and of good quality and color. TCGL / Consultant interpretation of language / description for any items shall be final and binding. Event Contractor shall have to submit Electrical Contractor License Documents. Event Contractor shall have to depute qualified electrical supervisor at site. Executive Engineer-TCGL Any ambiguity found in Technical or Price bid shall be brought to the notice in writing during pre‐bid meeting. All materials have to be fire retardant and necessary documentation evidence/certificates are to be provided. If the deposit amount not received from Govt./TCGL in time, contractor have to manage share of 100% of deposit amount (Torrent Power Limited for Sanction of electric load) by his own and by all means, (The same amount shall be reimbursed later on from Govt/TCGL without any service charge or interest.) Above enlisted Annexures shall be submitted in seperate cover (Hard Copy) along with bid submission. Agencies who have submitted Hard copies of Annexure will be eligible for Presentation/price bid opening.Failure of non compliance will result in non acceptance of Bids.
