Why is Time
management
important?
Chapter
1
Importance of Time management
• Helps to reduce stress
• Helps you get more things done well
• Helps ensure your well being
• Helps improve quality of life
https://www.ypppt.com/
• No matter how organized we are, there are only 24
hours in a day.
• All we can actually “manage” is ourselves and what we
do with the time that we have.
• You can change your behaviors, but you can not
change time.
Time
Time management
 Game rules
Game1:1. Close your eye,no talk,wait for
command.
2. Command“Start”,Feel enough 60s,stand up.
Game 2:1. Prepare paper and pen.
2. Command“Start”and“Stop.
60s Rush
60s
Boredom
Time management
With the same 60s, we can do different actions, and feel the difference in speed. It reminds
us to value time and use time smart.
• What do you tend to waste time on?
• telephone calls, TV, internet, email, etc.
• When do you tend to lose time?
• Interruptions, mistakes, falling behind, waiting, etc.
• Procrastination?
• Do you put things off or do “fun” things first?
Wasting time
Time management
Goals setting
Extracurricular: Based on the
goal pyramid, draft your
preliminary lifespan
1. Life goals
2. 10-year goals
3. 3-year goals
4. Annual goals
5. Monthly and Weekly goals
If you have no daily plan, your time is
easy to be controlled by others.
1. Write down the task to be
completed today in a notebook
2. Plan before starting to study
3. You don’t have to set specific time
4. Arrange study time independently,

Important
Handle it immediately
Complete with dedication (e.g., the
topics and knowledge to be discussed
tomorrow).
Make good plans
Complete with caution (e.g.,
addressing weak subjects or areas).
Trivial
Deal with it right away
Complete as soon as possible (e.g.,
some trivial matters among
classmates).
Examine carefully
Complete when you have free time
(e.g., accumulating knowledge).

Effective Time management
Establish Routines
• Stick to routines as much as possible
• If emergencies arise, you'll be much
more productive if you usually follow
routines most of the time.
• If emergencies arise, you’ll have the
energy and flexibility to adjust and deal
with them effectively, if you follow
routines most of the time.
Master the
rhythm
Chapter 3
Master the rhythm
• Pay attention to the period when you have
the most energy and clarity of mind, and use
this time to do the most valuable tasks.
• Observe how long your attention span lasts
and try to solve problems within that
timeframe.
• Make sure to take breaks when needed. Rest
before you feel tired, and you will add an
extra hour of alertness to your day.
Master the rhythm
Mastering the tempo
• 【Case study】
It is said that when Marx was studying economics, he would
work on mathematical problems to relieve fatigue. Surprisingly,
Marx achieved some accomplishments in the field of calculus
as a result.
• 【Insight】
Learn the method of intercropping, which is a commonly used
scientific farming technique. Changing the work content will
create new areas of excitement, allowing the brain and body to
be effectively adjusted and relaxed
Pomodoro Technique
How it works:
1. Choose a Task: Select a specific task or activity that you want to work on.
2. Set the Timer: Set a timer (traditionally for 25 minutes) and start working on
the chosen task with full focus until the timer rings.
3. Work Intensely: During the 25-minute work interval (referred to as a
"Pomodoro"), maintain complete concentration and avoid any distractions or
interruptions.
4. Take a Short Break: When the timer goes off, take a short break of around 5
minutes to relax and recharge.
5. Repeat: After completing one Pomodoro and taking a short break, start the
timer again for the next Pomodoro. Continue this cycle until you have
completed four Pomodoros.
6. Longer Break: After completing four Pomodoros, take a more extended break
of around 15-30 minutes to rest and rejuvenate.
The Pomodoro Technique is a time
management method developed by
Francesco Cirillo in the late 1980s.
Reduce
distractions
Chapter 4
Reduce distractions
1. Turn off your phone (really!)
2. Close out your email (leave an “away” message)
3. Put a “do-not-disturb” sign on your door
4. Turn off the TV, stereo, iPod, etc.
5. Learn to say “no” once in a while
Insight: Too much external interference can distract a
person. When our energy is limited, focusing on specific
tasks is essential for achieving desired results.
Reduce distractions
01【The Caterpillar Effect】
【Case study】:French psychologist John Fabre once
conducted a famous "Caterpillar Experiment." He placed many
caterpillars on the edge of a flower pot, forming a circular line with their
heads and tails connected. Around the flower pot, he scattered some
pine needles, which caterpillars like to eat. The caterpillars started
following one another, circling the edge of the flower pot day and night
for seven days and seven nights. Eventually, due to hunger and
exhaustion, they died one after another.
Later, scientists named this phenomenon of failure caused by blindly
following others the "Caterpillar Effect."
02【Method and Strategy】
【Situation】: Some people often find it difficult
to reject others' boring requests and end up sacrificing their
own time and energy to please others. This is not conducive
to the proper use of time and does not promote the
development of personal time management skills. When it's
necessary to refuse, one should do so, in order to save a
significant amount of time and avoid unnecessary troubles.
Reduce distractions
【Situations】
• There was plenty of time to complete the assignments in the workbook, but I always started with useless tasks. When the deadline was
looming, I finally began writing, and as a result, all the assignments piled up, leaving me overwhelmed.
• I planned to read a book this week, but after a month, I still haven't finished it.
• Today, after taking a shower, I was supposed to immediately wash the clothes, but often, after a week, the clothes are still sitting in the
basin untouched.
• I had a task that should have been completed within three days, but after two weeks, it's still not done...
【Warning】:If you want to turn an easy task into a
difficult one, all you have to do is keep
procrastinating!
【Insight】:Procrastination is a crucial enemy that
hinders our success and an invisible killer of our lives!
Evaluate How You Spend Your Time
Look for time that can be used more wisely.
When you are waiting somewhere you need to just
sit there with nothing to do.
Always take something along to do, such as:
• a report you need to read
• a checkbook that needs to be balanced
• notes you need to review or re-write
• just a blank pad of paper that you can use to
plan, make to-do lists, organize your
thoughts or assignments, or shopping lists
