The solution

Serials Solutions is building a completely
new solution that helps libraries work
more efficiently so you can spend more

acquisition, resource management,
cataloging, discovery, and fulfillment
regardless of resource type.

Editor's Notes

  1. This graphic from OCLC tells it all. The switch has flipped. Your collections are now predominantly digital. We’re no longer dealing with e-resources as a small part of your overall collections – “e” of all types (books, databases, e-journals, open access resources, local digital collections) are now the majority of what academic libraries are managing.Over and over, when I show this slide, someone says “oh no, it’s not 60%, it’s 80%” and yet you are still trying to keep a complete inventory in your ILS. Yesterday’s technology, built at a time when collections were completely print. What this means to you is that you need a new way to manage your collections that is built around today’s reality.
  2. The pains librarians face with the old model ILS are predominantly in three “buckets”. When we did our research before deciding to build Intota, we heard a lot of pain from libraries. That pain can be summarized into three types:Workflows – this is the most apparent and the most costly. You spend time entering data with a e-supplier and then you reenter that data into your ILS. You split your staff into 2 streams of work – print and digital --building in inefficiency. You want to send and receive data electronically from suppliers and campus systems, but you can’t. …System Maintenance – libraries have a lot of money locked up in existing “island” systems. Not just the ILS, with its hardware and software maintenance costs, but other systems you’ve deployed because of ILS limitations. Your system maintenance costs are larger than they need to be because of the outmoded, and isolated computing models of the past. And some of your most talented staff are stuck doing repetitive maintenance tasks, like installing releases. Assessment – the 3rd bucket is the opportunity cost of systems that don’t really tell you how users are using the collections and the library’s contribution to student success. The circulation reports from the ILS just aren’t enough. So the library’s true value cannot be measured. With much of the library’s value coming from use of the electronic collections, it is impossible to convey the library’s true value with the metrics from the ILS and other isolated systems.
  3. Serials Solutions is building a new webscale management solution, built entirely from the ground up, that will address the pain around siloed collection management and expensive, outdated systems. Other companies are thinking about this as well. We’re sure ours will be the best, and we hope you will come with us on this journey.
  4. Emphasis on “centrally provisioned” and “entire lifecycle” This means full functionality from several of your existing systems in a modern, single system, providing efficiency and saving money. Be sure to clarify that Summon is not included in the cost of Intota. The library will be able to choose the right discovery service for its users.
  5. This is a TECHNICALLY focused slide– not our primary message, but one of the seeds that we need to plant. Unlike the old “island systems” such as the ILS, the technical model of Intota is true Software-as-a service. It’s how Serials Solutions has always worked, and it is a computing model that we understand very well. While other suppliers are just learning how to support large platforms rather than individual servers, we do this today. That’s proven by Summon, where millions of search transactions are supported. We were a leader in offering SaaS to libraries. With Intota, we are expanding our use of SaaS to all of the collection management functions. SaaS means no servers to buy or manage. Not hardware upgrades to worry about or budget for. Not software releases to install. You save time and money. The model that we use has the advantages of allow true data sharing, using a linked data model, as well as providing many customer-specific customizations. It is the best of both worlds – no hardware to manage, with a shared knowledgebase, and with plenty of local customizations.
  6. This is a functional emphasis slide – we will do the things the old ILS does – and more. Web-scale Management – a single, centrally provisioned solution that supports the entire resource lifecycle including selection, acquisition, cataloging, discovery, and fulfillment regardless of resource type. This is the place to emphasize print resources, too.We integrate seamlessly with Summon, the leading discovery solution. We’re building a new knowledgebase to support all services in new and better ways, providing UNIFIED, UNMEDIATED WORKFLOWSWe started with e… now Intota meets all your needs to manage the entire collection

  15. The Serials Solutions Knowledgebase is theintegrated metadata repository behind all of our services. We begin by gathering metadata in a wide variety of library formats such as MARC format and Dublin Core, and in other formats such as ONIX and XML, from providers all over the world. Then we process this metadata to check for data integrity and completeness under the watchful eyes of real live people with metadata and industry expertise. (This is where having sixty plus degreed librarians is a real benefit.)That metadata then powers all of our services and the APIs that connect us to librarians and patrons worldwide.
  16. Our journey toward linked data starts with our Knowledgebase, builds on all of its bibliographic and non-bibliographic data and moves toward making a growing amount of it available as linked data. (I encourage you to talk with our product management team about the particulars!)This journey is well underway and here’s a little bit about what we’re doing: First of all, we believethat FRBR,FRAD and RDA represent the wave of the future for a lot of bibliographic data that’s used in and by libraries. We’re using FRBR as a conceptual frameworkso that we can speak in the same terms as our customers – Work, Expression, Manifestation, and Item.
  17. RDA (Resource Description and Access) provides a schema design of attributesand controlled vocabularies. This is a screen shot taken from within the RDA Toolkit website. If you go here, all the RDA entities are defined, their relationships are described, Core, Enhanced and Specialized attributes are specified and…
  18. …the lists of allowable values—what you in the library world call “controlled vocabularies”—are all outlined. These are all the basic building blocks that I need as a Database Architect to create an improved relational database for our Knowledgebase. RDA also provides documentation to help us map an incoming MARC or DC record to these attributes.
  19. This is the ECONOMIC slide. We want to displace your ILS and get you off the island. But we know that budgets today don’t allow for yet another system on top of all of the others. So we are offering Intota as a subscription model, with no big startup license fees or servers to buy. By providing you with a unified system that manages print, electronic and digital collections, Intota displaces not only your ILS but several other local systems. You get to repurpose the budget lines for those systems and lower your overall costs.
  20. Intota as a complete system will be ready for production use at the end of 2013. We sense that is when the market will really be ready to adopt such new models. Does that match your thinking here at this library? For our development partners and our early adopters, we expect to go into initial production use at the end of this year.  For them, we will deliver the ability to acquire content and load/edit/delete holdings information.  This will allow customers to begin turning off some of the functionality in their current ILS.  And it will give us invaluable feedback as we finalize Intota.  We will follow with Selection and system interoperability. We’re working with jobbers to ensure we have integration so that information just flows.  Finally we focus on developing the circulation and fulfillment capabilities, as well as the ability to output metrics and other data for assessment. You will be able to unplug your ILS in 2014.
  21. Many of you remember when you moved to your current ILS and the pain of data migration. You had to extract files, re-format them for the ILS, then load them. We will minimize this effort and minimize the time for implementation of your new system (regardless of which one you choose). Our 360 Resource Manager product is, first and foremost, a great product for helping you understand and manage your e-resources. At the same time it is a data conversion tool. Because we have a deeper understanding of e-resources we recognized the importance of standards. Serials Solutions already has programs to extract e-resource data in the definition, we will guarantee that the data will be migrated to Intota intact. With our new Data Population Service and our new License Templates, it has never been easier to get your data fully available in Resource Manager. The first step in organizing your data – for any system – is to “convert” it. As you probably know, getting your eResource information organized involves deciding where to put it and how you want to manage it in a machine-readable, online-accessible way. 360 Resource Manager and 360 Counter support this in many ways that we have discussed: through Implementation and consulting, data services and upload tools, and more. Also, our 360 Counter product gives you insight into materials use, allowing you to prioritize materials migration.
  22. 360 Resource Manager and 360 Counter together provide lots of benefits to your library now – especially the ability for this important data to be available to all staff. But they also act as a data conversion tool for the data about your e-resources. Because 360 Resource Manager is built on the DLF-ERMI (Digital Library Federation – Electronic Resource Management Information) definition, as you enter your data into Resource manager, you are actually structuring it so that it can be migrated. Serials Solutions already has programs to extract e-resource data in the definition, we will guarantee that the data will be migrated to Intota intact. (With our new Data Population Service and our new License Templates, it has never been easier to get your data fully available in Resource Manager.)What if you are not ready to commit to Intota? We understand and we’ll continue to keep you informed of our progress. But regardless, the time for a new collection management system is coming. You know that you cannot continue to do things with the outmoded ILS technology. By using Resource Manger now, you will have better management of the e parts of your collection. You will be readier for a new system because you will have fully automated these significant resources. And because Resource Manager is standards-based, you will be getting ready for your next system, regardless of what system you ultimately choose. If you’re not using Serials Solutions current management tools you’re doing yourself, your library, and your patrons a disservice. There is plenty you can be doing now – and it will be a stepping stone(s) to the future solution (data already loaded, workflows being rethought, etc.). The answer TODAY is ERMS, the answer for TOMORROW is Intota.
  23.
