are permitted, however, counters may not be more
then 4’ tall (1.22m).

Event & Startup Sponsors:
• Removing the 6ft table is not permitted.
• 8’x8’(2.5m x 2.5m) or 10’x10’ (3.1m x 3.1) pop-up

31. SHIPPING
• Storage on site is very limited, so please keep shipments to a minimum.
• Empty storage fees will apply in Tokyo
• When shipping to Japan, it is common for shipments to be held in customs for a couple of
days, please plan accordingly
• Please carefully read page 4 & 5 of the Shipping Manual.
• Consolidate shipments, when possible. There is a general handling charge that is applied to
each individual shipment
• Shipments will be received at the Japanese Advanced Warehouse: September 24, 2015 –
October 16, 2015.

There is only one pass this time, the Full Access Pass.
With the Full Access Pass, you will get access to the Keynotes, Marketplace Expo Hall, Breakout Sessions/Workshops, and Developer and Operator Working Sessions.
Shinagawa Station is closest to the OpenStack Summit Venue so we recommend you arrive there if you are taking public transport. The Narita Express, which comes from Narita International Airport, also stops at Shinagawa Station.
If you arrive at Shinagawa Station via train, please take the South Exit into the main hall of the Station.
The South Exit will take you through the ticket checking machines. After going through them, turn left into this tunnel.
Continue going straight, passing the ticket & information desks on your left and right. Keep walking until you see the yellow sign “Takanawa Exit (West Exit)” in front of you.
After going downstairs and coming out of the Takanawa Exit (West Exit) you will see the GOOS building in front of you. Make your way across the street (either via the pedestrian bridge or the crossing) and walk up the road on the left side of the Shinagawa GOOS.
Walk up this road on the right side, until you see these signs, which points to the Grand Prince Hotel New Takanawa and the International Convention Centre PAMIR

Go inside and walk upstairs or take the elevator to 1F to the Lobby of the Grand Prince Hotel Shin Takanawa. This also connects to the other Summit venues like the International Convention Center PAMIR.
You’ve arrived in the OpenStack Summit Venue!
The summit venue is separated into 5 buildings:
#1 is the Grand Prince Hotel New Takanawa,
- Marketplace with be on B1 and the Sponsored Breakout Sessions will be held on 3F
#2 is another section the Grand Prince Hotel New Takanawa, which is where the Sponsor Meeting Rooms will be.
#3 is the International Convention Center PAMIR
- Registration, Breakout Sessions, Information desk, and coat check will be on 1F
- Breakouts will be on 2F
- Keynotes & Lunch will be on 3F
#4 is the Grand Prince Hotel Takanawa, where the Design Summit will be held on 1F and 2F
#5 is the Prince Sakura Tower Tokyo, where the Sponsor Meeting Rooms & Collaboration Days will be help on 2F
We are turning back to old format where the Marketplace will open up after opening day Keynotes and the Booth Crawl will be on the evening of the opening day (Tuesday) from 6pm to 7:30pm.
At this Summit, the Expo hall is split into two halls, one for Event and Startup tables, as seen on this slide, and a separate space for Headline, Premier & Spotlight booths.
There are a lot of pillars in this hall, sometimes in quite close proximity to each other. Some Event/Startup booths are in front of pillars and it means they will be quite close to the booth opposite them as you can see in the second photos. Please be aware that you will not be able to place a lot of extra signage (banners).
MENTION CHALKBOARD???
This is the hall where all Headline, Premier and Spotlight booths will be sitatuated. On the left side there is access to an outdoor pool area.

Community Lounge C is located in the Grand Prince Hotel New Takanawa (#1 on the venue map) near the main entrance to the Marketplace Expo Hall, several boutique shops, and the hotel front desk.
Community Lounge D is located in the Grand Prince Hotel Takanawa (#4 on the venue map) where the Design Summit will be held.
What is included in every lounge:
-Two Full Access Passes for sponsor lounge staffers
-Basic furniture that is already in the lounge - soft seating, coffee tables, etc.
-One 46” (117cm) monitor and stand (no audio). Sponsor is responsible for providing the content displayed on the monitor.
-Basic power for the monitor and power strips located at each couch/chair area for people to use to charge their devices
-Special lighting to help brand / theme the lounge space (perhaps your company color)
-Meterboard signage designating the sponsor and providing more information about the featured Tokyo neighbourhood.
-Food / Beverage can be served in lounge for an additional fee. All food / beverage must be provided through venue catering - with whom our production team can put you in touch with for direct orders and billing.
We are now accepting and processing requests for visa support. Once you complete the form with all of the required information our team will generate the proper visa invitation support letters and mail them to you via post. This process can take two to five weeks.
To apply for a visa invitation letter, you MUST have your flight reservation, hotel reservation, and summit registration
Please note that discounted hotel room blocks will soon be made available on openstack.org/summit. Please continue to check back for updates.
Please check the link to the Japanese MOFA for a list of countries with visa exemptions. If you travel on a passport issued by a country NOT on this list, you will require documents issued in Japanese by the local host. The English language letter of Summit registration confirmation that is produced by the Summit Eventbrite registration system WILL NOT suffice in most cases.
We recommend you give yourself at least one (1) month to complete the visa process. Japanese entry visas are only valid for three (3) months from the date the visa is issued.
