LTT Project meeting / Palazzolo S/O
Agreement
1) The project activities, results and outcomes were overviewed.
- Do we need to change some of the activities?
- If there would be problems for contacting and delivering news about the project
in the local newspaper, articles for the project will be written and released on the
school newspaper or school website after each meeting.
2) MEETINGS
During the project We have 5 Learning, Teaching, Training Meetings (LTT) with the
participation of 5 students and 2 teacher in each meeting. If you want to bring more
students and teachers for the LTTs, you will have to pay from the management budget (if
we arrange to host the students in families we will save a lot of money and add more
teachers and students abroad ).
The dates for the meetings were decided as in below:

3. IMPLEMENTATION
All the partners will be responsible for the implementation of the Project in the partner
school and the main tasks will be distributed among like below:

meeting to produce an e-magazine.It sould contain information and photos about before the
meeting, during the meeting and after the meeting activities

4. BUDGET:
For project management and implementation – 250 euro per month for each organization (ıt
costs 6 thousand Euros for the each partner fort wo years)
For short term exchanges of group of pupils – for travel and individual support some
amount, depends of distances and country where activity take place (see Erasmus+
Programme Guide for 2016)
For students exchanges the idea is to host a students exchange.Because money is very few,
we can do these exchanges by hosting families.
If the partner schools don’t have enough host families, they will find some accommodation
in hostels, or hotels for reasonable prices.
5. Local participation for the project: How many teachers and the students from the partner
schools will be involved in the project? And how the students will be seleced for the project
team? What about the local community?
The partner schools decided that it is important for the project that many people in our
schools can involve in the project activities locally and internationally.
The teachers and the sudents will be selected from the ones:
- Who are interested in the topic
- who can speak English
3. - are good at IT skills
- can host students for the other meetings
- Have good comunications, behaviours and good qualities etc..
The universities or Colleges, the local municipalities, neighbouring schools, institutions,
associations and companies will be involved during the whole project. There will be visits to
one or more local skateholders during the meetings in each country .
Neighbouring schools will be invited to intermediate meetings and conferences. Additionally
the teaching material will be handed to the schools and is accessible on the
homepage/eTwinning
5. How will cooperation and communication happen among all project partners?
The project life cycle is task of all partners because we created this application together. All
partners will be involved in all activities and products according to each competences and
possibilities. For the time of the whole project all partners will work as a team and all
elements of projects will be prepared jointly via skype conferences and emails.
The general monitoring and coordination will be managed by the Italian school. This means
that the Italaian school will be responsible for preparing and leading the planning and
evaluation stages at the meetings/learning/teaching activities. The Italian school will also
take care to ensure that all commitments made in the application are adhered to by all
schools. The regular preparation and analysis of the progress report will help to ensure this.
Italy, as the project coordinator, will be the "center" keeping balance between partners,
encouraging dynamic action offering advice in all stages of the Project.
Each school will be asked to do the same task at the same period of time and there will
always be deadlines which have to be met.It would be better to write the emails to everyone
for a better understanding and avoiding time waste and reputation of the answers.
Tools to be used for cooperation and communication among Project partners:
-Audio conference, Chat, facebook, whatsapp, e-mail, Forum, Other software (Powerpoint,
Prezi, video, pictures and drawings), Project Diary, Video conference, Virtual learning
environment (communities, virtual classes, ...), Web publishing
- a web portal will be used for storing and sharing the project documents
- semifinal- final reports, minutes of meetings recorded during the mobilities, surveys,
interviews, photos, videos, detailed distrubition of tasks, activities list, mobility participants
lists, etc...
6. Facebook page for teachers and the students:
Facebook page everyone can communicate by that way! Students need to have access! We
have already had a facebook page for the teachers as we needed to share and communicate
for the first meeting. So they can post pictures, documents, etc …
4. It is possible to have Whatsapp group for coordinators!
7. Website : Poland will be responsible for the project website .Untill the next meeting
Poland will make a research and tries to find organise a website page for the project.
8. Organisation of the meetings:
Host country will try to arrange the best options for accomadation, transport, workshops,
food and the visits for the guests.. Costs like transportation, entries, food, etc … should be
paid by the visitors with minimum price. Take care for the budget during the meetings!
Host partners will try to find a guest family for every student. If this is not possible, try to
find an affordable solution!
All the partners aggreed that at each meeting local institutions, universities, municipalities,
NGOs and the companies will be visited and presentations, workshops and question
sessions will be held;
In every meeting teachers meetings will be held to disscuss the details and to plan the next
meetings and overview the project implementation. For the teachers meetings There will be
one chairman and one assistant writing the agreement with the project coordinator.
Agreements of the meetings should be written and sent to all the partners and also put in
the website of the project.
Each hosting school prepares a report about the hosted meeting and provides it to
everybody. It should have mobility description (aims, activities and outcomes of the mobility
activity, minutes of each meeting etc… ) with some photos .
9. What we have done for the project so far in each school?
In Italy after the National agency released the results, the project was introduced to the
teachers, students and their parents.
Project corner was held on one of the wall in a corridor in the school and prepared for the
first meeting.
Students were told to participate to a logo competition.
And what are we going to do after the meeting and for the next meeting in our schools?
-A Newsletter or a report about the meeting with some information and the photos was
prepared and sent to the partner institutions after each meeting so that it could be shared in
the schools website and also in the Erasmus + project corners in each school.
After the meetings an article will be written and sent tot he local newspaper but if it is not
possible, the article couls be put in the websites of the schools.
5. 10.Documents needed for the meetings?
Do you needs invitation letter for the meetings? program for the meeting and the matching
list for the students who is hosting who, telephone number, emails and address of the host
to get the legal permission from the local government. It would be better, if it could be sent
one month before the meeting.
11. Evaluations of the meetings?
Each country will prepare a questionnaire after the meeting; not difficult for the students
simple questions about the project activities!
Italy will prepare an evaluation form for this meeting. Please fill it in. We should do it for
each meeting.
12. Certificates:
Certificate of Attendance for the meetings will be organized by the host country for each
participant with the signature of the head of the institution.
EUROPASS mobility certificate will be worked out by the coordinator and it will be prepared
for the participants.
13. Suggestions for the next meeting in Germany?
For the LTT meeting in Italy,
- Presentations of the schools in a Project market will be held with some
documents, maps, books, drawings, local food and special features from our cites
or towns or countries etc….
- Logo competition
- Students who will teach at their peer

15. What do you pay … when and how
The host country organizes all the workshops for the meeting and seminar and also the
trips.You will pay for the expenses before you leave to the host country and get the receipt
from the school signed by the head of the institution.
