Discuss the process of Communication?
COMMUNICATION:
“Communication is an exchange of facts, ideas, opinions or emotions by two or more
person.”
OR
“Communication is a bridge of meaningful words by using it we can easily cross the
river of misunderstanding.”
Process of Communication:
Communication is two way process of exchanging ideas or information. It is a process
of sending and receiving message that produce or response. Apparently it looks so simple but
there is a whole process involve in it. A message will have to pass through six stages when it
travels from one person to another. It is considered successful when it achieves the desired
reaction or response from the receiver. The process of communication requires the following
six steps:
1. Ideation
2. Encoding
3. Transmission
4. Receiving Message
5. Decoding
6. Action or Feed back
Sketch:
(COMMUNICATION CYCLE)
Ideation
Encoding
Transmission
Receiving Message
Decoding
Action (Feed back)
1. Ideation:
“Ideation is birth source of communication between persons or parties.”
Ideation is the first step in communication. In this step an idea occurs in the sender’s mind. He
thinks what he wants to communicate to other person or party. In ideation the sender should
also know about this real intention of sending the message and the channel by which it is being
sent.
2. Encoding:
“As a sender you use symbol that express your message and create the desired
response.”
First and idea occurs in the mind of a source. Then the idea is converted into symbols, words,
gestures and expressions. This conversion of a conceived idea into symbols is called encoding.
When you send a message you are the encoder. The writer or speaker depending whether your
message is written or oral. You try to choose symbols, usually words (and sometimes also
graphics and pictures). Under this step message is composed of symbols haring certain meaning
for sender and the receiver. Encoding is thus translation of an already conceived idea by a
sender in to a message appropriate for transmission. Encoding includes selection of the model
for communication.
3. Transmission:
“Your medium can be the printed words, electronic mail or sound etc.”
“The choice of medium influenced by the inter relationship between the sender and
the receiver.” (H.A. Murphy).
The channel is the medium through which message flow. The channel may be mass media such
as newspaper, radio, television, internet and telephone. It is selected by the source which
determines whether to use a formal or informal channel. The channel and medium depend on
the nature of the sender’s message the location of his audience and need for speed. Two or
three even four channels are normally used at the same time. The choice of medium is
influenced by the urgency of a message and amount of information.
4. Receiving the Message:
“The receiver – decoder is influenced by ideation and pay attention to the message.”
The next step is receiving the message by receiver. The receiver pays attention to the message.
The neglect on the part of receiver may make communication ineffective. Thus the receiver
should be a good listener.
5. Decoding:
“Decoding change the symbols into meaning.”
When the receiver receives the message he applies his intellectual ability to comprehend the
meanings of the symbol. The effective decoding on the part of decoder directly depends upon
the factors to what extent the message is encoded comprehensively. The clearer is the ending
the easier will be the decoding.
6. Feed back:
“Feed back can be oral or written message, an action or simply silence.”
The decoder response is called feed back. Feed back is the key element in the communication
process because it enables the sender to evaluate the effectiveness of his message. It
determines whether understating has been achieved of not. But communication is effective
only when each step is successful. The reaction of the receiver regarding the message may be
either positive of negative. Sender needs feed back in order to determine the success or failure
of the message sent. Feed back tells whether the message got its response as failed to do so.
“The success or failure of the communication is indicated by the feed back we get.”
(H.A. Murphy)
