Welcome!
Welcome to the standard operating procedures guide for the Spring Break Camps.
Purpose of Manual
To create a standard for the Spring Break Camps and ensure program goals, needs, and
expectations are fully met regardless of management of the program.
Welcome Letter:
Hello and welcome to Spring Break Camp!
It is with great pride and much excitement that I welcome you as a staff member of the 2015
City of Boulder Parks & Recreation Youth Sports Programs. Your energy, enthusiasm,
knowledge, and passion for working with children will lay the foundation of success for future
programs. I appreciate your desire to work here and I am happy to have you on board. This
will be an amazing program season!
Please read this manual carefully and thoroughly prior to working your first day. As you read
our Mission Statement and the Program Manual and talk with our current staff, I hope you will
gain a better understanding of the program and its operations.
This manual is here to help guide you through the Spring Break Camps. It will help to answer
any questions you may have and be here as a reference throughout your time with the
program.
Remember, this is a growing SOP manual and should you have any ideas or helpful hints for the
next staff it is always a good idea to include them; this is a dynamic manual!
You are a key factor in making this program a success. Your energy, enthusiasm and skill set
will impact those who participate and make them and their parents want to sign up next
season.

General Expectations:
Employees of the City of Boulder Parks and Recreation Department are expected to exhibit
their best effort and attitude. Be conscious of your role in the experience of our clients. To
each and every customer, you are the Boulder Parks and Recreation Department, and
ultimately it is these customers that pay our salaries. Ask yourself: would you want to do

Appearance
1. Staff is required to wear the provided uniform shirts.
2. Shorts should be professional and comfortable. Athletic shorts are approved but must
be in good condition with no holes, wears, or tears.
3. Comfortable athletic shoes must be worn or on hand. Crocs or sandals are allowed
during appropriate times.
4. Appropriate swimwear must be worn – one piece swimsuits.
5. Hats and sunglasses are recommended.

6. Be prepared for all weather conditions.
7. Staff is required to wear nametags.

Program Overview
Course Description:
A fun-filled, energetic day of exciting and diverse activities for children. Our Spring Break Camps
are where children can enjoy games, sports, swimming, indoor climbing, arts and crafts and
more! All camps provide safe, respectful, age-appropriate, supervised activities.
Goal:
To give children a fun and safe environment to play and socialize during school breaks while
their parents are at work.
Objectives:
At the conclusion of camps, children will display a heightened sense of well-being and through
the satisfaction of quality programming, parents will become or continue to be repeat
customers by enrolling their children in our School Day Off Camps.

Timeline Examples
Loading a Class
Loading a class will be done in Class for Windows. If you need help doing this go to Class for
Windows, log in, and click the help button in the upper left hand corner. When the Help box
appears, click Contents from the three choice tabs. Scroll down until you find Program
Maintenance. Then click Entering Program Information. The next click will be on Course. This
will pull up a complete list of how to load classes.
Flyer Updated
To update the Flyer go into Share – PR – Athletics – Youth – Camps – Schools Break Camps –
Flyers. There you will find a plethora of flyers about Spring Break Camp. Try to use the most up
to date one. Change the dates and times if necessary to make them fit for your year. You
might also want to change the pictures that are on the flyer. You can contact our Graphic
Design Rep, Christy Munoz to get that accomplished. To contact Christy, you can email her at
MunozC@bouldercolorado.gov . To get the flyer posted, go into Share – PR – Athletics – Youth
– Camps – Spring Break Camp.
Registration Open
The day registration opens, stay by the phone. This is a busy day and you will get a lot of phone
calls with questions or concerns.
E-Blast Past Participants
When we send the first e-blast to participants it’s an all around sports email. This email comes
from My Emma (the website) and looks something like this. When sending these types of
emails go into My Emma online at myemma.com the username is
niemanl@bouldercolorado.gov the password is “Boulder1!” If you have any questions, Lisa
Nieman is the web specialist, her email is NiemanL@bouldercolorado.gov .

When you send the Spring Break Camp specific email it can come from your personal email as
long as it doesn’t go to more than 50 people. Be sure, when you are sending the email from
your account to type everyone’s email into the BCC section. You don’t want to send everyone
each other’s emails.

Equipment Evaluated
Before the program starts you want to make sure you have all the equipment you need. You
should also check that it is in good enough condition to use it. The condition of the equipment
represents the program just as much as the staff does.
Recruit Staff
When you are recruiting staff, find people who have experience working at camps. To make
this easier, you can go into the share drive under PR- Athletics- Youth- CAMPS- 2014 All Camps
Staff. There you will find a list of everyone who works at youth camps. These people have
experience with kids and the city.
Hire and Train Staff
If you’re hiring a new person you can go to Neogov and find the instructions. Here is the link
http://intraweb.ci.boulder.co.us/index.php?option=com_content&view=article&id=744&Itemid
=614 . To reach the site from the beginning, click on Internet Explorer, this will bring up
Neogov. Then click Employee Resources tab at the top of the page. This will bring up two
columns of links, at the top of the right hand column is Human Resources. Click that and it will
bring up a new page. The left hand side of the page has multiple options of instructions. Click
Employment, then Hiring/Transferring Procedures. This has all the information broken up into
different sections for your convenience.
Staff Shirts Ordered
Our staff shirts should be ordered through Sally Dieterich. You can contact her by email at
dieterichs@bouldercolorado.gov.
Equipment Purchased
When you evaluated equipment, you noted what we had and what we need. If you didn’t
order what you needed then, now is the time to do so. You should have the equipment prior to
the start date in case something goes wrong. Today is the day to have that all done.

Round Two E-Blast Past Participants
One e-blast already went out; here is round two. If there aren’t as many spots filled as you
would like, try this. Send another copy of the email from your personal account. Remind
parents that Spring Break Camp is starting soon and the spots are filling up fast! Be friendly and
concise, no need to be wordy.
Staff Logistics Meeting
For your staff meeting, you should inform staff members of what you plan to do each day.
Simply tell them what activities you plan to do and be clear about your expectations of them. It
is easiest to tell them point blank what you want from them; i.e. Instead of saying “wear
professional clothing” say something like “wear a City of Boulder shirt with khaki pants.” Make
sure your staff knows they need to be enthusiastic and encouraging to all the kids. Here is
where you should address what to do in situations like if someone knows the participant (in
Policy and Procedures) or if there is an accident (in the Appendices). Be sure to give your staff
time to ask questions of you and be prompt and precise about your answers.
Send E-blast to Participant’s Parents
Before the program starts, you will want to send an email to the parents reminding them about
the program that will be starting.
Program Starts
Today the program starts! Save all your enthusiasm and energy for the kids. You will need to be
extra happy and smiley when you see these kids. Be sure to greet them when they come to the
sign-in. Introduce yourself to the parents and make sure they know how excited you are too.
You should hand the parents a slip of paper that has the following sentence on it. “There will
be no cancellations due to weather unless the recreation center would need to close. If you feel
this may be the case please call the cancelation information line at: 303 441 3410.” Make sure
you and your staff all have name tags on and makes nametags for the kids too. It is very
important that the kids and parents feel like you are trying to get to know their kids individually
so be sure to learn the names of each kid. You can’t be too enthusiastic with these kids, the
more enthusiasm and energy you have, the better. You are in a gym, so if you have a mega
phone, it’s not a bad idea to bring that too. Super high pitched yelling is a very effective way to
get the participants’ attention. Don’t forget to bring the box with the shirts and water bottle
giveaways in it for the participants!

Check- in Meeting
Now it is half way through the program. You want to make sure your staff still has the same
enthusiasm from day one. Talk with them about expectations one more time, just to refresh
their memory of what you want out of them. Address things like wardrobe and enthusiasm one
more time. Ask how they think the program is going and if they had the survey handed out
today, what they think the parents would say. Here is where you take everything the staff says
and apply it to the future lessons. It doesn’t hurt to try something new.
Create End of Program Survey
Go to the internet, type in https://www.surveymonkey.com/ to the navagation bar. The log in
for our account is “cob-parks-rec” the password is “boulder1”. Scroll through the long list of
surveys until you see the most updated Spring Break Camp survey. Make sure it addresses
everything you want it to. If it doesn’t, change it. Print out a copy. Read it yourself to make
sure there are no errors. Then give it to at least two other people to read. Take their opinions
into consideration. Make the changes and let it sit until you are almost at the end.
Revise and Double Check Program Survey
It’s time to look at the survey one more time. Triple check it to make sure you are ready for this
to go public. Print it out one more time and have a new person read it. Make any changes you
think you need to make and be done. Print enough for everyone to take it on the last day of
camp.
Program Ends
Today is the end of the program. End with as much enthusiasm as you started with. Don’t
forget to bring medals for the kids as well as the end of program survey and plenty of pens and
clipboards for the parents to use when filling the survey out. Be sure to leave with a fun cheer
and remind the parents when the next program starts. Thank everyone for coming, multiple
times.

Thank you Emails/ Sends out Surveys
It is inevitable that not everyone filled out a survey. At this point, you need to send one out.
We want a survey from every single participant. Send out the link and thank everyone for
participating one more time.
Review Program Survey Results
It is good to give the survey a couple of days so parents have the time to complete it. Go into
survey monkey one more time with the log in and password from the Create end of program
survey section. You should see your survey on the front page of the surveys because it will have
been looked at recently. If you follow the row with your survey on it to the right hand side of
the page, you will see three icons. The third icon is a small bar graph, if you scroll over it, it will
say analyze results. Click that and it will show you how the parents answered. Adjust the
program for next year according to the results.
Daily operating policies/ procedures:
Spring Break Camp is offered to 5-11 year old children. To keep this program a success, it is
vital to bring all your energy. This age group is particularly difficult to work with if you as the
counselor aren’t bringing all the enthusiasm.
The first day of camp is usually the hardest. Most of the kids don’t know the counselors, so
they’ll be a little shy (or overly rowdy). This is also their first time interacting with some or most
of the other participants. It is very critical that all the counselors have a lot of enthusiasmand
energy.
If the Recreation center closes because of weather or other extreme conditions, you will need
to update the weather line. On the first day, you handed each of the parents a slip that tells
them the number to call for cancelations.
WeatherLine
To update that line, you call the number (303) 441 3410, and then press 6. Be sure to be
specific in your recording, for example; “Hello. Today is March 12, 2015. All youth programs
will be cancelled for today. We will make up this class on March 26, 2015.” Or if for some

reason the class can’t be made up at the end of the season, you will have to refund each
participant for the cancelled class. That recording would go; “Hello. Today is March 12, 2015.
All youth programs for tonight are cancelled due to weather. The amount of this cancelled
class will be refunded to your account.” If it is unclear of weather conditions for the rest of the
evening you can say something like: “Hello. Today is March 12, 2015; it is unclear what the
weather conditions will be for tonight. The weather line will be up to date by 3 PM.”
Eligibility for Participation
All children must be within the age requirements of the specific sports class/program that they
are involved.
Admission and Registration of Children
Youth sport programs are offered through the City of Boulder Parks & Recreation Department.
Participants can register with Registration at any of the three recreational centers, by phone at
303-413-7270, or online at www.bprsports.org Additional program and registration
information is available in the Recreation Activity Guide or online at www.bprsports.org
Children with Special Needs
Youth sports programs do not discriminate on the basis of race, color, religion, national origin,
sex, or disability or any other protected status. The youth sports programs are dedicated to
supporting the Americans with Disabilities Act.
Since we are a public recreation department we cater to everyone- Men and women, pregnant
women, families, children seniors, people with disabilities, people in stages of rehabilitation—
anyone who desires to enhance their life with wellness activities. As an employee, you must
adapt your schedule and plans to meet the needs of each individual. You will constantly be
adding to your knowledge base.
The Recreation Division of the Boulder Parks and Recreation Department provides
opportunities for people with disabilities to participate in a variety of recreation programs.
Programs offered may be specialized programs (specifically serving people with disabilities) or
inclusive which is participation in a general recreation programs alongside patrons without
disabilities.
Specialized programs can be found in the Recreation Activity Guide. All programs are offered
by an EXPAND staff. EXPAND (Exciting Programs, Adventures and New Dimensions) staff
members are Certified Therapeutic Specialists having knowledge of many disabilities.
Inclusion provides the opportunity for a patron with a disability to choose and participate in a
general recreation class. Staff assesses the abilities of the patron with a disability as it relates to

the chosen class and makes accommodations as needed. The inclusion process is as follows:
Once notified, an instructor or EXPAND staff will do an assessment of the participant’s skills and
abilities as it pertains to the activity and determine the level of accommodation necessary.
Accommodations will vary depending upon the program, the participant and the program
environment. Accommodations are meant to be natural and non-invasive of the activity.
Accommodations may include: increased verbal repetition by an instructor, setting up a reward
system to manage behavior, a sign language interpreter, or an additional staff to assist with
program instruction. If an additional staff is necessary, it is important to remember that the
staff provided is not intended to function as a one-on-one aide solely for the participant rather
a support to the entire class. Inclusion promotes an environment that is welcoming and
supportive to all. All information about a person is confidential and not to be shared with
others.
Things to do!
 Be as welcoming to a person with a disability in your program as you are to all your
patrons.
 Ask questions of your supervisor, the EXPAND staff and the patron as to what works
best. It may be uncomfortable at first….that is ok!
 Understand necessary accommodations and give them a try. If a staff asks you to tweak
your teaching style to accommodate a patron……please give it a try.
 Try, try and try all new ideas. You are the expert in your area…..let us know what will
work best.
 Know that we are all on the same team and the EXPAND staff and your supervisor is
here to support you.
 Respect people with disabilities and use “People First” language. I.E. Refer to patrons
as “Joe who has a visual impairment” or “Betty who is deaf.” They are persons who
happen to have a disability.
 Communicate, communicate and communicate.

Anti- Discrimination/Harassment Policy
Employees are expected to maintain a productive work environment that is free from harassing
or discriminatory activity. No form of harassment or discrimination will be tolerated, including
harassment or discrimination for the following reasons: race, national origin, religion, disability,
pregnancy, age, military status, genetic characteristics, gender, gender identity, gender
variance, or sexual orientation. This policy specifically prohibits any form of sexual harassment.
Any employee who believes that a supervisor, manager, other employee, or non-employee’s
conduct or words constitute unwelcome harassment or discrimination has the responsibility to
report or complain about the situation as soon as possible. The report or complaint may be
made to the employee’s supervisor, manager, or directly to HR staff.
Participants who Become ill/ Accidents/ Emergency
The City of Boulder Parks & Recreation Department reserves the right to refuse admission of
any ill child into programs. Parents may be asked to take their child home should this action be
deemed necessary by recreation center staff.
No ill child should be knowingly left on-site by any parent. If a child feels ill, talk with the child
to determine probable cause. If the child appears to be running a fever, has the flu, etc
separate the child immediately from the other participants. Notify the Program Coordinator
immediately. The camper should be brought to the staff office where to make the child
comfortable until their parent arrives. The Program Coordinator will notify the parents of the
child’s condition and assure prompt pick-up of child. A program staff member or designee must
remain with the ill child and remain within hearing distance. Staff should note any changes in
appearance and notify the Program Coordinator if the condition worsens or medical attention is
needed.
If a child is injured, first aid will be administered and if deemed necessary, 911 will be called.
The parent/guardian will be called and notified of the injury by the Program Coordinator. The
Program Coordinator will let the parent/guardian know if their child needs to be picked up or
was transported by emergency vehicle to the hospital. Any minor scrapes and bumps will be
reported to the parent/guardian when they arrive to pick up their child.
In any event in which the parent/guardian cannot be reached the emergency contact person
will be notified. The child will then be excluded from the center for the period of time
prescribed by the child’s physician of the local health department.
All injuries and illnesses must be documented by staff on the appropriate Incident Form and
added to the Incident Log.

Staff will clean and wipe down all areas, toys and equipment used by any ill child. A bleach and
water cleaning solution and protective gloves will be provided. Staff should contact the front
desk and Center Supervisor for assistance.
Communicable Diseases
Communicable diseases include, but are not limited to the following: hepatitis, measles,
mumps, meningitis, diphtheria, rubella, salmonella, tuberculosis, giardia, pink eye, lice or
shigella infection. Parents and City of Boulder youth sports staff must report to the Program
Coordinator any exposure to communicable illness outside the program.
Communicable Illness Procedure
1. If a child shows signs of severe or communicable illness notify the Program Coordinator
immediately.
2. Program Coordinator will notify parents immediately.
3. Separate the child from the group. A staff member must be within hearing distance.
4. Have the child lie down on a mat if needed.
5. The Program Coordinator will contact a medical facility for consultation regarding
treatment.
6. The Program Coordinator will notify the local health department, staff members, and all
parents of the participants enrolled at the site.
7. The child’s confidentiality must be maintained at all costs.
Symptoms that Prevent Attendance
Any child or staff member exhibiting any of the following symptoms will not be allowed to be
present at the sports programs: diarrhea, vomiting, fever, chills, body aches.
Follow the above Communicable Illness Procedure.

Essential Duties and Responsibilities
 Demonstrates, instructs, and actively supervises participants during all program
activities and events
 Responsible for assisting and supporting the Program Coordinator in planning,
coordinating, and supervising daily program activities
 Maintains a safe and secure environment for all participants
 Accountable for whereabouts of children at all times
 Uses appropriate disciplinary techniques with participants and logs all incidents
 Accurately keeps daily attendance and maintains necessary records to uphold sport
program guidelines
 Effectively interacts and communicates with parents, supervisor, co-workers and
participants
 Accounts for and maintains all supplies and equipment
 Must be able to participate in swim related activities, including but not limited to suiting
up and wading in water up to your waist; if applicable
 Must be able to remain composed in emergency situations and make sound judgment
decisions during emergency and non-emergency situations
 Reports directly to Program Lead and Program Coordinator
Safety information about specific facilities/
programs:
Familiarity with the Facilities and Programs
Before you work, become familiar with the facility(s) so you can answer patrons' questions and
ensure their safety. You must know the location of all emergency equipment and supplies, fire
extinguishers, and emergency phones, closest exits for evacuations, and restrooms. Read the
quarterly Recreation Guide to stay informed about program and class offerings. All important
phone numbers are published in each Recreation Guide. The following are the telephone
numbers of the 3 recreation facilities.
In each case, press “0” to bypass the recorded message and speak with a front desk person.

Conflict Resolution Techniques
1. Careful preparation is the first step to successful conflict resolution. Give yourself time
to reflect on your concerns so you are able to communicate them calmly, thoughtfully,
and clearly. Prepare the other party by letting them know in advance you have
something important you want to discuss. Choose a suitable time and location where
you can discuss your concerns privately and without interruption (never in front of the
participants). However, problems are generally easier to resolve when they are dealt
with promptly, so preparation time should be balanced against the detrimental effects
of delay.
2. Try to identify and agree upon common goals and objectives.
3. Identify needs and interests rather than specific solutions to a problem. Consider the
other persons needs and interests just as you would have yours considered. Try to
listen to the other person as if you were a neutral third party who is uninvolved. Ask for
more information if the other person has reached a conclusion that does not make
sense to you, rather than challenging his/her assumptions.
4. Focus on the problem, not the personalities involved. Focus on what will make the
future successful, not what has created problems in the past.
5. If you believe the problem is a personality conflict, focus on the specific behaviors that
are causing the problem, not on an assessment or judgment of the personality.
6. Agree upon standards to solve the problem.
7. Be creative, brainstorm; consider many possibilities for solving the problem.
8. Keep talking until you agree upon a solution that best meets the needs and interests of

something quickly rather than hanging in there for something that will really work. If
you haven’t hit on a solution, identify what specific need or interest has not yet been
met. Look for a way to modify your best suggestions so far to meet that need or
interest.
9. Agree on follow-up and next steps. Agree to get back together at a specific time in the
future to check in with each other to see how the solution is working.
10. Consider putting your agreement in writing to avoid future conflicts.
11. If you cannot solve the problem after all of these steps, seek assistance fromyour
manager, HR/OE, or from a professional mediator or facilitator.

Job Description
Volunteer Counselor/ Instructor
Summary: Purpose of this position is to assist program instructors/coaches in the supervision
and implementation program activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
 Assists Coaches/Instructors with the demonstration, instruction, and active supervision
of participants during all program activities and events
 Maintains a safe and secure environment for all participants
 Accountable for whereabouts of children at all times
 Accounts for and maintains all supplies and equipment
 Must be able to participate in swim related activities, including but not limited to suiting
up and wading in water up to your waist; if applicable
 Reports directly to Program Lead
Youth Counselors- 6-8 coaches requireddependingonparticipants. 8:1ratio.
REQUIRED MINIMUM QUALIFICATIONS:
• Must be at least 16 years of age.
• Previous experience working with children 5-11 years old.
• Must be able to provide excellent guest service to participants, as well as, to members and
guests of the City of Boulder Recreation Centers.
• Ability to communicate effectively when enforcing policies, rules and regulations.
• Must have knowledge of volleyball including: rules, skills, concepts, and game play.

Children of Staff/Friends/Family
Youth sports staff must receive prior approval from the Program Coordinator before bringing
their child or a guest to the program. Staff wanting to have their child attend programs must
enroll and pay. This decision can be reversed at any time if the child causes disruption or if
something of an inappropriate nature happens. Staff should find alternative arrangements for
children if they do not fall within the appropriate age range of the program.
Complaints and Compliments
Complaints & compliments regarding the program should be reported to the Program
Coordinator. Complaints & compliments regarding the facilities should be reported to the
Program Coordinator.

When filling out these forms be extremely precise. Every blank must be filled in. Be specific
about where you are in location. Be sure to write AM/PM with the time.

In Survey Monkey you can select a survey to edit. At the end of the Spring Break Camps, you
should go into the 2015 Spring Break survey and review it to make sure it all looks like you want
it to. Look through the questions and see what information you are hoping to get from it.

  • 5. - 4 - Welcome! Welcome to the standard operating procedures guide for the Spring Break Camps. Purpose of Manual To create a standard for the Spring Break Camps and ensure program goals, needs, and expectations are fully met regardless of management of the program. Welcome Letter: Hello and welcome to Spring Break Camp! It is with great pride and much excitement that I welcome you as a staff member of the 2015 City of Boulder Parks & Recreation Youth Sports Programs. Your energy, enthusiasm, knowledge, and passion for working with children will lay the foundation of success for future programs. I appreciate your desire to work here and I am happy to have you on board. This will be an amazing program season! Please read this manual carefully and thoroughly prior to working your first day. As you read our Mission Statement and the Program Manual and talk with our current staff, I hope you will gain a better understanding of the program and its operations. This manual is here to help guide you through the Spring Break Camps. It will help to answer any questions you may have and be here as a reference throughout your time with the program. Remember, this is a growing SOP manual and should you have any ideas or helpful hints for the next staff it is always a good idea to include them; this is a dynamic manual! You are a key factor in making this program a success. Your energy, enthusiasm and skill set will impact those who participate and make them and their parents want to sign up next season.
  • 6. - 5 - General Expectations: Employees of the City of Boulder Parks and Recreation Department are expected to exhibit their best effort and attitude. Be conscious of your role in the experience of our clients. To each and every customer, you are the Boulder Parks and Recreation Department, and ultimately it is these customers that pay our salaries. Ask yourself: would you want to do business with you? Staff is required to wear the provided uniform shirts. 2. Shorts should be professional and comfortable. Athletic shorts are approved but must be in good condition with no holes, wears, or tears. 3. Comfortable athletic shoes must be worn or on hand. Crocs or sandals are allowed during appropriate times. 4. Appropriate swimwear must be worn – one piece swimsuits. 5. Hats and sunglasses are recommended.
  • 7. - 6 - 6. Be prepared for all weather conditions. 7. Staff is required to wear nametags. Guiding Principles 1. To create a safe and fun environment for all children. 2. To provide an organized program that offers a variety of sports activities for all children. 3. To introduce positive asset building to all of the children. 4. To introduce activities that will exercise the mind and body. 5. To promote a lifelong habit of exercise and recreation. 6. To create opportunities for new friendships. 7. To teach acceptance of all members of society. 8. To create opportunities for personal challenge. 9. To provide an environment where kids can be kids and just have fun! 10. To get a foundation of team building skills for all participants. Program Overview Course Description: A fun-filled, energetic day of exciting and diverse activities for children. Our Spring Break Camps are where children can enjoy games, sports, swimming, indoor climbing, arts and crafts and more! All camps provide safe, respectful, age-appropriate, supervised activities. Goal: To give children a fun and safe environment to play and socialize during school breaks while their parents are at work. Objectives: At the conclusion of camps, children will display a heightened sense of well-being and through the satisfaction of quality programming, parents will become or continue to be repeat customers by enrolling their children in our School Day Off Camps.   • 9. - 8 - Timeline Examples Loading a Class Loading a class will be done in Class for Windows. If you need help doing this go to Class for Windows, log in, and click the help button in the upper left hand corner. When the Help box appears, click Contents from the three choice tabs. Scroll down until you find Program Maintenance. Then click Entering Program Information. The next click will be on Course. This will pull up a complete list of how to load classes. Flyer Updated To update the Flyer go into Share – PR – Athletics – Youth – Camps – Schools Break Camps – Flyers. There you will find a plethora of flyers about Spring Break Camp. Try to use the most up to date one. Change the dates and times if necessary to make them fit for your year. You might also want to change the pictures that are on the flyer. You can contact our Graphic Design Rep, Christy Munoz to get that accomplished. To contact Christy, you can email her at MunozC@bouldercolorado.gov . To get the flyer posted, go into Share – PR – Athletics – Youth – Camps – Spring Break Camp. Registration Open The day registration opens, stay by the phone. This is a busy day and you will get a lot of phone calls with questions or concerns. E-Blast Past Participants When we send the first e-blast to participants it’s an all around sports email. This email comes from My Emma (the website) and looks something like this. When sending these types of emails go into My Emma online at myemma.com the username is niemanl@bouldercolorado.gov the password is “Boulder1!” If you have any questions, Lisa Nieman is the web specialist, her email is NiemanL@bouldercolorado.gov .
  • 10. - 9 - When you send the Spring Break Camp specific email it can come from your personal email as long as it doesn’t go to more than 50 people. Be sure, when you are sending the email from your account to type everyone’s email into the BCC section. You don’t want to send everyone each other’s emails.
  • 11. - 10 - Equipment Evaluated Before the program starts you want to make sure you have all the equipment you need. You should also check that it is in good enough condition to use it. The condition of the equipment represents the program just as much as the staff does. Recruit Staff When you are recruiting staff, find people who have experience working at camps. To make this easier, you can go into the share drive under PR- Athletics- Youth- CAMPS- 2014 All Camps Staff. There you will find a list of everyone who works at youth camps. These people have experience with kids and the city. Hire and Train Staff If you’re hiring a new person you can go to Neogov and find the instructions. Here is the link http://intraweb.ci.boulder.co.us/index.php?option=com_content&view=article&id=744&Itemid =614 . To reach the site from the beginning, click on Internet Explorer, this will bring up Neogov. Then click Employee Resources tab at the top of the page. This will bring up two columns of links, at the top of the right hand column is Human Resources. Click that and it will bring up a new page. The left hand side of the page has multiple options of instructions. Click Employment, then Hiring/Transferring Procedures. This has all the information broken up into different sections for your convenience. Staff Shirts Ordered Our staff shirts should be ordered through Sally Dieterich. You can contact her by email at dieterichs@bouldercolorado.gov. Equipment Purchased When you evaluated equipment, you noted what we had and what we need. If you didn’t order what you needed then, now is the time to do so. You should have the equipment prior to the start date in case something goes wrong. Today is the day to have that all done.
  • 12. - 11 - Round Two E-Blast Past Participants One e-blast already went out; here is round two. If there aren’t as many spots filled as you would like, try this. Send another copy of the email from your personal account. Remind parents that Spring Break Camp is starting soon and the spots are filling up fast! Be friendly and concise, no need to be wordy. Staff Logistics Meeting For your staff meeting, you should inform staff members of what you plan to do each day. Simply tell them what activities you plan to do and be clear about your expectations of them. It is easiest to tell them point blank what you want from them; i.e. Instead of saying “wear professional clothing” say something like “wear a City of Boulder shirt with khaki pants.” Make sure your staff knows they need to be enthusiastic and encouraging to all the kids. Here is where you should address what to do in situations like if someone knows the participant (in Policy and Procedures) or if there is an accident (in the Appendices). Be sure to give your staff time to ask questions of you and be prompt and precise about your answers. Send E-blast to Participant’s Parents Before the program starts, you will want to send an email to the parents reminding them about the program that will be starting. Program Starts Today the program starts! Save all your enthusiasm and energy for the kids. You will need to be extra happy and smiley when you see these kids. Be sure to greet them when they come to the sign-in. Introduce yourself to the parents and make sure they know how excited you are too. You should hand the parents a slip of paper that has the following sentence on it. “There will be no cancellations due to weather unless the recreation center would need to close. If you feel this may be the case please call the cancelation information line at: 303 441 3410.” Make sure you and your staff all have name tags on and makes nametags for the kids too. It is very important that the kids and parents feel like you are trying to get to know their kids individually so be sure to learn the names of each kid. You can’t be too enthusiastic with these kids, the more enthusiasm and energy you have, the better. You are in a gym, so if you have a mega phone, it’s not a bad idea to bring that too. Super high pitched yelling is a very effective way to get the participants’ attention. Don’t forget to bring the box with the shirts and water bottle giveaways in it for the participants!
  • 13. - 12 - Check- in Meeting Now it is half way through the program. You want to make sure your staff still has the same enthusiasm from day one. Talk with them about expectations one more time, just to refresh their memory of what you want out of them. Address things like wardrobe and enthusiasm one more time. Ask how they think the program is going and if they had the survey handed out today, what they think the parents would say. Here is where you take everything the staff says and apply it to the future lessons. It doesn’t hurt to try something new. Create End of Program Survey Go to the internet, type in https://www.surveymonkey.com/ to the navagation bar. The log in for our account is “cob-parks-rec” the password is “boulder1”. Scroll through the long list of surveys until you see the most updated Spring Break Camp survey. Make sure it addresses everything you want it to. If it doesn’t, change it. Print out a copy. Read it yourself to make sure there are no errors. Then give it to at least two other people to read. Take their opinions into consideration. Make the changes and let it sit until you are almost at the end. Revise and Double Check Program Survey It’s time to look at the survey one more time. Triple check it to make sure you are ready for this to go public. Print it out one more time and have a new person read it. Make any changes you think you need to make and be done. Print enough for everyone to take it on the last day of camp. Program Ends Today is the end of the program. End with as much enthusiasm as you started with. Don’t forget to bring medals for the kids as well as the end of program survey and plenty of pens and clipboards for the parents to use when filling the survey out. Be sure to leave with a fun cheer and remind the parents when the next program starts. Thank everyone for coming, multiple times.
  • 14. - 13 - Thank you Emails/ Sends out Surveys It is inevitable that not everyone filled out a survey. At this point, you need to send one out. We want a survey from every single participant. Send out the link and thank everyone for participating one more time. Review Program Survey Results It is good to give the survey a couple of days so parents have the time to complete it. Go into survey monkey one more time with the log in and password from the Create end of program survey section. You should see your survey on the front page of the surveys because it will have been looked at recently. If you follow the row with your survey on it to the right hand side of the page, you will see three icons. The third icon is a small bar graph, if you scroll over it, it will say analyze results. Click that and it will show you how the parents answered. Adjust the program for next year according to the results. Daily operating policies/ procedures: Spring Break Camp is offered to 5-11 year old children. To keep this program a success, it is vital to bring all your energy. This age group is particularly difficult to work with if you as the counselor aren’t bringing all the enthusiasm. The first day of camp is usually the hardest. Most of the kids don’t know the counselors, so they’ll be a little shy (or overly rowdy). This is also their first time interacting with some or most of the other participants. It is very critical that all the counselors have a lot of enthusiasmand energy. If the Recreation center closes because of weather or other extreme conditions, you will need to update the weather line. On the first day, you handed each of the parents a slip that tells them the number to call for cancelations. WeatherLine To update that line, you call the number (303) 441 3410, and then press 6. Be sure to be specific in your recording, for example; “Hello. Today is March 12, 2015. All youth programs will be cancelled for today. We will make up this class on March 26, 2015.” Or if for some
  • 15. - 14 - reason the class can’t be made up at the end of the season, you will have to refund each participant for the cancelled class. That recording would go; “Hello. Today is March 12, 2015. All youth programs for tonight are cancelled due to weather. The amount of this cancelled class will be refunded to your account.” If it is unclear of weather conditions for the rest of the evening you can say something like: “Hello. Today is March 12, 2015; it is unclear what the weather conditions will be for tonight. The weather line will be up to date by 3 PM.” Eligibility for Participation All children must be within the age requirements of the specific sports class/program that they are involved. Admission and Registration of Children Youth sport programs are offered through the City of Boulder Parks & Recreation Department. Participants can register with Registration at any of the three recreational centers, by phone at 303-413-7270, or online at www.bprsports.org Additional program and registration information is available in the Recreation Activity Guide or online at www.bprsports.org Children with Special Needs Youth sports programs do not discriminate on the basis of race, color, religion, national origin, sex, or disability or any other protected status. The youth sports programs are dedicated to supporting the Americans with Disabilities Act. Since we are a public recreation department we cater to everyone- Men and women, pregnant women, families, children seniors, people with disabilities, people in stages of rehabilitation— anyone who desires to enhance their life with wellness activities. As an employee, you must adapt your schedule and plans to meet the needs of each individual. You will constantly be adding to your knowledge base. The Recreation Division of the Boulder Parks and Recreation Department provides opportunities for people with disabilities to participate in a variety of recreation programs. Programs offered may be specialized programs (specifically serving people with disabilities) or inclusive which is participation in a general recreation programs alongside patrons without disabilities. Specialized programs can be found in the Recreation Activity Guide. All programs are offered by an EXPAND staff. EXPAND (Exciting Programs, Adventures and New Dimensions) staff members are Certified Therapeutic Specialists having knowledge of many disabilities. Inclusion provides the opportunity for a patron with a disability to choose and participate in a general recreation class. Staff assesses the abilities of the patron with a disability as it relates to

The inclusion process is as follows: Once notified, an instructor or EXPAND staff will do an assessment of the participant’s skills and abilities as it pertains to the activity and determine the level of accommodation necessary. Accommodations will vary depending upon the program, the participant and the program environment. Accommodations are meant to be natural and non-invasive of the activity. Accommodations may include: increased verbal repetition by an instructor, setting up a reward system to manage behavior, a sign language interpreter, or an additional staff to assist with program instruction. If an additional staff is necessary, it is important to remember that the staff provided is not intended to function as a one-on-one aide solely for the participant rather a support to the entire class. Inclusion promotes an environment that is welcoming and supportive to all. All information about a person is confidential and not to be shared with others. Things to do!  Be as welcoming to a person with a disability in your program as you are to all your patrons.  Ask questions of your supervisor, the EXPAND staff and the patron as to what works best. It may be uncomfortable at first….that is ok!  Understand necessary accommodations and give them a try. If a staff asks you to tweak your teaching style to accommodate a patron……please give it a try.  Try, try and try all new ideas. You are the expert in your area…..let us know what will work best.  Know that we are all on the same team and the EXPAND staff and your supervisor is here to support you.  Respect people with disabilities and use “People First” language. I.E. Refer to patrons as “Joe who has a visual impairment” or “Betty who is deaf.” They are persons who happen to have a disability.  Communicate, communicate and communicate.   • 17. - 16 - Anti- Discrimination/Harassment Policy Employees are expected to maintain a productive work environment that is free from harassing or discriminatory activity. No form of harassment or discrimination will be tolerated, including harassment or discrimination for the following reasons: race, national origin, religion, disability, pregnancy, age, military status, genetic characteristics, gender, gender identity, gender variance, or sexual orientation. This policy specifically prohibits any form of sexual harassment. Any employee who believes that a supervisor, manager, other employee, or non-employee’s conduct or words constitute unwelcome harassment or discrimination has the responsibility to report or complain about the situation as soon as possible. The report or complaint may be made to the employee’s supervisor, manager, or directly to HR staff. Participants who Become ill/ Accidents/ Emergency The City of Boulder Parks & Recreation Department reserves the right to refuse admission of any ill child into programs. Parents may be asked to take their child home should this action be deemed necessary by recreation center staff. No ill child should be knowingly left on-site by any parent. If a child feels ill, talk with the child to determine probable cause. If the child appears to be running a fever, has the flu, etc separate the child immediately from the other participants. Notify the Program Coordinator immediately. The camper should be brought to the staff office where to make the child comfortable until their parent arrives. The Program Coordinator will notify the parents of the child’s condition and assure prompt pick-up of child. A program staff member or designee must remain with the ill child and remain within hearing distance. Staff should note any changes in appearance and notify the Program Coordinator if the condition worsens or medical attention is needed. If a child is injured, first aid will be administered and if deemed necessary, 911 will be called. The parent/guardian will be called and notified of the injury by the Program Coordinator. The Program Coordinator will let the parent/guardian know if their child needs to be picked up or was transported by emergency vehicle to the hospital. Any minor scrapes and bumps will be reported to the parent/guardian when they arrive to pick up their child. In any event in which the parent/guardian cannot be reached the emergency contact person will be notified. The child will then be excluded from the center for the period of time prescribed by the child’s physician of the local health department. All injuries and illnesses must be documented by staff on the appropriate Incident Form and added to the Incident Log.
  • 18. - 17 - Staff will clean and wipe down all areas, toys and equipment used by any ill child. A bleach and water cleaning solution and protective gloves will be provided. Staff should contact the front desk and Center Supervisor for assistance. Communicable Diseases Communicable diseases include, but are not limited to the following: hepatitis, measles, mumps, meningitis, diphtheria, rubella, salmonella, tuberculosis, giardia, pink eye, lice or shigella infection. Parents and City of Boulder youth sports staff must report to the Program Coordinator any exposure to communicable illness outside the program. Communicable Illness Procedure 1. If a child shows signs of severe or communicable illness notify the Program Coordinator immediately. 2. Program Coordinator will notify parents immediately. 3. Separate the child from the group. A staff member must be within hearing distance. 4. Have the child lie down on a mat if needed. 5. The Program Coordinator will contact a medical facility for consultation regarding treatment. 6. The Program Coordinator will notify the local health department, staff members, and all parents of the participants enrolled at the site. 7. The child’s confidentiality must be maintained at all costs. Symptoms that Prevent Attendance Any child or staff member exhibiting any of the following symptoms will not be allowed to be present at the sports programs: diarrhea, vomiting, fever, chills, body aches. Follow the above Communicable Illness Procedure.

  • 20. - 19 - Conflict Resolution Techniques 1. Careful preparation is the first step to successful conflict resolution. Give yourself time to reflect on your concerns so you are able to communicate them calmly, thoughtfully, and clearly. Prepare the other party by letting them know in advance you have something important you want to discuss. Choose a suitable time and location where you can discuss your concerns privately and without interruption (never in front of the participants). However, problems are generally easier to resolve when they are dealt with promptly, so preparation time should be balanced against the detrimental effects of delay. 2. Try to identify and agree upon common goals and objectives. 3. Identify needs and interests rather than specific solutions to a problem. Consider the other persons needs and interests just as you would have yours considered. Try to listen to the other person as if you were a neutral third party who is uninvolved. Ask for more information if the other person has reached a conclusion that does not make sense to you, rather than challenging his/her assumptions. 4. Focus on the problem, not the personalities involved. Focus on what will make the future successful, not what has created problems in the past. 5. If you believe the problem is a personality conflict, focus on the specific behaviors that are causing the problem, not on an assessment or judgment of the personality. 6. Agree upon standards to solve the problem. 7. Be creative, brainstorm; consider many possibilities for solving the problem. 8. Keep talking until you agree upon a solution that best meets the needs and interests of all parties. This is important. Often, when we wish to avoid conflict, we will agree to something quickly rather than hanging in there for something that will really work. If you haven’t hit on a solution, identify what specific need or interest has not yet been met. Look for a way to modify your best suggestions so far to meet that need or interest. 9. Agree on follow-up and next steps. Agree to get back together at a specific time in the future to check in with each other to see how the solution is working. 10. Consider putting your agreement in writing to avoid future conflicts. 11. If you cannot solve the problem after all of these steps, seek assistance fromyour manager, HR/OE, or from a professional mediator or facilitator.
