The document discusses the Japanese 5S methodology for workplace organization and cleanliness. 5S stands for five Japanese words: seiri (sorting), seiton (straightening), seiso (systematic cleaning), seiketsu (standardizing), and shitsuke (sustaining). It was originally developed for manufacturing companies to create a safer, more efficient, and productive work environment. The 5S methodology involves sorting through all items in a workspace to eliminate unnecessary items, organizing the remaining items based on use and storage needs, thoroughly cleaning the workspace, standardizing processes, and sustaining the new systems through commitment and discipline. Adopting the 5S approach has advantages like increased productivity, safety, and morale.

2. Introduction
• 5S was originally developed by Hiroyuki Hirano for manufacturing
companies in Japan.
• It is a workplace organization methodology that uses a list of five
Japanese words which are
– Seiri (Sorting)
– Seiton (Straightening)
– Seiso (Systematic cleaning)
– Seiketsu (Standardizing)
– Shitsuke (Sustaining)
• A structures program to systematically achieve total organisation,
cleanliness and standardization in the workplace.
• Well organized workplace results in a safer, more efficient and more
productive operation.
• Boosts the morale of the workers, promoting a sense of pride in
their work and ownership of their responsibilities.
5. 1S – Seiri (Sort)
•Is an action to identify and eliminate all unncessary items from the
workplace
How to sort things:
Decide what you need
Remove unnecessary clutter. Throw away all rubbish and unrelated
materials in the workplace.
All tools and materials must be classified and stored.
Remove items which are broken, unusable or occassionally used
6. PRIORITY FREQUENCY OF USE HOW TO USE
Low Less than once per year Throw away
Low Once per year Store away from the
workplace
Average Once per month Store together
Average Once per week Store together
High Once per day Locate at the workplace
7.
8. 2S - Seiton (Set in
Order)
•Is an action to put necessary items in good order.
•It will be useless if there is unnecessary clutter in the workplace.
•There should be a place for everything should be in its place.
•The place for each item should be clearly labelled or demarcated.
•Items should be arranged in a manner that promotes efficient work flow,
with equipment used most often being the most easily accessible.
•Once you have eliminated all the unneeded items, turn to the left over
items.
•Set everything in proper place for quick retrieval and storage.
•Arrange tools, parts and instructions in such a way that the most frequently
used items are the easiest and quickest to locate.
9.
10. 3S – Seiso (Shine)
•It is an action to clean your work – place thoroughly.
•Clean the workspace and all equipment, and keep it clean tidy and
organized.
•Identify and eliminate causes of dirt and grime – remove the need to clean.
•At the end of each shift clean the work area and be sure everything is
restored to its place.
•The goal is to keep everything in great working condition to ensure that it
doesn’t breakdown and it lasts for as long as possible.
•Check periodically computers and other office equipment, they need to be
DEFRAGMENTED and DUSTED to keep them in prime running order.
•Assign 15 minutes before starting to work everyday as shine time.
11.
12. 4S – Seiketsu (Standardize)
•It is a condition where high standard of good house keeping is
maintained so that there is no dust and rust anywhere.
•Encompasses both personal and environmental cleanliness personnel
must practice this starting with their personal tidiness.
•Develop a routine for sorting, setting in order and shining on a daily
basis.
•Simplify the way of maintaining cleanliness.
•Develop procedures, schedules and practices.
•Continue to assess the use and disposal of items.
•All employees doing the same job should be able to work in any
station with the same tools that are in the same location in every station
13.
14. 5S – Shitsuke (Sustain)
•Is a condition where all members practice the 4S’s spontaneously and
willingly as a way of life – a culture.
•Denotes commitment to maintain orderliness and to practice 5S daily
making it a way of life.
•Its chief objective is to give the employee the commitment and motivation
to follow each step day in and day out.
•The emphasis is elimination of bad habits and constant practice of good
ones.
•Maintain and review standards. Once the previous 4S’s have been
established they become the new way to operate.
•Maintain focus on this new way and do not allow a gradual decline back to
the old ways.
•While thinking about the new way, also think of better ways.
