Responsibilities:
• Logistic coordination in regards to Visa, Air Ticket, Vehicle, Transportation, Housing and
Invoices.
• To ensure of the efficiency of service to different assigned task of daily activities.
• Prepare outgoing / incoming correspondences for proper approval of requested services.
• Responsible for different type of Visas such as Employment Dubai Visa, Visit Visa,
Schengen Visa, Short Term Visa, Tourist Visa, Transit Visa, Iraq Visa (Single
Entry/Multiple Visa) & other type of Visa to apply in different consulates & embassies.
• Prepares all requirement documents/credentials for applying requested visa from
Recruitment, and Transfer from other company branches.
• Coordinate and communicate to PRO at all times for all type of Visa to process and
follow-up the priorities.
• Update records & files in order for proper tracking/monitoring.
• Keep monitoring for daily arrival/departure information of manpower personnel traveling
from/to Iraq.
• Update the daily report for SIDAC Dubai.
• Process new visa for new hired employees for Dubai & Iraq personnel.
• Arrange housing accommodation of Managerial position through different agent and
request for quotation then prepare comparison for selection process base of the company
standard budget.
• Responsible for submitting Letter of Invitation for Visa to different countries such as
Rome, Angola, India, Pakistani, Italy, Turkey, Nepal, etc.
• Coordination to Embassies, Consulates and Agencies to applied visa.
• Responsible of Air Tickets for all employees (Vacation & Mission) as per approved travel
request.
• Receive Travel Request Form to different department and get it sign to respective
department to proceed for booking.
• Request quotation for air tickets to different travel agencies and make comparison for
proper selection of good rates.
• Advise travel agency to issue the ticket and forward the same to particular employee for
requested travel date thru email.
• Receive and prepare invoices for different type of services (i.e., Air Tickets, Visa, Hotels,
Stationeries and other miscellaneous expenses of the company) from vendor/suppliers as
per frame agreement.
• SAP entry for work orders and service entry of invoice as per Work Order approved
Summary Report and base on the frame agreement.
• Responsible for new mobilized vehicles to new hired Expat employees and allocate
accordingly.
• Process of driver’s license/schooling to employees till the License released.
• Handle other related logistic works for all Drivers and assign daily schedule to them.
• Prepares monthly timesheet for drivers in GHRS.
• Report to HR Manager daily routine job and receive different type of emails for task
assignment.

Responsibilities:
• Organize 201-files and filing system for all QK employees and Subcontractors
• Organize all incoming and outgoing documents from Main Office, Sites and other departments.
• Report to the Site Coordinator any problems that may hinder the completion of a job and all other job-related
issues that need to be brought up.
• Organize the preparation of all kinds of technical documentation related to Admin Section.
• Request to Site Coordinator all materials/equipment/supplies to be needed in the Admin office and other
department as well.
• Assist all New Arrival Employees for Safety Induction and give list of new employees to warehouse for issuing
necessary P.P.E and toolbox.
• Deploy all new employees to their designated Department (Electrical & Instrumentation) upon completion of
Safety induction and upon received all P.P.E. and toolboxes.
• Responsible for issuing Temporary Gate Pass, Clearances for Final Exit and vacationist.
• Arrange daily food for all employees from Catering for Site Messhall and Office Messhall those who are staying
from the Camp.
• Update the records of Food when New Employees or transfer from Sites came to our Site and give new update to
Camp Boss in Al Khor Camp for additional food.
• Supervise the food delivery from catering and assist the labours for segregating the food for Office Messhall and
Site Messhall.
• Prepares Daily Pass, Temporary Pass, Permanent Pass, 30-Day Pass, Vehicle Escort, Photography Permit.
• Check all supporting documents while processing Permanent and Temporary ID upon submission and approval
from JGC and RLIC.
• Received request from Procurement Department and Subcontractors for Daily Passes to all Subcontractors to be
processed that will come from other countries (i.e., Dubai, Saudi, etc.)
• Checking and Verifying of information based on their attachment (i.e., Passport, Driver’s License and other
credentials.
• Return all expiring RLIC Permanent/Temporary ID Card according to set procedure.
• Produce photocopy of ID card, Passport Copies, Data Sheet to be applied for RLIC Permanent ID and RLIC
Temporary ID for filing.
• Responsible for timekeeping of all employees during the absence/vacation of our colleagues.
• Use Construction Management System software for timekeeping using the electronic card of our employees for
their time-in/time-out.
• Responsible for all Timesheet of employees during the end of the month for submission and approval of Project
Manager and submit for payroll.

Espiritu Duration : Position : General Service Assistant Project : IRAQ PROJECT Responsibilities: • Logistic coordination in regards to Visa, Air Ticket, Vehicle, Transportation, Housing and Invoices. • To ensure of the efficiency of service to different assigned task of daily activities. • Prepare outgoing / incoming correspondences for proper approval of requested services. • Responsible for different type of Visas such as Employment Dubai Visa, Visit Visa, Schengen Visa, Short Term Visa, Tourist Visa, Transit Visa, Iraq Visa (Single Entry/Multiple Visa) & other type of Visa to apply in different consulates & embassies. • Prepares all requirement documents/credentials for applying requested visa from Recruitment, and Transfer from other company branches. • Coordinate and communicate to PRO at all times for all type of Visa to process and follow-up the priorities. • Update records & files in order for proper tracking/monitoring. • Keep monitoring for daily arrival/departure information of manpower personnel traveling from/to Iraq. • Update the daily report for SIDAC Dubai. • Process new visa for new hired employees for Dubai & Iraq personnel. • Arrange housing accommodation of Managerial position through different agent and request for quotation then prepare comparison for selection process base of the company standard budget. • Responsible for submitting Letter of Invitation for Visa to different countries such as Rome, Angola, India, Pakistani, Italy, Turkey, Nepal, etc. • Coordination to Embassies, Consulates and Agencies to applied visa. • Responsible of Air Tickets for all employees (Vacation & Mission) as per approved travel request. • Receive Travel Request Form to different department and get it sign to respective department to proceed for booking. • Request quotation for air tickets to different travel agencies and make comparison for proper selection of good rates. • Advise travel agency to issue the ticket and forward the same to particular employee for requested travel date thru email. • Receive and prepare invoices for different type of services (i.e., Air Tickets, Visa, Hotels, Stationeries and other miscellaneous expenses of the company) from vendor/suppliers as per frame agreement. • SAP entry for work orders and service entry of invoice as per Work Order approved Summary Report and base on the frame agreement. • Responsible for new mobilized vehicles to new hired Expat employees and allocate accordingly. • Process of driver’s license/schooling to employees till the License released. • Handle other related logistic works for all Drivers and assign daily schedule to them. • Prepares monthly timesheet for drivers in GHRS. • Report to HR Manager daily routine job and receive different type of emails for task assignment. • Responsible for HRO Monthly Report for vehicle, visa, & apartment (housing).
