Effective Communication Every serious business company takes communication very serious and keeps themselves updated in the latest most effective types of communication,, This take a lot of businesses’ time and money as they cannot afford to be working with barriers such as language and semantic problems, poor presentations, verbal skills or use of wrong medium etc. Not only businesses but anyone who is thinking of sharing particular information should firstly ask themselves who is the audience? Verbal Communication Verbal communication is only possible between a speaker and a listener, both participants must understand the same language; verbal communication is easily improved if it is continuously practised.VocabularyAs a business understanding and knowing an extensive vocabulary is vital in order to successfully communicate business ideas and strategies to another party. It reduces the amount of misunderstanding and generally enables the listener to facilitate further communication.AudienceAlthough, using extensive vocabulary can sometimes be considered as a downfall, this is if the listener doe snot understand the words of the speaker. This has been the case in many situations elsewhere, for example meetings between native and non-native language speaker or even adults and children. Audience should always be considered especially if your presenting a meeting to people who have no specialized knowledge in the subject the speaker is discussing.Positive languageIf the speaker speaks with positive and directional language the listener is less likely to be left in doubt, whereas some speakers use non-committal phrases/language such as ‘might; when in actual fact they mean will/will not.AssertivenessTo engage the listener the speaker must have a large amount of confidence and must also speak assertively, not only will this engage the listener but it will reassure them that the speaker believes in what they are discussing, creating active listeners with better responses. Written Communication Written communication is considered one of the two main types of communication, written communication is used daily within all sizes of businesses this is due to business operations such as reports, memos, bulletins, employee manuals, job descriptions, letters, proposals, telegrams, faxes, postcards, contracts, advertisements, brochures, e-mail and many more. As written communication is used daily with business world it is clearly more evident that good writing skills are important, most businesses are judges on being either a success or a failure due to the quality of the writers writing.Advantages and disadvantagesAs advantage of written communication is that it is able to be edited and analysed several times before it is sent to the recipient. Written communication is also considered food as it can be used as evidence or a permanent record as it is permanent it allows the recipient to have much more reviewing time generally providing appropriate feedback later. These advantages are evidence to why written communication is considered more appropriate for businesses and its important figures and facts. However written communication is sometimes misinterpreted whereas verbal communication is generally made more clear due to facial expressions and body language. Also written communication takes time and possibly days to compose within a business, which leaves the business no choice but to employ several secretaries. Written CommunicationExamples Within businesses the most popular form of communication is a letter this is because it is more formal and concise. It is clear that all businesses are extremely busy and will receive an approximate hundred letters a day, meaning that they read letters very quickly. In order to make sure your letter is read and responded to as desired, you must get to the point briefly and quickly, and when showing statistics or profit ideas, images, tables and charts should be used. This will overall keep the reader interested as theres less text and chance of repetition and also presents your work in a clear, understanding manner providing your intelligence and dedication.There are many written types of business communication, one of them being a business letter which I have just mentioned and another being a memo.  Memorandums known as memos were the key to business communication in the past but have recently been over taken by the very famous e-mail. Memos include the receiver, the sender, the date, the subject and the message. Most memos do not include conclusions unless they have few more than several points or requests. Attachments can only be attached at the finalisation of a memo, and all pages must include a page number and date. Multi-media Communication AdvantagesThere are several advantages to using multi-media communication starting with it being user-friendly, with practise presentations, video clips or other types of media which are all created easily with practise; things such as presentations engage the listener/watcher as they can listen, see and read without much effort and maybe in the comfort of their own home. Making multi-media sensorial as it users many of the listeners/watchers senses. It is also flexible, meaning it can be edited to fit different listeners/watchers personalities or even a whole group audience.DisadvantagesAlthough all types of multi-media communication options are considered easy to create to the practised, they do take time to compile. As it is easy to use this sometimes results in an overload of information, or even worse a stalled meeting due to large files taking time to load. This allows me to move on to cost, as most medias are large files a business world would need to provide computers with a high memory; as well as this multi-media consists of many resources which also cost a huge amount. Multi-media CommunicationExamples Electronic mail generally known as e-mail is the new reformed letter and memo sent via the internet; e-mail allows businesses to send and receive messages instantly. E-mails are wrote the same as either a letter or a memo, but most commonly used for less formal language.Reports are also another type of written communication, they are used to provide a description of a project. Report writing requires a planned layout, organisation and elements for example introduction, methods, facts, discussions, conclusion and recommendations to create an effective framework.Leaflets, posters and flyers are used much in the business world unless the specific business is looking for a cheap and effective way of advertising upcoming events. Leaflets, posters and flyers are never formal but must be highly interesting and effective in order to advertise upcoming evens. Leaflets, posters and flyers are never formal but must be highly interesting and eye catching in order to get a message across.Invoices are used to advise a potential buyer by displaying vital information about an item or service as well as payment methods. Invoices normally contain: a reference number, order number, VAT registration, name and contact details of sellers, registration details of seller, date, despatched time and date, description of service, total amount charged and the payment method. Effective Communication All forms of communication involve framework. A writing style must be learnt and used every time a document is going to be produced. It is recommended that only short sentences are used, whilst aiming to express your ideas in a both elegant and persuasive manner. It is important that a writer understands the basic rules related to informal and formal writing, for instance knowing that formal writing is only used when wanting to convey ideas to a wide audience, business discussions or simply not knowing the reader. However when aiming to sell or talk to a friends, informal writing is more natural and down to earth.A writing style is followed by readability, if a writing styles is precise a document should be able to be read at ease. Verbal Communication Verbal communication is only possible between a speaker and a listener, both participants must understand the same language; verbal communication is easily improved if it is continuously practised.VocabularyAs a business understanding and knowing an extensive vocabulary is vital in order to successfully communicate business ideas and strategies to another party. It reduces the amount of misunderstanding and generally enables the listener to facilitate further communication.AudienceAlthough, using extensive vocabulary can sometimes be considered as a downfall, this is if the listener doe snot understand the words of the speaker. This has been the case in many situations elsewhere, for example meetings between native and non-native language speaker or even adults and children. Written Communication Written communication is considered one of the two main types of communication, written communication is used daily within all sizes of businesses this is due to business operations such as reports, memos, bulletins, employee manuals, job descriptions, letters, proposals, telegrams, faxes, postcards, contracts, advertisements, brochures, e-mail and many more. As written communication is used daily with business world it is clearly more evident that good writing skills are important, most businesses are judges on being either a success or a failure due to the quality of the writers writing.Advantages and disadvantagesAs advantage of written communication is that it is able to be edited and analysed several times before it is sent to the recipient. Written communication is also considered food as it can be used as evidence or a permanent record as it is permanent it allows the recipient to have much more reviewing time generally providing appropriate feedback later. These advantages are evidence to why written communication is considered more appropriate for businesses and its important figures and facts. However written communication is sometimes misinterpreted whereas verbal communication is generally made more clear due to facial expressions and body language.   • 5. Written CommunicationExamples Within businesses the most popular form of communication is a letter this is because it is more formal and concise. It is clear that all businesses are extremely busy and will receive an approximate hundred letters a day, meaning that they read letters very quickly. In order to make sure your letter is read and responded to as desired, you must get to the point briefly and quickly, and when showing statistics or profit ideas, images, tables and charts should be used. This will overall keep the reader interested as theres less text and chance of repetition and also presents your work in a clear, understanding manner providing your intelligence and dedication.There are many written types of business communication, one of them being a business letter which I have just mentioned and another being a memo. Memorandums known as memos were the key to business communication in the past but have recently been over taken by the very famous e-mail. Memos include the receiver, the sender, the date, the subject and the message. Most memos do not include conclusions unless they have few more than several points or requests. Attachments can only be attached at the finalisation of a memo, and all pages must include a page number and date. Multi-media Communication AdvantagesThere are several advantages to using multi-media communication starting with it being user-friendly, with practise presentations, video clips or other types of media which are all created easily with practise; things such as presentations engage the listener/watcher as they can listen, see and read without much effort and maybe in the comfort of their own home. Making multi-media sensorial as it users many of the listeners/watchers senses. It is also flexible, meaning it can be edited to fit different listeners/watchers personalities or even a whole group audience.DisadvantagesAlthough all types of multi-media communication options are considered easy to create to the practised, they do take time to compile. As it is easy to use this sometimes results in an overload of information, or even worse a stalled meeting due to large files taking time to load. This allows me to move on to cost, as most medias are large files a business world would need to provide computers with a high memory; as well as this multi-media consists of many resources which also cost a huge amount.   • 8. Effective Communication All forms of communication involve framework. A writing style must be learnt and used every time a document is going to be produced. It is recommended that only short sentences are used, whilst aiming to express your ideas in a both elegant and persuasive manner. It is important that a writer understands the basic rules related to informal and formal writing, for instance knowing that formal writing is only used when wanting to convey ideas to a wide audience, business discussions or simply not knowing the reader. However when aiming to sell or talk to a friends, informal writing is more natural and down to earth.A writing style is followed by readability, if a writing styles is precise a document should be able to be read at ease.
