What are your tools?
What are your tools?
• For face-to-face presentations, you should
  first be looking for a venue:

• Assuming you want to do a gala dinner for
  the HK International Film Festival, what
  questions do you need to ask yourself
  before deciding how much space you
  need?
Can you tell by looking at this?
This is the way to assess whether
     the space is big enough
Space
• Remember that space is needed not only
  for the audience and speakers, you must
  cater for working staff, crew, equipment and
  sometimes unexpected needs.
• Also pay attention to the ceiling height of
  the venue, it may impose limitation on the
  types of presentation you can do.

Temperature
• Not all presentations are indoor

• Even if it’s indoor, the number of
  attendees and the content may change the
  room temperature

• Can you think of an occassion where the
  temperature will become colder?
Lighting
• How much control do you have over the
  room lighting?
• Can you make the room dark enough for
  the audience to see images projected on a
  screen?
• Don’t forget the stage. Make sure the
  lighting isn’t hurting the speakers’ eyes.
Equipment
Common items:
• Powerpoint
• Screen / Projector
• Flipchart
• Microphone
How to use them properly?
• Powerpoint
  – Do you need to have fancy animation, built-in
    video clips, and creative images to
    communicate your message?
  – They are helpful, but if over-killed, they might
    be a distraction.
  – Although you don’t need to be a master of the
    latest powerpoint presentation technology,
    there are a few functions you should know.
Powerpoint
• Insert text
  – It helps the speaker remember
    his / her scripts


• Create your template
  – It’s your corporate image

• Transition
  – The effect in moving from
    one slide to another. This
    can help illustrate a point


• Import audio / video
  – Use it, especially if you have
    your own production

• Graphs with notes
  – It saves the speaker’s effort
    to look at another table


• Hyperlink
  – It solves your copyright issue,
    and it’s good for youtube
    streaming

• Show it on web
  – Or you can use Slideshare

    Your speaker needs to know the presentation
      will be projected in order to do rehearsal
Flipchart
• Tips in using flipchart
  – Design it on a scrap piece
    of paper before you put it
    on the flipchart.
  – Follow the 7 x 7 rule. Have no more than 7
    words on each line and no more than 7 lines
    to a sheet.
  – Avoid using the colors yellow, pink, or orange.
    These are difficult for the audience to see.

• Tips in using flipchart
  – Can consider using prepared flipcharts.
  – If you don’t have a stage, never draw below
    waist line.
  – Always have enough chart papers, blue sticky
    tags and marker pens
  – Think of the purpose of using flipchart (don’t
    waste paper if you don’t have to)
Microphone
• Do you really need a mic?
• Do a rehearsal and a sound check
• Find someone to act as your audience
• Know how the microphone work (including
  clip-on mic)
• The lectern mike: position yourself
  properly
• Use the mic and the stand as your prop
Quick test on microphone
• A good microphone working distance (between the
  microphone and mouth) is:
   A. 4-6 inches
   B. 1-2 inches
   C. 7-10 inches
   D. 2-3 inches


• Miniature clip on microphones should ideally be placed:
   A. On a shirt lapel
   B. As close to the mouth as possible
   C. As close to waist as possible
   D. In the center of the chest
Quick test on microphone
•   To reduce risk of feedback, the best place to
    use a microphone is:
      A. Directly in front of a loudspeaker
      B. Alongside a loudspeaker
      C. Only from the side of the stage
      D. Behind, or as far away as practical from a loudspeaker


•   If the sound system is not working, what should
    be checked?
      A. That it is plugged in and switched on
      B. That the volume control is turned up
      C. If a separate speaker is used, that it is connected
      D. If a Wireless microphone is used, that both switches are on

  • 4. What are your tools? • For face-to-face presentations, you should first be looking for a venue: • Assuming you want to do a gala dinner for the HK International Film Festival, what questions do you need to ask yourself before deciding how much space you need?
  • 5. Can you tell by looking at this?
  • 6. This is the way to assess whether the space is big enough
  • 7. Space • Remember that space is needed not only for the audience and speakers, you must cater for working staff, crew, equipment and sometimes unexpected needs. • Also pay attention to the ceiling height of the venue, it may impose limitation on the types of presentation you can do. •• What can’t What can’t you do in a you do in a low-ceiling low-ceiling venue? venue?
  • 8. Temperature • Not all presentations are indoor • Even if it’s indoor, the number of attendees and the content may change the room temperature • Can you think of an occassion where the temperature will become colder?
  • 9. Lighting • How much control do you have over the room lighting? • Can you make the room dark enough for the audience to see images projected on a screen? • Don’t forget the stage. Make sure the lighting isn’t hurting the speakers’ eyes.

How to use them properly? • Powerpoint – Do you need to have fancy animation, built-in video clips, and creative images to communicate your message? – They are helpful, but if over-killed, they might be a distraction. – Although you don’t need to be a master of the latest powerpoint presentation technology, there are a few functions you should know.

  • 13. Powerpoint • Transition – The effect in moving from one slide to another. This can help illustrate a point • Import audio / video – Use it, especially if you have your own production

  • 19. Flipchart • Tips in using flipchart – Design it on a scrap piece of paper before you put it on the flipchart. – Follow the 7 x 7 rule. Have no more than 7 words on each line and no more than 7 lines to a sheet. – Avoid using the colors yellow, pink, or orange. These are difficult for the audience to see.
  • 20. Flipchart • Tips in using flipchart – Can consider using prepared flipcharts. – If you don’t have a stage, never draw below waist line. – Always have enough chart papers, blue sticky tags and marker pens – Think of the purpose of using flipchart (don’t waste paper if you don’t have to)
  • 21. Microphone • Do you really need a mic? • Do a rehearsal and a sound check • Find someone to act as your audience • Know how the microphone work (including clip-on mic) • The lectern mike: position yourself properly • Use the mic and the stand as your prop
  • 22.
