- Honors Convocation 2014 Welcome and Introductions Thank you How many of you are new Marshals? Honors Convocation is where we honor our best and brightest students. 70-80 Marshals; 613 Undergraduates; 190 Graduates Marshals play an important role in bringing together the students, faculty, administrators and honored guests in a manner that preserves the dignity of the ceremony. Everyone plays a critical role in ensuring the success of the program. There are many people come together to ensure a successful event. police – safety, parking, crowd control facilities - set-up and clean-up public affairs - publicize the event and signage IT support - audio and visuals music dept - students for the vocal and instrumental numbers, etc. The office for the Associate Vice President for Academic Affairs office has been given the responsibility of Honors Convocation and Commencement. Cheryl Ney Gloria Mendoza Ana Caudillo – President’s Office These 3 people (Plus Phil LaPolt) – on site problems. Late arrival assistants, Trouble shooters, and Floaters, make sure you introduce yourselves to them when you assemble at 6:15 (Invite Cheryl, others to say something) Introduce the “Grand Marshal” team. I’d like to take a minute to go around the room and have everyone introduce themselves and say which department you are in.
- Big picture: Instructions use marshal numbering, so remember your number; Each group of marshals has a “Chief” who is experienced and knowledgable - go to them first In addition to your assigned duties that help the ceremony go smoothly and with “pomp,” Be available to answer questions from families, students - you are there to help! Three phases: Assembly, Processional, Recessional Know who you are following!! (if everyone knows that, everything will go in the right order!) Key signals: Take positions at 6:50; Start/end of the University Hymn/Senate Chair picking up the Mace Rehearsal is Friday at 3:00- 4:30 in the gym. We will have a run through to make sure everyone knows their assignments. For Honors Convocation, make sure you are in Academic Regalia (Cap and Gown) by 6:15 at the Gym and attend to your specified Assembly duties. Marshals (who are not banner carrier escorts) should pick up a ceremonial baton (careful how it is used!) Questions? Assembly overview: Lining up students outside Lining up faculty inside Assisting in keeping lobby clear Banner carriers and escorts– assemble inside gym (where banners and holsters will be) by 6:30.
- This shows the area outside the gym where the students will be assembling. Signs will be there to tell the students where to line up. There will be two lines of Undergraduates and three lines of Graduates The students are NOT organized by Colleges. Marshals who are student aligners and seaters will make sure to inform the students that they will sit next to those in front of and behind them, not those beside them in the other columns.
- Student lines will be entering the lobby through the glass doors (the exact setup is performed by Facilities)
- This shows the hallway to the left inside the gym lobby, where faculty who are not marshals but are attending the ceremony will assemble.
- Only the library banner assembles in the lobby area. It will advance when the platform party arrives. The university banner and college banner carriers and escorts will assemble inside the gym, as shown in a moment. In the lobby during assembly, the Trouble Shooters and unassigned floaters should position themselves inside the gym between left and center doors (aisles 1 and 2) and the center and right doors (aisles 2 and 3) to assist as necessary. Help direct guests up the stairs (right or left), politely keeping them from entering gym. Prior to the arrival of the Platform Party from SA 110, the floaters and trouble shooters should make sure that the lobby is clear of guest traffic Floaters & Troubleshooters do not need to process in. Please go to your assigned seats after the platform party has passed (remain standing)

At the front is the stage, where the platform party will be seated. In front of the stage, the banners will be placed. - This is the order in which we march into the gym. Aside: Disabled Assistance, Trouble Shooters and Floaters will NOT formally process, but will go to their seats after the platform party goes in. Late arrival assistance marshals will take their seats when the convocation address begins. Note the order that you enter on the Processional chart (next slide), after the trouble shooters and floaters.
- Here is the handout you have, showing the order of the processional. Organization of this presentation: Groups of marshals will be introduced “as they appear”, and their roles will be explained.
- Here are Marshals 1, 2 and 3, the Grand Marshal, Associate Grand Marshal, and Past Grand Marshal. The Grand Marshal leads the processional.
- The Chair of the Academic Senate is Marshal #4. He/she has the honor of carrying in the University mace. He/she follows the Grand Marshal in the processional.
- The Grand Marshal leads the procession, followed by the Senate Chair holding the mace, and the University Banner. The Grand marshal will stop in front of the stage and turn and face the processional. The Senate Chair will go to the right, climbing the stairs to the platform, and then face the processional, all the while holding the mace. The University Banner and escorts will go to the left, an place the banner in the first banner post next to the stage. The Banner Carrier and Escorts should then go directly to their assigned seats, remain standing and face the back of the gym. When the Associate Grand marshal (next in line after University Banner) arrives, she will take the Grand marshal’s place, standing in front of the stage. The grand marshal will then move up aisle 2, and take position next to the Past Grand Marshal, in front of the Platform Party.
- Again, The University Banner follows the Academic Senate Chair. The Associate Grand Marshal follows the University Banner The six college banners (Marshals 11-22) follow the Associate Grand Marshal in alphabetical order. Then come the faculty lines and students, with associated seaters and aligners The Library Banner and escorts will lead the Past Grand Marshal, and finally the Platform Party. BANNER CARRIERS AND ESCORTS ARE TO Retrieve your Banner and holster by 6:30 P.M. By 6:50 P.M. the Banner Carriers and their Escorts should position themselves at the back of the gym between Aisles #1 and #2, and wait in this area to join the procession and lead the faculty columns into the gym. Do NOT leave this area to line up in the hallway.
- Here is a view of where the University and college banners assemble in the rear of the gym. (The Library Banner assembles in the lobby, and enters ahead of the Past Grand Marshal and Platform Party).
- Holders/stands for the banners will be placed near the stage for you to place your banner in. They should be arranged so there is enough space for the platform party to pass. Place your banner such the the banner edge closest to the stage is IN FRONT of and slightly overlapping the previous banner. After placing your banner, Banner Carriers and their Escorts should go directly to their assigned seats, remain standing, and face the back of the gym. Recognize the students with applause as they enter. Turn forward after the Platform Party passes, and stay standing.
- After the College Banners, the Faculty process: 23 is chief of Faculty Seaters and Aligners 23 and 24 are the seaters, and will be leading the two columns of faculty to their seats, behind the NSS Banner. Assemble the faculty into two lines Try to keep the lines roughly even Also tell them They need to stand facing the students applauding until the platform party passes, then they should face forward. Faculty will stand until the president asks them to sit. They should stand and be recognized when the president recognizes the faculty (the marshals should lead by example) At 6:45, make sure that the faculty are aligned (you can try to do it earlier – but faculty are unruly) If faculty arrive without regalia, and they insist on participating, put them at the very end of the line (for aesthetic reasons)
- At 6:50, 23 and 24 will lead the faculty to the appropriate gym doors. 23’s line is on the left side and will enter through Door #3 and 24’s is on the right side and will enter through Doors #4/5. (Note: Both the Doors AND the Aisles are numbered, but door numbers do not necessarily correlate with aisle numbers!) Both lines will process up the center aisle (aisle 2). Margaret Jefferson (25) and Kathleen Sullivan (27) should step inside the Gym doors and assist as necessary to keep the faculty lines moving Rob Dechaine (26) and Kevin Baaske(28) should walk up and down the faculty lines, making sure there are no gaps
- Begin seating faculty in the 3rd row. Count the faculty as they are seated. The Left side (23) seats 14 faculty The Right side (24) seats 12 faculty. There may be hearing impaired guests or students on that East side. Marshals 25-28 will follow the end of the faculty lines into the gym and then go to their seats and remain standing.
- After Faculty, the students process…. These marshals are responsible for seating the undergraduate students on the floor. Undergraduate students are seated on the floor; Graduate students are seated in the bleachers Suzanne Regan (29) is the chief for the floor seating There will be two columns of undergraduate students. Students do not line up by college. There will be signs outside showing them where to line up During assembly tell the students that they will be sitting next to the person who is in front and behind them in line Aligners should group the undergraduates into 2 roughly even columns. However, the left side sits 14 students per row and the right side sits 12 students per row. The chief counter is Jon Beaupre (65), who will assist in shifting students between columns. Paula Arvedson (42, bleachers) is responsible for the overall orderliness of the undergraduate student alignment
- A view from the top: Undergraduates will enter through gym doors 1 and 2. Graduate students will enter through the gym doors 3-5
- This shows how marshals 29 and 30 will lead the two columns of undergraduate students into the gym. Suzanne’s column will process into Door #1 and down Aisle 1, and Lisa’s column will process into Door #2 and down Aisle 2. Note: the numbers above the doors refer to the door numbers, and not necessarilyAisle numbers!
- During the processional, the floor and the bleacher seaters should try to stay even (29) will lead the east column up Aisle 1 (30) will lead the west column up Aisle 2 Start seating students in the row behind the faculty (29) will seat 14 students per row (count them as they are being seated) (30) will seat 12 students per row S (29) and (30) will seat all the undergraduates, however, there will be a second group of undergraduates that will be led in by student aligners 37 – 40. (37) and (38) will lead in the second group through the left door and up aisle 1 (39) and (40) will lead the second group through the center door and up aisle 2 Once you reach the seaters (29, 30), marshals 37 – 40 should go and stand by your seats During the processional, the remaining aligners walk up and down the columns, making sure there are no gaps After the last group of students has processed, marshals 43 – 48 should follow and go to their seats (43 and 44 up aisle 1, 45 and 46 up aisle 2, and 47 and 48 up aisle 3)
- Now, turning to the seating of graduate students in the bleachers, which happens concurrently with the seating of the undergraduates Graduate students will line up in three columns. Graduate students will enter through the gym doors 3-5
- These marshals are responsible for seating the graduate students in the bleachers. Marshal (#31) is the Chief of Student Seaters & Aligners (Bleachers)
- The three columns of graduate students will be lead by (33), (34) and (35). All three columns will turn to the right, down aisle 3, to be seated in the right side bleachers.
- Here’s a view of the right bleachers. The three rows of graduate students will be lead in by (33), (34), and (35). When (35) reaches her bleacher aisle, she will stop the line of students and wait for 34, and then 33 to reach the bottom of their aisles. Then, these three marshals will lead all three columns of students in unison up the aisles. Students are seated in rows of 15, beginning at the top. (36), (41) and (42) will direct the columns up the bleacher aisles from the bottom of the aisles. Caution students in high heels to be careful! Assist, when necessary. (31) and (32) will move up and down the lines on the floor, keeping them moving and in order. A Marshal (floater) may be placed to prevent students from entering into the choir section.
- Next comes the Library Banner and Platform Party Trouble shooters, unassigned floaters and late arrival assistance people should make sure the lobby is clear for the platform party After the students have entered, the Library banner will lead the Grand Marshal and the Past Grand Marshal, who will lead the Platform Party up aisle 2 Upon arrival at the front of the gymnasium, the Grand Marshal will replace the Associate Grand Marshal and stand in front of the stage facing the Processional until the Platform Party arrives. The Past Grand Marshal will lead one column facing the stairs at the left of the stage to the left stairwell and the Associate Grand Marshal will lead the other column facing the stairs at the right of the stage to the right stairwell. Stay at the stairway to assist any member of the Platform Party that may require assistance. When all of the Platform Party has ascended the stairs, move to your seat and remain standing As platform party passes, all will turn to face platform
- (49) is Chief of Disabled Assistance Disabled/Wheel chair students will sit along the right side of section 2, entering down aisle 3. Hearing impaired students will sit with the faculty in row 3 of section 1, toward the left side of the stage. Disabled students may process with the other students or be seated early. Either way, they will go up aisle 3 and be seated at the right side of section 2 These three marshals will not be processing. They will go to their seats after the platform party has passed, and will remain standing with the rest of audience.
- Michael Henderson is Chief of Late Arrival Assistance. Late Arrival Marshals need not assemble. You will position yourselves in the lobby, in front of the entry doors, preventing unauthorized guests from entering by mistake. Assist in seating students that arrive after the platform party passes but before the address begins Seat student in the northern section of the bleachers (or last rows of floor seating) Do not seat students during national anthem (This is the only time seating is not allowed) Take your seats before the convocation address. If seats are full due to student overflow, stand in back of gym next to entry doors. During the recessional, you will open the doors. You should then move to the lobby just outside the left, center and right doors (aisles 1 – 3 respectively) and COLLECT BATONS as Marshals leave the Gym. These Baton Barrels will be picked up later by Facilities. Also collect the University and Library banner carrier holsters. The college banners will proceed to their college programs. Help keep faculty, students, and families moving out of the lobby to prevent congestion
- (58) is chief of Trouble Shooters and (65) is Chief of Floaters. Both groups need to work together and at times, have to make decisions regarding problems as they arise. Should be aware of all Marshal responsibilities in order to spot problems and assist where necessary. At 6:50 Trouble shooters and unassigned floaters should position themselves inside the gym between left and center doors (aisles 1 and 2) and the center and right doors (aisles 2 and 3) to assist as necessary Prior to the arrival of the Platform Party from SA 110, the floaters and trouble shooters should make sure that the lobby is clear of guest traffic You do not need to process in. Please go to your assigned seats after the platform party has passed (remain standing) At the start of the singing of the University Hymn, Trouble Shooters (#57-62) should move out to the lobby to clear a path in preparation for the Recessional.
- Floaters may be assigned specific roles as the need arises (possibly taking the place of other Marshals who could not attend; Chief may send some outside lobby area during recessional to help keep people moving out to prevent clogging the exit; some may assist keeping order in the bleacher area during recessional; some may be assigned as faculty aligners) Floaters with high numbers (sitting in the rear floor seating area) may be displaced from your seats due to the number of undergraduate Honorees. Wear comfortable shoes. Look for empty seats to sit in. Floaters have a special role during the recessional: At the start of the singing of the University Hymn Floaters (#64-73) should spread out the length of Aisle #1 to hold back the guests sitting on the East Bleachers. The guests are NOT to come down onto the floor of the gymnasium until ALL of the faculty and students have recessed out into the lobby. Floaters (74-on) assist the students in exiting the bleachers if necessary and should also observe the overall movement of people, note any problems, and assist in solving them. Do what you can to keep things moving.
- Here is the order of the recessional… At the start of the singing of the University Hymn, The Senate Chair will stand, retrieve the Mace, and remain standing until the Hymn is over. He will then move down to the front of the CENTER aisle (Aisle #2), behind the Grand Marshal who will lead the Recessional from the gym. When the Academic Senate Chair moves to retrieve the University Mace, Banner Carriers and escorts will stand and move to your Banners. Remove them from its holder and place it in the holster. As soon as the Academic Senate Chair has moved to the front of the CENTER aisle (Aisle #2), the University banner will follow. As the Univ. Banner moves toward the aisle, the Assoc GM and Past GM will follow, leading the two columns of the platform party. The platform party is followed by the Library banner, followed by the Colleges Banners, in alphabetical order. When you arrive at the back of the gym, the University banner and Library banner will not exit. They will Stop, step to the side, remove the Banners from their holsters, and place the Banners against the wall. The College banners WILL EXIT THE GYM, though the lobby, and proceed to their college gatherings.
- The order is the Grand Marshal, Academic Senate Chair, University Banner, then Past and Associate GMs leading the two rows of the platform party. Before starting the recessional, I will wait for Nancy Hunt (4) to say okay. Before Nancy goes, she will wait for the university banner carrier escort to say okay, to let him know they are in place. The Past GM and Associate GM will follow the university banner, leading the platform party.
- The Library banner will follow the platform party, followed by the college banners in alphabetical order.
- Now the faculty recesses: As the Academic Senate Chair walks to retrieve the Mace, Marshals #25 and #27 (Margaret Jefferson and Kathleen Sullivan) move into position to usher the faculty out of the gym by row. As the Banner Carriers and their Escorts pass, Beryl (23) and Emily (24) will lead the first row of faculty out of the gym, down the CENTER aisle (Aisle #2) and through the CENTER door. Marshals 25 – 28 then follow the faculty, exiting through the center aisle.
- Here is the order of the recessional…(cont.) Now for the students….
- The students recess immediately after the faculty. As soon as the faculty begin exiting, Suzanne and Lisa (29, 30) will take their positions in the aisles at the beginning of the student rows in the section you were seating during the Processional. After the last of the faculty aligners have passed, Marshals #29 & #30 are to lead the files of students out of the gym in the same aisles you entered (Aisles #1 & #2 respectively). Try to keep even with the student files exiting the other aisles. Student aligners will follow the students up the aisles. Simultaneously, students in the bleachers will be led out…(next slide)
- Marshals #33-36, 41& 42: As soon as the faculty begin exiting, take your positions by the bottom of your bleacher aisle. You will usher and lead out the students out of the bleachers starting from the bottom row and moving to the top. Students in the bleachers will be lead out by Marshals 42, 41, and 36. Marshal 41 will WAIT for Marshal 36 to lead students toward the exit, and then join in exiting. Marshal 42 will WAIT for Marshals 36 and 42 to lead their students toward the exit before joining in exiting. All three lines of students will be led down the RIGHT aisle (aisle #3). Marshals #31 and #32 will move up and down the line keeping it moving and in order. Remaining student aligners will join the recessional, following the students. (NOTE: this differs from the recessional chart. The chart says Marshal 31 leads the Graduate students out, but it is marshals 36, 41, 42). Final note on recessional: HHS Presentation Program is in the Gym; tell everyone that everyone must leave the gym before they can come back in to go to the HHS program to avoid traffic jams in the lobby area.
