Team Collaboration & Collaborative Document Management: IBM Lotus Quickr
Agenda Lotus Quickr overview Relationship between Lotus Quickr and other products in the IBM portfolio Benefits Business and market trends
Organizational change, boldness, need for collaborative innovation through the firewall drives social software adoption ,[object Object],[object Object],[object Object],[object Object],IBM Institute for Business Value CEO Study 2008 ,[object Object],[object Object],[object Object],[object Object]
[object Object],[object Object],[object Object]
Market-leading organizations will be… Source: 2008 IBM CEO study “ Change-Ready” Capable of changing quickly and successfully. Instead of merely responding to trends, it shapes and leads them. Market shifts become a chance to move ahead of the competition “ Globally integrated” to collaborate more effectively Moving aggressively toward global business designs to take advantage of global integration opportunities. Able to access the best capabilities, knowledge and assets from wherever they reside in the world and apply them wherever required in the world “ Innovation Leaders” Innovative Beyond Customers Imagination. Deep collaborative relationships allow it to surprise customers with innovations that make both its customers and its own business more successful.
Changing Workplace Demographics Drives a Need to Empower the New Generation of Business Leaders 19% of the entire American workforce holding executive , administrative and managerial positions will retire in the next five years In the year 2000, there were more people receiving pensions in Italy than people working (22 versus 21 million) Within the next seven years, 33 million people in Japan (26%) will be over 65 years old By 2016, people aged 60-64 in Australia is expected to almost double Boomers depart; millennials arrive
A workforce in transition provides challenges and opportunities Capture their knowledge before they retire Relieve their stress and increase their effectiveness Attract and retain; harness their collaborative style Older workers (Age 50 +) Mid- career workers (Age 35 – 50) New generation (born after 1980) Growing as % of workforce Shrinking as % of workforce Growing as % of workforce Hold the wisdom and intellectual capital of the organization Essential source of professionals and middle managers Critical to long-term viability and innovation Traditional approach to technology, collaboration, organizational loyalty, and rewards Tech savvy but not “native speakers”; mixed approach to collaboration, loyalty, and rewards Technology is 2 nd nature; more interested in peer / interest groups than organizational identity; think work should be fun and fulfilling
Web 2.0 is the native language of “Millennials” and the new language of collaboration … Almost three-fourths of teens send instant messages more than e-mail. A new blog gets created every second. Everyone’s opinion should be heard By 2009, wikis are predicted to become mainstream collaboration tools in at least half of all companies. Everyone contributes Communication is constant And every generation wants the applications at work to be as “cool” and attractive as the ones at home … Technorati/ Law Technology News, Dec 1, 2005 ; Comscore, Aug 8, 2005 ; America Online / Research Alert, Jan 6, 2006

  1. Participate in BPM process Deal with compliance issues—apply record retention policy Store as an enterprise asset
  2. Sages = experienced workers who are preparing to retire; millenials = recent college graduates who are entering the workforce The next trend to discuss is the changing demographics of the workforce. Many companies from around the globe are wrestling with this issue. From the US to Italy to Australia and Japan, each country is facing an increasingly older population. The older workforce possess’ huge amounts of information, contacts and professional knowledge. Quite simply, they know how to get things done. So how do you transfer that information to your younger workforce before it is too late? Many companies are using social software to do that because people can interact and exchange information so easily. The tacit information that took years to accumulate can be stored in the social software and accessed when the employee is gone. 3. Another important trend that many organizations are starting to focus on is the dramatic shift in the demographics of the workforce. The number of mid-career workers – the core that represents middle managers and critical professionals – is shrinking. Workers approaching retirement is a growing number… and execs are worried about how to capture their intellectual capital before they leave. The number of gen Y workers or millenials is growing… organizations need to court and keep them and they have very different styles of working. They aren’t e-mail driven … and they aren’t document-centric…
  4. For the millenials, Web 2.0 isn’t a passing fad. It is fundamental to the way they expect to work. They expect that authoring means everyone contributes… thus the rapid growth of wikis. They expect that everyone has a right to publish their opinions… thus the rapid expansion of the blogisphere. And they communicate via IM and Facebook or Myspace, rather than e-mail.
  5. Why the gap? Some of the reasons are obviously things like corporate culture… or like the transformation in demographics that we mentioned earlier. But we know that it is also the collaboration tools we have today. People might have tools, but they don’t use them as pervasively as they use e-mail or IM. They find the tools non-intuitive, silo’d… not integrated. And Lotus Quickr is focused on helping organizations close this gap.
  6. IBM Lotus Quick delivers on this mission in 5 ways By connecting your users through their familiar desktop applications By providing business significant templates By managing your team’s documents, images, spreadsheets, etc. By working to integrate with your existing ECM systems (if applicable) And by doing all this in a way that your users will find engaging and enjoyable Let’s take a closer look at each of these points
  7. Let’s spend more time talking about the capabilities or services that are included in Lotus Quickr….
  8. We also want to mention an important quality that really differentiates Lotus Quickr from the competition… notably Microsoft. Lotus Quickr is open, flexible, and extensible. We’ve already talked about support for multiple content stores. Lotus Quickr also runs on multiple servers, supports multiple desktops and integrates with multiple directories. And Quickr supports industry standards like Eclipse, RSS / Atom feeds, Open Document Format, AJAX for user interfaces, and of course Java and Linux.
  9. This Lotus Quickr welcome page is representative of a new, fresh, Web 2.0 user interface… designed to make people want to use the product. Our goal is to provide a rich browser experience that surfaces the full range of Lotus Quickr capabilities. In addition to this browser experience we also provide the Quickr connectors to access many Lotus Quickr functions directly from popular desktop applications.
  10. These Lotus Quickr Connectors are a key differentiator for the product… an important part of how we plan to help organizations close the gap between their desire to collaborate and the actual practice of collaboration. Initially, we’re providing four connectors – for Lotus Notes, for Microsoft Office and the IBM Lotus Symphony, for Windows Explorer, and for Sametime. We’ll provide more in the future (like Microsoft Outlook) and we also anticipate that our Business Partners will leverage our open architecture to build additional connectors. Let’s take a look at them up close…
  11. These are screen shots of the Lotus Notes Connector… both for Notes 7 and for Notes 8. You can see that you have the ability right from an e-mail to attach a link to a document that is in one of your Quickr places. Right from your Notes client… from within the e-mail.. you can navigate to find the right document in your Quickr place, just like you would navigate through the window that shows the folders on your C-drive when you want to send an attachment. That’s the key here… you don’t have to leave what you’re doing to go find the appropriate document and do “copy as link”… you use the same familiar “gesture” that you would use to attach a document. Another key capability of this connector that people really love when they hear about it --- the little pop-up window that gently nudges you when you revert to your “send an attachment” behavior. Essentially, it says “do you really want to send that attachment? wouldn’t you like to put the document in a Quickr place and send a link instead?” Seems like a simple concept but it can make a huge difference in managing your in-box and actually starting to transform behavior… By the way, the Notes connector works with Notes 7 and Notes 8… so you can start collaborating with Lotus Quickr before you have upgraded your desktops to Notes 8.
  12. The Microsoft Office connector lets you take advantage of Lotus Quickr capabilities directly from Office applications … PowerPoint, Excel, and Word. You can see that when you are in Office, you have an actions drop down that gives you capabilities like being able to check a new document into a Quickr place. If you have created workflow for a document, you might have additional actions (that are grayed out in the example) like being able to approve or reject a document. An important thing to note here… our goal is to support the versions of these desktop tools that are the most common, which means Office 2000 and 2003. In the near future, when adoption starts to increase, we will of course support Office 2007. This is an important advantage for customers. They don’t want a solution that forces them to upgrade all their desktops to the latest version of Office. A final point to mention. We will provide a similar Quickr connector for the IBM Productivity Editors. These are the editors that we provide as part of the Notes 8 client.
  13. The Sametime connector takes advantage of the Eclipse framework that we use for the Sametime 7.5 client. You can see we have a “shelf” for the Lotus Quickr connector where you can easily navigate through your Quickr places to find a particular document. You can choose to chat with someone about that document and it inserts a link into the chat. So if we step back a minute… what you’ve seen with these Quickr connectors is what we consider to be a key benefit of the product. They provide the ability to access your content and collaborate from where you are without having to switch to a separate application. We believe – and the overwhelming response we’re already hearing from the customers and press and analysts who have reviewed the product – that this has the potential to make a huge difference in how people work. By letting them work the way that they normally do… and still share content and collaborate … we actually have the potential to make big changes in how they work.
  14. Let’s look at the last Quickr connector for Windows Explorer. This is also a connector that people really like… You can navigate naturally through your Quickr places just like you normally navigate through the folders in your C-drive. You can drag and drop into and out of Quickr places. You have a “right click” action menu that lets you do things like check-in, check-out, and approve or reject.
  15. Now let’s go back and look more closely at the browser interface for Lotus Quickr where you can really leverage the full power of its capabilities. Quickr is designed to be self-service so that business users can create a Quickr place or team workspace like the one that you see here. We provide a number of components that you can select from to create a Quickr place. Most places will start with a content or document library. You can add things like a team calendar and team milestones for the project. You have options for creating content that we’ve now expanded to include wikis – an increasingly popular method for collaborative authoring. (note to presenter: if you’re not familiar with wikis, check out wikipedia.com). You can have discussion forums and you can also create a blog inside your Quickr place.
  16. These are some visual examples of the type of components that we’ll provide … you can easily assemble them to create your own Quickr places.
  17. Let’s go back and talk a little more about the content library … one of the fundamental components that every Quickr place will have. The content library provides the capabilities that you would expect to help you organize and manage content. You get version control with check-in and check-out capability. You can set up granular security on your content. We also provide basic workflow … not sophisticated workflow like Business Process Choreographer … but the basic workflow that people use to get documents through an approval cycle. You also have the ability to subscribe to content in the library so that it is published to your favorite reader. (Note to presenter… RSS is Really Simple Syndication)
  18. That’s an overview of the capabilities of Lotus Quickr, which we think are really exciting. Let’s talk about one more thing before we move to the next section of the presentation. At Lotusphere, we also announced that we will provide a personal edition of Lotus Quickr. This is basically a simple, streamlined subset of the capabilities focused on content management. It is designed for people to get started and solve the fundamental problem – how can I organize my important stuff, put it someplace that is secure and backed up, and share it with my colleagues.
  19. The next section provides a very high level look at high Lotus Quickr relates to other products in our portfolio. Many of you might have specific questions about both a technical and entitlement roadmap, based on particular Lotus products that you own. I encourage you to work individually with your Lotus representative to get those questions answered. Our goal here is simply to give you the broad brush and to assure you that we are very focused on protecting the investment that you have already made with us.
  20. Without going into great detail, let’s position Lotus Quickr as it relates to application development and SOA. First and foremost, Lotus Quickr provides great out-of-the-box capability that is deployed and leverages the strengths of either a Domino or a Portal infrastructure. Lotus Quickr is also a set of very extensible services… so as a Domino programmer or a Portal programmer, you can customize Quickr capabilities, build your own templates, integrate Quickr components into applications, or build your own connectors.

  22. IBM ECM Services for Lotus Quickr Collaborate on business content with Lotus Quickr via common desk applications and Web 2.0 style interfaces, while leveraging the strengths of IBM ECM
  23. Remember we talked about the beginning about the attributes that customers told us were important in a collaboration product? Integration, anywhere-anytime, and simplicity. Let’s conclude by talking about those attributes… it’s a good way to review what we’ve said about Lotus Quickr. First, integration. People think of this in different ways … and we provide integration in a number of different ways with Lotus Quickr. First, the Connectors that integrate easily into the way that people work. This enables people to easily collaborate together even if they have different working styles and preferences. Lotus Quickr also integrates with your current environment. It integrates with the versions of desktop tools that you use today rather than forcing you to upgrade. It supports different server operating systems and different directories. Lotus Quickr is also designed to work with different content stores or repositories… starting with Domino and JCR but expanding to FileNet, SharePoint and others. And of course we embrace open standards, which gives you the flexibility to easily integrate Lotus Quickr into other applications that you have and to extend it with your own customization.
  24. This page summarizes some of the key benefits of Lotus Quickr. They are pretty self-evident from the bullets on the chart.
  25. Anywhere … anytime. CEO’s have identified how critical extranet collaboration is. That’s a key “anywhere” capability that differentiates Lotus Quickr. It is easy for an end user to add an extranet user to a Quickr place. Of course the Quickr connectors give you access to your Quickr content from other applications… that’s anywhere. And you can subscribe to Quickr content in your favorite RSS reader… anytime, anywhere. We’ve also built Lotus Quickr as an open extensible application that ISVs with expertise in various mobile devices can use to build connectors. Mobile plug-ins for QuickPlace are already in the market, for example. We will be working with ISVs to build similar capability for Lotus Quickr.
  26. Finally, simplicity. I hope that everything you have heard today…. all the sample screens that you’ve seen, the story of Quickr connectors … all this has convinced you that we are laser-focused on the end user experience and simplicity.
