Why doe we need a law firm management solution?
To help in business management
To allow for business innovation
To allow for business growth
To increase revenue
Take for example the law firm owned by James with his one associate.
They have one client who gives them jobs once in a while.
Things are rosey and this works.
Soon with more confidence in James’ firm their client sends them more business
Pretty soon the client has HUGE files of previous, on going and new business with James.
It is becoming a nightmare to research but the client is VERY pleased with James.
Because the client is pleased and due to James’ firm having skill handling many cases, the number of clients goes up and soon the associate has multiple clients to manage, multiple files to track and generally keeping James informed becomes a juggling act.
We now have many more clients, many more files and many more things to keep track of.
Soon James is like a juggler with lit torches. Any slight mistake could be VERY VERY costly.
What can James do?
He can increase manpower and manage his firm workflows better.
With the increased revenue he can afford more associates to handle the increased business and thus give each client and case the attention it deserves.
Now the firm clients have the attention and care they deserve and cases are being handled in a timely fashion.
Now here is the problem, James is THE FIRM.
What happens if he falls sick?
What if he is absent?
All staff answer to him?
Can James know off the top of his head who is handling what, when and how?
James is smart, he lets in one more partner (affirmative action, good pr)
And then another to increase his revenue and spread the risk (Finally take holidays)
But now, the staff answers to all partners!
Now there is the risk of duplication as well as unnecessary waiting or working due to miscommunication!
Now James is not only juggling flaming torches, he now has to contend with keeping his balance! He has to up his game to cope with the increased complexity!
What the firm needs is a way to manage the administration, the staff, the clients and the work in a modular fashion allowing for transparency, automation and faster communication.
This solution should clear the bottlenecks, increase efficiency and easily scale up or down.
Ladies and gentlemen, I give you Billable Hours. Not only is it modular, transparent and fully automated. It also gives you a database to store all case related information, tracking and reporting on all case related matters and a robust scheduling system to avoid scheduling conflicts or missed apointments.
The case files module is the one stop information center for all case related information.
It links together information on lawyers handling the case, important dates and appointments related to the case, all calls made regarding the case (incoming as well as out going), all bills due to the client from this case, all documents created, scanned or sent to the client regarding this case and the actual itemized work or tasks performed with regard to this case.
The scheduling module is the central appointment or date management module for this application.
Appointments link together, lawyers, cases and files to the important case related or client related dates. If required, the scheduling module can integrate with email in order to synchronize with firm, client or personal (gmail, yahoo and hotmail) calendars or simply mobile devices (phones, tablets and computers)
The tasks module gives the ability to track “billable” work done on a case such as printing, stamp duty, and opinions. It allows for delegation of work, track of progress and even tracks the expenses incurred or due.
The Firm Client module allows a user to capture all client details and then link clients to their files, appointments and contact numbers. It is a one stop source of all information related to a client.
The Phone Call module allows a user to log both received and made phone calls, their duration and what was discussed. It also captures the necessity of a call-back and even assigns that call back to someone if need be. The call can then be linked to a file.
The documents module allows users to attach documents to files or directly to the task which called for the document creation. The document module also allows for the creation, editing and saving of documents WITHIN Billable Hours. It also allows a user to upload to the text viewer existing Rich Text, Office Open XML (Microsoft’s latest), MIME HTML, Open Document and Plain Text documents for editing and saving. The Documents module also has the ability to handle basic file version management so that no information is lost to editing.
The Time and Expenses module allows a user to capture either an expense (any work done for fixed cost) or activity (work done for variable cost over time) on a file task and linking it back to the task. It also tracks the status of the Expense or Activity. This module also tracks who made this expense and the total amount due to the firm.
The File Bill module allows a user to generate bills due on a case file by either linking the expenses incurred or by creating new expenses then totalling them. This module can (and will) be extended to connect with an invoicing solution like quickbooks to generate invoices.
