Project Scope Definition: Real World Best Practices The following items should be in scope for this engagement: SharePoint 2010 Information Architecture Design Review (Overall hierarchy, etc.) Deliverable Overview: EPC Group will review the site structure and hierarchy of the design of the organization SharePoint deployment to ensure it follows a best practices standard and there are no major issues with items such as: SharePoint Site Collections Content Databases Naming Conventions And to provide feedback to include recommendations on improvements within the “Health Check and Assessment” deliverable document

Project Scope Definition: Real World Best Practices The following items should be in scope for this engagement: Best Practices recommendations for the SharePoint 2010 Portal hierarchy and site structure Deliverable Overview: EPC Group will review and recommend the overall updating for the sites, subsites, project-based sites, SharePoint’s hierarchy and site lifecycle, and provide recommendations based on the new required changes to the web app address. EPC Group will perform a full blown migration of the current SharePoint environment’s content into a new SharePoint 2010 environment. EPC Group will assess the current SharePoint 2007 environment and then migrate it into a new SharePoint Server 2010 to be utilized internally for departments and team members as a central collaboration Intranet tool and to manage their day-to-day documents and content.
42. Granular Upgrade Tasks: Real World Best Practices Review customizations found during the SharePoint 2007 review and determine what, if any, custom requirements or upgrade paths may be required for those customizations. The following is an example of what EPC Group will be reviewing for the upgrade to SharePoint 2010: SharePoint Master Pages in 2007 and how the Ribbon will affect those designs Review custom Web Parts, Mash-ups, SOCC, etc. Ensure the SQL Server farm and authentication mechanisms are in place (i.e. Claimed based authentication, etc.) Review the current SharePoint 2007 disaster recovery plan and the requirements around SharePoint 2010 disaster recovery to ensure the plan is adequate or if the business continuity plan may have to be changed or upgraded
43. Granular Upgrade Tasks: Real World Best Practices Determine the best upgrade path for the organization from SharePoint 2007 to SharePoint 2010: Available Paths: Based on EPC Group’s review, there are 4-5 possible upgrade paths that may best suite The organization needs such as: In-Place upgrade Path The database attach upgrade path The database upgrade and optimization and attach path The hybrid detach, content db and configdb review and upgrade, and then complete farm upgrade The hybrid offline detach and single farm upgrade per the organization location Once the appropriate upgrade path is determined, EPC Group will work with the organization internal resources to document and then plan the communication plans, training schedules EPC Group will then work with internal the organization resources to develop project plans for each environment so that granular upgrade tasks can be tracked and closely monitored.

Granular Upgrade Tasks: Real World Best Practices EPC Group will work with team to run test upgrades on a select number of sites or content databases to review any issues and develop a remediation plan prior to moving forward with the farms upgrade EPC Group will work with the organization internal SharePoint resources to implement a communication plan and schedule the training and perform the actual “train the trainer” sessions to those internal champions to assist in training of the overall (Client) organization user base EPC Group will then perform the actual upgrades for the (Client) The organization SharePoint 2007 instances EPC Group will then perform a post SharePoint 2010 Health Check and Assessment on each instance of the organization. These tasks will include items such as: Reviewing error logs on all servers Reviewing all sites, site templates, and their related user interface Review permissions and access Verify the version numbers on sites and throughout the farm Perform Disaster Recovery Test Review performance of all new SharePoint 2010 Farms and work closely with internal personnel to continue to monitor the performance throughout the weeks following the upgrade

Specifically for hosting and records management, it outlines the compliance requirements for health care electronic transactions and identifiers for providers, health plans, and employers. FDA CFR21 Part 11 Compliant Title 21 CFR Part 11 of the Code of Federal Regulations deals with the Food and Drug Administration (FDA) guidelines on electronic records and electronic signatures in the United States. Part 11, as it is commonly called, defines the criteria under which electronic records and electronic signatures are considered to be trustworthy, reliable and equivalent to paper records.

Healthcare Governance Issues – 508 Compliance 508 Compliance – Government Healthcare Organizations The 508 Law In 1998, Congress amended the Rehabilitation Act to require Federal agencies to make their electronic and information technology accessible to people with disabilities. Inaccessible technology interferes with an individual's ability to obtain and use information quickly and easily. Section 508 was enacted to eliminate barriers in information technology, to make available new opportunities for people with disabilities, and to encourage development of technologies that will help achieve these goals. The law applies to all Federal agencies when they develop, procure, maintain, or use electronic and information technology. Under Section 508 (29 U.S.C. ‘ 794d), agencies must give disabled employees and members of the public access to information that is comparable to the access available to others.
