Jeffrey Vargas, NNSA Chief Learning Officer
CLOInnovationNetwork
Provide an overview of the NNSA
mentoring program
Review expectations of participants in
mentoring program
Introduce and go over features of the
online mentoring web-based tool
Discuss next steps
and the future of
mentoring in NNSA
Overview of Program
Goals
• Cultivate, preserve, and transfer knowledge throughout NNSA
• Leverage diversity and experience to provide learning and
development opportunities
• Expand cross-functional knowledge
• Increase employee engagement and retention
Vision
• Dynamic program that recognizes the benefits of shared experience
and knowledge.
• Flexible, adaptable and utilizes current online and
interactive tools to develop communication,
dialogue and partnership.
• Provides “unfiltered” access between mentor/mentees
Expectations
• Clear goals and objectives will be identified and
be articulated in the mentoring online tool.
• Time commitments (identified between
participants) are expected to be honored.
• Mentoring commitment will be for6 months or a
12 month period of time.
What we did…
• Made the business case
• Secured senior leadership buy-in/participation
• Developed and deployed a detailed
communications plan
• Socialized the concept – addressed issues
regarding corporate culture
• Made adjustments in program set up and
delivery based on participant input.
Current Stats
• Overall:
– Mentors – 108
– Mentees – 112
• Gender
– Mentor:
• Male 76
• Female 32
– Mentee:
• Male 59
• Female 53
Program launched in late March 2010
22 Participants are
members of the Senior
Executive Service
Overview of Web-Based Tool
• Triple Creek Associates web-based software
• Mentee driven process, mentors can accept or decline
(mentees choose from list of mentors with the highest
percentage match to NNSA competencies)
• Can enroll as both a mentor and mentee within one profile
• Provides opportunity for discussion and learning anytime,
anywhere
• End-user support
• Covers life-span of NNSA employee
• Mentoring support materials, monthly
newsletter
• Does not take the place of face to face or
informal mentoring
Getting Started
• Enrollment takes 15-20 minutes
• There are no restrictions or limitations on
participation (except mentor can not be in chain of
command or on a performance improvement plan)
• Relationship timeframes are 6 months or 1 year and
an average of 1-2 hours a month (based on mentees’
needs)
Welcome Page
Enrollment Page
All participants, regardless of role, will identify their areas of strength and
areas of development from the existing list of competencies.
• This allows
NNSA the ability
to map
knowledge
across
employees
• Participants
cannot view the
areas of
development
identified by
other
participants
Universal Profile
Relationship Agreement
Agreement
• Summarizes the components outlined for the particular
mentoring relationship
Mentor Selection
• Click on the mentor’s name to read their mentor profile. The %
Matched column indicates how well each individual matches the
competencies you selected in the learning agreement.
Welcome Page Layout
Mentees can begin new
relationships by clicking
One-to-One on the left
menu.
Mentor status is easily viewed
and accessed on left menu.
- The Messaging Utility is called Discussions, and allows mentoring pairs to
post messages to each other and create threaded discussions.
- The Calendar Utility is included in Discussions and participants can create
Events and Tasks that sync with Outlook and Lotus Notes.
- In addition, participants can now create Polls, which is particularly useful
in Group Mentoring events.
Relationship Utilities: Discussions
- The Relationship Agreement can be viewed under Purpose.
- The Journal tool allows users a private, centrally located space to record
thoughts, reminders, or whatever suits the user.
- Documents allows users the ability to post documents to share with their
mentoring partner and contains version control.
Relationship Utilities: Discussions
Next Steps
• Continue NNSA Mentoring Program Participation
Campaign
• Webinars, Cohort Groups, Targeted Leadership Engagements,
All Hands, one-on-one’s.
• Evaluate and report out - Mentoring Program stats
(who is in it, what projects are they working on,
feeder for learning and development
needs assessment, etc)
