EXECUTIVE	SUMMARY	
	
Background	
We	worked	with	the	USC	Office	of	Orientation	Programs	to	complete	a	database	for	their	
matrix	Scheduling	and	Orientation	Advisor	Staffing	functions.	Their	current	system	in	
scheduling	and	staffing	is	a	manual	process	run	on	Excel.	Each	year,	a	new	Excel	document	
is	created	and	copied	from	previous	years.	This	creates	inefficiencies	and	the	possibility	for	
errors	in	a	recreated	schedule.		
	
Project	Purpose	
The	purpose	of	the	project	was	to	offer	the	Orientation	Office	a	fully	functioning	database	
that	helped	two	of	their	most	crucial	functions:	Scheduling	and	Staffing.	In	addition	to	the	
usual	ability	to	schedule	a	year’s	orientation	programs,	we	wanted	our	database	to	be	able	
to	allow	a	new	employee,	intern,	or	student-worker	to	be	able	to	create	a	full	lineup	of	new	
orientations	without	having	to	schedule	anything.	In	short,	we	wanted	to	create	a	
“skeleton”	of	each	orientation	type	could	be	accessed	each	year	when	it	was	time	for	
creation.		
	
Design	Selected	
The	design	we	selected	was	a	combination	CDM	of	the	two	primary	user	views	and	
functions	that	the	Orientation	Office	needed	to	update.	At	a	high	level	view,	we	have	
Orientations	of	various	types.	In	each	Orientation,	various	programs	are	assigned	that	
students	and	parents	will	attend.	Some	of	these	programs	have	several	events	attached	to	
them	that	Orientation	Advisors	are	assigned	to.	This	is	primarily	where	are	two	functions	
meet:	at	the	OA	Event	and	Orientation	Program	level.		
	
Implementation	
From	the	original	model,	we	expanded	much	of	it	in	order	to	increase	integrity	through	the	
addition	of	entities	and	generation	of	constraints	from	restricting	cardinalities.	In	large	
part,	our	integrity	is	more	important	than	physical	optimization	in	speed.	Our	database	is	
still	fast,	but	since	our	database	isn’t	transaction	oriented,	it	is	less	important	that	it	be	
lightning	fast.	Additionally,	our	users	are	going	to	USC	faculty,	interns,	or	student-workers,	
so	we	wont	have	to	worry	as	much	about	speed	being	on	the	forefront	of	our	users’	
experience.	
	
Results	
Our	result	was	a	successful	implementation	of	our	data	model	and	physical	design	updates.	
We	have	optimized	the	database	to	run	efficiently,	while	still	focusing	on	high	integrity.		
	
Significance	
The	workers	and	staff	of	the	USC	Orientation	Office	will	feel	the	impact	of	our	work	the	
most.	It	will	make	their	jobs	easier	and	usability	of	the	orientation	process	better.	Our	goal	
is	to	wean	people	off	of	using	Excel	in	the	workplace	and	using	high	quality	data-driven	
solutions	to	increase	productivity	and	efficiency	of	work.	We’re	excited	about	our	model	
and	proud	of	its	functionality	and	significance.

We	have	two	primary	functions	that	the	Orientation	Office	wanted	the	database	to	perform.	
As	a	preliminary	step,	this	function	vs.	entity	matrix	originally	suggested	that	our	two	
functions	would	be	synced	through	an	orientation	assignment.	We	used	this	Function	vs.	
Entity	matrix	to	expand	the	database	and	hash	out	key	requirements.	One	example	of	that	
is	how	we	eventually	realized	that	the	Events	that	Orientation	Advisors	were	assigned	to	
could	not	be	simply	synced	through	orientation,	but	instead	an	orientation	assignment	
entity,	which	we	later	concluded	would	be	called	Orientation_Program.		
	
Note:	The	“Staffing”	function	was	not	created	to	assign	Staff	/Faculty.	The	Staff	/	Faculty	
will	be	assigned	based	on	their	roles	in	Components	and	Single	Orientation	Programs,	
thereby	being	assigned	in	the	Scheduling	section	of	the	database.	The	“Staffing”	function	is	
created	to	assign	Orientation	Advisors	only	to	the	various	events	that	they	were	required	
to	be	in	attendance	for.

Our	Preliminary	Enterprise	Data	Model	is	a	rough	outline	of	what	we	expected	the	model	to	
look	like	in	concept.	This	model	ended	up	being	extremely	flawed,	and	we	changed	our	
eventual	CDM	to	reflect	our	deeper	understanding	of	the	data	model	that	was	at	hand.	This	
EDM	reflected	our	original	understanding	of	the	construction	of	the	data	model	and	the	
most	obvious	representation	of	that	is	the	belief	that	we	would	have	Events	within	each	
Program.	This	was	a	misinterpretation	of	the	model,	and	you	will	see	that	our	CDM	takes	
into	account	the	further	information	we	gathered.

Database Project

  • 2. 3 EXECUTIVE SUMMARY Background We worked with the USC Office of Orientation Programs to complete a database for their matrix Scheduling and Orientation Advisor Staffing functions. Their current system in scheduling and staffing is a manual process run on Excel. Each year, a new Excel document is created and copied from previous years. This creates inefficiencies and the possibility for errors in a recreated schedule. Project Purpose The purpose of the project was to offer the Orientation Office a fully functioning database that helped two of their most crucial functions: Scheduling and Staffing. In addition to the usual ability to schedule a year’s orientation programs, we wanted our database to be able to allow a new employee, intern, or student-worker to be able to create a full lineup of new orientations without having to schedule anything. In short, we wanted to create a “skeleton” of each orientation type could be accessed each year when it was time for creation. Design Selected The design we selected was a combination CDM of the two primary user views and functions that the Orientation Office needed to update. At a high level view, we have Orientations of various types. In each Orientation, various programs are assigned that students and parents will attend. Some of these programs have several events attached to them that Orientation Advisors are assigned to. This is primarily where are two functions meet: at the OA Event and Orientation Program level. Implementation From the original model, we expanded much of it in order to increase integrity through the addition of entities and generation of constraints from restricting cardinalities. In large part, our integrity is more important than physical optimization in speed. Our database is still fast, but since our database isn’t transaction oriented, it is less important that it be lightning fast. Additionally, our users are going to USC faculty, interns, or student-workers, so we wont have to worry as much about speed being on the forefront of our users’ experience. Results Our result was a successful implementation of our data model and physical design updates. We have optimized the database to run efficiently, while still focusing on high integrity. Significance The workers and staff of the USC Orientation Office will feel the impact of our work the most. It will make their jobs easier and usability of the orientation process better. Our goal is to wean people off of using Excel in the workplace and using high quality data-driven solutions to increase productivity and efficiency of work. We’re excited about our model and proud of its functionality and significance.

  • 4. 4 Function-to-Entity Matrix We have two primary functions that the Orientation Office wanted the database to perform. As a preliminary step, this function vs. entity matrix originally suggested that our two functions would be synced through an orientation assignment. We used this Function vs. Entity matrix to expand the database and hash out key requirements. One example of that is how we eventually realized that the Events that Orientation Advisors were assigned to could not be simply synced through orientation, but instead an orientation assignment entity, which we later concluded would be called Orientation_Program. Note: The “Staffing” function was not created to assign Staff /Faculty. The Staff / Faculty will be assigned based on their roles in Components and Single Orientation Programs, thereby being assigned in the Scheduling section of the database. The “Staffing” function is created to assign Orientation Advisors only to the various events that they were required to be in attendance for.
