  6. At group meetings with employees, we communicate your entire benefits program -- from major medical to 401(k)s and even vacation time. We can produce a variety of pre-enrollment communications to help promote the group meeting, as well as the overall enrollment process. In short, we provide a detailed, customized overview of the employee’s benefits – whatever you want to highlight.

In 1-to-1 meetings, employees can ask sensitive health-related questions as they relate to insurance programs, discuss changes in marital status, number of dependents and how the changes would effect what types of programs they have. It also uncovers simple changes, such as a new address. If we make any updates or changes, we will make them in a confidential manner and give them back to you for updating your personnel files. This includes addresses, phone numbers, and marital status. What this means to you is up-to-date information on all your employees, and the real benefit to you is fewer errors in sending such things as W-2’s – and less work for your staff.
  8. Then, we provide your employees with information specific to how their choices are paid for – showing both their contribution and yours. This is an example of the summary that we will provide for each employee. It shows every benefit the employee selected, all benefits that are pre-tax and all benefits that are after-tax. And, here another time on paper, the employee sees exactly what the employer spends on the cost of each benefit. The employee can take this home, review it more extensively and share it with his or her spouse or significant other. They can consider the benefits the employee has, the contribution your company makes toward them, and the impact the deductions have on the take-home pay.

To help educate and counsel your employees on their benefit needs, we come to your worksite and spend one-to-one time with each employee. In cases where employees work in the field, are constantly mobile or are in secured locations, our Call Center provides another 1-to-1 option. Employees can simply call our toll-free number and a Call Center associate will educate the employee about the benefits available, answer the employee’s questions and then lead the employee through the enrollment process. We also offer the option of co-browsing. It’s the same as a 1-to-1 enrollment, but conducted over the Internet with a Colonial Life benefits counselor. Self enrollment and group meetings offer alternative options that are available to access employees who work remotely or are not able to meet with a benefit counselor. Our pre-enrollment communications can introduce employees to our simple web-based enrollment system and the steps they need to follow. And when planning and conducting the enrollment, you will have a dedicated Colonial Life team of experienced professionals throughout the entire process to ensure its success – year after year. Whichever option best fits your needs, the web-based technology that powers all of our enrollments is our award-winning and simple-to-use Harmony® system, which features online and offline capabilities. Providing your plan administrators with a concise summary of payroll elections for easy data input and employee records.
