Time and Money Like most colleges, universities, schools and non-profits we try to get as much done within the constrains of time and money . My time investment in this process is : 1. The set up of my digital documents so going to e-stuff works. 2.The actual time to put together the magazine, as I work on an issue I take notes on what changes may need to be done. If I am not too far into an issue I can make the change, otherwise I save the change for the next issue, and 3. The keeping-up-to-date time. When an issue is done I begin on the next one, implement my changes and test them. Money comes into play with cost of our time, the software, updates and any service such as a flipbook like issuu.com. I will take you through my process, with is always evolving. The first thing I focused my attention was the text. There is a huge amount of text that comes in from alot of different sources. We use Word. Other people use Word. They also use email and occasionally something funky. The text is usually styled using default font and body text styles, or with styles they use at work, or with crazy fonts, extra spaces, tabs, returns, you ’ ve seen it, and yet it all needs to go into the magazine. I setup our Word documents so they, by default, have some of the magazine ’ s InDesign paragraph styles as the default styles and they have the same style names: Headline, subhead, first paragraph and bodytext as well as a few styles we use for our class notes. Everything from outside gets a copy-and-paste, from email to our Word, from Word to our Word. The styles are changed to our styles. All extra spaces, returns and tabs are cleaned up. This has saved a lot of extra formatting time when the Word doc finally makes its way to me. Our next step to to organize …
Get organized Take stock of the magazine ’ s sections. Each section will be a separate InDesign document that has as many pages/spreads as needed. Some documents are just a two-page spread or 18 spreads (36 pages) or more. A couple of examples: Up front we have Around the Dimple section has 6 to 8 articles inside pages 4 to 11 Each feature might have 6 pages a main story, 2 sidebars and a list. Doing this allows for each document,with the articles listed within it to be treated as chapter or bookmark in a PDF or ePub book. Now lets build our InDesign documents ...

Templates, Master pages and Libraries - keep a consistent look to pages, time-saving, easy to update. Paragraph, Character and Object Styles Paragraph Styles are a powerful tool in making your publication consistent in design and help with cross-media transport of content. They can be used to help generate a Table of Contents, very helpful with PDFs and ePubs, and when mapped to Tags (XML eXtensible Markup Language) gives you control of how your type and images behave in all this eStuff. We use styles, paragraph, character and object styles whenever we can. Keep in mind that the final edits of the content are in the InDesign documents for print, so all text and images need to come from InDesign and go to wherever it needs to go. For each issue ...

To demonstrate how the styles work I color coded the Headline (yellow), subhead (blue), first paragraph (green) and body text (purple). Word to InDesign flows in and the text is styled. InDesign to Wordpress keeps the formatting. If I were to go to ePub the formatting would travel with it. We have our text and have our styles, built our pages but what about our images ...
Images Name your images something related to the article. This helps with finding the image when searching. For example, an articled called Red Balloons will have images named red balloon 1, red balloon 2, etc. Anchoring : When placing images in InDesign they need to be anchored. Anchoring images in the text keeps the image in place, where it should be, when output for ePub. You may have an image at the beginning, another that needs to appear near the fifth paragraph and a few headshots that need to be near the graph where a name appears. The latest version of InDesign (CS5.5) allows for easier anchoring of images. I have found that it is too time consuming to anchor all images in CS5 and do not offer an ePub version. When images are not anchored they all appear all bunched together at the top of the text. Processing the Images for ePublishing So what I do with the images is in Photoshop: Batch and an Action Script to change them from CMYK to RGB (File > Automate > Batch) Automator: I make two hot folders to size most images to 570 px and headshots to 320 px In about 15 minutes I have all my images ready for the web. That includes tweaking the Automator script. All images get uploaded to Media in Wordpress and placed from within Wordpress, an easy search finds the images needed. I am looking for the Holy Grail of InDesign Export to Wordpress , an inexpensive (free or small fee) way so Wordpress can import it effortlessly. My latest idea is some kind of script for InDesign that will export XML so Wordpress can import it where it needs to be. With a little more time and some help, hint, I just may find it.
