Exchange data is like any other data, as it ages it becomes less valuable. Exchange is based on a database (Jet if you are interested NOT SQL) and HAS to be homed on a SAN or DAS Not only are user sending more and larger emails each day they are having to retain them for longer due to regulation (HIPAA, SEC, NASDA). Its important to note that regulations and good business practice go hand in hand. For example Sarbanes Oxley (SOX) is an important legislation since it asks business to report and comment on what they are doing and ensure they are doing ‘legal’ things. This is an inmportant US regulation but also good business practice. Carrying on from the point above, an individual user spends more time in outlook than any other application. They use the email system as there own file system. From a productivity point of view we cannot tell them they are wrong but this creates a massive storage pain. Also Exchange is not indexed meaning storing a lot of ‘stuff’ in exchange does NOT make it easier to find. An old answer to some of these issues was the PST file and more about that later.
This highlights the standard version of MailStore. Build One We archive content from SPS as previously mentioned but in more detail we archive content from document libraries. Build Two The BH MailStore content connector manages the host environment, both extracting items and managing access to content once archived. Listed in this box are the actions that we are able to perform. Talk about rules and policies in the same way as file store with the addition of pruning. For a more detail explanation of pruning see the technical product overview. Build Three The local repository defines this solution as a Standard edition (meaning no multi copy etc).
This slide tells the story of the 3 main areas we are archiving content from. Mailbox archiving removes content from the users mail box that lives on the server. This save space and removes old content and typically we would NOT archive items younger that 90 days. This is because this is new data that the user will may recall often and exchange is good and managing this data short term. Jorurnal archiving is a facility offered by exchange to send a copy of ALL data to a central location, in this case the archive. if this content were left in exchange the size of the exchange server would raidly balloon out of control! PST archiving. Personal Store files are created by outlook and the server has no knowelge of them. See the next slide for more details The client should be unaffected by archiving or the costs of ownership would become too high. We make sure that content is exactly where users would expect to see it. they access exchange in a variey of way Outlook, Outlook Web Access and Outlook Mobile Access (OMA) and we make sure that archived content is avialble in all of these areas.
Problems with PST ownership No central ownership or recording PST files are created by outlook NOT the exchange server. They in fact pre date exchange and were used in MS mail days. A user can create as many pst files as they want and the server or admin will have no knoweldge of this. we won’t know who has created PST files or what is contained within them Huge backup headache So it’s a problem when we don’t know what to backup but the situation is even worse with PST files. they are single very large files that can easily be 10’s gb in size. If you open a pst file then you can change just the modified date of the file and this means the entire PST file will need backing up, even though its not materially changed. Can contain important regulatory content Email is email, regulators don’t care where it is. You can be requested to product all email data from PST files so it would be best if this was stored centrally What we Do Locate local and network PST files We are able to search the network for PST files. we also have a local client that looks inside the messaging profile and locates PST files. we create a report of all the PST files in a central location Determine who owns the file We use a variety of means to work out who owns the PST file. This can be a complicated task since you can ‘own’ and PST file that your name never features in (e.g. if you have something from a previous colleague for example). If we do this on the local machine then we will know who the PST files belongs to and we can report on it. if we don’t know who the PST file belongs to then the admin will be alerted and may have to fill in this detail Deal with corrupted or encrypted files Some files can be encrypted and we cannot open them. We again have to let the admin decide what to do. Ingest these files in to the archive Once we know where the PST files are, who owns them and that we can open them then we are in a position to bring them into the archive. Generally we create a folder in the users inbox that will look like the old PST file. This will be very small in size though since it will only contain stub files and not the originals Interesting to note here that we save a lot of storage space as we will de-dupe the individual emails and compress all content Stop users creating PST’s in the future The entire process can take some time to complete, its not easy. Once we are done though we are able to remove the ability of the users to create more pst files in the future.
